What the Outdoo AI Zapier integration actually does
Outdoo AI is a roleplay and coaching platform where sales teams rehearse conversations and get feedback on real calls. Zapier connects it to your other tools through a Zap: one trigger (the event that starts the automation) followed by one or more actions (the steps that write, send or move something for you). The catalog is lean: one event coming out of Outdoo AI, one way to push calls in.
Three results you can build. A call log that keeps itself up to date: New Call picks up each call Outdoo AI has processed, and the next step adds it to a sheet or a deal record. A coaching nudge for managers: the same trigger posts a message in the sales channel so the right person reviews the call while it is fresh. Recordings collected from elsewhere: a meeting recorded in another tool starts a Zap, and Upload Call sends the recording into an Outdoo AI workspace.
What Zapier won't do here: there is no search step, so a Zap can't fetch an older call, a user or a workspace by itself. The workspace ID has to be known before you build. Nothing edits or deletes a call either, and no operation lists the users or workspaces of the account. And a Zap only sees calls processed after you publish it, never what was already there.

Zapier vocabulary in one minute
Seven words you will see in the editor, in plain English.
- Task
- What Zapier bills: one action your Zap finishes successfully. Your plan's quota counts those and nothing else.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the unseen ones. New Call works this way.
- Instant trigger
- A trigger the app reports by itself when the event happens, with no wait for a scheduled check. Outdoo AI has none on Zapier.
- Filter
- A step that lets the Zap carry on only when the incoming data meets the condition you set, and stops it otherwise.
- Search step
- A step that finds something already stored in an app so later steps can use it. Outdoo AI offers none on Zapier.
- Connection
- Your Outdoo AI account linked to Zapier once, then reused by every step in every Zap that talks to Outdoo AI.
- Multi-step Zap
- Any Zap past one trigger and one action. A second action, a filter or a search turns it into one, and it then needs a paid plan.
What an Outdoo AI Zap really costs
Outdoo AI is not a premium app: it runs on Zapier's free plan. Tasks are what you pay for.
- Premium appNo, works on the free plan
- Free plan100 tasks a month, two-step Zaps only
- Trigger cost0 task, checks included
- New CallPolling, interval set by your plan
New Call never costs a task, and neither do Zapier's checks for new calls, however often they run. Each action that succeeds counts one task: logging a call and posting to Slack spends two per call. A failed action isn't counted. The free plan gives 100 tasks a month and two-step Zaps only, one trigger plus one action; a filter or a second action needs a paid plan. Because New Call is a polling trigger, your plan also sets how long a fresh call waits before the Zap sees it.
Connect Outdoo AI to Zapier in 3 steps
- 01
Open the Apps page
In Zapier, go to Apps and click + Add connection. You need an Outdoo AI account, plus read or write access to anything you don't own yourself that the Zap should touch.
- 02
Find Outdoo AI
Type Outdoo AI in the search field of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the Outdoo AI side so you can sign in.
- 03
Sign in and grant access
Log into Outdoo AI in that tab and allow Zapier to reach the account. The connection then appears in your list, and every Outdoo AI step in your Zaps can reuse it.
Your first Zap: log processed calls and ping the manager
GoalEach time Outdoo AI processes a new call, add a row to a review sheet and post a message in Slack.
- 01
Set the trigger
Create a Zap, pick Outdoo AI as the app and New Call as the event, then select the connection you just made in the previous section.
- 02
Test with a real call
Run the trigger test. Zapier returns the three most recent calls of your account; pick one so the next steps map against real data.
- 03
Add the sheet row
Add the Google Sheets action and map the call details into your columns. Test the step and check the row it wrote before moving on.
- 04
Add Slack, then publish
Add a Slack action as a second step. The Zap is now multi-step and needs a paid plan. Test it, read the message, then publish to switch the Zap on.
The Outdoo AI trigger
1 event starts a Zap when something happens in Outdoo AI. Zapier checks for them at the interval your plan allows.
New Call
Polling triggerIn Zapier“Triggers when a new call is processed by MeetRecord.”
Picks up each call that Outdoo AI has finished processing and passes it to the next step of your Zap. It's the only event Outdoo AI exposes on Zapier, so every report, alert or CRM update about calls starts from here.
The Outdoo AI action
Outdoo AI gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Upload Call
ActionIn Zapier“Allows Users to Upload Calls”
Sends a recorded call into an Outdoo AI workspace so the team can review it and get feedback. You point it at the recording, tell it who owned the call and who took part.
When an Outdoo AI Zap breaks
Zapier links no help article to Outdoo AI and records no limit specific to it. Trouble comes from Zapier's general rules and from the action's own requirements.
Four cases cover most surprises with this pair of operations. When something still looks off, head to Zapier troubleshooting.
Older calls never show up
A Zap reacts only to calls processed after you publish it. Calls already in Outdoo AI stay where they are; moving that history is a separate job.Uploads that come back as new calls
Upload Call adds calls to Outdoo AI, and New Call watches for new calls there. One Zap holding both can keep restarting itself and burn through tasks. The same call doesn't fire twice
Zapier remembers which calls New Call has already seen, so a call that was picked up once won't start the Zap again on a later check.Recording link expired
Upload Call needs a recording URL that stays downloadable for at least 30 minutes. A link that expires sooner can be dead before Outdoo AI fetches the recording.
