Overview

What the Orderchamp Zapier integration does for a brand

It links your Orderchamp account, the wholesale marketplace where brands supply independent shops, to Zapier. An event in your store can then start work in another app, and another app can update your catalog, orders and stock on Orderchamp. No code involved, and every Orderchamp trigger reports instantly.

Three results come back again and again. Orders accepted without opening the dashboard: New Order starts the Zap and Update Order confirms it, which moves it into fulfilment. Stock that matches your warehouse sheet: Adjust Inventory takes a list of SKUs and quantities in one action, rather than one action per product. Parcels a retailer can follow: Create Shipment, then Mark Shipment as Shipped once the box leaves, with carrier and tracking details if you have them.

What Zapier cannot do here matters just as much. It cannot fetch an invoice by its own number, only through the order it belongs to. It cannot match a product on your external product ID either, so the SKU is the key. Zapier still lists the app as beta, so test each Zap on your own account before relying on it. And the customer action only covers direct customers, the ones coming from your portal or sales app. Before settling on a tool, a look at Make vs Zapier and the Zapier review costs nothing.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the whole page. Each one is explained once here, then used as is.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The Orderchamp event that starts the Zap, such as a new order. Once the Zap is switched on, Zapier waits for it.
Action
What the Zap does after it starts: the step that creates, updates or sends something for you in an app.
Task
Zapier's billing unit: one action your Zap completes successfully. The allowance on your plan is a count of these.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits for a scheduled check. All 10 Orderchamp triggers work this way.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. Orderchamp has none, though most triggers elsewhere work so.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app, an order for instance, so the next steps can use what it found.
Cost

What an Orderchamp Zap really costs

The trigger is free. Only completed actions count. Orderchamp is not reserved for paid plans: it runs from the free plan, where Zapier still flags it as beta.

  • Trigger0 tasks
  • Successful action1 task each
  • Failed actionnot counted
  • Free plan100 tasks a month, two-step Zaps

Each action that succeeds is billed on its own, so a three-action Zap uses three times the tasks of a one-action Zap. An action that fails is not counted against the plan. The free plan gives 100 tasks a month but stops at two steps. A second action, a filter or a search makes the Zap multi-step, and that needs a paid plan. The interval grid below only concerns polling triggers, so it never slows an Orderchamp Zap.

Connect

Connect your Orderchamp account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to the Apps page and click + Add connection. A connection is your Orderchamp account linked to Zapier once, then reused by every step that touches Orderchamp.

  2. 02

    Pick Orderchamp

Type Orderchamp in the search box of the dialog, select it, then click Add connection. Have your login ready, plus read or write access on anything you do not own yourself but want the Zap to touch.

  3. 03

    Sign in and grant access

A tab opens on Orderchamp. Sign in there with the account the Zap should act for, then grant Zapier access to it. From then on, every Orderchamp step in every Zap can pick this connection.

First Zap

Your first Zap: confirm and ship each new order

GoalEvery new Orderchamp order is confirmed, then a shipment is opened for its line items.

  1. 01

    Build the trigger

Start a Zap, pick Orderchamp as the app and New Order as the event that starts it, then choose the connection you just added.

  2. 02

Test it on a real order

Run the trigger test. Zapier brings back the three most recent orders of the connected account, so you map the next steps on a real one, not on a made-up sample.

  3. 03

    Add Update Order

Pick Orderchamp again as the action app, with Update Order. Set its Action field to Confirm and map the Order ID that came from the trigger.

  4. 04

    Add Create Shipment

Add Create Shipment and map the Order ID, the Order Product ID and the Quantity. Use the line item ID from the order, never the Product ID. Two actions make this a multi-step Zap, so a paid plan.

  5. 05

    Test, then publish

Test each step once and read what came back before moving on. When the result looks right, publish the Zap to switch it on.

Triggers

The 10 Orderchamp triggers

10 events start a Zap when something happens in Orderchamp, and 10 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Customer

Instant trigger

In Zapier“Triggers when a new customer is created in Orderchamp.”

A retailer account appears in your Orderchamp customer list, and the Zap starts with that customer in hand. It is the natural entry point for adding a fresh stockist to a CRM or a welcome sequence.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your sales team wants every new shop logged in its own tool on the day the account is created.
Watch out
customers created before the Zap went live are never sent, so older accounts need a separate import.
2

New Order

Instant trigger

In Zapier“Triggers when a new order is created in Orderchamp.”

