Overview

What the Nekst Zapier integration does for you

Nekst helps real estate agents and transaction coordinators run each deal through an action plan. The integration links it to Zapier, so a Zap (an automation that runs on its own once switched on) can react to what changes in Nekst, and can also write contacts, notes and transaction updates into it from your other tools.

Three results people build with it. A status board outside Nekst: Updated Transaction Status posts a message in your team chat whenever a deal moves, so the people who do not live in Nekst still follow it. Leads that become contacts: a new entry in your lead form runs Update or Create Contact, which matches on the e-mail and either refreshes the existing contact or creates a fresh one. Notes that land on the right deal: Find Transaction by Name locates the transaction, then Create a Transaction Note adds what your form or inbox collected; check at the test that what the search returns can fill the Transaction field.

Now the limits. There is no action to launch a new transaction or to create a task inside an action plan; the transaction actions only update one that already exists. Eight of the 12 actions work on an existing item and need its ID from an earlier step. And nothing here sends the e-mails or SMS themselves: New Email Sent and New SMS Sent only report what Nekst already sent.

Vocabulary

Zapier words in one minute

Eight terms you will meet in the editor, in plain words.

Zap
Your automation on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Nekst has 17, from a new contact to an updated transaction.
Action
What the Zap does once it has started: the step that writes, updates or deletes something for you.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's monthly count is a count of these.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens. All 17 Nekst triggers are instant.
Polling trigger
A trigger Zapier checks on a timer, asking for new items at a fixed interval. Nekst has none of these.
Search step
A step that looks up something already in an app, such as a Nekst contact or transaction, so later steps can use it.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes it one, and it then needs a paid plan.
Cost

What Nekst costs you on Zapier

Nekst is not a premium app, so its triggers and actions work from the free plan. A trigger never costs a task; each action that succeeds does, and one that fails is not counted.

  • Premium appNo
  • Free plan100 tasks a month, two-step Zaps
  • TriggerCosts no task
  • Search or filterMakes the Zap multi-step, paid plan

The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps. That matters here: many Nekst actions need an ID, and when the ID comes from a search, the search makes the Zap multi-step, so it needs a paid plan. A filter does the same. Update or Create Contact is the exception worth knowing: it matches on e-mail by itself, so it needs no search before it. The grid below shows the polling interval per plan; it does not apply to Nekst, whose 17 triggers are all instant.

Connect

Connect Nekst to Zapier in three steps

  1. 01

    Open your Apps page

In your Zapier account, go to the Apps page and click + Add connection. A connection is your Nekst account linked to Zapier once, then reused by every step that reads or writes Nekst.

  2. 02

    Pick Nekst

Type Nekst in the search box of the dialog, select it, then click Add connection. A new tab opens for the sign-in, so keep your Nekst login details at hand.

  3. 03

    Sign in and grant access

Sign in to Nekst in that tab and grant Zapier access to the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first Zap: tell the team when a deal changes status

GoalPost a message in your team chat when a Nekst transaction status is updated and meets a condition you choose.

  1. 01

    Pick the trigger

Create a Zap, choose Nekst as the app that starts it and Updated Transaction Status as the event, then select the Nekst connection you made.

  2. 02

    Test on real deals

Run the test. Zapier brings back the three most recent items of the connected account, so you see what a status change really carries before mapping anything.

  3. 03

    Add the filter

Click the plus icon, add a Filter and fill its three boxes: the field to look at, the rule, the value to compare with. A filter needs a paid plan.

  4. 04

    Write the message

Add your chat tool as the action, choose the channel, then write the message with the transaction details you saw at the test placed where they belong.

  5. 05

    Test, then publish

Test the action once and read what came back. When it looks right, click Publish: the Zap is on and waits for the next status change.

Triggers

Nekst triggers

17 events start a Zap when something happens in Nekst, and 17 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

Each contact created in Nekst starts the Zap once, and the test shows what arrives with it, so the contact can reach a mailing list, a spreadsheet or another CRM without retyping.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
buyers and sellers you add in Nekst should also exist in the tool you use for newsletters.
Watch out
contacts that existed before you published the Zap never reach it; check at the test which details come with a contact.
2

Deleted Contact

Instant trigger

In Zapier“Triggers when a contact is deleted.”

