Overview

What the pdfFiller Zapier integration does for you

It links pdfFiller, where your PDFs, fillable forms and templates live, to the rest of your tools. A form filled in, a document copied from a template or a new upload can start a Zap; Zapier can also create, download, share, move and find documents in pdfFiller on your behalf.

Three results worth building. Signed-up clients filed without anyone touching a folder: New Filled Form starts the Zap and the filled PDF goes wherever your team keeps client records. Contracts produced from one template: Create Filled Document From Template makes a new copy of a fillable base document, ready to complete. Forms sent out at scale: Create Distributable Form & Generate Shareable Link turns a document into a form anyone can fill from a link.

What Zapier does not do here matters too. There is no action to sign, delete or rename a document, and nothing that edits the content of a PDF field by field. New Document is checked on a timer, so it is not the trigger to use when speed counts. And any Zap that adds a search or a second action needs a paid plan.

The same app also exists on another platform: pdfFiller Make integration. To compare the tools themselves, see Make vs Zapier.

Vocabulary

Zapier words, in plain English

Eight terms come back on this page. Here they are once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap. In pdfFiller, a filled form, a document copied from a template, or a new document.
Action
What the Zap does once started: here, creating, downloading, sharing, moving or uploading a pdfFiller document.
Task
What Zapier bills: one action your Zap completes successfully. Your plan's quota counts those and nothing else.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items and keeping only those it has not seen yet.
Instant trigger
A trigger the app reports itself at the moment the event happens, so nothing waits for the next check.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists, here a pdfFiller document, so later steps can use it.
Cost

What pdfFiller costs you in Zapier tasks

The triggers cost nothing, whether instant or checked on a timer. Each pdfFiller action that succeeds is one task; one that fails is not counted.

  • pdfFiller action that succeeds1 task
  • Trigger, checks, failed action0 task
  • Free plan100 tasks a month, two-step Zaps
  • pdfFiller on the free planYes, not reserved for paid plans

pdfFiller is not reserved for paid plans, so the free plan works: 100 tasks a month, unlimited Zaps, two steps per Zap. A trigger plus one action fits. Add a filter, a Find a Document search or a second action, and it becomes a multi-step Zap, which needs a paid plan. The interval grid below only concerns New Document, the one polling trigger: New Filled Form and Document Copied fire straight away on any plan.

Connect

Connect pdfFiller to Zapier in three steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. You need a pdfFiller account, plus access to any document you do not own but want the Zap to touch.

  2. 02

    Pick pdfFiller

Type pdfFiller in the dialog, select it, then click Add connection. A new tab opens on the pdfFiller side, which is where the two accounts get linked.

  3. 03

    Sign in and grant access

Log in to pdfFiller in that tab and allow Zapier into the account. The connection is then offered in every pdfFiller step, triggers, actions and the search alike.

First Zap

Your first Zap: share each new contract copy

GoalEach document copied from a contract template gets an editor link, emailed to the person who must complete it.

  1. 01

    Pick Document Copied

Create a Zap, choose pdfFiller and the Document Copied event, then select your connection and the base fillable document the copies come from.

  2. 02

    Test on a real copy

Run the test. Zapier brings back the three most recent items from your pdfFiller account; pick a real copy so every later field is mapped on actual data.

  3. 03

Add Get Shareable Link for Document

Add a pdfFiller action, Get Shareable Link for Document, and map the copied document from the trigger into its Document field.

  4. 04

    Send the link by email

Add the email step and drop the link into the message. With three steps this is a multi-step Zap, so it needs a paid plan.

  5. 05

    Test each step, then publish

Run each step once and read what came back before moving on. When the email looks right, publish the Zap; copies made before that moment are not picked up.

Triggers

The 3 pdfFiller triggers

3 events start a Zap when something happens in pdfFiller, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Filled Form

Instant trigger

In Zapier“Triggers when a form is filled out.”

Starts the Zap when someone completes one of your pdfFiller forms, and can hand the filled PDF to the next step through its download option.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a client intake form whose answers must reach your CRM or your shared drive without anyone forwarding them.
Watch out
you must choose one fill request when setting it up, so each Zap watches a single form; two forms mean two Zaps, or a reworked form.
2

Document Copied

Instant trigger

In Zapier“Triggers when a new document is created based on another template.”

Fires when a new document is created from one of your templates, so each fresh copy can be shared, filed or announced. A download option returns the filled document as a PDF.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a rental agreement template copied per tenant, where the copy should reach the right person straight after.
Watch out
the base fillable document is required at setup; copies of any other template are ignored by this Zap.
3

New Document

Polling trigger

In Zapier“Triggers when a new document is uploaded or created.”

Picks up documents uploaded to or created in pdfFiller, whatever the source, once Zapier spots them on its next check.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
logging every new PDF the team adds, in a sheet or a channel, where a short delay does no harm.
Watch out
a Document type must be chosen, and this is the only pdfFiller trigger that waits for a check; for filled forms or template copies, the instant triggers above are faster.
Actions

The 6 pdfFiller actions

pdfFiller gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Filled Document From Template

Action

In Zapier“Create the new filled document based on an existing fillable document.”

Makes a new document from one of your fillable base documents and saves it in the folder you name. Both the base document and the folder are required.

When to use it
producing a fresh quote or contract each time a deal is marked won in your sales tool.
2

Create Distributable Form & Generate Shareable Link

Action

In Zapier“Create a fillable form based on an existing document and generate a shareable link to easily distribute it.”

Turns an existing document into a form people can fill online, and returns a link to send them. Options decide whether name and email are asked for, whether required fields are enforced, and whether the recipient may download afterwards.