An order created on Orderchamp starts this Zap, line items included. Those line items carry the Order Product IDs that Create Shipment and Create Order Refund ask for later, which makes this trigger the backbone of most order flows.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
every incoming order should be confirmed, copied to an order sheet or announced to the warehouse.
Watch out
a new order is not yet an accepted one; for confirmed orders only, Updated Order fits better.
3

New Product

Instant trigger

In Zapier“Triggers when a new product is created in Orderchamp.”

Whenever someone on your team adds a product to the Orderchamp catalog, this trigger hands it to the Zap. Useful for keeping a second catalog, a product sheet or a launch checklist in step with the marketplace.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
marketing wants a heads-up for each new reference so visuals are ready before publication.
Watch out
a bulk catalog import can arrive as one huge batch, which Zapier's flood protection may hold back.
4

New Product Variant

Instant trigger

In Zapier“Triggers when a new product variant is created in Orderchamp.”

Variants live under a product: a size, a colour, a pack format, each with its own SKU. This trigger starts the Zap when one of them is created, which matters whenever your stock tool counts per SKU rather than per product.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your warehouse sheet needs a new line for every SKU Orderchamp knows about, so pickers never meet an unknown reference.
5

New Shipment

Instant trigger

In Zapier“Triggers when a new shipment is created in Orderchamp.”

A shipment opened on an order, by hand or by another Zap, starts this one. It is the hook for telling a retailer that the goods are being prepared, well before anything leaves the building.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your customer service tool should open a follow-up entry for each shipment.
Watch out
a Zap built on this trigger that itself runs Create Shipment sets itself off again; keep creation and follow-up in separate Zaps.
6

Shipment Shipped

Instant trigger

In Zapier“Triggers when a shipment is marked as shipped in Orderchamp.”

Here the Zap waits for a shipment to be marked as shipped, not merely created. That is the right signal for anything the retailer should read: a dispatch email, a chat message, a line in a tracking sheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you want your own dispatch notice to reach stockists, written in your brand's voice.
Watch out
shipments flagged as shipped before the Zap was published are never picked up.
7

Updated Customer

Instant trigger

In Zapier“Triggers when a customer is updated in Orderchamp (e.g., address, status, or contact details change).”

Changes to an existing retailer, such as a new address, a different status or fresh contact details, start this Zap. It stops the copy of that customer in another tool from drifting away from Orderchamp.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your invoicing tool should always hold the address Orderchamp holds.
Watch out
if the same Zap writes the customer back with Create or Update Customer, it restarts itself and burns through tasks.
8

Updated Order

Instant trigger

In Zapier“Triggers when an order is updated in Orderchamp (e.g., status change, confirmation, payment, cancellation).”

An order that changes after creation, whether it gets confirmed, paid or cancelled, starts this trigger. It follows an order through its whole life rather than only at birth, which New Order cannot do.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a cancellation on Orderchamp has to reach your accountant or your stock sheet without anyone forwarding it.
Watch out
running Update Order inside this same Zap edits the very order being watched, which can loop.
9

Updated Product

Instant trigger

In Zapier“Triggers when a product is updated in Orderchamp (e.g., content, pricing, or inventory change).”

Edits to an existing product, whether to its content, its pricing or its inventory, start this Zap. It suits anyone who mirrors the Orderchamp catalog somewhere else and hates stale prices in the copy.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a price change should land in your B2B price sheet without a manual pass.
Watch out
a Zap that answers with Create or Update Product on the same item triggers itself in a loop.
10

Updated Product Variant

Instant trigger

In Zapier“Triggers when a product variant is updated in Orderchamp (e.g., price or stock change).”

The finest-grained trigger of the list: a variant whose price or stock changes starts the Zap. Stock moves are where it earns its place, since a variant is where a SKU and its stock level live.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a low-stock alert, behind a filter, should reach the buyer in charge of reorders.
Watch out
Adjust Inventory on the same SKUs inside this Zap changes stock again and starts it once more.
Actions

The 14 Orderchamp actions

Orderchamp gives you 14 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create or Update Customer

Action

In Zapier“Creates or updates a customer in the Orderchamp Cloud, only support direct (portal/sales app) customers. To update an existing customer, provide one of: Customer ID, External Customer ID, or External ID. To create a new customer, Company Name, Email, Country, and Locale are required.”

Adds a retailer to Orderchamp or updates one already there. To update, give the Customer ID, the External Customer ID or the External ID; to create, Company Name, Email, Country and Locale are required. You can also choose to send the invite email.

