Overview

What the Optix Zapier integration actually does

The Optix Zapier integration links the coworking platform Optix to the other tools you run. A Zap (the automation you build on Zapier: one trigger, then one or more actions) listens for an event in Optix, such as a new booking or a paid invoice, and then does something with it in Optix or anywhere else.

Three results people usually build first. A welcome sequence: New Member starts the Zap and Trigger Manual Automation enrolls the person in an Optix automation you already designed. A front-desk alert: New User Support Request or New Issue pushes the question to the tool your team actually watches. A billing log: New Invoice Payment and New Product Sale write each payment into the sheet or ledger your finance person reads.

The good news for a free plan: all 20 Optix triggers are instant. Optix tells Zapier when the event happens, so the plan interval never slows your Zap down.

Now the honest part. Zapier offers only 3 actions for Optix: add a user, complete a task, and run a manual automation. It cannot create a booking, cancel one, edit a plan or issue an invoice from a Zap. There is no search step either, so a Zap cannot look up an existing Optix member to reuse their details later in the flow. If a workflow needs that, Zapier is the wrong door for this part. Comparisons sit in Make vs Zapier and n8n vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the whole page. Read them once and the rest follows.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, like a new Optix booking. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, in Optix or elsewhere.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, the moment the event happens.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it quietly otherwise.
Connection
Your Optix account linked to Zapier once, then reused by every step of every Zap that uses Optix.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What an Optix Zap really costs

Zapier bills tasks, and only actions that succeed count as tasks.

  • Optix trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, works on the free plan

The Optix trigger itself never costs a task, and waiting for events is free too. Each Optix or third-party action that goes through costs one task, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter or a second action and you need a paid plan. Optix is not a premium app, so it works on the free plan. The interval grid below is for polling triggers only: since every Optix trigger is instant, it never applies here.

Connect

Connect your Optix account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is made once and every Optix step you build later reuses it, so this is the only time you do it.

  2. 02

    Find Optix

Type Optix in the search box of the dialog, pick it from the results, then click Add connection. Have your Optix login ready before you start, because the next screen asks for it.

  3. 03

    Sign in and grant access

Sign in to Optix in the tab that opens, then allow Zapier to reach the account. You need an Optix account, plus read or write access to anything you do not own yourself and want the Zap to touch.

First Zap

Your first Optix Zap, step by step

GoalWhen someone becomes a member of your space, run your Optix onboarding automation for them, only for the venue you care about.

  1. 01

    Pick the trigger

Build a new Zap, choose Optix as the app and New Member as the event. Select your Optix connection, then pick the venue the trigger should watch.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent members of the connected account, so you map the next steps on a real person, not a blank example.

  3. 03

    Add a filter

Add a Filter step with the plus icon, then set the field to look at, the rule and the value. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the action

Choose Optix again and Trigger Manual Automation. Set the organization and the automation, then map the member email from the trigger into the email field.

  5. 05

    Test, then publish

Test the action once and read what came back. If the person was enrolled in the right automation, publish the Zap to switch it on.

Triggers

The 20 Optix triggers

20 events start a Zap when something happens in Optix, and 20 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Assignment Canceled

Instant trigger

In Zapier“Triggers when a resource assignment is canceled.”

Fires when a resource assignment in Optix gets canceled, for example a desk or office someone no longer holds. Handy to free the space in your own records or warn the person who manages the floor.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you keep a seating plan in a spreadsheet and want a cancellation to mark the desk as available.
Watch out
you must pick one venue; cancellations at your other locations will not start this Zap.
2

Assignment Changed

Instant trigger

In Zapier“Triggers when a resource assignment is updated.”

Starts your Zap whenever an existing resource assignment is edited in Optix. It catches the moves, not the creations, so pair it with New Assignment if you want the full picture of who sits where.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a member switches from a hot desk to a private office and your facilities team needs to hear about it.
Watch out
the venue field is required, so a multi-site operator builds one Zap per location.
3

New Assignment

Instant trigger

In Zapier“Triggers when there is a new resource assignment.”

