What the meetergo Zapier integration does for you

The meetergo Zapier integration connects your meetergo booking calendar to the rest of your tools. meetergo takes bookings, hosts the calls and collects payments; Zapier lets a booking or a new team member start an automation, and lets other apps book, cancel or read appointments in meetergo.

A booking log that fills itself. New Appointment reports each new booking to Zapier straight away, so a row, a note or a message can follow without anyone copying details. For bookings across every meeting type of the company, New Appointment - Webhook covers the whole account.

Meetings booked from elsewhere. Create Appointment books a slot in meetergo from data held in another app, and Get Available Times tells you which times are open in a date range before you do it. Cancel Appointment closes the loop when the plan changes.

A team roster that stays in sync. When someone joins your organization in meetergo, a Zap can start onboarding steps in other tools. Two triggers watch new colleagues, and what sets them apart on Zapier is speed: New Employee - Webhook is instant, while New Employee is a polling trigger checked on your plan's interval. What Zapier does not do here: there is no action to move an existing appointment to another time, and no action to edit a meeting type. Trigger

The trigger never costs a task, whether a new booking arrives or Zapier checks for new employees. Each successful action counts one task, in meetergo or in the app that follows; a failed one is not counted. The free plan stops at two steps, so a filter or Find Meeting Type in the Zap means a paid plan. The interval grid below only applies to New Employee, the one polling trigger; the three instant triggers start the Zap straight away on any plan.

    Start from Apps

    Go to the Apps page of your Zapier account and click + Add connection. In the dialog, type meetergo in the search box and pick it from the list of results.

    Sign in to meetergo

    Click Add connection. A tab opens on meetergo: sign in with the account whose calendar the Zaps should use. The connection is then reused by every meetergo step.

    Grant access

    Allow Zapier to use the account. If a Zap should book for a colleague as host, or read their appointments, check first that your account has access to that calendar.

First Zap

    Pick the trigger

    Create a Zap, choose meetergo and New Appointment. Decide whether the Zap should fire for your own bookings only or for every host of the meeting type.

    Test with a real booking

    Test the trigger: Zapier brings back the three most recent appointments of the connected account. Keep a real one so the mapping uses real values.

    Add the filter

    From the plus icon, add a Filter and fill its three boxes: the field, the rule, the value. The filter makes the Zap multi-step, so it needs a paid plan.

    Add the spreadsheet row

    Pick your spreadsheet app and its add-row action, then map each column to a value from the booking you tested, one column at a time.

    Test and publish

    Run the action once and check the new row in your sheet. Then click Publish to switch the Zap on. Bookings made before that moment are not added.

Starts your Zap each time a new appointment is booked in meetergo. By default it only reacts to bookings for the host whose account is connected to Zapier. A setting called Trigger for any host widens it to every host of the meeting type, which matters for round-robin and co-host meetings.

Reacts to every new appointment created in your company, whatever the meeting type, instead of a single host's bookings. It is the broad version of the booking trigger, suited to an account where several people take meetings.

When to use it
a manager wants one Zap that records every booking of the team in the same place.
Watch out
the volume follows the whole company, so each booking that leads to a successful action costs a task.

Notices when a new employee joins your brand in meetergo and starts the Zap with that person's details. Zapier fetches it on a timer instead of meetergo reporting it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
nothing depends on speed, and a new colleague simply needs to show up in another tool at some point.
Watch out
a colleague who joined before the Zap was published is not picked up; only later arrivals count.

Fires when a new employee joins your organization in meetergo, and meetergo reports it to Zapier itself. Of the two new-colleague triggers, this is the one that does not wait for a check.

When to use it
a deal is lost or a request is withdrawn in another app, and the matching meeting should disappear from the calendar.
Watch out
no search finds an appointment, so the ID has to come from an earlier step that carries it; check at test that it does.

Books an appointment in meetergo for an attendee, on a meeting type and with a host you choose. Besides those two, it requires the time zone, the start time, the attendee's first name, last name and email, and whether they receive reminders.

When to use it
a request arrives in another tool and should become a meeting without a manual booking.
Watch out
the Start Time field itself asks you to fill meeting type, host and time zone first.

Get Available Times

Returns the open booking times of a meeting type between a range start and a range end, in the time zone you set. It reads; it does not book.

When to use it
just before Create Appointment, or to send someone a choice of times.
Watch out
the time zone is an IANA name such as Europe/Berlin; check the format at test.

Retrieves a page of your appointments between a range start and a range end. Both dates are required, and nothing else is asked.

When to use it
you need the bookings of a given period in another tool, for a report or a check.
Watch out
it returns one page of results; what that page holds on a busy range is something to read on your test.
Searches

meetergo search on Zapier

1 search step looks for data that already exists in meetergo, so a later step can use it.

