Overview

What the AccountEdge Zapier integration actually does

It links AccountEdge, the Mac and Windows accounting software sold to small businesses in the US and Canada, to the other tools you use, through Zapier. A Zap (the automation you build on Zapier) starts on an AccountEdge event, like a new quote or an edited vendor, and then does something for you, inside AccountEdge or elsewhere.

A lead that turns into a customer card. A contractor logs prospects as leads; Lead starts the Zap and Create Customer opens the customer record, so nobody types the same name twice.

A purchasing alert for the warehouse. A hardware wholesaler watches Purchase Order and sends each new order to the team chat or to a shared sheet, outside AccountEdge.

Vendor records kept in step. When a bookkeeper edits a supplier, Update Vendor fires and the change can be copied to a supplier list kept in another tool by the buyers.

What Zapier does not do here: none of the triggers is instant, so every event waits for the next check. There is no visible search, so the Zap cannot look up an existing customer by name. And the actions stop at customers and vendors: no invoice, quote or purchase order is created from Zapier. If you are weighing other platforms, the Make vs Zapier comparison is a good place to start.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action your Zap finished successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant one is reported by the app the moment it happens. All AccountEdge triggers poll.
Filter
A step that lets the Zap carry on only when the incoming data meets the condition you set, and stops it otherwise.
Connection
Your AccountEdge account linked to Zapier once, then reused by every step of every Zap that touches AccountEdge.
Cost

What it really costs in tasks

AccountEdge is not a premium app, so it runs on the free plan. The bill is counted in tasks, not in checks.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, 2-step Zaps
  • What is billedEach successful action
  • What is freeTriggers and checks

The trigger never costs a task, and neither does Zapier looking for new records, however often it checks. Each action that succeeds counts once; a Zap with three actions eats three times more than a Zap with one. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter, a second action or a search, and the Zap becomes a multi-step Zap that needs a paid plan.

Connect

Connect AccountEdge to Zapier in three steps

  1. 01

    Open your Apps page

In your Zapier account, go to the Apps page and click + Add connection. You need an existing AccountEdge account, plus read or write access to anything you do not own yourself.

  2. 02

    Pick AccountEdge

Type AccountEdge in the search box of the dialog, select it, then click Add connection. A new browser tab then opens on the AccountEdge sign-in screen.

  3. 03

    Sign in and allow access

Log in with your AccountEdge credentials and grant Zapier access to the account. The tab closes and the connection appears in your list, ready for every Zap that uses AccountEdge.

First Zap

Your first AccountEdge Zap

GoalTurn qualified AccountEdge leads into customer records without retyping them.

  1. 01

    Create the Zap

Start a new Zap in the editor, pick AccountEdge as the app that starts it and Lead as the event, then select the connection you just added.

  2. 02

    Test the trigger

Click test: Zapier brings back the three most recent leads of the account. Pick a real one so the rest of the setup works on actual data.

  3. 03

    Add a filter

From the plus icon, add Filter, choose the lead value to look at, a rule of the right type and the value to compare with. This step makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the action

Add AccountEdge again with Create Customer and map the lead details into the customer fields. Test the step and check the new record in AccountEdge.

  5. 05

    Publish

Click Publish to switch it on. From then on, Zapier checks for new leads at your plan's interval; older leads stay where they are.

Triggers

AccountEdge triggers on Zapier

9 events start a Zap when something happens in AccountEdge. Zapier checks for them at the interval your plan allows.

1

Customer

Polling trigger

In Zapier“Triggers when a new customer is created.”

Starts your Zap each time someone adds a brand new customer card in AccountEdge. Edits to existing customers do not count here; this one only reacts to fresh records.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a design studio that wants every new client added to its project tool and its mailing list once the bookkeeper creates the card.
Watch out
customers created before the Zap went live are never picked up, so an initial import is a separate job.
2

Lead

Polling trigger

In Zapier“Triggers when a new lead is created.”

