Orderspace Zapier integrationAutomate Orderspace with Zapier.
The Orderspace Zapier integration gives you 9 triggers and 4 actions, with no search step. All nine triggers are instant, so a fresh order, payment or stock change starts your Zap right away, even on the free plan. Below: what each operation does, what it costs, and where it breaks.

What the Orderspace Zapier integration actually does
Orderspace is a wholesale ordering site: your trade buyers log in and place orders online. The Zapier integration links it to the rest of your tools. Something happens in Orderspace (an order, a payment, a stock change) and Zapier carries out the next step for you, or another tool pushes customers, orders and stock figures into Orderspace.
Three results come up again and again. An order that leaves on time: New Order or Updated Order starts the Zap, and Create Dispatch records what ships. Accounts that stay in step: New Invoice and New Payment hand each document to your finance tool the moment it exists. Stock you can trust: Update Inventory Level writes the figure your warehouse system holds, keyed on the SKU.
Now the limits, because they shape what you can build. Orderspace has no search step on Zapier, so a Zap cannot look up an existing customer or order in Orderspace before acting. It can only use what the trigger brought in. There is no action to edit a customer or an order, and none to delete anything: the four actions create customers, orders and dispatches, and update stock. If your process needs more than that, it stays a manual step.
The good news is speed. Every Orderspace trigger is instant, so the polling interval of your plan never slows these Zaps down. For a wider view of the tool itself, see the Zapier review, or weigh it against Make vs Zapier.
Zapier vocabulary in one minute
Eight words carry the whole page. Each one is explained here once, then used as is.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time that trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and reacts to nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you, in Orderspace or in another tool.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan's allowance counts only those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself. All 9 Orderspace triggers are instant.
- Filter
- A step that lets the Zap carry on only when the incoming data meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something already stored in an app so later steps can use it. Orderspace offers none on Zapier.
- Connection
- Your Orderspace account, linked to Zapier once, then reused by every step of every Zap that touches Orderspace.
What an Orderspace Zap really costs
Zapier bills tasks, not Zaps. The Orderspace trigger itself never costs a task, and neither does Zapier listening for new events.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, 2 steps per Zap
- Orderspace on the free planYes, not reserved to paid plans
Each action that succeeds counts as one task, so a Zap with three actions uses three times more than a Zap with one. An action that fails is not counted. Orderspace is not reserved to paid plans: it works on the free plan, which gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to polling triggers only, so it never touches Orderspace.
Connect Orderspace to Zapier in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an Orderspace account first, plus read or write access on anything you do not own yourself and want the Zap to touch.
- 02
Pick Orderspace
Type Orderspace in the search box of the dialog, select it from the results, then click Add connection. A new browser tab opens on the Orderspace side of the link, ready for your login.
- 03
Sign in and grant access
Log in to Orderspace in that tab and allow Zapier to reach the account. The connection is then saved once and offered to every Orderspace step you add later, in any Zap.
Your first Orderspace Zap
GoalRecord a dispatch in Orderspace when an order changes and meets your shipping condition.
- 01
Build: pick the trigger
Create a Zap, choose Orderspace as the app that starts it and Updated Order as the event. Select the connection you added earlier.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent orders of the account, so you pick a real one and map the next steps on actual data rather than guesses.
- 03
Add the filter
Click the plus icon, add Filter, then set the field to look at, the rule and the value. Use a text rule on text and a number rule on numbers, or the filter never passes.
- 04
Add Create Dispatch
Add the Orderspace action Create Dispatch. Map the Order ID from the trigger, then fill Quantity with the number of items leaving. Both fields are mandatory.
- 05
Test, then publish
Test each step once and read what came back. When it looks right, click Publish. With a filter, this Zap has three steps, so it needs a paid plan.
The 9 Orderspace triggers
9 events start a Zap when something happens in Orderspace, and 9 of them are instant: the app calls Zapier straight away, whatever your plan.
New Customer
Instant triggerIn Zapier“Triggers when a new customer is created.”
Starts a Zap each time a customer account appears in Orderspace, whether your team adds it or another Zap creates it. Your other tools learn about the new trade account without anyone retyping it.
New Dispatch
Instant triggerIn Zapier“Triggers when a new dispatch is created.”
Fires whenever a dispatch is recorded against an order, which makes it the natural signal that goods are on their way. It suits anything that should happen after shipping, not after ordering.
New Invoice
Instant triggerIn Zapier“Triggers when a new invoice is created.”
Reacts to every invoice Orderspace produces. It marks the hand-off between selling and getting paid, which is exactly where your accounts team takes over.
New Order
Instant triggerIn Zapier“Triggers when a new order is created.”
The workhorse of the integration: a buyer submits an order on your ordering site, or your team keys one in, and the Zap starts. Pick it for anything that should follow a fresh order, and Updated Order for what follows a change.
New Payment
Instant triggerIn Zapier“Triggers when a new payment is created.”
Each payment that lands in Orderspace sets this Zap off. It closes the loop opened by New Invoice, and gives you a clean moment to release goods or thank a buyer for settling.
New Product
Instant triggerIn Zapier“Triggers when a new product is created.”
Fires when a product is added to your Orderspace catalogue. Useful when the wholesale catalogue is the master list and other channels follow it.
Updated Customer
Instant triggerIn Zapier“Triggers when a customer is updated.”
Reacts to changes on an existing customer rather than to new ones. A changed address or contact in Orderspace can then reach every tool that keeps its own copy of that account.
Updated Inventory Level
Instant triggerIn Zapier“Triggers when inventory levels are updated.”
Watches stock figures: each time an inventory level changes in Orderspace, the Zap runs. It turns Orderspace into the source other systems copy their stock from.
Updated Order
Instant triggerIn Zapier“Triggers when an order is updated.”
Picks up changes to orders that already exist: anything Orderspace treats as an update to an order. It catches the life of an order after the first submission.
The 4 Orderspace actions
Orderspace gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Customer
ActionIn Zapier“Creates a Customer”
Opens a trade account in Orderspace from data held elsewhere, such as an approved application form. It also creates a buyer who can log in to your ordering site.
Create Dispatch
ActionIn Zapier“Creates a dispatch”
Records that goods have left for a given order. Your warehouse tool keeps doing the picking, and Orderspace still shows the buyer what shipped.
Create Order
ActionIn Zapier“Creates an Order”
Places an order in Orderspace for an existing customer, so orders taken by phone, at a trade show or in another system land in one place.
Update Inventory Level
ActionIn Zapier“Updates Inventory Levels”
Sets the stock figure of a product variant in Orderspace, so buyers order against real quantities rather than yesterday's count.
When an Orderspace Zap breaks
Zapier lists no help article and no rate limit specific to Orderspace. What goes wrong comes from the way Zaps work in general.
Four cases cover most of the trouble. Read them before you publish, and keep the Zapier troubleshooting page close by.
No catch-up on old records
A Zap only reacts to what happens after it is switched on. Orders, invoices or customers created before that are never picked up; moving that backlog is a separate job.A Zap that triggers itself
Updated Inventory Level with Update Inventory Level, or New Order with Create Order: the Zap writes where its trigger looks, starts again, and eats your task count.Bulk imports held back
Import a whole catalogue or a season of orders at once and the trigger returns a huge batch. Zapier's flood protection can hold it back instead of running every item.Mandatory fields left empty
Each action has required fields: Company Name, Address Line 1, Country, Contact Name and Login Email on Create Customer, the SKU on Update Inventory Level. Map them all before testing.