When to use it
a shop signs up through your own form and should get a portal account without retyping.
Watch out
only direct customers, from your portal or sales app, are covered.
2

Delete Custom Category

Action

In Zapier“Deletes a custom (supplier-defined) category from Orderchamp.”

Removes one of your own supplier categories, identified by its Custom Category ID.

When to use it
a seasonal collection ends and its category should go with it.
Watch out
this concerns categories you created, not the marketplace categories that Find Category returns.
3

Create or Update Custom Category

Action

In Zapier“Creates a custom (supplier-defined) category, or updates an existing one when you provide its Custom Category ID.”

Creates one of your own supplier categories, or updates an existing one when you pass its Custom Category ID.

When to use it
your seasonal collections should exist as categories on Orderchamp too.
Watch out
the Is Published setting only applies to an existing category, so a brand-new one needs a second update to go live.
4

Adjust Inventory

Action

In Zapier“Updates inventory for one or many product variants in a single action, identified by SKU. Map a single SKU and quantity, or a list of them (e.g. from a spreadsheet, feed, or line items) to sync hundreds of products in one Zap run instead of one task per product.”

Updates stock for one variant or many in a single action, identified by SKU. SET replaces the stock with your number; ADJUST adds to it, or subtracts with a negative number.

When to use it
your warehouse sheet holds the truth and Orderchamp should match it in one run.
Watch out
SKUs and quantities are two lists paired by position, so keep them the same length and in the same order.
5

Create Order Refund

Action

In Zapier“Creates a refund for one or more products on an order.”

Refunds one or more products on an order, with a quantity per line and a reason that applies to every line item.

When to use it
a retailer reports damaged goods and your support tool logs the claim.
Watch out
it also wants the Order Product ID of each line, and a single reason covers them all, so split refunds that have different causes.
6

Update Order

Action

In Zapier“Confirms an order (moving it into fulfilment), cancels it (notifying the retailer of the reason), marks it as paid (Order Portal orders only), or updates its estimated delivery date. Pick the change you want with the Action field.”

One action, four outcomes, picked in its Action field. Confirm moves the order into fulfilment, Cancel rejects it and tells the retailer why, Mark as Paid records a payment, Update Delivery Date changes the expected arrival.

When to use it
orders you accept anyway should not wait for someone to click.
Watch out
Mark as Paid only works on Order Portal orders.
8

Delete Product

Action

In Zapier“Permanently deletes a product.”

Deletes a product permanently, identified by its Orderchamp Product ID.

When to use it
a discontinued line is retired in your main catalog and should vanish from Orderchamp as well.
Watch out
permanent means permanent; Unpublish in Update Product Publication is the reversible route.
9

Update Product Publication

Action

In Zapier“Publishes a product to the Orderchamp marketplace (or a storefront), removes it from the marketplace, or republishes a previously unpublished product. Pick the change you want with the Action field.”

Changes where a product can be seen. Publish puts it on the marketplace or a storefront, Unpublish takes it off, Republish brings back one that was pulled earlier.

When to use it
a product sold out in your warehouse should leave the marketplace until it is back in stock.
Watch out
it needs the Orderchamp Product ID, so a search often runs first.
10

Create or Update Product

Action

In Zapier“Creates a product if it does not exist yet, or updates it if it does — matched on the first Variant SKU. If the SKU is found, the product (and that variant) are updated; if not, a new product is created. Provide a Variant SKU or an Orderchamp Product ID (a Product ID always updates that specific product). (Note: Orderchamp cannot look up products by External Product ID, so SKU is used as the match key.)”

Creates the product when its first variant SKU is unknown, or updates it when that SKU already exists. Passing an Orderchamp Product ID instead always updates that exact product.

When to use it
your catalog lives in a spreadsheet or another shop, and Orderchamp should follow it.
Watch out
matching runs on the SKU, never on your external product ID, so a renamed SKU produces a second product.
11

Delete Product Variant

Action

In Zapier“Permanently deletes a product variant.”

Removes a single variant for good, using its Variant ID, while the product itself stays.

When to use it
one colour is dropped but the others keep selling.
Watch out
the action wants the Variant ID, not the SKU, so Find Product Variant by SKU usually comes first.
12

Create or Update Product Variant

Action

In Zapier“Creates a variant if its SKU does not exist yet, or updates the matching variant if it does. Matched on SKU. When creating a new variant, also provide the Product ID to attach it to.”

Same logic one level down: the SKU decides whether a variant is updated or created. A new variant also needs the Product ID it should hang under.

