Opttab Zapier integrationAutomate Opttab with Zapier.

The Opttab Zapier integration gives you 2 triggers and 2 actions, all about assets and AI-generated documents. A new asset or document in Opttab can start a Zap, and a Zap can create assets or documents in Opttab from what happens in your other tools.

Overview

What the Opttab Zapier integration does

The Opttab Zapier integration links Opttab, a platform that stores digital assets and uses AI to produce and improve content, with your other apps. A Zap (the automation you build on Zapier: one trigger, then one or more actions) watches for a new asset or document, or writes one into Opttab for you.

Three results are worth building. A content brief to draft flow: a form or a project card elsewhere feeds Create Document, and Opttab writes the AI draft with the title and prompt you mapped. An asset register: New Asset Created copies each new asset into the sheet your marketing team uses to track what exists. A review alert: New Document Created tells an editor in chat that a fresh document is waiting.

Both Opttab triggers are polling triggers: Zapier checks Opttab at the interval of your plan, every 15 minutes on the free one. Nothing here is instant, so plan for that delay.

What Zapier does not do for Opttab: it cannot update, move or delete an asset or a document, and there is no search step to look up something already in Opttab. Only creation is covered, in both directions. If your workflow needs to edit content after it exists, that part stays in Opttab. For context, there is Zapier review and n8n vs Zapier.

Vocabulary

The Zapier words on this page

Eight terms, one line each, used without further explanation afterwards.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap, like a new Opttab document. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, such as creating an Opttab asset.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. Both Opttab triggers work this way.
Instant trigger
A trigger the app reports itself, the moment the event happens. Opttab has none on Zapier, so every Zap waits for a check.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action makes one, and it then needs a paid plan.
Cost

What an Opttab Zap costs

Zapier bills tasks, and only actions that succeed become tasks.

  • Opttab trigger0 tasks
  • Create Asset or Create Document1 task when it succeeds
  • Free plan100 tasks a month, two-step Zaps
  • Opttab triggersPolling, interval set by your plan

The Opttab trigger never costs a task, and Zapier checking Opttab for new items is free however often it looks. Each action that succeeds counts as one task: Create Asset and Create Document included. A failed action is not counted. A Zap with three actions eats three times what a one-action Zap does. The free plan gives 100 tasks a month, unlimited Zaps, a check every 15 minutes, and Zaps of two steps only. Opttab is not a premium app, so it works on the free plan. Add a filter or a second action and you need a paid plan.

Connect

Connect your Opttab account

  1. 01

    Open Apps

On the Apps page of your Zapier account, click + Add connection. A connection (your Opttab account linked to Zapier once) is then reused by every Opttab step you build.

  2. 02

    Find Opttab

Search for Opttab by name in the dialog, pick it, then click Add connection. Have your Opttab login ready, since the next screen asks for it, and the connection uses the account you sign in with.

  3. 03

    Sign in and grant access

Sign in to Opttab in the tab that opens and grant Zapier access. You need an Opttab account, plus read or write access to any asset or document you do not own but want the Zap to touch.

First Zap

Your first Opttab Zap

GoalEach time a new asset lands in Opttab, have Opttab write a matching AI document, only for the asset types you care about.

  1. 01

    Set the trigger

Create a Zap, choose Opttab and New Asset Created, then your Opttab connection. This trigger is polling, so the Zap sees new assets at your plan interval.

  2. 02

    Test it

Run the test. Zapier brings back the three most recent assets of the connected account, so you map the next steps on a real asset instead of a blank sample.

  3. 03

    Filter the assets

Add a Filter step from the plus icon: the field to look at, the rule and the value. Pick a text rule for text. This step makes the Zap multi-step, which needs a paid plan.

  4. 04

    Add Create Document

Pick Opttab again and Create Document. Give it a title, choose the generator type, and write a prompt that uses the asset name from the trigger.

  5. 05

    Test and publish

Test the action once and read the document that came back. If it fits, publish the Zap to switch it on. From then on, every new asset that passes the filter gets its document.

Triggers

The 2 Opttab triggers

2 events start a Zap when something happens in Opttab. Zapier checks for them at the interval your plan allows.

1

New Asset Created

Polling trigger

In Zapier“Triggers when a new asset is created.”

Hands your Zap each asset that appears in Opttab, picked up at Zapier's next check. It is the way to keep other tools aware of your content library without exporting lists by hand.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a marketing team wants every new asset logged in a shared sheet for planning.
Watch out
if the same Zap uses Create Asset, each asset it creates is a new asset, and the Zap starts itself again.
2

New Document Created

Polling trigger

In Zapier“Triggers when a new document is created.”

