PDF2Go Zapier integrationAutomate PDF2Go with Zapier.

The PDF2Go Zapier integration gives you 10 actions, 0 triggers and 0 searches. It compresses, converts, merges, splits and password-protects files inside your Zap, but it never starts one: another app has to hand it the file first.

Overview

What the PDF2Go Zapier integration really does

Connecting PDF2Go to Zapier lets another app pass a file to PDF2Go, which reworks it: smaller, in another format, merged with others, cut into parts or locked with a password. The new file comes back inside the same automation, ready for the next app to store or send.

Three results people build. A PDF light enough to email: PDF Compression shrinks the file at the level you pick. An editable copy of a contract: Convert PDF to Word turns a PDF into a DOCX file, and can read scanned pages when you switch on character recognition. A locked report: Protect PDF adds a password and sets what readers may print, copy or change.

The other actions cover the usual chores: images or Office files into PDF, a PDF into JPG or plain text, pulling out images, merging and splitting.

What Zapier does not do here. PDF2Go has no trigger, so nothing that happens on PDF2Go can start a Zap. It has no search step either. Every Zap puts PDF2Go after the app that receives the file, whether that is a storage folder, a form or an inbox. There is no PDF2Go page for Make or n8n on this site yet; for the platform question in general, read Make vs Zapier and n8n vs Zapier. Compare the operation lists side by side rather than the brand names.

Vocabulary

Zapier words this page uses

Eight terms, in the order you meet them when you build your first automation.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. PDF2Go offers no trigger at all.
Action
What the Zap does once started: the step that writes, sends or converts something for you. All 10 PDF2Go operations are actions.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those and nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by its app the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it quietly otherwise.
Connection
Your PDF2Go account linked to Zapier once, then reused by every PDF2Go step in every Zap you build.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What a PDF2Go Zap costs

PDF2Go is not a premium app on Zapier, so it runs on the free plan. Your bill follows the number of actions that succeed.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • Premium appNo, PDF2Go works on the free plan
  • BilledEach successful action, never the trigger

The trigger from the starting app never costs a task, and neither do Zapier's checks for new items. Each PDF2Go action that goes through counts one task; a failed one counts nothing. Convert an image to PDF then protect it, and each file costs two tasks. The free plan stops at two steps, one trigger and one action, so chaining two PDF2Go actions or adding a filter means moving to a paid plan. The interval grid only concerns the app that starts the Zap.

Connect

Connect PDF2Go to Zapier in three steps

  1. 01

    Open your connections

Go to the Apps page of your Zapier account and click + Add connection. Have a PDF2Go account ready first, plus read or write access on any file you do not own but want the Zap to touch.

  2. 02

    Pick PDF2Go

Type PDF2Go in the search box of the dialog, select it, then confirm with Add connection. A new browser tab opens on the PDF2Go side so you can sign in.

  3. 03

    Sign in and allow access

Log in to PDF2Go in that tab and grant Zapier access to the account. From then on, every PDF2Go step in every Zap reuses this one connection, with nothing to redo.

First Zap

Your first PDF2Go Zap: scans turned into Word files

GoalEach scanned PDF dropped into a Google Drive folder comes back as an editable Word document, with no one converting it by hand.

  1. 01

    Build: choose the starting app

PDF2Go cannot start a Zap, so begin with the app that receives the scans: Google Drive and its New File in Folder event, pointed at an inbox folder for scanned contracts.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account; pick a real scan, since every field mapping that follows relies on it.

  3. 03

    Add Convert PDF to Word

Add PDF2Go, choose Convert PDF to Word, map the Drive file into File and switch on Enable OCR because these are scans, not text PDFs.

  4. 04

    Store the Word file

Add a Google Drive step that uploads the converted file to a different folder from the one the trigger watches. This third step makes it a multi-step Zap, so a paid plan.

  5. 05

    Test, then publish

Test each step and read what came back before going further. When the Word file opens correctly, publish the Zap to switch it on. Only scans added afterwards go through.

Actions

The 10 PDF2Go actions, one by one

PDF2Go gives you 10 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

PDF Compression

Action

In Zapier“Compress a PDF file to reduce its size while maintaining quality”

Makes a PDF smaller so it travels better by email or chat, at the compression level you choose in the step.

When to use it
brochures exported by your design team are too heavy to attach to a sales email.
Watch out
both File and Compression Level are required, so pick a level and test the output before you publish.
2

Convert an Image to a PDF

Action

In Zapier“Convert Image into a single PDF document”

Wraps an image into a single PDF document, handy when the next app or person only accepts PDFs.

When to use it
field technicians send photos of signed delivery slips and your accounting tool wants PDFs.
Watch out
the step takes one File; several photos means several runs and several tasks.
3

Convert a Microsoft Office File to a PDF

Action

In Zapier“Convert Office file into a single PDF document”

Turns a Microsoft Office file into one PDF document, so whoever opens it sees a fixed layout rather than an editable draft.

When to use it
quotes written in Word should leave as PDFs once someone drops them into a shared folder.
Watch out
File is the only required field, so the starting app must deliver the actual Office file.
4

Convert PDF to JPG

Action

In Zapier“Convert a PDF file to JPG image”

Renders a PDF as JPG images, for the places where a picture is easier to share or post than a document.

When to use it
a one-page event flyer made as a PDF needs an image version for posting.
Watch out
the output is a picture, so any text in it can no longer be selected or searched.
5

Convert PDF to Text

Action

In Zapier“Extract text from a PDF document using OCR”

Pulls the words out of a PDF as plain text that a later step can store, search or read.