When to use it
a new size or colour appears in your stock tool and must show up on Orderchamp.
Watch out
map the Product ID even when you expect an update, in case the SKU turns out to be new.
13

Create Shipment

Action

In Zapier“Creates a new shipment for an order in Orderchamp. Use OrderProduct IDs (from the order line items), not Product IDs.”

Opens a shipment on an order. It needs the Order ID, then for each line the Order Product ID and the quantity going into the parcel.

When to use it
your warehouse confirms a pick and Orderchamp should know what is about to leave.
Watch out
the Order Product ID is the line item ID from the order, not the Product ID; the order trigger output carries it.
14

Mark Shipment as Shipped

Action

In Zapier“Marks an existing shipment as shipped in Orderchamp, with optional carrier and tracking information.”

Flags an existing shipment as gone, with the carrier and tracking details when you have them. It needs the Shipment ID, which the Create Shipment output provides.

When to use it
your carrier tool hands back a tracking number and the retailer should see it on Orderchamp.
Watch out
without another source for the Shipment ID, chain it right after Create Shipment.
Searches

The 10 Orderchamp searches

10 search steps look for data that already exists in Orderchamp, so a later step can use it.

Searches sit at the bottom of the Action event list, under their own SEARCH heading. Some action fields also offer + Add search step, which inserts the lookup just before the current step and wires its result in. A Zap with a search is multi-step, so it needs a paid plan.

1

Find Customer

Search

In Zapier“Finds a customer by ID in Orderchamp.”

Looks up a customer from its Orderchamp Customer ID, the kind a New Customer trigger or an order hands over.

When to use it
a Zap started by an order needs the full retailer record before writing to your CRM.
Watch out
it searches by ID only, not by company name or email.
2

Find Invoice

Search

In Zapier“Finds the invoices for an order in Orderchamp, by Order ID. Returns each invoice on the order (including any credit notes). For portal/app orders these are the direct supplier→retailer invoices; note Orderchamp cannot look up an invoice by its own ID, so invoices are retrieved via their order.”

Fetches every invoice of an order, credit notes included, from the Order ID. For portal and app orders, these are the invoices you issue directly to the retailer.

When to use it
your accounting tool should receive the paperwork of each confirmed order.
Watch out
an invoice cannot be found by its own ID, only through its order.
3

Find Order

Search

In Zapier“Finds an order by ID in Orderchamp.”

Returns one order from its Order ID, so a Zap that did not start on Orderchamp can still work on it.

When to use it
a ticket in your support tool carries an Order ID and the next step needs the rest of the order.
Watch out
the lookup is by ID only.
4

Find Price List

Search

In Zapier“Finds a price list by ID or external ID.”

Finds a price list from its Orderchamp ID or from the external ID you gave it.

When to use it
a price list reference kept in your ERP must be checked against Orderchamp before a later step relies on it.
Watch out
the external ID route only helps if you filled that ID in on Orderchamp first.
5

Find Product

Search

In Zapier“Finds a product by ID in Orderchamp.”

Retrieves a product from its Orderchamp Product ID, which a New Product trigger provides.

When to use it
a Zap needs the whole product before Update Product Publication or Delete Product acts on it.
Watch out
ID only; when all you hold is a SKU, Find Product Variant by SKU is the right search.
6

Find Product Variant by SKU

Search

In Zapier“Finds a product variant by its SKU in Orderchamp. Useful to look up the variant ID and current inventory before updating it.”

Finds a variant from its SKU and gives back its Variant ID and current inventory.

When to use it
your other tool only knows SKUs, and Delete Product Variant or a stock change needs the Orderchamp ID.
Watch out
an unknown SKU finds nothing, and by default the Zap stops right there.
7

Find Shipment

Search

In Zapier“Finds a shipment by ID or external shipment ID.”

Finds a shipment from its ID or from your external shipment ID.

When to use it
your carrier tool sends its own reference and Mark Shipment as Shipped needs the Shipment ID.
Watch out
the external ID only works if that reference was stored on the shipment.
8

Find Account

Search

In Zapier“Returns the connected Orderchamp account's details.”

Returns the details of the Orderchamp account behind the connection, plus its warehouse locations when you switch on Include Locations.

When to use it
a Zap serving several warehouses needs the location names before routing anything.
Watch out
it reads the connected account only, never another brand's.
9

Find Brand

Search

In Zapier“Finds brands on your account (most recent first), optionally limited to those created after a date.”

Lists the brands on your account, most recent first, optionally only those created after a given date.

