Otixo Zapier integrationAutomate Otixo with Zapier.
The Otixo Zapier integration gives you 1 trigger and 1 action, and no search. Both revolve around Work Space notifications: catch a new one the moment it is posted, or post one yourself from any other tool your team runs.

What the Otixo Zapier integration actually does
Otixo is a team collaboration hub: messaging, shared files and cloud access in one place. Connected to Zapier, it does one narrow thing well. It reports every new notification in a Work Space, and it can post a notification into a Work Space when something happens elsewhere.
Three results you can build with those two pieces. A notification relay: New Notification Posted in one Work Space starts the Zap, and Create Work Space Notification repeats it in another one, so a second team sees it without joining the first. An outside alert inside Otixo: a form, a sale or a ticket in another app starts the Zap, and the Otixo action drops a notification where your team already reads. A notification that leaves Otixo: the Otixo trigger starts the Zap and an action of another app takes it from there, a row in a sheet or a message elsewhere.
The good news first: the only trigger is instant, so it does not wait for any check, even on the free plan.
Now the limits. Zapier offers nothing on shared files or instant messages for Otixo, even though the app handles both. There is no search step either, so a Zap cannot look up an existing Work Space item before acting. Everything here is a notification, in or out.

Zapier words, in plain English
Seven words come back on every line of this page. Here they are once, so the rest reads easily.
- Zap
- An automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for that event.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
- Task
- What Zapier bills you for: one action your Zap completes successfully. Your plan allowance counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
- Filter
- A step that lets the Zap carry on only when what arrived meets your condition, and stops it there otherwise.
- Search step
- A step that looks up something already stored in an app, so later steps can reuse what it found. Otixo has none.
What an Otixo Zap really costs
Otixo is not a premium app, so it works from the free plan onward. What you pay for is the Otixo action, not the trigger.
- Free plan100 tasks a month, unlimited Zaps, two steps per Zap
- Otixo triggerInstant, the polling grid does not apply
- Premium appNo, available on the free plan
- BilledEach successful Otixo action, one task
The trigger never uses a task, and neither does Zapier listening for new notifications. Each Create Work Space Notification that goes through counts as one task. One that fails is not billed. Watch the step count: the free plan builds two-step Zaps only, one trigger and one action. Add a filter, a second action or a search, and the Zap becomes multi-step, which needs a paid plan. On a paid plan, how often a polling trigger checks can also be changed, but that grid never touches the instant Otixo trigger.
Connect your Otixo account to Zapier
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. A connection is your Otixo account linked once to Zapier, then reused by every Zap step that talks to Otixo.
- 02
Find Otixo and confirm
Type Otixo in the search box of the dialog, select it, then click Add connection. Zapier opens a separate tab where Otixo asks you to sign in with the account your team actually uses.
- 03
Sign in and grant access
Log in to Otixo in that tab and allow Zapier to reach your account. Before that, make sure you have an Otixo account and read or write rights on every Work Space you do not own but want a Zap to touch.
Your first Otixo Zap, step by step
GoalRelay notifications from one Work Space into another, keeping only the ones that match a condition.
- 01
Pick the trigger
Build a new Zap, choose Otixo as the app and
New Notification Postedas the event. Select your Otixo connection, then the Work Space to watch. - 02
Test the trigger
Run the test. Zapier brings back the three most recent notifications from that Work Space, so you map the next steps on a real one rather than a guess.
- 03
Add the filter
From the plus icon, add Filter. Set the field to check, the rule and the value. A text rule only works on text, so pick the rule that matches the field.
- 04
Add the Otixo action
Add
Create Work Space Notification, choose a different Work Space as the target, then fill Content, mapping in parts of the notification that started the Zap. - 05
Test, then publish
Test the action and check the notification lands in the target Work Space. Then Publish to switch the Zap on. With the filter, this Zap needs a paid plan.
The Otixo trigger
1 event starts a Zap when something happens in Otixo, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Notification Posted
Instant triggerIn Zapier“Triggers when a new notification is posted in a Work Space.”
Starts your Zap each time a notification appears in the Work Space you picked. That one event can feed any action, in Otixo or in another app, so a team that does not live in Otixo still hears about what happens there.
The Otixo action
Otixo gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Work Space Notification
ActionIn Zapier“Creates a notification in the target Work Space.”
Posts a notification into the Work Space you choose, with the text you write or map from earlier steps. Each one that succeeds costs one task.
When an Otixo Zap breaks
Zapier lists no help article and no documented limit specific to Otixo. What breaks is general Zapier behavior, and it hits this app in four predictable places.
Read these before you publish. The loop is the one that costs money. For deeper diagnosis, see Zapier troubleshooting.
Old notifications are ignored
A Zap only reacts to what happens after you switch it on. Notifications posted before that are never picked up, and moving the backlog is a separate job.The relay that feeds itself
If the action posts into the same Work Space the trigger watches, each new notification starts the Zap again, and the task count drains fast. Always target another Work Space.A burst gets held back
When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back instead of running every item.A Work Space the account cannot reach
Both operations need a Work Space. If the connected account lacks read or write rights on it, the Zap cannot watch it or post into it.