Removing a contact in Nekst starts this Zap, which gives you a chance to clean up the copies you keep elsewhere instead of letting them pile up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you mirror Nekst contacts in a spreadsheet and want deletions logged there too.
Watch out
look at the test to see which details arrive with a deletion before you rely on any of them in a cleanup step.
3

New Contact Note

Instant trigger

In Zapier“Triggers when a new contact note is created.”

A note written on a contact becomes the starting point of a Zap, which can copy it to a shared document or alert a colleague who follows that person.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
notes taken after a call should also show up in the chat channel your team watches.
Watch out
the note ID this trigger brings is what Delete a Contact Note and Update a Contact Note ask for later; confirm at the test what else arrives.
4

Deleted Contact Note

Instant trigger

In Zapier“Triggers when a contact note is deleted.”

When someone deletes a note from a contact in Nekst, this trigger reports it, which helps keep an audit trail outside the app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you copy contact notes to another tool and want that copy removed or marked when the original disappears.
Watch out
read the test result to see what a deletion carries before planning the next steps around it.
5

Updated Contact Note

Instant trigger

In Zapier“Triggers when a contact note is updated.”

Editing a note on a contact fires this trigger, so the change can travel to wherever that note was copied before.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a shared document holds your contact notes and must not drift from what Nekst shows.
Watch out
the trigger reports an edit, not the creation of a note, so pair it with New Contact Note if both matter to you.
6

Updated Contact

Instant trigger

In Zapier“Triggers when a contact is updated.”

Any update to a Nekst contact starts the Zap, which is how a new phone number or address in Nekst reaches your other lists without a second edit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your e-mail tool keeps its own copy of each contact and should follow Nekst.
Watch out
the official description says only that a contact is updated; check at the test which details come through before mapping them.
7

New Email Sent

Instant trigger

In Zapier“Triggers when a new email is sent to a contact.”

Every e-mail that Nekst sends to a contact can open a Zap, giving you a record of client communication outside the app.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you keep a communication log per deal in a spreadsheet and want each e-mail listed there.
Watch out
this trigger reports e-mails Nekst already sent; Zapier offers no Nekst action that sends one, so sending stays inside Nekst.
8

New SMS Sent

Instant trigger

In Zapier“Triggers when a new SMS is sent to a contact.”

Text messages that Nekst sends to contacts each start the Zap, so your text history can live next to your e-mail history in one place.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a coordinator wants every SMS sent to a client copied into a shared log.
Watch out
like the e-mail trigger, it only reports; there is no action on Zapier to send an SMS through Nekst.
9

New Transaction Assignment

Instant trigger

In Zapier“Triggers when a contact is assigned to a transaction.”

Assigning a contact to a transaction starts this Zap, which suits anything that should happen once a person joins a deal.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your team chat should hear each time a contact joins a deal.
Watch out
the event links a contact and a transaction; see at the test which of the two arrives with details before mapping the message.
10

Deleted Transaction Assignment

Instant trigger

In Zapier“Triggers when a contact is unassigned from a transaction.”

Taking a contact off a transaction fires this trigger, the mirror of the one above, so access or notifications set up elsewhere can be undone.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
people removed from a deal should also leave the shared folder or list you built for it.
Watch out
what arrives after an unassignment is worth reading at the test before you build the next steps on it.
11

New Transaction

Instant trigger

In Zapier“Triggers when a new transaction is launched.”

Launching a transaction in Nekst opens a new deal, and this trigger hands it to the rest of your Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
each new deal should create a folder, a calendar entry or a row in your pipeline sheet.
Watch out
the trigger speaks of a transaction being launched; deals already running when you publish the Zap never reach it.
12

New Transaction Note

Instant trigger

In Zapier“Triggers when a new transaction note is created.”

A note added to a transaction starts the Zap, so what a coordinator writes on a deal can reach the agent wherever they read messages.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
deal notes should be forwarded to a chat channel dedicated to that pipeline.
Watch out
the note ID it brings is what Delete a Transaction Note and Update a Transaction Note need; check the rest at the test.
13

Deleted Transaction Note

Instant trigger

In Zapier“Triggers when a transaction note is deleted.”

