What the Formaloo Zapier integration actually does

Connecting Formaloo to Zapier means two things. Something that happens in a Formaloo form (a response, a payment, an edited row) can start an automation in another app. And another app can write a fresh row into one of your Formaloo forms, without anyone copying it by hand.

Three results come up again and again. First, a team alert: New Response (Row) fires on each submission and passes the answers to your chat tool, so nobody refreshes the results tab. Second, a sales log: New Form Payment fires when someone pays through a form, which is the moment to record the order in a spreadsheet or a CRM. Third, a status relay: Row Update fires when a row changes, handy when your team edits a record inside Formaloo and another tool has to know.

Going the other way, Add Row is the only action. It drops a new row into a form you choose, fed by whatever an earlier step brought in.

Now the limits, because they shape what you can build. Zapier cannot look anything up in Formaloo: there is no search step, so it never finds an existing row to edit. It cannot update or delete a row either. Anything beyond adding is out of reach from this side.

Formaloo is not a premium app, so it works on the free plan, which gives 100 tasks a month but only two-step Zaps. Add a filter and you need a paid plan.     In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box. Type Formaloo and pick it from the list. You need a Formaloo account first.

    Sign in to Formaloo

    Click Add connection. A new tab opens on Formaloo, where you log in with the account that owns the forms. If a teammate owns a form, make sure you have read or write access to it.

    Allow Zapier to use the account. The connection then shows on the Apps page, and every Zap you build later reuses it, so you only do this once per Formaloo account.

    Start a new Zap and choose Formaloo as the app that starts it. Pick New Response (Row) as the event and select your Formaloo connection.

    In the Form field, choose the contact form. Only responses to that form will start this Zap, so a second form needs its own Zap.

  • Bulk import held back

    Importing a large batch of rows at once can make a trigger return a flood of items, and Zapier's flood protection may hold them back.

01Is the Formaloo Zapier integration free?
Yes, on the free plan, because Formaloo is not a premium app. The free plan gives you 100 tasks a month and as many Zaps as you like, but each Zap is limited to two steps: one trigger and one action. So a response that adds a row elsewhere, or posts somewhere, works for free. The moment you add a filter or a second action, the Zap becomes multi-step and Zapier asks for a paid plan. Prices are not listed here because the grids change often.
02How many tasks does a Formaloo Zap use?
One task per successful action, and nothing for the trigger. A new response waiting to be picked up costs nothing, however many forms you watch. When Add Row or another action goes through, Zapier counts one task. A Zap with three actions counts three per run. An action that fails is not billed. On the free plan that gives you 100 successful actions a month, which goes fast if an Add Row loop sets in, so check that a Zap never writes into the form its own trigger watches.
03Do Formaloo triggers run in real time?
Yes. All three Formaloo triggers are instant: Formaloo tells Zapier the moment a response, a payment or a row edit happens, and the Zap starts straight away. The polling interval of your plan, such as 15 minutes on Free, does not apply to them. You can spot it in the editor by the lightning bolt on the Zap. This is the main reason Formaloo works well on a free account: nothing waits for the next scheduled check, whatever plan you are on.
04What do you need to connect Formaloo to Zapier?
A Formaloo account, plus read or write access to any form you do not own and want the Zap to use. The connection itself is done from the Apps page in Zapier: click + Add connection, search for Formaloo, sign in to Formaloo in the tab that opens, then grant access. After that, every Zap reuses the same connection. Also have at least one form ready in Formaloo, since each trigger and the Add Row action ask you to pick one.
05Why does a Formaloo Zap keep running on its own?
Usually because Add Row writes into the same form that the trigger watches. Each row it adds counts as a new response, which starts the Zap again, which adds another row, and every turn costs a task until your monthly count is gone. The fix is simple: point Add Row at a different form from the one New Response (Row) or Row Update listens to, and test with a single response before publishing to check that only one row appears.
06What if the Formaloo operation you need does not exist on Zapier?
Then Zapier cannot do it for Formaloo today. The app offers three triggers (New Form Payment, New Response (Row), Row Update) and a single action, Add Row. There is no search, no way to edit an existing row, and no delete. A workaround is sometimes possible with the other app in the Zap, for example keeping the record there instead of in Formaloo. Otherwise the fix lives outside Zapier, either in Formaloo itself or with another automation tool.
