Overview

What the MaxCustomer Zapier integration does for your CRM

The MaxCustomer Zapier integration connects MaxCustomer, a CRM meant to help businesses track and grow their sales, to Zapier, a service that moves information between apps. MaxCustomer offers two steps on Zapier: a trigger that spots new records, and an action that creates one, both working on the object you choose.

A team alert for each new record. New Record watches the object you pick and starts a Zap for each new item. Send it to your team chat with a filter in front, and only the records that matter reach people.

Records that arrive without retyping. Create Record writes a new record into MaxCustomer from another app, a form or a spreadsheet for example. The information typed once elsewhere lands in the CRM.

A copy kept outside the CRM. Add each new record as a row in a spreadsheet, and anyone without a MaxCustomer seat can still read what came in. Testing the trigger brings back the three most recent records, so the columns are mapped on real data.

Now the limits. The trigger is a polling one: on the free plan, Zapier checks every 15 minutes, so nothing arrives the instant it is created. There is no search step and no action to update or delete a record: one trigger, one action, both bound to an object you choose. Comparing tools? See our n8n vs Zapier guide.

Vocabulary

Zapier vocabulary in one minute

Eight words carry this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event in an app that starts the Zap. For MaxCustomer, it is a new record in the object you pick.
Action
What the Zap does after it starts: the step that writes, sends or creates something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer, like MaxCustomer's. An instant trigger is reported by the app itself.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can use it. MaxCustomer offers none.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a MaxCustomer Zap really costs

MaxCustomer is not reserved for paid plans on Zapier: it works on the free plan. Two things decide the bill: how many actions run, and how often the trigger is checked.

  • Trigger and checks0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two steps per Zap
  • New Record checked every15 min on Free

Checking for new records costs nothing, however often Zapier looks, and the trigger never costs a task. Each action that succeeds counts as one, and one that fails is not counted. The free plan gives 100 tasks a month and unlimited two-step Zaps; a filter or a second action makes the Zap multi-step and paid. New Record follows the grid below: 15 minutes on Free, shorter on paid plans, where the interval can also be changed.

Connect

Connect your MaxCustomer account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your MaxCustomer account linked to Zapier once, then reused by every step that uses MaxCustomer.

  2. 02

    Find MaxCustomer

Type MaxCustomer in the dialog's search box, pick it, then click Add connection. The MaxCustomer account must exist already: Zapier only links to it.

  3. 03

    Sign in and grant access

Sign in to MaxCustomer in the tab that opens, then grant Zapier access. Records or objects you do not own yourself need read or write access for you before a Zap can touch them.

First Zap

Your first Zap: tell the team about the records that matter

GoalEach time a new record appears in the MaxCustomer object you choose, keep only those that meet your condition and post a message in your team chat.

  1. 01

    Create the Zap

Start a new Zap, pick MaxCustomer as the app that starts it and New Record as the event, then select your connection and the Object to watch.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent records of that object, so you map fields on a real one. Check at the test which fields come through.

  3. 03

    Add the filter

Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule, the value. Rules are typed, so a number rule only works on numbers.

  4. 04

    Add the message

Add your team chat as the action, pick the step that sends a message, and insert the record fields you want people to see. Test it once and read what came back.

  5. 05

    Publish

Publish the Zap to switch it on. The filter makes it multi-step, so it needs a paid plan. Want help building it? Our Zapier training is there for that.

Triggers

The MaxCustomer trigger on Zapier

1 event starts a Zap when something happens in MaxCustomer. Zapier checks for them at the interval your plan allows.

1

New Record

Polling trigger

In Zapier“Triggers when a new record is created on MaxCustomer.”

Starts your Zap each time a new record shows up in the MaxCustomer object you choose, and hands its fields to the steps that follow.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
when a new entry in your CRM should reach your team, a spreadsheet or another tool without anyone copying it over.
Watch out
the Object field is required, so pick the right one; Zapier remembers what it has already seen, so the same record does not start the Zap twice.
Actions

The MaxCustomer action on Zapier

MaxCustomer gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Record

Action

In Zapier“Ability to create records in MaxCustomer system.”

