Overview

What the Offri Zapier integration actually does for you

Offri is a tool for building good-looking sales proposals fast. Plugging it into Zapier means two things. Offri can start an automation when a contact, a contact person or a proposal changes. And an automation started anywhere else can create, update or remove contacts in Offri, or open a new proposal, without anyone typing it in.

Three results people usually build first. A follow-up the minute a prospect reads the quote: Proposal Opened for the First Time fires once per proposal, which is exactly the moment a salesperson wants to know about. A clean win/loss log: Proposal Status Changed starts a Zap only when a proposal moves to the status you picked (won, lost or expired), so your reporting gets the deals that closed and nothing else. A contact list that stays in sync: Find and Create/Update Contact takes a person from your form or CRM and either refreshes the existing Offri contact or creates it, so nobody re-keys a company name twice.

What Zapier does not do for Offri: it does not send a proposal, it does not change a proposal's status, and it has no step to delete or edit a proposal. On the proposal side, the integration listens (opened, updated, removed, status) and creates, and that is all. If your process depends on marking a deal as won from outside Offri, this integration will not do it.

Zapier is not the only way to wire this up. If you are still choosing a platform, weigh it against the other two first: Make vs Zapier and n8n vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier simply waits for that event to show up.
Action
What the Zap does once it has started: the step that writes, creates, updates or removes something for you in an app.
Task
The unit Zapier bills you for: one action that your Zap completes successfully. Your plan's allowance is a count of those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens. All of Offri's are instant.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and quietly stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can reuse what it found.
Connection
Your Offri account linked to Zapier once, then reused by every step of every Zap that touches Offri.
Cost

What an Offri Zap really costs

Offri is not a premium app, so it works from the free plan. The trigger never costs a task, and neither does Zapier waiting for events.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan limitTwo steps per Zap: one trigger, one action
  • Premium appNo, Offri runs on the free plan
  • Offri triggers8 out of 8 instant, plan interval does not apply

Each action that goes through counts as one task; an action that fails is not billed. A three-action Zap uses three times what a one-action Zap uses. The catch on the free plan: Zaps stop at two steps, one trigger and one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. The polling grid below does not touch Offri, since every Offri trigger is instant.

Connect

Connect your Offri account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an existing Offri account before you start; Zapier links to it, it does not create one.

  2. 02

Find Offri and launch the link

Type Offri in the search box of the dialog, pick it, then click Add connection. A new tab opens on Offri's side: that tab is where the actual sign-in happens, not in Zapier.

  3. 03

    Sign in and grant access

Log in to Offri in that tab and allow Zapier to reach your account. The connection then appears in your Apps list and every Offri step of every Zap reuses it, so you only do this once.

First Zap

Your first Offri Zap: mirror business contacts into a second workspace

GoalEach time a business contact is created or edited in your sales workspace, it is found or created in your delivery workspace, with no copy-paste.

  1. 01

    Build: pick the trigger

Create a new Zap, choose Offri as the app and Contact Updated as the event. Select your Offri connection, then tick the sales workspace in the required Workspaces field.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent contacts of that workspace. Pick a real business contact, since you will map its fields in the next steps.

  3. 03

    Add the filter

Click the plus icon, choose Filter, and keep only contacts that are a business, not a private person. This filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

Add the action and map fields

Add Offri again with Find and Create/Update Contact. Pick the delivery workspace, set what counts as a match, and map the name from the trigger.

  5. 05

    Test, then publish

Test the action and open Offri to see the contact in the second workspace. When it looks right, click Publish to switch the Zap on.

Triggers

Offri triggers: 8 instant events to start a Zap

8 events start a Zap when something happens in Offri, and 8 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Contact Removed

Instant trigger

In Zapier“Triggers when a client is removed.”

Starts a Zap when a contact, meaning a company or a private client, is deleted from Offri. It is your cue to clean up the same record in the tools that sit next to Offri, so nobody keeps chasing a client who is gone.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
archive the matching row in your billing sheet or flag the account as closed in your CRM the second it leaves Offri.
Watch out
the Workspaces field is required, so a removal in a workspace you did not tick never reaches the Zap.
2

Contact Updated

Instant trigger

In Zapier“Triggers when a client is created or updated.”

Fires when a contact is created or edited in Offri. Despite the name, a brand-new contact sets it off too, which makes it the single entry point for anything that should follow your client list, from a CRM to a shared address book.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a second tool, or a second Offri workspace, in step with every client your sales team adds or corrects.
Watch out
never pair it with Update Contact on the same workspace, or every edit triggers another edit and your tasks drain in a loop.
3

Contact Person Removed

Instant trigger

In Zapier“Triggers when a Contact Person is removed.”

Reacts when someone listed under a contact, say the buyer at a client company, is deleted. The company itself stays in Offri; only that person goes, and the Zap gets the chance to tidy up wherever that person was copied.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
unsubscribe a former buyer from your follow-up list, or remove them from the shared contact sheet your account managers rely on.
Watch out
like every Offri trigger, it only listens to the workspaces you select in the required Workspaces field.
4

Contact Person Updated

Instant trigger

In Zapier“Triggers when a Contact Person is created or updated.”