Watches the prospects side of AccountEdge and kicks off the Zap when a new lead record appears. It is the earliest point in the sales cycle you can hook into from Zapier.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a roofing contractor who logs every estimate request as a lead and wants the sales rep pinged on the team chat.
Watch out
on the free plan the rep hears about the lead on the next check, not instantly, so do not promise callbacks within minutes.
3

Purchase Order

Polling trigger

In Zapier“Triggers when a new purchase order is created.”

Fires on new purchase orders, the documents you raise when buying stock or services from a vendor. It lets the buying side of the business reach tools outside accounting.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a parts distributor whose warehouse team works from a shared spreadsheet and needs a new row for each incoming order.
Watch out
no action on this page creates purchase orders, so the flow only runs one way, out of AccountEdge.
4

Sale Invoice

Polling trigger

In Zapier“Triggers when a new sale invoice is created.”

Reacts whenever a fresh sales invoice is recorded in AccountEdge. An invoice usually means work is done, which makes it the natural moment to tell people outside the books.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a cleaning company that logs every billed job in a shared tracker so the operations manager sees revenue per site.
Watch out
if you bulk-enter a backlog of invoices, the sudden batch can be held back by Zapier's flood protection.
5

Sale Order & Quote

Polling trigger

In Zapier“Triggers when a new sale order or quote is created.”

Covers the step before invoicing: a new sales order or a new quote sets the Zap off. Both document types share this single trigger, so one Zap handles them together.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a furniture maker who wants each quote copied to a follow-up board so nobody forgets to chase it.
Watch out
quotes and orders arrive mixed; add a filter if only one kind should continue, which makes the Zap multi-step.
6

Update Customer

Polling trigger

In Zapier“Triggers when a customer record is updated.”

Listens for changes on customer cards that already exist, such as a new address or phone number typed in by the office. New customers go through the Customer trigger instead.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a landscaping business that mirrors its client contact details in the scheduling app its crews use on site.
Watch out
pairing it with the Update Customer action on the same record makes the Zap set itself off again and again.
7

Update Lead

Polling trigger

In Zapier“Triggers when a lead record is updated.”

Picks up edits on existing lead records rather than brand new ones. Use it when the useful signal is a change in the prospect's details, not their first appearance.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
an IT services firm whose reps refine a lead after the first call and want the revised version pushed to the sales pipeline.
Watch out
when you test it, Zapier brings back the three most recent leads, so pick one that was really edited before mapping the rest.
8

Update Vendor

Polling trigger

In Zapier“Triggers when a vendor record is updated.”

Fires when a supplier record already in AccountEdge gets edited: a changed email, a new contact person, revised terms. It keeps people outside the accounting team aware of supplier changes.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a restaurant group whose kitchen managers order from a supplier list kept in a separate spreadsheet.
Watch out
an Update Vendor action writing back to that same supplier creates a loop that burns through tasks.
9

Vendor

Polling trigger

In Zapier“Triggers when a new vendor is created.”

Runs when a new supplier is added to AccountEdge. Think of it as the onboarding signal for anyone you will buy from, separate from the edits tracked by Update Vendor.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a print shop that sends each new paper supplier to its purchasing checklist so someone validates terms before the first order.
Watch out
suppliers created before you publish the Zap stay outside its reach; Zapier only sees what comes after.
Actions

AccountEdge actions on Zapier

AccountEdge gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Customer

Action

In Zapier“Creates a Customer”

Opens a new customer card in AccountEdge from data another step carried, so a sale closed in a form or CRM lands in the books ready to invoice.

When to use it
a web shop that wants every first-time buyer set up as an AccountEdge customer.
Watch out
with no search to check for duplicates, the same person can be created twice.
2

Create Vendor

Action

In Zapier“Creates a Vendor.”

Adds a supplier record to AccountEdge, the buying-side twin of Create Customer, so new suppliers approved elsewhere reach the accounts payable list.