Picks up documents newly created in Opttab, including the AI-generated ones. This is the trigger for review and publishing flows, where a human looks at the draft before it goes anywhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
an editor should get a chat message, or a card on the content board, each time a new draft is ready to read.
Watch out
pairing it with Create Document in one Zap builds a loop: every document the Zap writes starts it again.
Actions

The 2 Opttab actions

Opttab gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Asset

Action

In Zapier“Creates a new asset .”

Adds a new asset to Opttab from data held elsewhere: a product launched in your catalog, a campaign opened in your project tool. You name it and pick its category.

When to use it
every new campaign brief should exist in Opttab as an asset the team can attach content to.
Watch out
the asset name and the category are both required.
2

Create Document

Action

In Zapier“Creates a new AI-generated document.”

Asks Opttab to write a new AI-generated document from a prompt you build in Zapier, mixing fixed text with values from earlier steps. The draft is stored in Opttab like any other document.

When to use it
a form submission with a topic and a keyword should produce a first draft for the writer.
Watch out
title, generator type and prompt are all required; a vague prompt gives a vague draft.
When it breaks

When an Opttab Zap breaks

Zapier lists no help article and no rate limit for Opttab. The cases below are general Zapier behaviors, and two of them hit this app directly.

With triggers and actions that both create assets and documents, the classic risk here is a Zap feeding itself. The rest is about timing and history. More help on failed runs: Zapier troubleshooting.

  • The self-feeding Zap

A Zap that writes where its trigger watches restarts itself and burns tasks fast. New Document Created plus Create Document, or New Asset Created plus Create Asset, is that loop.
  • No history picked up

A Zap reacts only to assets and documents created after it is switched on. Your existing library stays out of it; moving it is a separate job.
  • Bulk uploads held back

If an import suddenly adds a huge batch of assets or documents, Zapier's flood protection can hold those runs back instead of firing them all.
  • No double starts

Zapier keeps track of what it already saw on a polling trigger, so the same asset or document never starts the Zap twice.

FAQ

Opttab Zapier integration: common questions

01Is the Opttab Zapier integration free?
Yes, within the limits of the free Zapier plan. Opttab is not a premium app, so it works there, with 100 tasks a month and unlimited Zaps. The catch is the two-step rule: one trigger and one action per Zap, nothing more. A filter or a second action turns the Zap into a multi-step Zap, which needs a paid plan. You also need your own Opttab account, which Zapier does not provide.
02How many tasks does an Opttab Zap use?
One per successful action, and nothing for the trigger. A New Document Created Zap that posts a chat message costs one task per document. A Zap that runs Create Document costs one task per draft created. Failed actions are not counted, and Zapier checking Opttab for new items is free however often it looks. A looping Zap is the fastest way to burn tasks, so keep the trigger and the action on different kinds of items.
03Do Opttab triggers work in real time?
No. Both Opttab triggers are polling triggers: Zapier checks Opttab for new assets and documents at the interval of your plan. That is every 15 minutes on Free, every 2 minutes on Professional, and every minute on Team and Enterprise. The type is set by Opttab, not by you, so no setting in the editor makes these triggers instant. On paid plans, a check can also be run by hand from the editor.
04What does it take to connect Opttab to Zapier?
An Opttab account, plus read or write access to any asset or document you do not own but want the Zap to touch. The connection starts on the Apps page of Zapier: add a connection, search for Opttab, sign in in the tab that opens and grant access. It is done once and every Opttab step reuses it. Before building actions, know which category and generator type you will pick, since both are required.
05Why does an Opttab Zap keep running on its own?
Usually because it writes where its own trigger watches. A Zap that starts on New Document Created and then runs Create Document makes a new document, which the next check picks up as a new trigger event, and so on. The same goes for New Asset Created with Create Asset. Each loop costs tasks. Keep the trigger and the action on different kinds of items, for example a new asset that creates a document, which does not restart the Zap.
06What if the Opttab operation you need is not on Zapier?
Then Zapier cannot do it for Opttab today. The integration has 2 triggers and 2 actions, all about creating assets and documents. Updating, deleting or finding an existing item are not available, and there is no search step. The usual route is to start the Zap from the creation event you do have, and keep the editing in Opttab. If that is not enough, the step needs another tool. Nothing more is hidden in the editor.
07Zapier, Make or n8n for Opttab?
Choose by what your workflow needs from Opttab. If it creates an asset or a document from another app, or reacts to one being created, Zapier covers it, on the free plan, with nothing to set up beyond a connection. If you need instant reactions, editing existing items or lookups, Zapier offers polling triggers only, no update action and no search for this app. Check what each tool supports for Opttab before you commit.