Deleting a note from a transaction is reported by this trigger, useful when a copy of deal notes lives in another tool.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you archive transaction notes elsewhere and want deletions recorded rather than lost from the archive.
Watch out
confirm at the test what a deleted note still carries before building a cleanup step on it.
14

Updated Transaction Note

Instant trigger

In Zapier“Triggers when a transaction note is updated.”

Changes to an existing transaction note start the Zap, keeping any copy of that note in step with the version in Nekst.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a client-facing summary built from your notes has to reflect each correction.
Watch out
creations and deletions have their own triggers; this one covers edits only, so confirm at the test what an edit sends.
15

Updated Transaction Status

Instant trigger

In Zapier“Triggers when a transaction status is updated.”

When a deal moves from one status to another, this trigger starts the Zap, which makes it the natural hook for progress alerts.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the agent, the team or a dashboard should learn about each status change without opening Nekst.
Watch out
pair it with a filter if only some statuses matter, and remember a filter needs a paid plan.
16

Updated Transaction Type

Instant trigger

In Zapier“Triggers when a transaction type is updated.”

Switching the type of a transaction fires this trigger on its own, separate from status changes and other edits.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a change of transaction type should be noted in your reporting sheet or announced to the people who handle that type.
Watch out
check at the test which details come with the change before you route anything on the new type.
17

Updated Transaction

Instant trigger

In Zapier“Triggers when a transaction is updated.”

This is the broad one: any update to a transaction starts the Zap, whatever was changed on the deal.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a copy of your deals elsewhere must follow every edit, not only status or type changes.
Watch out
status and type changes also have dedicated triggers; use those when only one kind of change matters to you.
Actions

Nekst actions

Nekst gives you 12 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a Contact

Action

In Zapier“Creates a new contact.”

Adds a new person to Nekst from another app, with First Name and Last Name as the two required fields.

When to use it
a lead form or a booking tool collects names and you want each one in Nekst.
Watch out
it always creates; if the person may already exist, Update or Create Contact is the safer pick.
2

Create a Contact Note

Action

In Zapier“Creates a new note for a contact.”

Writes a note on a contact you select, with the note text as the second required field.

When to use it
a call summary or a form answer should sit on the contact's record in Nekst.
Watch out
the Contact field must point at the right person; check at the test that the value you map there designates them.
3

Create a Transaction Note

Action

In Zapier“Creates a new note for a transaction.”

Adds a note to the transaction you pick. An optional setting, Add to Client Portal, decides whether the note is visible in the client portal.

When to use it
a form answer or an e-mail summary belongs on the deal itself.
Watch out
leave Add to Client Portal off for internal notes, and check at the test where the note appears.
4

Delete Contact

Action

In Zapier“Deletes an existing contact.”

Removes a contact from Nekst, identified by its Contact ID.

When to use it
someone unsubscribes or is deleted in your main CRM, and Nekst should follow.
Watch out
the ID must come from an earlier step; check at the test that it is really carried there and points at the right person.
5

Delete a Contact Note

Action

In Zapier“Deletes an existing contact note.”

Erases one note from a contact, picked by its Note ID.

When to use it
notes removed in another tool should disappear from Nekst as well.
Watch out
the Note ID comes from the New Contact Note trigger or the Find Contact Notes search, so plan that step first.
6

Delete a Transaction Note

Action

In Zapier“Deletes an existing transaction note.”

Takes a single note off a transaction, using its Note ID.

When to use it
a note was posted to the wrong deal by another Zap and needs to go.
Watch out
the Note ID comes from the New Transaction Note trigger or the Find Transaction Notes search; without it, the step has nothing to target.
7

Update a Contact

Action

In Zapier“Updates an existing contact.”

Changes an existing contact identified by its Contact ID, with First Name and Last Name required on every run.

When to use it
corrected details from another system should overwrite the Nekst contact.
Watch out
the Contact ID has to come from an earlier step, so check at the test that one carries it, and both name fields must be filled each time.
8

Update a Contact Note

Action

In Zapier“Updates an existing contact note.”

Rewrites the text of a contact note, found by its Note ID, with the new Note Text you map in.

When to use it
a note kept in sync with another tool needs its latest wording in Nekst.
Watch out
the Note ID comes from a previous step, for example the New Contact Note trigger or the Find Contact Notes search.
9

Update or Create Contact

Action

In Zapier“Updates a contact if it exists (matched by email) or creates a new one if it doesn't.”