Reacts to a brand-new resource assignment in Optix. Use it to kick off whatever happens when someone gets a desk, an office or another resource: a key request, an access badge ticket, a note to the community manager.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
every new office assignment should open a setup task for the operations team.
Watch out
the trigger watches a single venue, chosen when you set it up.
4

Plan Subscription Canceled

Instant trigger

In Zapier“Triggers when a user or team plan subscription is canceled or ended.”

Covers the end of the road: a user or team plan subscription that is canceled or simply ends. This is your churn signal, and it arrives in Zapier without waiting for any check.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
send an exit survey or alert the account owner the day a member leaves.
Watch out
it counts both cancellations and plans that reach their end date, so do not read every event as an angry customer.
5

New Issue

Instant trigger

In Zapier“Triggers when a user reports a new issue.”

When a user reports a problem through Optix (a broken chair, a dead printer, a heating complaint), this trigger hands it to Zapier. From there you can route it to the place where your maintenance people already work.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
issues should land in your team chat or your ticketing tool instead of waiting in the Optix admin.
Watch out
pick the right venue, or reports from that site never reach the Zap.
6

New Lead

Instant trigger

In Zapier“Triggers when a new lead is added to an organization. It has 1 hour delay, and it won’t be triggered if a lead becomes an active member within that period.”

Picks up a new lead added to your Optix organization, ready to push into your CRM or sales follow-up. It behaves differently from the other triggers, and the delay below is the reason.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
every lead who tours the space should get a follow-up from sales.
Watch out
Optix holds the lead back for a while first, and skips it entirely if the lead becomes an active member before it is sent.
7

Booking Canceled

Instant trigger

In Zapier“Triggers when a member booking has been cancelled.”

A member drops a booking, and Optix lets Zapier know. That room or desk is free again, which is worth telling whoever handles waiting lists or catering.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
cancel the coffee order you placed for a meeting room booking that no longer exists.
Watch out
the Zap only hears about cancellations at the venue you selected, so check that setting first when one goes missing.
8

Booking Changed

Instant trigger

In Zapier“Triggers when a member booking has been updated.”

Watches edits to member bookings: a new time slot, a different room, a longer stay. Useful when other tools hold a copy of the booking and need to stay in sync with Optix.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your shared calendar or reception screen must show the updated slot, not the original one.
Watch out
new bookings and cancellations come through their own triggers, not this one.
9

New Booking

Instant trigger

In Zapier“Triggers when there is a new member booking.”

The trigger most Optix Zaps start with: a member books a room, a desk or another bookable resource. Each new booking becomes a Zap run you can turn into a confirmation, a calendar entry or a prep task.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
large meeting room bookings should alert the host team so the room is ready on time.
Watch out
one venue per trigger, so a second location needs its own Zap.
10

New Check-In

Instant trigger

In Zapier“A member checks into a location.”

Fires each time a member checks into a location. It is the closest thing Optix gives Zapier to a door counter, and it is the trigger to watch if you track attendance.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
log each visit in a sheet to see which members actually use their plan.
Watch out
a busy space produces a lot of check-ins, and every action they start costs one task, so watch your monthly count.
11

New Member

Instant trigger

In Zapier“Triggers when a new member is added to an organization.”

Signals a new member added to your Optix organization. It is the natural starting point for onboarding: welcome message, account in your other tools, invitation to the community channel.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
new members should be enrolled in your Optix onboarding automation without anyone clicking.
Watch out
if your Zap also adds users to Optix, it can retrigger itself; read the loop case further down.
12

New User Support Request

Instant trigger

In Zapier“Triggers when a user asks admins a question.”

A user writes to the admins with a question, and the message goes straight to Zapier. Questions that sat unanswered in the Optix inbox can now reach the person on shift wherever they are.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
forward every member question to the channel your community team reads all day.
Watch out
the venue setting still applies, so a multi-site team checks that every location has its Zap.
13

New Plan Subscription

Instant trigger

In Zapier“Triggers when a user or team is subscribed to a plan. And when a new user is added to an individual team plan.”