When to use it
you run several brands from one account and a step should work on the newest ones.
Watch out
several brands can match, so check the multiple-results setting.
10

Find Category

Search

In Zapier“Finds Orderchamp marketplace categories, optionally under a parent path.”

Browses the Orderchamp marketplace categories, optionally under a parent path.

When to use it
you want to map your own collections to the marketplace category tree.
Watch out
these are marketplace categories, not the custom ones your Create or Update Custom Category action manages.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. No Orderchamp search offers it, so creating goes through the Create or Update actions instead.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them along.
When it breaks

When an Orderchamp Zap breaks

Zapier attaches no help article to Orderchamp, and no limit specific to the app is documented. What breaks here is what breaks on any Zap.

Four cases come back, all general to Zapier but easy to hit with a catalog and order flow like this one. For anything else, the Zapier troubleshooting page is the next stop.

  • Old orders never show up

A Zap only reacts to what happens after it is switched on. Orders, products and customers that already existed are not picked up; moving that backlog is a separate job.
  • A Zap that keeps firing itself

Updated Product followed by Create or Update Product on the same item writes exactly where the trigger watches. The Zap restarts again and again and eats tasks fast.
  • A bulk import held back

Importing a large catalog can make New Product or Updated Product return a huge batch at once, and Zapier's flood protection may hold it back.
  • A search that comes back empty

Find Product Variant by SKU with an unknown SKU stops the Zap by default, and every step after it is skipped. Switch the setting on if an empty result is acceptable.

FAQ

Orderchamp and Zapier: common questions

01Is the Orderchamp Zapier integration free?
Yes. Orderchamp is not reserved for paid plans, so it works on Zapier's free plan, where it still carries a beta label. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. New Order followed by Update Order fits inside that. Add a second action, a filter or a search, and the Zap becomes multi-step, which requires a paid plan. No price is quoted here, because Zapier's plan grids change too often to publish.
02How many tasks does an Orderchamp Zap use?
One per action that completes. The trigger never costs a task, and an action that fails is not counted. A New Order Zap that confirms the order, then opens a shipment, therefore uses two tasks per order. Adjust Inventory deserves a mention: it updates a whole list of SKUs inside one action, and Orderchamp presents it as a way to avoid paying one task per product. A few apps and actions take more than one task when they complete, so watch the count on your plan after the first runs.
03Does the Orderchamp integration work in real time?
Yes. All 10 Orderchamp triggers are instant: the app tells Zapier the moment an order, a product, a customer or a shipment is created or changes, and the Zap starts right away. The plan interval grid, from 15 minutes on Free down to 1 minute on Team and Enterprise, only applies to polling triggers, and Orderchamp has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. What an instant trigger cannot do is look back: events from before publication are never sent.
04What does connecting Orderchamp to Zapier require?
An Orderchamp account, plus read or write access on anything you do not own yourself but want the Zap to touch. The connection starts from the Apps page of your Zapier account: + Add connection, pick Orderchamp, Add connection, then sign in to Orderchamp in the tab that opens and grant Zapier access. It is made once and reused by every Orderchamp step. Some actions assume more on the account side: Create or Update Customer only covers direct customers, and Mark as Paid only applies to Order Portal orders.
05Which ID does Create Shipment expect?
The Order Product ID, not the Product ID. Create Shipment, like Create Order Refund, asks for the ID of a line item on the order, which is different from the ID of the product in your catalog. The two look alike and are easy to swap while mapping. The New Order trigger output carries the line item IDs, so map from there. Then keep the Shipment ID that Create Shipment returns, because Mark Shipment as Shipped needs it to flag the parcel as gone.
06What if the Orderchamp operation needed is missing?
Then it is not available in Zapier today, and the list of 34 operations is closed: 10 triggers, 14 actions, 10 searches. A combination often gets there anyway. Invoices cannot be looked up by their own ID, but Find Invoice reaches them through the order. Products cannot be matched on an external product ID, but the SKU works for Create or Update Product and Find Product Variant by SKU. If no combination fits, the job belongs to another tool or to the Orderchamp interface itself.
07Zapier, Make or n8n for Orderchamp?
It comes down to criteria, not to a winner. On the Zapier side, the Orderchamp facts are these: 10 instant triggers, 34 operations in total, a free plan capped at 100 tasks a month with two-step Zaps, and every successful action billed. So ask yourself whether your flow fits in one trigger and one action, or needs searches and several actions, which means a paid plan. Estimate how many actions will run each month. Then check those same points for Orderchamp on the other two tools before choosing.
