Overview

What the Olostep Zapier integration actually does

Olostep reads websites for you and returns their content in a usable shape, for research or for an AI tool downstream. Through Zapier, it becomes a step in a chain: another app supplies an address or a question, Olostep does the reading, and the next step stores or sends the result.

Three results you can build. A page's content dropped next to its address: a new row in a sheet starts the Zap, Scrape Website fetches that page in the format you choose, and a final step writes the content back. A site inventory: Create Map lists the addresses of a website, the raw material for an audit or a migration plan. A sourced answer: Ask AI Answer takes a question and returns an AI-written answer, with citations if you switch them on, ready to paste into a brief or a ticket.

Now the limits. Olostep has no trigger on Zapier, so nothing in Olostep can start a Zap: the start always comes from another app. There is no search either, so a Zap cannot look up a past scrape, map or crawl later on. And Olostep's own usage limits are not listed on the Zapier side, so read them in your Olostep account before you plan a big batch.

The same app also has an Olostep Make integration page, worth a look if you are weighing platforms.

Vocabulary

Zapier words, in plain English

Seven words come back all over this page. Here is what each one means before you open the editor.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. With Olostep, that event always comes from another app, such as a sheet.
Action
What the Zap does after it starts: the step that fetches, writes or sends something for you. All five Olostep operations are actions.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer set by your plan. An instant trigger is reported by its app the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it there otherwise.
Connection
Your Olostep account linked to Zapier once, then reused by every step of every Zap that calls Olostep.
Cost

What an Olostep Zap really costs

Zapier bills completed actions. The trigger from the other app costs nothing; each Olostep action that goes through counts as one task.

  • Trigger (other app)0 task
  • Each successful Olostep action1 task
  • Free plan100 tasks a month, 2-step Zaps
  • Premium appNo

An action that fails is not counted. A Zap with three actions eats three times what a one-action Zap eats. Olostep is not a premium app, so it works on the free plan: 100 tasks a month and unlimited Zaps, but only two steps per Zap, one trigger and one action. Writing the scraped content back to the sheet adds a second action, which makes the Zap multi-step and needs a paid plan, as does any filter. Since the trigger belongs to another app, the polling grid below applies to it when that trigger is a polling one.

Connect

Connect your Olostep account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an Olostep account first, plus access to anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick Olostep

Type Olostep in the search box of the dialog that appears, select it in the results, then click Add connection. A new browser tab opens on the Olostep side.

  3. 03

    Sign in and grant access

Sign in to Olostep in that tab and allow Zapier to use the account. The connection is saved once, then offered in every Zap step that calls Olostep from now on.

First Zap

Your first Olostep Zap: scrape each address added to a sheet

GoalEach time someone adds a web address to a Google Sheets list, Olostep scrapes that page and the content lands back in the same row.

  1. 01

    Build the trigger

Create a Zap and pick Google Sheets as the starting app, with a new row as the event. Point it at the sheet where your team pastes addresses.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent rows of the connected sheet, so you map the address column from a real row, not an empty one.

  3. 03

    Add the Olostep action

Add Olostep with Scrape Website. Map the address column into URL to Scrape and pick the Output Format your next step can read.

  4. 04

    Write the result back

Add a second Google Sheets step that updates the same row with the scraped content. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test and publish

Test each action once and read what came back before moving on, since a bad format shows up there first. Then click Publish to switch the Zap on.

Actions

The Olostep actions

Olostep gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Ask AI Answer

Action

In Zapier“Ask a question and get an AI-generated answer with optional citations and context URLs.”

Puts a question to Olostep and returns an AI-generated answer, with sources attached when Include Citations is turned on.

When to use it
a support lead wants a first sourced draft for each new question logged in a form, before a human checks it.
Watch out
the Question field is mandatory, so map a question that reads well on its own, not a fragment.
2

Batch Scrape URLs

Action

In Zapier“Scrape up to 100,000 URLs in parallel using Olostep's batch processing API. Perfect for large-scale data extraction.”

Sends a whole list of addresses to Olostep in a single action, which processes them in parallel. The source puts the ceiling at 100,000 addresses per batch.

When to use it
a research team has a long product catalogue to pull in one go rather than one Zap run per page.
Watch out
the list is not plain text; each entry pairs an address with your own identifier, so prepare it in that shape upstream.
3

Create Crawl

Action

In Zapier“Create a web crawling job to discover and scrape linked pages recursively”

Launches a crawl job: Olostep starts from one page, follows the links it finds and scrapes the pages it reaches along the way.