Kicks off whenever a contact person is added under a contact or has their details changed. New phone number, new email, a new buyer joining the deal: each of those becomes an event your other tools can pick up without anyone exporting a list.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
push every new decision-maker into your email tool or CRM the moment a salesperson adds them to a client in Offri.
Watch out
creation and edits share this trigger, so a downstream Create step can produce duplicates; prefer a Find and Create/Update action.
5

Proposal Opened for the First Time

Instant trigger

In Zapier“Triggers when a proposal has been opened by a contact for the first time.”

Tells you when a client opens a proposal for the very first time. Later views do not fire it again, which is the point: you get one clean signal that the document has been seen, not a stream of notifications every time someone scrolls back to the price.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
ping the account owner in your team chat, or create a follow-up task in your CRM, while the prospect still has the proposal open.
Watch out
a proposal opened before you published the Zap will never fire it, since that first time is already gone.
6

Proposal Removed/Hidden

Instant trigger

In Zapier“Triggers when a proposal is removed or hidden.”

Picks up any proposal that gets deleted or hidden in Offri. Both cases land in the same trigger, so the Zap cannot tell a document thrown away from one simply tucked out of sight; treat it as a proposal that left the active pipeline.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
close the matching deal in your pipeline tool, or stop a reminder sequence that was still waiting on that proposal.
Watch out
if hiding is part of your normal routine, check the downstream step is reversible before letting this Zap close deals.
7

Proposal Status Changed

Instant trigger

In Zapier“Triggers when a proposal has either expired, lost, or won.”

Goes off when a proposal ends up won, lost or expired. You choose the status upfront in a required field, so one Zap handles one outcome: a won deal can launch onboarding while a lost one goes to a separate review list.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
kick off client onboarding, an invoice draft or a welcome email the moment a proposal flips to won.
Watch out
the status pick is part of the trigger itself, so tracking both won and lost means building two Zaps, not one with a filter.
8

Proposal Updated

Instant trigger

In Zapier“Triggers when a proposal is created or updated.”

Fires on every new proposal and on every edit to an existing one. It is the broadest of the proposal triggers: a new line, a new price or a new title all set it off, which suits a running log far better than an alert.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a sales sheet or a reporting table current with every proposal your team drafts, without exporting anything by hand.
Watch out
on a busy team this one fires often, and each action behind it is a task on your monthly count.
Actions

Offri actions: what a Zap can do in Offri

Offri gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a contact.”

Adds a new contact to the workspace you pick, as a business or a private person. Only the name is required, so a bare form entry is enough to get a client into Offri.

When to use it
a lead form you are sure only sends new companies, never returning ones.
Watch out
it never checks for an existing contact; repeat submissions create duplicates.
2

Create Contact Person

Action

In Zapier“Creates a contact person under a contact”

Adds a named person under a contact that already exists, for example the second buyer at a client company. You pick the workspace and the parent contact, then give the person a name.

When to use it
a meeting booked through your scheduler brings in a new attendee from a known client.
Watch out
the parent contact must already be in Offri; a search step before it usually supplies it.
3

Create Proposal

Action

In Zapier“Creates a proposal, optionally from a template.”

Opens a new proposal in the chosen workspace, either blank or built from one of your Offri templates. A title is the only required input, so the Zap gives your salesperson a ready draft instead of an empty screen.

When to use it
a deal reaches the quote stage in your CRM and a draft should be waiting in Offri.
Watch out
it creates the draft only; nothing here sends it to the client.
4

Find and Create/Update Contact

Action

In Zapier“Finds and updates a Contact, optionally creates one if it doesn't exist”

Looks for a contact by the match you define, updates it if found and, if you allow it, creates it if not. One step replaces the search-then-decide dance and keeps your client list free of doubles.

When to use it
syncing clients from a CRM where the same company comes back many times.
Watch out
set the create option to false and it becomes update-only, silently skipping unknown contacts.
5

Find and Create/Update Contact Person

Action

In Zapier“Finds and updates a Contact Person, optionally creates one if it doesn't exist”

Does the same job one level down: finds a person under a given contact, refreshes their details, or adds them when missing and creation is allowed. It needs the workspace, the parent contact, a match and a name.

When to use it
buyer details that change often in your CRM and should follow in Offri.
Watch out
the match only runs inside the contact you pass, not across the whole workspace.
6

Remove Contact

Action

In Zapier“Removes a contact.”

Deletes a contact from the workspace you pick. It is the cleanup end of a sync: when a client is closed elsewhere, Offri can lose the record too.

When to use it
an account marked as churned or merged in your CRM should vanish from Offri as well.
Watch out
a removal in Offri fires Contact Removed, so any Zap listening there will run too.
7

Remove Contact Person

Action

In Zapier“Removes a contact person under a contact”

Takes one person out from under a contact, leaving the company and its other people untouched. You choose the workspace, the contact, then the person to drop.

When to use it
someone leaves a client company and should stop appearing on new proposals.
Watch out
it removes rather than archives; there is no undo step in Zapier to bring them back.
8

Update Contact

Action

In Zapier“Updates a contact.”