A user or a team subscribes to a plan: that starts the Zap, and so does the moment a new user joins an individual team plan. That second case surprises people: a team growing by one person starts the Zap too.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
notify sales or accounting each time revenue lands on a new plan.
Watch out
add a filter if you only want true new subscriptions, and remember a filter needs a paid plan.
14

New Team Member

Instant trigger

In Zapier“Triggers when a user is added to a team.”

Reacts when a user is added to a team in Optix. Companies that rent space for their staff grow team by team, and this is how you follow that growth from outside Optix.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
tell the company admin each time a colleague of theirs is added to their team.
Watch out
the venue is mandatory here too, and Zapier will not let you save the step without it.
15

New Invoice Payment

Instant trigger

In Zapier“Triggers when a member pays an invoice.”

Money in: a member pays an invoice and Zapier hears about it. Accounting tools, thank-you notes and revenue dashboards are the usual destinations.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
record every paid invoice in the bookkeeping sheet without retyping amounts.
Watch out
it reports payments, not new invoices; there is no visible trigger for invoice creation, so plan around the payment moment.
16

Plan Subscription Changed

Instant trigger

In Zapier“Triggers when a user or team plan is updated.”

Covers updates to an existing user or team plan: an upgrade, a downgrade, a change of terms. Account managers like this one because it shows who is moving inside your offer.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
alert the account manager when a team changes plan so they can follow up.
Watch out
new plans and cancellations each have their own trigger; this one only sees changes.
17

Plan Subscription Ending Soon

Instant trigger

In Zapier“Triggers when a user or team plan subscription is about to end.”

Warns you before a user or team plan subscription ends, which leaves room to act. It is the one Optix trigger that gives you time instead of a fact already done.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
start a renewal reminder or create a call task for the sales team.
Watch out
nothing documented says how far ahead Optix sends this signal, so test it on a real plan before you promise anything to members.
18

New Product Sale

Instant trigger

In Zapier“Triggers when a new product sale is made”

Each time a product sale is made in Optix, the Zap starts. Small revenue lines become visible outside the platform.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a running sales log for products that never show up in membership plans.
Watch out
a busy product counter means many runs; each successful action costs a task on your plan.
19

Task Created

Instant trigger

In Zapier“Triggers when a new task is created”

Follows the internal to-do list of Optix: a task created there starts the Zap. Teams that live in another task manager use it to mirror Optix tasks where they actually look.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
copy each new Optix task into your project board, then close it back with Complete Task in Optix.
Watch out
keep the task ID from this trigger; the completing action needs it.
20

Team Member Deleted

Instant trigger

In Zapier“Triggers when a user is removed from a team.”

The reverse of New Team Member: a user is removed from a team. Offboarding is where access tends to linger, so this is a good place for a Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
open a ticket to revoke badge access or remove the person from shared channels.
Watch out
without the venue set, the step cannot be saved, so fill it before testing.
Actions

The 3 Optix actions

Optix gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add User to Optix

Action

In Zapier“Adds a new user to Optix”

Creates a new user in your Optix organization from data another app holds, typically a signup form or a CRM deal won. You choose whether the user arrives active or unconfirmed, and whether Optix sends its welcome email.

When to use it
a contract signed elsewhere should give the member an Optix account the same day.
Watch out
organization and email are required, so map an email that is never blank.
2

Complete Task in Optix

Action

In Zapier“Marks a task as complete”

Marks an Optix task as done. It closes the loop when the real work is tracked in another tool and Optix should reflect it without someone ticking the box twice.

When to use it
a card moved to Done on your project board should close the matching Optix task.
Watch out
it requires the task ID, so store it when the task first comes through Task Created.
3

Trigger Manual Automation

Action

In Zapier“Runs a specific automation for a user or a team”

Runs one of the automations you built in Optix for a given user or team. Zapier decides when; Optix decides what happens next, with the sequence you already designed there.