When to use it
a documentation site or a blog needs to be collected in full, not just its home page.
Watch out
Follow Links is on by default; switch it off if only the start page and nothing beyond should be read.
4

Create Map

Action

In Zapier“Extract all URLs from a website for content discovery and site structure analysis”

Collects the addresses of a website. Hand it a site and it gives back every link it found, which shows at a glance how the site is organised and what it holds.

When to use it
before a redesign, an SEO consultant wants the full list of a client's pages without clicking through every menu.
Watch out
you get back addresses only, not what the pages say; pair it with Scrape Website if you need the text.
5

Scrape Website

Action

In Zapier“Extract content from any URL in HTML, Markdown, JSON, or text format using Olostep's powerful web scraping API.”

Fetches one web page and returns its content in the format you pick: HTML, Markdown, plain text or a structured version. One address in, one page of content out.

When to use it
a marketer drops a competitor's pricing page into a sheet and wants the text stored next to it for later reading.
Watch out
Output Format is mandatory, so choose the one your next step understands.
When it breaks

When an Olostep Zap breaks

Zapier links no help article to Olostep, so the cases below are the general ones that hit any Zap. With scraping, each of them shows up as missing or duplicated content.

Go through them before you publish, especially if the Zap writes back into the sheet that starts it. To learn the editor properly first, there is a Zapier training.

  • No catch-up on old rows

A Zap only reacts to what happens after it is switched on. Addresses already in the sheet are not scraped; processing that backlog is a separate job.
  • A loop through your own sheet

A Zap that adds new rows to the sheet its trigger watches sets itself off again and again, and burns through the task count fast. Update the row instead.
  • Flood protection on bulk pastes

Paste a huge block of addresses at once and the trigger returns a big batch; Zapier's flood protection can hold it back instead of running every row.
  • Same row, scraped once

On a polling trigger, Zapier remembers what it has already seen, so the same row does not start the Zap twice and you are not billed twice for it.

FAQ

Olostep Zapier integration: common questions

01Is the Olostep Zapier integration free?
Yes. Olostep is not a premium app, so it runs on the Zapier free plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps: one trigger and one action. A Zap that starts in another app and runs one Olostep action fits inside that limit. Writing the result somewhere else adds a second action, which makes the Zap multi-step and needs a paid plan. Plan your scenario with that ceiling in mind.
02How many tasks does an Olostep Zap use?
One task per action that completes. The trigger, which comes from another app, costs nothing. A Zap with a single Scrape Website step uses one task each time it runs successfully, and an action that fails is not counted. Zapier warns that a few actions take more than one task when they complete, so watch your count after a first run. A Zap with a scrape and a write-back uses two tasks per run, so the 100 monthly tasks of the free plan go twice as fast.
03Does Olostep work in real time with Zapier?
Olostep has no trigger, so the timing depends on the app that starts your Zap. If that app's trigger is instant, the Zap starts straight away and Olostep runs right after. If it is a polling trigger, Zapier checks on a timer set by your plan: 15 minutes on the free plan, 2 on Professional, 1 on Team and Enterprise. In the editor, a Zap built on an instant trigger shows a lightning bolt, which tells you which case you are in.
04What does it take to connect an Olostep account to Zapier?
An Olostep account and a few clicks. Open the Apps page in Zapier, click + Add connection, search for Olostep, click Add connection, then sign in to Olostep in the tab that opens and grant access to the account. You also need access to anything you do not own yourself and want the Zap to touch. To build the Zap, plan for a starting app that supplies a web address or a question, since every Olostep action needs one to run.
05Why does Batch Scrape URLs reject a simple list of links?
Because the field does not take plain text. URLs to Scrape expects a structured list in which each entry pairs an address with an identifier of your own, so you can match results to sources later. Pasting one link per line will not do. Build that list upstream, in the app or step that feeds the Zap, then map it into the field. If you only need one page per run, Scrape Website is simpler and takes a single address.
06What if the Olostep operation you want is not available?
Then Zapier cannot do it for now. The integration has five actions, no trigger and no search, so a Zap cannot start from an Olostep event or look up a past crawl. Those jobs stay in Olostep itself. Another automation platform may expose a different set of Olostep operations, so compare what each one actually offers before you commit, rather than building half a workflow and running into the gap later on.
07Zapier, Make or n8n for Olostep?
Decide on criteria rather than on a ranking. On Zapier, Olostep offers five actions and no trigger, and it is not premium, so a two-step Zap runs on the free plan. For any other platform, check three things: whether it exposes the Olostep operations your scenario needs, how it bills each run, and whether its free tier allows the number of steps you plan to chain. The answer depends on your scenario, not on the tool.