Changes an existing contact you point to, including whether it is a business or a private person. Useful when the source of truth for company details lives outside Offri.

When to use it
your accounting tool corrects a company's legal name and Offri should follow.
Watch out
paired with Contact Updated on the same workspace, it sets off its own trigger again and loops.
9

Update Contact Person

Action

In Zapier“Updates a contact person under a contact”

Edits a person already stored under a contact. You select the workspace, the parent contact and the person, then pass the new values, starting with the required name.

When to use it
a buyer changes role or email and your CRM is where the change is first recorded.
Watch out
you must already know which person to edit; feed it from Find Contact Person when the Zap does not carry it.
Searches

Offri searches: find a contact before you act on it

2 search steps look for data that already exists in Offri, so a later step can use it.

A search step looks up something that already exists in Offri and hands it to the next steps. In the editor, the searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not the expected one.

1

Find Contact

SearchFind or create

In Zapier“Finds a Contact”

Looks up an existing contact in a workspace by the criterion you choose, so the next step knows which client to touch. The editor also lists Find or Create Contact: it is this same search with the create box ticked, not another operation.

When to use it
before Create Proposal, to attach the draft to the right client.
Watch out
how close a match has to be is decided by Offri, not Zapier.
2

Find Contact Person

SearchFind or create

In Zapier“Finds a Contact Person”

Finds a person inside a given contact, using the match you set. Find or Create Contact Person, which you will also see in the list, is this search with creation allowed, adding the person when nobody matches.

When to use it
just before Update Contact Person, to get the exact person to edit.
Watch out
it searches one contact at a time, so pass the right parent company first.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that needed it are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for the fields needed to create the missing contact.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When an Offri Zap breaks

Zapier lists no help article and no rate limit specific to Offri. What goes wrong is the general Zapier behaviour, and a few of those cases hit a proposal tool hard.

If you would rather have someone look at a failing Zap with you, start from our Zapier troubleshooting page. The four cases below cover most surprises on Offri.

  • Nothing from before the Zap

A Zap only reacts to what happens after it is published. Proposals already opened or won before that will never fire it; moving the backlog is a separate job.
  • The update loop

Contact Updated plus Update Contact on the same workspace: each edit sets the trigger off again, and the Zap burns through your task count fast.
  • Bulk imports get held back

Import a whole client list into Offri and the triggers can return a huge batch at once. Zapier's flood protection may hold those runs back.
  • A search that finds nothing

By default, a Find Contact that comes back empty stops the Zap there, and every step that depended on it is skipped without a task spent.

FAQ

Offri Zapier integration: frequent questions

01Is the Offri Zapier integration free?
Yes, as long as each Zap stays at two steps. Offri is not a premium app, so the free plan can use it, with 100 tasks a month and unlimited Zaps. The limit is shape, not access: on the free plan a Zap holds one trigger and one action, nothing more. The moment you add a filter, a search such as Find Contact, or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does an Offri Zap use?
One task per action that succeeds, and nothing for the trigger. So a Zap that listens to Proposal Status Changed and then creates one record elsewhere costs one task each time a proposal is won. Add a second action and each run costs two. An action that fails is not counted against your plan. Waiting for Offri events costs nothing either, however many proposals your team edits in a day; only the completed actions are billed.
03Are Offri triggers real time?
Yes, all eight are instant. Offri tells Zapier as soon as a contact, contact person or proposal changes, so the Zap starts straight away, and that holds on every plan, the free one included. The polling intervals you see on Zapier's pricing grid only apply to triggers that Zapier has to check on a timer, and Offri has none of those. In the editor, a Zap built on one of these triggers shows a lightning bolt.
04What does it take to connect Offri to Zapier?
An existing Offri account and access to the workspaces your Zaps will touch. The connection itself happens from the Apps page of Zapier: add a connection, pick Offri, then sign in on Offri's side and grant access. Every trigger and action then asks for a workspace in a required field, so an account that cannot see your team's workspace will not be able to use it in a Zap, even if the connection works.
05Why does Contact Updated fire when a contact is created?
Because Offri reports creations and edits through the same trigger. Contact Updated, Contact Person Updated and Proposal Updated all fire on a new record as well as on a change. That matters downstream: a plain Create step behind them will duplicate records on every edit. The fix is to use Find and Create/Update Contact or its contact person twin, which refresh what exists and only create what is missing. That one choice saves you a cleanup job later.
06What if the Offri operation needed is not in Zapier?
Then the Zapier integration cannot do it as published. The editor offers only the 19 operations listed on this page, and there is no step to send a proposal, edit one or change its status. Often a combination closes the gap, for example a search followed by an update. When it does not, the remaining options are to handle that step inside Offri itself, or to look at another automation platform that may expose more of Offri.
07Zapier, Make or n8n for Offri?
It depends on what you value most. Zapier has a ready Offri integration with instant triggers and the gentlest learning curve, but multi-step Zaps need a paid plan and you pay per completed action. Make and n8n bill differently and give more room for branching logic, at the cost of a steeper setup. Check first whether each platform exposes the Offri operations your process actually needs, then compare how each one bills your expected volume.