When to use it
a payment or a form outside Optix should start your onboarding or reminder sequence.
Watch out
it needs the organization, the automation ID and an email (the user email or the team billing email).
When it breaks

When an Optix Zap breaks

Zapier lists no help article and no rate limit for Optix. The breakdowns below are general Zapier behaviors, applied to the way Optix works.

Most surprises come from what a Zap does not do, not from errors. If a run looks wrong, the Zapier troubleshooting page is a good next stop.

  • Nothing from before the Zap is picked up

A Zap only reacts to events after you switch it on. Existing members, past bookings and old invoices stay where they are; moving them is a separate job.
  • A Zap that sets itself off

A Zap that writes where its own trigger watches starts again and again. Adding users with a New Member trigger on the same organization is the risky pattern here.
  • Bulk imports get held back

If a migration or bulk import suddenly creates a large batch of members or bookings, Zapier's flood protection can hold those runs back instead of firing them all.
  • New leads arrive late or not at all

Optix holds New Lead for 1 hour and drops it if the lead turns into an active member meanwhile. A missing lead is often a converted one, not a bug.

FAQ

Optix Zapier integration: frequent questions

01Is the Optix Zapier integration free?
Yes, as long as your Zap stays at two steps. Optix is not a premium app, so it works on the free Zapier plan, which gives 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: the free plan allows one trigger and one action, nothing more. As soon as you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. You also need your own Optix account, which Zapier does not provide.
02How many tasks does an Optix Zap use?
One task per action that completes successfully, and nothing for the trigger. A New Booking that starts a Zap with one action costs one task. If that Zap has three actions, it costs three tasks per booking. Actions that fail are not counted. Waiting for Optix events is free, however busy your space gets. Busy triggers such as New Check-In can still burn through a monthly allowance quickly, because each check-in starts a run with its own actions.
03Do Optix triggers work in real time?
Yes. All 20 Optix triggers are instant: Optix tells Zapier when the event happens, and the Zap starts right away, whatever your plan. The polling interval of the free plan does not apply to any of them. There is one exception in behavior, not in timing: New Lead is held back by Optix for 1 hour, and skipped if the lead becomes an active member during that hour. So leads look slow, but that delay comes from Optix, not from Zapier.
04What does it take to connect Optix to Zapier?
An Optix account, plus read or write access to anything you do not own yourself and want the Zap to touch. The connection goes through the Apps page of Zapier: add a connection, search for Optix, sign in in the tab that opens and grant access. Once connected, every Optix step of every Zap reuses that connection. In practice, make sure your login can see the venues and the organization you plan to automate, because every trigger needs a venue and every action an organization.
05Why does a New Lead Zap miss some leads?
Because Optix itself filters them. The New Lead trigger waits 1 hour after a lead is added, and if that lead becomes an active member within the hour, the trigger never fires. Fast conversions are therefore invisible to it. If you need to catch every person, pair it with New Member so converted leads still start a Zap. Also check the venue setting: a lead added at a venue other than the one selected in the trigger will not start the Zap at all.
06What if the Optix operation you need is not in Zapier?
Then Zapier cannot do it for Optix today. The integration offers 20 triggers and 3 actions: add a user, complete a task and run a manual automation. Creating or canceling bookings, changing plans and issuing invoices are not available, and there is no search step. A useful workaround is Trigger Manual Automation: if Optix can do the job inside one of its own automations, Zapier can start that automation. Otherwise the step has to happen in Optix, or with another automation tool.
07Zapier, Make or n8n for Optix?
Decide by what your workflow needs from Optix. If it starts on an Optix event and does one thing, the Zapier integration fits well: 20 instant triggers, a free plan that accepts Optix, and no setup beyond a connection. If it needs to look up existing Optix records, create bookings or chain several steps, the Zapier side is limited to 3 actions, no search, and multi-step Zaps that need a paid plan. Check whether another tool covers those operations before you commit.