Matches a contact on Primary Email: if one exists with that e-mail it is updated, otherwise a new contact is created. First Name and Last Name are required too.

When to use it
leads arrive from a form and some of them are already in Nekst.
Watch out
the match is on e-mail only, so the same person with two addresses becomes two contacts.
10

Update a Transaction

Action

In Zapier“Updates an existing transaction.”

Edits an existing transaction by its Transaction ID. Name, Status, Start Date and End Date are all required, plus two choices on what happens to dependent task dates when either date changes.

When to use it
dates agreed elsewhere must be pushed into the Nekst deal.
Watch out
all of these fields are required, so map each one, not only the one you want to change.
11

Update a Transaction Note

Action

In Zapier“Updates an existing transaction note.”

Replaces the text of a transaction note found by its Note ID, with the same optional Add to Client Portal choice as when creating one.

When to use it
a note edited elsewhere must show its new version on the deal.
Watch out
the Note ID comes from the New Transaction Note trigger or the Find Transaction Notes search placed earlier.
12

Update a Transaction Status

Action

In Zapier“Updates the status of an existing transaction.”

Sets a new status on a transaction identified by its Transaction ID, and nothing else.

When to use it
a signed document or a payment recorded in another tool should move the deal forward in Nekst.
Watch out
it is lighter than Update a Transaction, which asks for every field; prefer it when only the status changes.
Searches

Nekst searches

8 search steps look for data that already exists in Nekst, so a later step can use it.

A search step looks up something that already exists in Nekst and hands it to the next steps. In the editor, searches sit at the bottom of the action list under their own heading. Any search makes the Zap multi-step, so it needs a paid plan. Three settings decide what happens next. Left on its default, Successful if no search results are found? stops the Zap when a search finds nothing; switched on, the Zap carries on empty-handed. If multiple search results are found? keeps the first match by default, or can stop the Zap or hand all matches on. Create X if it doesn't exist yet? would turn a search into a find-or-create, but no Nekst search offers it.

1

Find Transaction by Name

Search

In Zapier“Retrieves a specific transaction by name.”

Looks up a transaction from its name or part of it: deals whose name contains your text come back.

When to use it
a form or an e-mail gives a deal name and you need the matching Nekst transaction.
Watch out
partial text can match several deals, so set the multiple-results option on purpose.
2

Find Contact by ID

Search

In Zapier“Retrieves a specific contact by ID.”

Fetches one contact when an earlier step already holds its Contact ID.

When to use it
an earlier step carries the ID and the next step needs the contact's full record.
Watch out
it only works with an exact ID; for names or e-mails use Find Contacts by Email or Name.
3

Find Contact Note by ID

Search

In Zapier“Retrieves a specific contact note by ID.”

Retrieves a single contact note from its Note ID.

When to use it
you have the ID from New Contact Note or Find Contact Notes and need the note's content in a later step.
Watch out
without a prior step that carries the Note ID, this search has nothing to look for.
4

Find Contact Notes

Search

In Zapier“Retrieves all notes for a specific contact.”

Brings back all the notes attached to the contact you select.

When to use it
you want the history of a person before acting, or a Note ID for an update or a delete.
Watch out
one contact can have many notes, so choose what the Zap does when several come back.
5

Find Transaction by ID

Search

In Zapier“Retrieves a specific transaction by ID.”

Pulls up one transaction from its Transaction ID.

When to use it
an earlier step carries a Transaction ID and the next steps need that deal's full record.
Watch out
confirm at the test that the earlier step really carries a Transaction ID you can map.
6

Find Transaction Note by ID

Search

In Zapier“Retrieves a specific transaction note by ID.”

Returns a single transaction note, located by its Note ID.

When to use it
a later step needs the exact wording of a deal note whose ID you already have.
Watch out
the ID comes from New Transaction Note or Find Transaction Notes; there is no lookup by text.
7

Find Transaction Notes

Search

In Zapier“Retrieves all notes for a specific transaction.”

Lists every note on a transaction, given its Transaction ID.

When to use it
you want to copy a deal's notes into a closing summary, or grab a Note ID to change one.
Watch out
several notes will match, so set the multiple-results choice before you publish.
8

Find Contacts by Email or Name

Search

In Zapier“Search for contacts by email or name.”