When to use it
a contractor whose subcontractors fill in an onboarding form before their first job.
Watch out
a Zap started by the Vendor trigger should never feed this action, or it loops.
3

Update Customer

Action

In Zapier“Update a Customer”

Edits a customer card that already exists, keeping AccountEdge aligned when details change in another tool. It needs the customer id to know which card to touch.

When to use it
a subscription box business that lets clients change their address in a portal.
Watch out
without the id, the step fails and costs nothing, but nothing changes either.
4

Update Vendor

Action

In Zapier“Update a Vendor”

Changes an existing supplier record so that the version in AccountEdge follows edits made elsewhere, for example by the purchasing team.

When to use it
a bakery that tracks flour and packaging suppliers in a shared sheet and wants AccountEdge to follow.
Watch out
if the Update Vendor trigger starts the same Zap, the edits keep bouncing back.
When it breaks

When an AccountEdge Zap breaks

Zapier attaches no help article to AccountEdge, so the traps below are the general ones that hit this app hardest.

With nine polling triggers and two update actions, the classic failures here are loops and surprises about timing. Read these four before publishing; if a Zap still misbehaves, the Zapier troubleshooting page is the next stop.

  • The past is never picked up

A Zap reacts only to customers, invoices or orders created after it was switched on. Moving the existing backlog is a separate job.
  • Update trigger plus update action loop

A Zap that writes into the record its own trigger watches, like Update Customer feeding Update Customer, keeps setting itself off and eats tasks fast.
  • Bulk entries get held back

After a bulk import or a migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection.
  • No duplicate runs per item

Zapier remembers what it already saw on a polling trigger, so the same invoice or lead does not start the Zap twice.

FAQ

AccountEdge Zapier integration: questions people ask

01Is the AccountEdge Zapier integration free?
Yes, it works on the free plan because AccountEdge is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. As soon as you add a filter, a second action or a search, the Zap becomes multi-step and needs a paid plan. Pricing tiers change often, so check the current plan table on Zapier before committing.
02How many tasks does an AccountEdge Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier checking AccountEdge for new records is free, however often it happens. A Zap that turns a lead into a customer costs one task per lead; a Zap with three actions costs three per run. Failed actions are not billed. The real risk is a loop between an update trigger and an update action, which can drain the monthly count quickly.
03Does AccountEdge trigger Zaps in real time?
No. All nine AccountEdge triggers are polling triggers, which means Zapier asks AccountEdge for new items on a timer. The interval depends on the plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The app itself decides this, and no setting in the editor makes it instant. On paid plans you can also run a check by hand from the editor. Plan for a short delay rather than an instant reaction.
04What does it take to connect AccountEdge?
An AccountEdge account, plus read or write access to anything you want the Zap to touch that you do not own yourself. The connection is made once from the Apps page with + Add connection, then a sign-in tab where you grant Zapier access. After that, every Zap that uses AccountEdge reuses the same connection, so there is nothing to repeat per Zap. When you first test a trigger, Zapier brings back the three most recent items of the account, so you work on real data right away.
05Why does the Update Customer action fail?
Most of the time the customer id is missing. Update Customer requires it to know which card to edit, and AccountEdge offers no visible search step on Zapier to find it by name. The id must come from an earlier step or be entered by hand. A failed run is not billed as a task, but the customer card stays unchanged, so check the Zap history after the first runs.
06What if the AccountEdge operation you need is missing?
Then Zapier simply does not offer it for this app today: the visible list is 9 triggers and 4 actions. Creating invoices, quotes or purchase orders from Zapier is not possible, for instance. The workaround is to start the Zap elsewhere and let AccountEdge receive only customers and vendors, or to look at another automation platform that may cover the missing step. Either way, the list on the app page is the one to trust.
07Zapier, Make or n8n for AccountEdge?
It depends on your criteria rather than a single winner. Zapier offers the 13 AccountEdge operations listed here, ready to use and on the free plan. If you need operations this list lacks, check whether the other platform offers them for AccountEdge before choosing. Budget, who maintains the automation and whether you host it yourself also weigh in. Compare on those points rather than on reputation. Start from the operation you need, then pick the tool.
