Overview

What the Papersign Zapier integration actually does

Papersign is an e-signature platform: you send documents, people sign them online. Plugged into Zapier, every step of that signing journey, from sending to the last signature, can start an automation, and that automation can send, copy, move or cancel documents and create folders back in Papersign.

Three results that justify the setup. Contracts that file themselves: Document Completed fires once every signer has signed, and Move Document puts the file in the client's folder. A sales team that knows where each deal stands: Signer Viewed and Signer Signed post the news to your CRM or chat, so nobody has to ask. Dead documents cleaned up: Document Expired or Document Rejected warns the owner, who can resend a fresh copy built with Copy Document.

All 13 triggers are instant: Papersign tells Zapier itself, so the free plan reacts as fast as the top one. That is the best news on this page.

What Zapier does not do here. No action deletes a document, and none writes a new one from scratch: Send Document sends a document that already exists. No search returns a signer. And a Zap never looks back, so documents signed before it was switched on stay out.

Vocabulary

Zapier vocabulary, in plain words

Eight words you will meet in the editor. Each one is explained here once, then used as is on the rest of the page.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap, for example a document signed in Papersign. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, like moving a document.
Task
The unit Zapier bills. One task is one action your Zap completed successfully; your plan gives you a set number.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer. Papersign's are all instant.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
Search step
A step that looks up something that already exists, a document, a folder or a space, so later steps can use it.
Connection
Your Papersign account linked to Zapier once, then reused by every step and every Zap that needs it.
Cost

What a Papersign Zap really costs

Zapier bills tasks, and only completed actions produce them. None of the 13 Papersign triggers costs anything, however many documents move through the account.

  • Tasks on the free plan100 per month
  • Steps on the free plan2 (one trigger, one action)
  • Reserved for paid plansNo, works on the free plan
  • Trigger speedInstant on all 13, every plan

Each action that succeeds counts once, so a Zap with three actions uses three times what a single-action Zap uses, and a failed action is not counted. Papersign works on the free plan: 100 tasks a month, Zaps of two steps. Because every Papersign trigger is instant, the interval grid below does not slow you down. What does limit you is the shape: a filter, a second action or a search such as Find Folder makes the Zap multi-step, and that needs a paid plan.

Connect

Connect your Papersign account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Papersign account, plus read or write access to any document or folder you do not own but want the Zap to handle.

  2. 02

    Pick Papersign

Type Papersign in the search box of the dialog, choose it from the results, then click Add connection. A new tab opens on the Papersign sign-in screen.

  3. 03

    Sign in and grant access

Log in with your Papersign credentials and allow Zapier to reach the account. The connection is stored, and every later step that uses Papersign picks it up without asking again.

First Zap

Your first Zap: file every signed contract in its client folder

GoalWhen all signers have signed, the document lands in the right client folder, created if it is missing.

  1. 01

    Build: set the trigger

Create a Zap, choose Papersign and Document Completed, select your connection, then pick the Folder and the Folder Scope to watch. Both are required.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you build the next steps on a real completed document.

  3. 03

    Find the client folder

Add Find Folder and map the folder name you want. Tick the option to create it when it does not exist yet. This search makes the Zap multi-step, which needs a paid plan.

  4. 04

    Move the document

Add Move Document. Map the document from the trigger and the folder from the search into the Move To field. Both fields are required.

  5. 05

    Test, then publish

Test each step once and check the document really moved in Papersign. When it did, publish the Zap to switch it on for every contract that follows.

Triggers

Papersign triggers

13 events start a Zap when something happens in Papersign, and 13 of them are instant: the app calls Zapier straight away, whatever your plan.

1

All Actions

Instant trigger

In Zapier“Triggers when any document or signer action occurs.”

The widest net in the list: this one starts your Zap on any document event and any signer event alike. Sending, viewing, signing, expiring, everything passes through it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want a full activity log of a folder in a spreadsheet, one line per event, with no gap.
Watch out
every event becomes a run, and every run that reaches an action costs a task; pick a narrower trigger when you only care about one moment.
2

All Document Actions

Instant trigger

In Zapier“Triggers when any document action occurs.”

Covers everything that happens to the document itself, leaving signer events aside. One Zap catches a send, a completion, an expiry, a rejection or a cancellation.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your CRM keeps a status per contract and should mirror each change of state, whatever it is.
Watch out
branching on the kind of event needs a filter, which makes the Zap multi-step and paid; on the free plan, separate Zaps on the specific triggers do the same job.
3

Document Cancelled

Instant trigger

In Zapier“Triggers when a document is cancelled.”

Fires when someone cancels a document that was out for signature. It is the signal that a deal was pulled, or that a corrected version is on its way.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the account manager must hear about a withdrawn quote or contract before the client calls to ask.
Watch out
Cancel Document in another Zap also produces this event, so a Zap that cancels and listens on the same folder can chain into itself.
4

Document Completed

Instant trigger

In Zapier“Triggers when a document is completed (all signers signed).”