A search step reads meetergo without changing it, then passes what it found to the steps below. Searches sit at the bottom of the action-event list, under SEARCH. Three settings decide what happens when the result is not what you expect.

Find Meeting Type

Search

Looks up one of your meetergo meeting types from its exact ID or its exact name, so a later step can use it.

When to use it
your source app holds the name of a meeting type as text, and Create Appointment or Get Available Times needs the real meeting type.
Watch out
the match is exact; a name spelled differently in your source finds nothing, so check at test.

The three settings every search exposes

  1. Successful if no search results are found?
    On its default, a search that finds nothing stops the Zap and the steps depending on it are skipped. Switched on, the Zap continues empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. meetergo exposes no such variant on Zapier, so it does not apply to Find Meeting Type.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, the default, stop the Zap, or hand all of them on at once.
When it breaks

When a meetergo Zap breaks

Zapier attaches no help article to meetergo and documents no limit of its own. The failures come from how every Zap behaves, plus a few required fields.

  • Empty meeting type, host or time zone

    Create Appointment needs all three before a start time can be set. The Start Time field asks for them to be filled first; check at test that none arrives empty.
  • Bookings made before the Zap

    A Zap only reacts to what happens after it is published. Appointments that already exist are not picked up; moving them is a separate job.
  • A Zap that books in a loop

    As a general precaution: a Zap that writes into the place its own trigger watches can start itself again and burn through tasks.
  • A sudden flood of items

    When a trigger returns a huge batch at once, after an import or a migration, Zapier's flood protection can hold those items back.
  • Duplicates on New Employee

    On the polling trigger, Zapier remembers what it has already seen, so the same employee does not start the Zap twice.
  • A colleague's bookings missing

    New Appointment only follows the connected host by default. Switch Trigger for any host on, or use New Appointment - Webhook.

meetergo Zapier integration: common questions

01Is the meetergo Zapier integration free?
Yes. meetergo is not a premium app, so every trigger and action works on the free plan. That plan gives 100 tasks per month and an unlimited number of Zaps, each built from two steps: one trigger and one action. Logging each new booking in a spreadsheet fits. Adding a filter, Find Meeting Type or a second action makes the Zap multi-step, and that needs a paid plan. For a first Zap on your own bookings, the free plan is enough to test the idea.
02How many tasks does a meetergo Zap use?
One per successful action, never for the trigger. A new booking that starts the Zap is free; the row, the message or the meetergo appointment that follows costs one task if it works. A failed action is not counted. Each extra action counts on its own, so a Zap that reads Get Available Times and then runs Create Appointment uses two tasks per run. With New Appointment - Webhook, the count follows every booking in the company, which is worth estimating before you publish.
03Is meetergo on Zapier real time?
Three of its four triggers are. New Appointment, New Appointment - Webhook and New Employee - Webhook are instant: meetergo reports the event to Zapier, and the Zap starts straight away on any plan. New Employee is a polling trigger: Zapier checks it at an interval set by your plan, 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. For new colleagues, New Employee - Webhook is the instant option, so it is the one to start from when the delay matters. Instant Zaps show a lightning bolt in the editor.
04What do you need to connect meetergo to Zapier?
A meetergo account, and access to any calendar or meeting type you do not own and want the Zap to touch. In Zapier, open the Apps page, click + Add connection, search for meetergo, click Add connection, sign in on the tab that opens and grant access. Before building, set up at least one meeting type in meetergo: Create Appointment and Get Available Times both require one, and Create Appointment also requires a host.
05Why does New Appointment miss some bookings?
Because by default it only fires for the host whose account is connected to Zapier. On a round-robin or co-host meeting type, bookings handled by a colleague do not start your Zap. The trigger has a setting, Trigger for any host, that widens it to every host of the meeting type. The other route is New Appointment - Webhook, which reacts to new appointments for any meeting type in the company. Both are instant, so the choice is about scope, not speed.
06What if the meetergo operation you need is missing?
Then Zapier cannot do it with this integration. Every Zap is built only from the operations the app publishes on Zapier, and meetergo publishes nine visible ones. meetergo offers four triggers, four actions and one search: booking, cancelling, reading free times and listing appointments. There is no action to reschedule an appointment, and no search for a single appointment. This list comes from version MeetergoCLIAPI@2.3.0 of the app, read in October 2026. If the missing step is central to your project, compare what other automation tools offer for meetergo before you build.
07Zapier, Make or n8n for meetergo?
It depends on your flows, not on a ranking. If most of them copy a booking to one place, Zapier's free plan already runs them, since three of the four meetergo triggers are instant and need no paid interval. If they filter, search a meeting type or chain two actions, you are on a paid plan, so compare that cost with the other tools. Check too what Make and n8n offer for meetergo: on Zapier there is no way to reschedule an appointment. Finally, ask who will maintain the Zaps.