Writes a brand-new record into MaxCustomer, in the object you select, from whatever the earlier steps of the Zap carried in.

When to use it
when contacts or entries gathered in a form or a spreadsheet should land in the CRM without retyping.
Watch out
Object is required. Once the object is picked, check at the test which other fields the step asks for.
When it breaks

When the MaxCustomer Zap breaks

Zapier attaches no help article to MaxCustomer and records no MaxCustomer limit. What breaks is what breaks on any Zap, plus the Object you pick.

These are the general limits to keep in mind. Read them before you publish; if a Zap still misbehaves, our Zapier troubleshooting page is the next stop.

  • Existing records are not picked up

A Zap only reacts to records created after it is switched on. Everything already in MaxCustomer stays out of it; moving that backlog is a separate job.
  • A Zap that feeds itself

A Zap that writes into the place its own trigger watches can start itself again and again. New Record and Create Record on the same object deserve a second look before you publish.
  • An import held back

After a bulk import or a migration into MaxCustomer, New Record can return a huge batch at once, and Zapier's flood protection can hold those runs back.
  • Waiting for the next check

New Record is a polling trigger: a record is picked up at the next check, every 15 minutes on the free plan, not the moment it is created.

FAQ

MaxCustomer Zapier integration: your questions

01Is the MaxCustomer Zapier integration free?
Yes, MaxCustomer works on the free Zapier plan, since Zapier does not reserve it for paid plans. The free plan gives 100 tasks a month and as many Zaps as you like, each limited to two steps: one trigger and one action. New Record followed by a single message in your team chat fits. Add a filter so that only some records go through, and the Zap becomes multi-step, which needs a paid plan. On the free plan, New Record is also checked every 15 minutes.
02How many tasks does a MaxCustomer Zap use?
One task per action that succeeds, and nothing for the trigger or for the checks. Zapier can look for new records as often as your plan allows without costing a task. In the alert Zap, records stopped by the filter cost nothing; each record that passes costs one task for the chat message. An action that fails is not counted. A few apps and actions take more than one task when they complete, so look at the task count after your first runs.
03Is the MaxCustomer integration real time?
No. New Record is a polling trigger: Zapier asks MaxCustomer for new records at a fixed interval. That interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans the interval can be changed, and a check can be run by hand from the editor. Create Record runs when the Zap reaches it, so the wait sits on the trigger side. If the delay matters, choose the plan with that in mind.
04What is needed to connect MaxCustomer to Zapier?
A MaxCustomer account you can sign in to, and access to the records the Zap will touch. On the Apps page of Zapier, click + Add connection, search for MaxCustomer, click Add connection, sign in in the new tab and grant access. Records or objects you do not own yourself need read or write access granted to you beforehand. The connection is made once and reused by New Record and Create Record in every Zap.
05Which Object should New Record or Create Record use?
The one that holds the records you care about, picked in the required Object field. It is the first setting to decide when you build the step. If the object you expect is missing, look first at the access of your connected account on the MaxCustomer side. For Create Record, pick the object, then fill and test the other fields it asks for. For New Record, the trigger test shows you three real records from that object.
06What if the MaxCustomer operation you want is not there?
Then Zapier cannot do it with MaxCustomer today. The integration offers one trigger, New Record, and one action, Create Record: no update, no delete, no search to find an existing record. Check whether your need starts from a new record or ends with one: both are covered. If the step has to change or find something already in MaxCustomer, it is out of reach through Zapier, whatever the plan. A paid plan changes how often the trigger checks, not which steps exist.
07Zapier, Make or n8n for MaxCustomer?
Decide on criteria rather than on a winner. On Zapier, MaxCustomer gives one polling trigger and one create action, works on the free plan for two-step Zaps, and the check interval shortens on paid plans. Make and n8n come with their own catalogues and their own way of counting runs, and whether they offer MaxCustomer is something to check on their side. Compare which MaxCustomer steps each tool exposes, how it bills, and who maintains the automation.