Waits for the last signature: the event only arrives once every signer on the document has signed. Partial progress never sets it off.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a signed contract should open the next step at once, an onboarding email, an invoice, a project in your management tool.
Watch out
a document signed by two people out of three never reaches this trigger; use Signer Signed if each signature matters on its own.
5

Document Expired

Instant trigger

In Zapier“Triggers when a document is expired.”

Catches documents that ran out of time without being finished. Left alone, those simply sit in Papersign; with this trigger, someone hears about it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a sales rep gets a task in the CRM to call the client back and send a new copy.
Watch out
the Zap only sees documents that expire after it is switched on; older expired files need a separate cleanup.
6

Document Rejected

Instant trigger

In Zapier“Triggers when a document is rejected.”

Signals that a document was refused instead of signed. It is the event that hurts most when missed in the whole signing process, especially in a busy inbox.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a refused offer letter or quote goes straight to the person who wrote it, through chat or email.
Watch out
like every Papersign trigger, it only listens to the Folder and Folder Scope you set, so a refusal in another folder never reaches this Zap.
7

Document Sent

Instant trigger

In Zapier“Triggers when a document is sent.”

Starts a Zap the moment a document goes out for signature. It marks the beginning of the clock, when the paperwork leaves your hands and enters the client's.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you track every outgoing contract in a sheet, so finance sees what is pending without asking the sales team.
Watch out
Send Document in another Zap also causes this event; watch for a Zap that sends into the folder it listens to.
8

All Signer Actions

Instant trigger

In Zapier“Triggers when any signer actions occurs.”

Groups every signer event in one trigger: nominated, notified, viewed, consent accepted, signed. Document-level events stay out of it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a deal page in your CRM shows a timeline of what each person on the contract has done.
Watch out
a document with several signers produces many events, each one a run that spends a task when an action completes; narrow it down if the volume grows.
9

Signer Consent Accepted

Instant trigger

In Zapier“Triggers when a signer accepts a consent on a document.”

Reacts when a signer accepts a consent attached to a document. It records the moment the person agreed, separately from the signature itself.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a compliance or HR team keeps its own register of consents and wants each one logged without copying it by hand.
Watch out
this event only exists on documents that actually carry a consent; on the others, the Zap will simply never start.
10

Signer Nominated

Instant trigger

In Zapier“Triggers when a signer is nominated.”

Goes off when someone is named as a signer on a document. Think of it as the guest list being written, before any invitation reaches the person.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a new signer should exist as a contact in your CRM before the document even lands in their inbox.
Watch out
nomination is not notification; if your next step assumes the person already got the document, use Signer Notified instead.
11

Signer Notified

Instant trigger

In Zapier“Triggers when a signer is notified.”

Tells you that Papersign has notified a signer about a document waiting for them. From that point, the ball is in their court.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an account manager sends a short personal note alongside the official notification, to warm up the signature.
Watch out
the person has been told, not convinced; pair it with Signer Viewed if your follow-up depends on the document being opened.
12

Signer Signed

Instant trigger

In Zapier“Triggers when a signer signs a document.”

Each individual signature fires this trigger, without waiting for the rest. On a document with three signers, it goes off three times.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the internal counter-signer gets pinged the moment the client has signed, so the contract does not wait on your side.
Watch out
if you only need the fully signed file, Document Completed is the right trigger; this one would run once per signer.
13

Signer Viewed

Instant trigger

In Zapier“Triggers when a signer views a document.”

Lets you know a signer opened the document. It is the closest thing to a read receipt in the signing journey.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a salesperson wants to call while the client has the contract in front of them, not later on.
Watch out
viewing is not agreeing; keep the celebration for Signer Signed or Document Completed.
Actions

Papersign actions

Papersign gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Cancel Document

Action

In Zapier“Cancel a document sent document.”

Cancels a document that has already gone out for signature. Only the document is required.

When to use it
a deal is marked lost in your CRM and the contract still waiting in Papersign should stop being valid.
Watch out
it triggers Document Cancelled in turn, which other Zaps may be listening to.
2

Copy Document

Action

In Zapier“Copies a document.”

Duplicates a document into another folder. You choose the document and the Copy To destination, both required.

When to use it
after a rejection or an expiry, a clean copy is ready for the salesperson to adjust and send again.
3

Create Folder

Action

In Zapier“Creates a folder.”

Makes a new folder in Papersign. The Create In field, which is required, says where it goes.

When to use it
a new client signs up in your CRM and gets a dedicated folder ready before the first contract leaves.
Watch out
run twice for the same client, it makes two folders; Find Folder with its create option avoids that.
4

Move Document

Action

In Zapier“Moves a document.”

Relocates a document to another folder, set in the required Move To field next to the document itself.

When to use it
signed contracts leave the "pending" folder for the client folder, so the team always looks in the right place.
Watch out
moving into a folder watched by a trigger of the same Zap can loop.
5

Send Document

Action

In Zapier“Sends a document.”

Sends an existing Papersign document out for signature. You pick the document and fill the required Save To field.

