What the Owllee Zapier integration actually does
Owllee runs the chatbots a business puts in front of its customers. Linking it to Zapier means two things: Zapier can notice when a chatbot shows up on your Owllee account, and any other app connected to Zapier can hand a message to one of your chatbots. That is the whole surface, and it is enough for a few useful jobs.
Three outcomes people actually build. First, a welcome brief for every new bot: Get Chatbots spots the chatbot, and Send Prompt feeds it its first instructions without anyone opening Owllee. Second, a form that talks to your assistant: a form tool, a CRM or a spreadsheet starts the Zap, and Send Prompt passes the visitor's text to the chatbot you pick. Third, a heads-up for the team: Get Chatbots starts the Zap and your messaging tool posts that a new bot exists, so nobody has to go looking for it.
Now the honest part. Zapier does not create, rename or delete a chatbot in Owllee. It has no search step for this app, so a Zap cannot look up a chatbot by name halfway through. And the only trigger works by polling, which means a check on a timer rather than an instant signal. If your plan depends on any of these, the gap is in the integration, not in your setup.

Zapier words, in plain English
Seven words come back on every line of this page. Here they are once, so the rest reads without a dictionary.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in an app on your behalf.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those and only those.
- Polling vs instant
- A polling trigger is checked on a timer and Zapier keeps only what is new. An instant trigger is reported by the app itself, the moment it happens.
- Filter
- A step that lets the Zap continue only when what arrived meets a condition you set, and quietly stops it otherwise.
- Connection
- Your Owllee account linked to Zapier once, then reused by every step in every Zap that touches Owllee.
What a Zap with Owllee really costs
Owllee is not reserved for paid plans, so the free plan is enough to start. What you pay for is tasks, and only one kind of step spends them.
- Trigger check0 tasks
- Successful Send Prompt1 task
- Free plan100 tasks a month, 2 steps per Zap
- Owllee on the free planYes
The Get Chatbots check is free, however often Zapier looks. Each Send Prompt that goes through counts as one task; one that fails counts nothing. The free plan gives you 100 tasks a month and Zaps of two steps only, one trigger and one action. Add a filter or a second action and the Zap becomes a multi-step Zap, which needs a paid plan. A few apps and actions take more than one task, though nothing here marks Send Prompt as one of them.
Connect your Owllee account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an Owllee account first, plus access to any chatbot you did not build yourself but want the Zap to use.
- 02
Find Owllee and add it
Type Owllee in the search box of the dialog, pick it from the results, then click Add connection. Zapier then opens a new tab to talk to Owllee directly.
- 03
Sign in and allow access
Log in to Owllee in that tab and grant Zapier access to the account. The connection is saved once and every future Owllee step reuses it, so you will not repeat this per Zap.
Your first Zap: brief every new chatbot
GoalEach chatbot that appears on your Owllee account receives a first prompt, written once, without you opening Owllee.
- 01
Pick the trigger
Start building: choose Owllee as the app that starts the Zap and Get Chatbots as the event, then select the connection you made above.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent chatbots of the account, so you set up the next steps on a real bot instead of guessing.
- 03
Add a filter (paid plan)
Optional. Pick a value from the trigger, a rule and the value to compare it with, so only the bots you mean go on. This makes the Zap multi-step, which needs a paid plan.
- 04
Add Send Prompt
Choose Owllee again with Send Prompt. Map the chatbot's ID from the trigger into Chatbot ID, then write the Message you want every new bot to receive.
- 05
Test, then publish
Test the action once and read what Owllee sends back. When it looks right, click Publish to switch the Zap on. Stuck on a step? The Zapier training covers the editor.
Owllee trigger
1 event starts a Zap when something happens in Owllee. Zapier checks for them at the interval your plan allows.
Get Chatbots
Polling triggerIn Zapier“Get the list of chatbots”
Reads the list of chatbots on your Owllee account and starts the Zap for each one Zapier has not seen before. A bot that was already there when you switched the Zap on stays out, and the same bot never fires the Zap twice.
Owllee action
Owllee gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Send Prompt
ActionIn Zapier“Send Prompt in Owllee”
Hands a message to one of your Owllee chatbots, taken from any earlier step of the Zap. Two boxes are required: the Chatbot ID, so Owllee knows which bot answers, and the Message itself.
When the Owllee Zap breaks
Zapier attaches no help article to Owllee, and no limit specific to the app is documented. What breaks is what breaks on every Zap, seen through two operations.
Four cases cover almost every surprise on this integration. If one of them does not explain what you see, the Zapier troubleshooting page is the next stop.
Older chatbots never show up
A Zap only reacts to what happens after you switch it on. Bots that already existed are not picked up; briefing them is a separate, one-off job.A big batch of bots stalls
When the trigger suddenly returns a large batch, after a bulk setup or a migration, Zapier's flood protection can hold the run back. The same bot does not fire twice
Zapier remembers which chatbots it has already seen on a polling trigger. Only a chatbot it has never seen starts a new run.The filter stops working on free
A Zap with a filter is multi-step. On the free plan, which allows one trigger and one action, it cannot run, so drop the filter or move to a paid plan.