When to use it
incoming CVs should have their text saved in a spreadsheet next to the candidate name.
Watch out
scanned pages are only images; switch on Enable OCR or the step brings back little or nothing.
6

Convert PDF to Word

Action

In Zapier“Convert a PDF document to a Word (DOCX) file”

Gives you a DOCX version of a PDF, so someone can edit the content instead of retyping it.

When to use it
a partner returns contracts as PDFs and your legal team needs to mark them up.
Watch out
for scanned contracts, tick Enable OCR, otherwise Word receives pictures of pages rather than text.
7

Extract PDF Assets

Action

In Zapier“Extract images, text, and other assets from a PDF file”

Takes a PDF apart and hands back what is inside it: images, text and other embedded pieces.

When to use it
a supplier catalog arrives as a PDF and your product team wants the photos on their own.
Watch out
only File is required; check in the test what comes back before mapping it further.
8

Merge PDFs

Action

In Zapier“Merge multiple PDF files into one”

Combines several PDF files into a single document, in one action.

When to use it
a signed contract and its appendices should be archived as one PDF.
Watch out
Files is required and takes one or more PDFs, so the earlier steps must supply every file you want joined.
9

Protect PDF

Action

In Zapier“Protect a PDF with a password and control printing, copying, and modifications”

Locks a PDF behind a password and sets whether readers can print it, copy from it or modify it.

When to use it
payslips or client reports should never leave your Zap readable by anyone who intercepts them.
Watch out
Password is required; decide where that password lives, because the recipient needs it too.
10

Split PDF

Action

In Zapier“Split a PDF into multiple pages”

Cuts a PDF into several parts at the page numbers or page ranges you give, separated by commas.

When to use it
a monthly batch of scanned invoices should become one file per invoice.
Watch out
Split Positions is required, and a cut happens after each page listed and after every page inside a range.
When it breaks

When a PDF2Go Zap breaks

Zapier attaches no help article to PDF2Go and lists no limit of its own for it, so what breaks here is what breaks on any Zap.

Four situations explain most surprises. None is specific to PDF2Go, but each takes a particular form when the action returns a new file. If a step keeps failing, start with Zapier troubleshooting.

  • Files already there are ignored

A Zap only reacts to what happens after you publish it. PDFs already in the folder stay untouched, and converting that backlog is a separate job.
  • The output restarts the Zap

Save the converted file into the very folder the trigger watches and the Zap fires on its own output, again and again, burning through your tasks.
  • A bulk drop gets held back

Copy a large batch of files at once, after a migration for example, and Zapier's flood protection can hold those items back instead of running them all.
  • Nothing is converted twice

On a polling trigger Zapier remembers what it has already seen, so the same file does not start the Zap a second time.

FAQ

PDF2Go Zapier integration: frequent questions

01Is the PDF2Go Zapier integration free?
Yes, within the limits of Zapier's free plan. PDF2Go is not a premium app, so no paid Zapier plan is needed to use it. The free plan gives 100 tasks a month and Zaps of two steps: one trigger and one action. That covers a Zap such as a new file in a folder followed by PDF Compression. Chain a second PDF2Go action, or add a filter, and the Zap needs a paid plan.
02How many Zapier tasks does PDF2Go use?
One task for each PDF2Go action that succeeds. The trigger from the starting app costs nothing, and neither do the checks Zapier runs to spot new items. A Zap that converts an image to PDF and then protects it uses two tasks per file. An action that fails is not counted against the plan. With 100 tasks a month on the free plan, count your files before going live. A few apps and a few actions take more than one task, so check your usage after the first files.
03Does PDF2Go work in real time on Zapier?
That depends on the app that starts the Zap, because PDF2Go has no trigger. If that app has an instant trigger, it reports the event to Zapier straight away and the PDF2Go action follows. If it has a polling trigger, Zapier checks it at your plan's interval: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Look at the starting app's trigger before promising anyone a turnaround.
04What does it take to connect PDF2Go to Zapier?
A PDF2Go account and a few clicks. On the Apps page of Zapier, click + Add connection, search PDF2Go, confirm, sign in to PDF2Go in the tab that opens and grant access. If the Zap will handle files you do not own, you also need read or write access on them. The connection is then reused by every Zap you build, with nothing to repeat. Test a PDF2Go step once right after connecting, so a sign-in problem shows up before the first real file.
05Why does Split PDF cut a file in the wrong places?
Because Split Positions marks where cuts happen, not which pages to keep. The field is required and takes page numbers or ranges separated by commas. A cut happens after each page you list, and after every page inside a range, so a range produces several single pages. Write the positions, test the step on a real file in the editor, and count the parts before you publish the Zap. For example, 2,5-7 cuts after pages 2, 5, 6 and 7.
06What if the PDF2Go action you need does not exist?
Then the Zapier catalog does not offer it as is: PDF2Go has exactly 10 actions and no trigger or search. Check first whether two actions chained together get there, for example Convert an Image to a PDF followed by Merge PDFs, keeping in mind that it becomes a multi-step Zap on a paid plan. If nothing fits, another automation platform may list different operations for the same app. Compare before building.
07Zapier, Make or n8n for PDF2Go?
Choose on criteria rather than reputation. On Zapier, PDF2Go brings 10 actions and nothing to start a Zap, so the starting app matters as much as PDF2Go itself. It runs on the free plan, but any Zap with two PDF2Go steps or a filter needs a paid one. Billing is per successful action. Put those points against what the other platform lists for the same app before deciding, and check how fast your starting app reports new files.
