What the Open Badge Factory Zapier integration does
The Open Badge Factory Zapier integration links Open Badge Factory, a service organisations use to create and award digital credentials known as Open Badges, to the tools where learning or participation is recorded. When something happens in another app, Zapier asks Open Badge Factory to issue a chosen badge to an email address. One action covers it: Issue Badge.
Three results people set up. Course completion badges: a learner finishes a course on your training platform and the matching badge lands in their inbox. Event attendance badges: a participant is checked in on your event tool, and the attendance badge follows without a spreadsheet export. Volunteer or member recognition: a form records a milestone, and a badge goes to the person named in it, with their name shown only if they agreed to it.
The action has two switches worth knowing. One decides whether Open Badge Factory emails the recipient about the badge, which it does by default. The other shows the recipient's name on the badge, which is off by default and needs the person's consent.
What Zapier does not do here: there is no trigger, so issuing or accepting a badge in Open Badge Factory never starts a Zap, and no search step either. Zapier also cannot create a new badge design or revoke an issued one; that stays in Open Badge Factory. To see how the tool compares overall, read the Zapier review, or n8n vs Zapier.
Zapier vocabulary, briefly
The Zapier words on this page, each explained once.
- Zap
- An automation built on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap. Open Badge Factory has none, so it always comes from another app, such as a course, event or form tool.
- Action
- The step that does the work once the Zap runs. Issue Badge is the only Open Badge Factory action.
- Task
- What Zapier bills: one action that completes successfully. Your plan includes a set number per month.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer; an instant trigger is reported by its app when the event happens.
- Filter
- A step that lets the Zap go on only when the data meets your condition, such as a passing grade, and stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action makes it one, and it needs a paid plan.
What issuing a badge costs in Zapier
Open Badge Factory is not a premium app: Zapier does not keep it for paid plans, so it works from the Free plan. You pay in tasks.
- Premium appNo, works on Free
- Free plan100 tasks a month, two-step Zaps
- One badge issued1 task
- Trigger and checks0 task
The trigger in your course or event tool costs nothing, and so do Zapier's checks for new data. Each Issue Badge that succeeds costs one task; one that fails is not counted. The Free plan gives 100 tasks a month and builds two-step Zaps only: one trigger, then Issue Badge. Add a filter, for instance to badge only learners who passed, and the Zap becomes multi-step, which needs a paid plan. What Open Badge Factory charges for issuing badges is outside this page.
Connect Open Badge Factory to Zapier
- 01
Open the Apps page
In Zapier, go to Apps. A connection is your Open Badge Factory account linked once to Zapier, then reused by every Zap that issues a badge. You need an Open Badge Factory account first.
- 02
Add the connection
Click + Add connection, search for Open Badge Factory in the dialog and pick it from the results. Then click Add connection to open its sign-in in a new tab.
- 03
Sign in and grant access
Sign in to Open Badge Factory in that tab and grant Zapier access to the account. If the badges belong to someone else in your organisation, you also need access to them.
Your first Open Badge Factory Zap: badge every graduate
GoalIssue the course badge to each learner who completes the course with a passing result.
- 01
Start from the course platform
Build the Zap from the app where learning happens, here a course platform, with its course-completed event. Open Badge Factory has no trigger, so the Zap always starts elsewhere.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent completions from the connected account, so you map the next steps on a real learner.
- 03
Add a filter
From the plus icon, add Filter and set the field, the rule and the value so only passing learners go on. A filter makes the Zap multi-step, which needs a paid plan.
- 04
Add Issue Badge
Add the Open Badge Factory step and choose Issue Badge. Pick the badge, map the learner's email, keep the notification email on, and leave the name hidden unless the learner agreed.
- 05
Test and publish
Test the action with your own email first, since it issues a real badge. Read what came back, then click Publish to switch the Zap on.
The Open Badge Factory action
Open Badge Factory gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Issue Badge
ActionIn Zapier“Issues a badge to a recipient by email. Note: same recipient may receive duplicate badges if the upstream trigger fires twice — add a Filter / Storage step to de-duplicate if needed.”
Awards a badge you choose to a recipient identified by email. By default Open Badge Factory also emails them about it; showing their name on the badge is off unless you switch it on, and that requires their consent.
When an Open Badge Factory Zap breaks
Zapier lists no help article and no specific limit for Open Badge Factory. The cases below are the general ones, read for badges: a credential sent by mistake is awkward to take back.
Go through them before you publish. For anything beyond these, the Zapier troubleshooting page is the next stop.
Past graduates get nothing
A Zap only reacts to what happens after you switch it on. Learners who finished before that will not receive a badge; issuing to that backlog is a separate job.The same person badged twice
Issue Badge does not check whether someone already holds the badge. If the trigger fires twice for one learner, two badges go out; a filter in front helps.A class import held back
When the trigger suddenly returns a huge batch, after importing a whole cohort for instance, Zapier's flood protection can hold the Zap back.A loop through your own tools
If a later step writes back into the place your trigger watches, the Zap starts itself again and can issue badge after badge until you stop it.