When to use it
a deal reaches the right stage in your CRM and the matching contract goes out without anyone opening Papersign.
Watch out
it sends a document that already exists in Papersign; it does not build one from your CRM data.
Searches

Papersign searches

3 search steps look for data that already exists in Papersign, so a later step can use it.

Searches sit at the bottom of the action list in the editor, under SEARCH. Papersign has three of them, and Find Folder also comes in a find-or-create version: that is the same search with a box ticked, not an extra operation. Three settings decide what happens when the lookup does not go as planned.

1

Find Document

Search

In Zapier“Finds a document.”

Looks up a document that already exists in Papersign, so a later step can send, copy, move or cancel it.

When to use it
a CRM event should act on a specific contract, and the trigger did not carry that document with it.
Watch out
if several documents match, the default keeps the first one, so check the multiple-results setting.
2

Find Folder

SearchFind or create

In Zapier“Finds a folder by name.”

Finds a folder by its name, which is required. In its find-or-create form, labelled Find or Create Folder in the editor, it makes the folder when nothing matches.

When to use it
filing documents per client without creating each folder by hand.
Watch out
the name must match what Papersign holds, and how close a match it accepts is up to Papersign.
3

Find Space

Search

In Zapier“Finds a space by name.”

Retrieves a space by name, the name being required. It gives later steps a space to work in without you choosing it by hand in each Zap.

When to use it
several teams work in separate spaces and the Zap must pick the right one from the incoming data.
Watch out
a misspelled space name finds nothing and, by default, stops the Zap.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that relied on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for what it needs to create the missing item. On Papersign, only Find Folder offers it.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When it breaks

When a Papersign Zap breaks

Zapier links no help article to Papersign, so the cases below are the general traps, made concrete for a signature tool.

Most surprises are not error messages but things the Zap never sees, or sees too often. When a run truly fails, the Zapier troubleshooting page is a sensible next stop.

  • Documents signed before the Zap are ignored

A Zap only reacts to what happens after it is switched on. Contracts signed last month will not be filed; moving that backlog is a separate job.
  • Move, copy or send into a watched folder

A Zap that moves, copies or sends a document into the folder its own trigger watches sets itself off again and again, and burns through your tasks fast.
  • A bulk send gets held back

When a trigger suddenly returns a huge batch, after a mass send or a migration, Zapier's flood protection can hold the run back instead of firing on everything.
  • The wide triggers cost the most

All Actions and All Signer Actions fire on every event. With several signers per document, the runs add up, and each completed action is a task.

FAQ

Papersign Zapier integration: FAQ

01Is the Papersign Zapier integration free?
Yes, within the limits of the free plan. Papersign is not reserved for paid plans, so you get 100 tasks a month and Zaps of two steps: one Papersign trigger and one action. That covers filing a completed document or posting an alert when a signer signs. A search like Find Folder, a filter or a second action makes the Zap multi-step, and that requires a paid plan. The app itself costs nothing extra on Zapier.
02How many tasks does a Papersign Zap use?
One task per action that completes. The trigger never costs anything, whichever of the 13 you pick. A Zap that moves each completed document uses one task per document. A failed action is not counted. If the Zap chains three actions, each successful one counts on its own. Watch the wide triggers: All Actions fires on every event, so the same document can produce several runs. Pick the narrowest trigger that does the job.
03Is the Papersign integration real time?
Yes. All 13 Papersign triggers are instant: Papersign tells Zapier the moment a document or a signer event happens, and the Zap starts right away. The plan interval grid, 15 minutes on the free plan, does not apply to them. That makes Papersign one of the integrations where the free plan reacts as fast as the paid ones. In the editor, these Zaps show a lightning bolt. No setting to tune there.
04What does it take to connect Papersign to Zapier?
A Papersign account, and read or write access to the documents and folders you do not own but want the Zap to handle. The connection is made once from the Apps page with + Add connection: you search for Papersign, sign in in the tab that opens and grant Zapier access. Before building, create the folders you will need, since every trigger asks for a Folder and a Folder Scope. Then build.
05Why does every Papersign trigger ask for a folder?
Because Folder and Folder Scope are required on all 13 triggers: each Zap watches a part of your Papersign account that you choose, not the whole account by default. That means the folder must exist before you set up the trigger. It also means a Zap that moves or copies documents into that same folder can set itself off again, so keep the source and destination apart. Plan the folders first.
06What if the Papersign operation you need is missing?
Check the list first: 13 triggers, five actions and three searches. There is no action that deletes a document or builds one from scratch, and no search for a signer. If your step is not there, see whether another app in the process can do it, a document generator or a CRM for example, and let Papersign handle only the signing. Otherwise, another automation tool or a custom build may fit better.
07Zapier, Make or n8n for Papersign?
No single winner; judge by criteria. Coverage: which Papersign events and actions each tool offers, here 13 triggers, five actions and three searches on Zapier. Speed: on Zapier every Papersign trigger is instant, whatever the plan. Billing: Zapier counts successful actions only. Shape: the free Zapier plan stops at two steps, so a search or a filter means paying. Put those criteria against your process. No tool wins on every line.
