What the Optform Zapier integration does
Connecting Optform to Zapier means each answer to a form, quiz or calculator built in Optform can start work in another tool without anyone exporting it. Optform is a builder for those three kinds of forms. Zapier picks up every new submission and hands it to the apps that need it.
Three results people get from the single New Submission trigger. A lead in the CRM: a contact form on the site creates a contact in the sales tool, so nobody retypes names from an inbox. A quiz scoreboard: every quiz answer becomes a row in a shared spreadsheet, and the marketing team sorts results without opening Optform. A calculator follow-up: a visitor who runs your price calculator gets a message from the sales team, with the figures they entered.
Now what Zapier does not do with Optform. There is no action, so a Zap cannot create a form, edit one or write anything back into Optform. There is no search either, so a Zap cannot look up an older submission. Everything flows one way: out of Optform, into your other tools. On the plus side, the trigger is instant, which is rare enough to matter on the free plan.
To weigh Zapier against n8n, the n8n vs Zapier page lays out the criteria, and the Zapier training is there if the team needs to learn the editor.
Zapier vocabulary in plain words
Seven words come back on this page. One plain line for each.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. For Optform, it is a new submission on one of your forms.
- Action
- What the Zap does once started, the step that writes or sends something. Optform has none, so actions come from other apps.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan counts these.
- Polling vs instant
- Zapier checks a polling trigger on a timer. An instant trigger is reported by the app itself, and the Optform one is instant.
- Filter
- A step that lets the Zap carry on only when the submission meets your condition, and stops it otherwise.
- Connection
- Your Optform account linked to Zapier once, then reused by every Zap that starts from one of your forms.
What an Optform Zap costs
Optform is not a premium app, so it works on the free plan. Zapier bills in tasks, and a task is an action that completed.
- New SubmissionFree, never counted
- Each action after it1 task when it succeeds
- Failed actionNot counted
- Free plan100 tasks a month, two-step Zaps only
- DelayNone, the trigger is instant
The Optform trigger itself never costs a task, however many submissions arrive. What you pay for is the action in the other app: one task per row written or contact created, nothing when it fails. The free plan builds two-step Zaps only, so one form feeding one tool fits. Add a filter to keep only qualified leads, or a second action, and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to polling triggers; Optform's is instant, so it fires straight away on every plan.
Connect Optform to Zapier in three steps
- 01
Open Apps
In Zapier, go to Apps and click + Add connection. A dialog opens with a search box: type Optform and pick the app from the list of results shown just below it.
- 02
Sign in to Optform
Click Add connection. A tab opens on Optform: sign in with the Optform account that owns the forms, quizzes or calculators you want to send to your other tools.
- 03
Grant access
Allow Zapier to read the account. The connection is saved and every Optform Zap reuses it. If the forms belong to a colleague's account, ask for access to them before you start building.
Your first Optform Zap: qualified leads to the sales team
GoalEach contact form submission from a company with a budget becomes a row in the sales pipeline sheet.
- 01
Pick the trigger
Build the Zap with Optform and New Submission, choose your Optform connection, then pick the contact form in the required Form field.
- 02
Test with real answers
Run the test. Zapier brings back the three most recent submissions of that form, so the mapping is done on real answers, not placeholders.
- 03
Add the filter
From the plus icon, add a Filter on the budget question, with a text rule. This step makes the Zap multi-step, so it needs a paid plan.
- 04
Add the spreadsheet action
Add Google Sheets as the action, choose the spreadsheet that holds the sales pipeline, then map each answer of the form into its matching column.
- 05
Test, then publish
Test the action and check the new row. Click Publish to switch the Zap on. Submissions received before that moment are not sent.
The Optform trigger on Zapier
1 event starts a Zap when something happens in Optform, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Submission
Instant triggerIn Zapier“Triggers when a new submission is received.”
Starts the Zap each time someone sends one of your Optform forms, quizzes or calculators. Everything the person entered becomes available to the next steps, ready to be written into a sheet, a CRM or a message. It is the only door between Optform and the rest of your tools on Zapier, so every Optform Zap begins here.
When an Optform Zap breaks
Zapier attaches no help article to Optform, so the limits below are Zapier's general ones, applied to forms.
None of these looks like an error at first. They look like answers missing from the sheet, or a burst of submissions that never arrived. Go through the cases below before publishing; the Zapier troubleshooting page covers the general method.
Old submissions are not sent
A Zap only reacts to what happens after it is switched on. Answers collected before you published it stay in Optform; moving that backlog is a separate job.A flood of answers is held back
When a form suddenly receives a huge batch, after a campaign or an import, Zapier's flood protection can hold it back rather than run every step at once. One Zap, one form
The Form field of New Submission is required and takes one form. A quiz and a contact form need two Zaps, or answers from one of them will never show up.