Searches contacts with one value: an e-mail returns only contacts with that address, a name returns every contact whose name contains your text.

When to use it
the e-mail of a lead is all you have and the next step needs that contact.
Watch out
searching by name is loose; search by e-mail when you can.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. No Nekst search offers it; Update or Create Contact covers that need as an action.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Nekst Zap does not behave

Zapier attaches no help article and no rate limit specific to Nekst. The general limits of every Zap still apply, and the many ID fields add their own risk.

Six situations to know before your deals depend on a Zap. When one stops behaving, see our Zapier troubleshooting guide.

  • Old contacts and deals are not picked up

A Zap only reacts to what happens after it is switched on. Contacts, notes and transactions already in Nekst never reach it; moving them is a separate job.
  • A Zap can set itself off again

A Zap that writes into the very place its own trigger watches can start itself again and again and burn through tasks. Keep writes away from what the trigger watches.
  • An ID with no step to feed it

Updates and deletes need a Contact ID, Note ID or Transaction ID. Note IDs come from the note triggers or note searches; for the rest, check at the test which earlier step carries one.
  • Update a Transaction asks for everything

Name, Status, Start Date, End Date and the two date-update choices are all required. Map each one, even when only one value really changes.
  • A bulk import can be held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back.
  • A search means a paid plan

The free plan builds Zaps of one trigger and one action. A search, a filter or a second action makes the Zap multi-step, which needs a paid plan.

FAQ

Nekst and Zapier: your questions

01Is the Nekst Zapier integration free?
Partly. Nekst is not a premium app, so a Zap made of one Nekst trigger and one action, or of another app's trigger and one Nekst action, runs on the free plan. That plan gives you 100 tasks a month and an unlimited number of Zaps, each limited to two steps. The catch is the ID fields: when an update or delete needs an ID that only a search can provide, the search makes the Zap multi-step, and that needs a paid plan.
02How many tasks does a Nekst Zap use?
One per action that succeeds. A Nekst trigger firing costs nothing, and Zapier waiting for it costs nothing either. A Zap that posts a chat message on each status change spends one task per change. An action that fails is not counted against your plan, so only the writes that really happened in Nekst or in your other apps show up. With 17 triggers to choose from, estimate how often the chosen event happens in your account before you publish, since each run with a successful action counts.
03Do Nekst triggers run in real time?
Yes. All 17 Nekst triggers are instant: Nekst tells Zapier itself when a contact, a note or a transaction changes, and the Zap starts right away. The polling interval tied to your plan (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. On this point, a free plan gets exactly the same speed as a paid one.
04What do you need to connect Nekst to Zapier?
An account on Nekst, plus read or write access on anything you do not own yourself and want the Zap to touch. You connect it once from the Apps page of your Zapier account with + Add connection, sign in to Nekst in the tab that opens and grant Zapier access. Every later Zap that uses Nekst reuses that connection. If you work on deals owned by colleagues, make sure your access covers them.
05Why does a Nekst action ask for an ID?
Because eight of the 12 actions change or delete something that already exists, and Nekst identifies it by Contact ID, Note ID or Transaction ID. Those IDs come from an earlier step. For notes, Nekst names the sources itself: the New Contact Note or New Transaction Note trigger, or the Find Contact Notes or Find Transaction Notes search. For contacts and transactions, check at the test which earlier step carries the ID. Whenever that step is a search, the Zap becomes multi-step and needs a paid plan.
06What if the Nekst operation you want is missing?
Then this integration cannot do it today. The Nekst page on Zapier shows the current list of triggers, actions and searches, and it is the place to check before planning. Right now there is no action to launch a transaction, to manage an action plan or to send an e-mail or SMS. Build around what exists: let a Nekst trigger start the Zap and do the missing part in another app, or bring data into Nekst through the contact and note actions.
07Zapier, Make or n8n for Nekst?
Choose on criteria, not on a ranking. Coverage first: on Zapier, Nekst brings 17 instant triggers, 12 actions and 8 searches, so compare that list with what the other two tools offer for Nekst. Billing second: Zapier counts one task per successful action, with triggers and failed actions free. Third, the shape of your flows: anything that needs a search to find an ID is multi-step on Zapier and needs a paid plan, so count how many of your Zaps fall in that case.
