What the LeadCenter.AI Zapier integration does for you
The LeadCenter.AI Zapier integration plugs your lead management software into Zapier, a tool that chains apps together without code. You build a Zap (one automation: an event that starts it, then the steps it runs for you) around four kinds of records LeadCenter.AI keeps: leads, events, event attendees and appointments.
Leads routed the moment they land. New Lead, New Lead Matching Source and New Lead Matching Medium pass each lead on, either all of them or only those from the channel you pick. Create Lead and Update Lead work the other way, filling LeadCenter.AI from your forms, ads tools or spreadsheets.
Events and their guest lists kept in sync. New Event, New Event Attendee and their update triggers tell your other tools who registered for what. Create Event, Create Event Attendee and the matching update actions let a webinar or ticketing tool feed LeadCenter.AI instead.
Appointments that follow the calendar. New Appointment and Updated Appointment report bookings, changes and cancellations. Create Appointment, Update Appointment and Cancel Appointment manage them from another app, with Find Appointment to locate the one you mean.
Every one of the ten triggers is instant, so nothing waits for a polling check, even on the free plan. What Zapier does not do here: delete a lead, an event or an attendee. The only removal on offer is Cancel Appointment.

Zapier words, in plain English
Eight terms come back all over this page. One line each.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. LeadCenter.AI offers ten, all instant.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, like updating a lead.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The monthly count on your plan is a count of those.
- Polling vs instant
- Polling: Zapier asks the app for new items on a timer. Instant: the app calls Zapier the moment the event happens, nothing waits.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so later steps can use what it found, like the right lead.
- Connection
- Your LeadCenter.AI account linked to Zapier once, then reused by every LeadCenter.AI step in all your Zaps.
What a LeadCenter.AI Zap really costs
LeadCenter.AI is not a premium app (Zapier's label for apps kept for paid plans and trials), so it works from the free plan. Your budget is counted in tasks.
- Premium appNo, free plan OK
- Free plan tasks100 per month
- Free plan Zap sizeTrigger + one action
- LeadCenter.AI triggers10 instant, 0 polling
The trigger never costs a task, and neither does Zapier waiting for new data. Each action that succeeds counts on its own; one that fails is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. Put Find Lead in front of Update Lead, add a filter or a second action, and you have a multi-step Zap, which needs a paid plan. The polling grid below never slows LeadCenter.AI triggers down, since all ten are instant.
Connect LeadCenter.AI to Zapier in three steps
- 01
Open Apps and add a connection
In your Zapier account, open the Apps page and click + Add connection. A dialog opens with a search box. The connection you create here will serve all 23 LeadCenter.AI operations.
- 02
Pick LeadCenter.AI and confirm
Type LeadCenter.AI in the dialog, select it, then click Add connection. A new tab opens on the LeadCenter.AI side, where you sign in with your account. Keep the Zapier tab open behind it.
- 03
Sign in and grant access
Sign in to LeadCenter.AI and grant Zapier access. You need an account on the app, plus read or write access on any lead, event or calendar you don't own yourself but want the Zap to touch.
Your first LeadCenter.AI Zap: mark leads who sign up for an event
GoalWhen someone registers for a webinar in LeadCenter.AI, find the matching lead and update it.
- 01
Pick the trigger
Building starts with the event. Choose LeadCenter.AI and New Event Attendee, then select your connection. This trigger is instant, so the Zap starts when the attendee is created.
- 02
Test on a real attendee
Run the test. Zapier brings back the three most recent attendees of the connected account, so you map fields on a real registration instead of an empty example.
- 03
Add Find Lead
Add the search Find Lead from the SEARCH part of the action list, and feed it what identifies the person on the attendee. Decide what happens when no lead matches.
- 04
Add Update Lead
Add Update Lead, point it at the lead the search returned, and map what you want recorded. With a search plus an action, this is a multi-step Zap on a paid plan.
- 05
Test, then publish
Test each step once and read what came back. When the right lead changes, click Publish. Only attendees created after that point go through the Zap.

New Lead Matching Medium

The 4 LeadCenter.AI searches on Zapier
4 search steps look for data that already exists in LeadCenter.AI, so a later step can use it.
A search step reads something that already exists instead of guessing it. LeadCenter.AI offers one per kind of record, and they matter here: every update and cancel action needs to know which record to touch. In the editor, searches sit at the bottom of the Action event list, under SEARCH.
Find Appointment
SearchIn Zapier“Searches for an appointment in LeadCenter.”
Looks up an appointment in LeadCenter.AI and returns it, ID included, to the steps that follow.
Find Event
SearchIn Zapier“Searches for an event in Leadcenter.ai.”
Retrieves an event that already exists in LeadCenter.AI, so later steps can attach attendees to it or edit it.
Find Event Attendee
SearchIn Zapier“Searches for an event attendee in Leadcenter.ai.”
Finds an attendee record in LeadCenter.AI, which gives Update Event Attendee the precise registration to change.
Find Lead
SearchIn Zapier“Searches for a lead in Leadcenter.ai.”
Searches your LeadCenter.AI leads and hands the match to the next steps, the usual partner of Update Lead and the guard against duplicates before Create Lead.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet? This box turns a search into a find-or-create. LeadCenter.AI exposes no find-or-create variant on its four searches, so they only ever look things up.
- If multiple search results are found?Three ways out when several records match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When a LeadCenter.AI Zap breaks
Zapier attaches no help article to LeadCenter.AI and documents no limit specific to it. What goes wrong comes from how Zaps work in general, made sharper by an app that has a trigger for nearly every action.
Read these before switching a Zap on. If a run still fails, the next stop is Zapier troubleshooting.
Existing leads are not replayed
A Zap only reacts to what happens after it is switched on. Leads, events and appointments already in LeadCenter.AI never pass through it; moving that backlog is a separate job.Update triggers that loop
Update Lead behind Updated Lead, or Update Event behind Updated Event, writes into the very place the trigger watches. The Zap sets itself off again and again and burns your tasks.A bulk import gets held back
Importing a large list of leads or attendees fires a trigger for a huge batch at once. Zapier's flood protection can hold that batch back.No appointment ID, no update
Update Appointment and Cancel Appointment both require the Appointment ID. If the incoming data does not carry it, add Find Appointment first. The wrong host calendar
Create Appointment fixes the Host Calendar for good. Map the wrong one and the only fix is to cancel and recreate the appointment. The search finds nothing
With the default setting, a search with no result stops the Zap and skips the update after it. Check what you feed the search before blaming the app.