When to use it
sending a registration form to each new participant in a training session.
3

Download Document

Action

In Zapier“Download a document as a file.”

Fetches a pdfFiller document as a file, so a later step can store it, attach it or archive it elsewhere. Only the Document field is required.

When to use it
keeping a copy of each signed agreement in your company's own storage.
4

Get Shareable Link for Document

Action

In Zapier“Get a URL for opening a document in the editor.”

Returns a link that opens a given document in the pdfFiller editor, ready to be dropped into an email or a message.

When to use it
asking a colleague to review a draft without hunting for it in the account.
Watch out
the link opens the document for editing, so think about who receives it.
5

Move Document to Folder

Action

In Zapier“Move a document to a folder.”

Shifts a document into another pdfFiller folder. You pick the document and the new folder, both required.

When to use it
sorting completed files into a "done" folder once the deal closes, so the working folder stays short and nobody reopens an old version by mistake.
6

Upload Document

Action

In Zapier“Upload an existing file or attachment.”

Puts a file from another app into pdfFiller, under the name and in the folder you set. The name must carry a supported extension: .pdf, .doc, .docx, .ppt or .pptx.

When to use it
email attachments from suppliers that should land in pdfFiller ready to annotate.
Watch out
a name without one of those extensions is refused.
Searches

The pdfFiller search

1 search step looks for data that already exists in pdfFiller, so a later step can use it.

A search step looks up a document already in pdfFiller and passes it to the next steps. In the editor, searches sit at the bottom of the action-event list under SEARCH. Three settings decide what happens when the result is not a clean single match.

1

Find a Document

Search

In Zapier“Search for a document by name.”

Looks a document up by its name and by document type, then gives it to the following steps to download, move or share.

When to use it
a Zap that receives a client name and must find that client's contract before sending a link.
Watch out
the name needs at least two characters, asterisks not counted, and the type is required.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. pdfFiller does not offer that variant on Zapier, so the box does not apply to this search.
  3. If multiple search results are found?
Three ways out when several documents match: keep the first, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a pdfFiller Zap breaks

Zapier attaches no help article to pdfFiller and lists no limit of its own. The cases below come from the operation fields and from limits common to every Zap.

  • No backlog

A Zap only reacts to what happens after it is published. Forms filled before that are never sent through; moving them is a separate job.
  • A loop that burns tasks

Upload a document from a Zap built on New Document, and the upload is itself a new document: the Zap restarts on its own output.
  • A mass import held back

Upload a huge batch of documents at once, after a migration for instance, and Zapier's flood protection can hold New Document back.
  • No duplicate run

On New Document, Zapier remembers what it has already seen, so the same document never starts the Zap twice.
  • A name without its extension

Upload Document wants a name ending in .pdf, .doc, .docx, .ppt or .pptx. A bare name from the previous step is refused.
  • A search on one letter

Find a Document needs a name of at least two characters, asterisks aside. A short or empty value from an earlier step finds nothing.

FAQ

pdfFiller Zapier integration: common questions

01Is the pdfFiller Zapier integration free?
Yes, it runs on the free plan, because Zapier does not reserve pdfFiller for paid plans. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. A filled form sent to a drive fits. Add a filter, a Find a Document search or a second action, and the Zap turns multi-step, which needs a paid plan. That limit, more than the app itself, decides what you can build for free.
02How many tasks does pdfFiller use on Zapier?
One task per action that succeeds, and nothing for the trigger. Whether New Filled Form, Document Copied or New Document starts the Zap, that part is free, and Zapier checking for new documents costs nothing either. A pdfFiller action that fails is not counted. The bill grows with the actions: a Zap that copies a template, gets its link and then moves it uses three tasks every time it runs, so cut any step that does not change the result.
03Is pdfFiller real time on Zapier?
For two triggers out of three, yes. New Filled Form and Document Copied are instant: pdfFiller tells Zapier itself when the event happens, and the Zap starts right away whatever your plan. New Document is a polling trigger: Zapier checks on a timer, every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. When speed matters for filled forms or template copies, build on the instant triggers rather than New Document.
04What does it take to connect a pdfFiller account?
A pdfFiller account, plus read or write access to any document you do not own but want the Zap to use. The connection is three moves: open the Apps page of your Zapier account and add a connection, search pdfFiller and confirm, then sign in on the tab that opens and grant Zapier access. Every pdfFiller step reuses it afterwards. Before building, also create the folders and fillable base documents your steps will ask you to pick.
05Why does Find a Document return nothing?
Usually because of what the search receives. It needs a document name of at least two characters, asterisks not counted, and a document type, both required. A short, empty or misspelled value mapped from an earlier step finds nothing, and with the default setting the Zap stops there. If the next steps can do without the document, switch on the setting that lets the Zap carry on with no result. Otherwise, test with a name you know exists in pdfFiller.
06What if the operation needed is not in the pdfFiller list?
Then Zapier cannot do it with pdfFiller today. The app offers three triggers, six actions and one search: no action signs, deletes or renames a document, and none edits a PDF field by field. The usual way around is to let another app handle the missing part, or to do that step by hand in pdfFiller while the Zap covers the rest. Check the list on the Zapier app page before designing the flow, since it is the one that counts.
07Zapier, Make or n8n for pdfFiller?
Choose on criteria rather than on reputation. First, which pdfFiller operations each tool offers: on Zapier, three triggers, two of them instant, six actions and one search. Then billing: Zapier counts one task per successful action, and any Zap beyond two steps needs a paid plan. Then who will maintain the automation and how at ease that person is with each editor. Weigh these points against your own document flow before picking.
