What the Maxforms Zapier integration does with your form answers
The Maxforms Zapier integration connects Maxforms, a builder for public forms that also collects and organizes the answers, to Zapier, a service that passes information between apps. Maxforms reports one event to Zapier, a new submission on the form you pick, and every answer it carries can feed the steps that follow.
Leads that reach your CRM on their own. New Form Submission starts the Zap, a filter keeps only the answers you qualify, and your CRM gets a new contact. Nobody exports the responses by hand.
A shared table of every answer. Send each submission to a spreadsheet row, and colleagues who never open Maxforms read the responses where they already work. On the free plan, this two-step Zap fits as it is.
An alert for the person in charge. A message in your team chat, with the key answers inside, tells someone that a form was just filled in.
What Zapier does not do with Maxforms matters too. There is no action: a Zap cannot create a form, edit a response or change anything inside Maxforms. - Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
- Trigger
- The event in an app that starts the Zap. For Maxforms, it is a new submission on the form you pick.

- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger, like Maxforms', is reported by the app itself.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
- Search step
- A step that looks up something already stored in an app so later steps can use it. Maxforms offers none.

What a Maxforms Zap really costs
Maxforms is not reserved for paid plans on Zapier: it works on the free plan. The submissions themselves cost nothing; the steps after them do.

The trigger never costs a task, however many forms are filled in. Each action that succeeds counts as one task, and an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps of two steps: New Form Submission plus one CRM contact fits. Add a filter and the Zap becomes multi-step, so it needs a paid plan. The interval grid below is for polling triggers: it does not apply to New Form Submission, which is instant.
Connect your Maxforms account to Zapier

Open the Apps page
In your Zapier account, open Apps and click + Add connection. A connection is your Maxforms account linked to Zapier once, then reused by every Zap that starts on Maxforms.

Find Maxforms
Type Maxforms in the dialog's search box, pick it, then click Add connection. You need an existing Maxforms account first: Zapier only links to it, nothing more.

Sign in and grant access
Sign in to Maxforms in the tab that opens, then grant Zapier access to the account. Forms you do not own yourself need read access for you before a Zap can watch them.
Your first Zap: turn qualified form answers into CRM contacts

Create the Zap
Start a new Zap, pick Maxforms as the app that starts it and New Form Submission as the event, select your connection, then choose the Form to watch.

Test the trigger
Run the test: Zapier brings back the three most recent submissions, so you map fields on a real one. Send yourself a test answer first if the form is new.

Add the filter
Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule, the value. Pick a text rule for text answers.

Add the CRM contact
Add your CRM as the action, pick the step that creates a contact, and map each answer to its field. Test it once and read what came back before going further.

Publish

Older answers stay behind
