ParcelParcel Zapier integrationAutomate ParcelParcel with Zapier.

The ParcelParcel Zapier integration gives you 1 trigger, 3 actions and 2 searches. Enough to compare shipping options, create the draft, fetch its label and follow it, without retyping addresses. The draft action is also where most first Zaps fail.

Overview

What the ParcelParcel Zapier integration does for you

ParcelParcel is an online shipping platform for sending parcels anywhere in the world, run from your ParcelParcel account. On Zapier, it covers the whole life of a shipment: an event when one is created, actions to compare carriers, create a draft and get the labels, and searches to find or track what already left.

Three results show up most in practice. Labels that reach the warehouse without anyone downloading them: New Shipment starts the Zap, Get Shipping Labels fetches the PDF, and an email or a shared folder takes it from there. Drafts that build themselves from an order: Create a (Draft) Shipment takes the addresses, weight and customs details from the tool where the order lives, and leaves the booking to a human. A tracking status in the tools your team reads: Track Shipment looks up the checkpoints of a tracking number and hands them to the next step.

Limits to know before you start. A draft can only be created for parcel shipments, nothing else. There is no action to cancel or edit a shipment, and no trigger for a status change: if you need to react when a parcel is delivered, the Zap has to look it up with a search rather than wait for an event. And the draft action is long, with dozens of required fields, most of them about customs.

For a wider view of the platform, there is a Zapier review, plus the Make vs Zapier and n8n vs Zapier pages.

Vocabulary

Zapier vocabulary, in plain words

Eight terms come back across this page. Here they are once, in ordinary words.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. ParcelParcel has one, New Shipment.
Action
What the Zap does once started: the step that writes, sends or moves something for you, such as creating a draft shipment.
Task
The unit Zapier bills: one action your Zap completes successfully. The count on your plan is a count of those.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits for Zapier's next check.
Polling trigger
The other kind: Zapier asks the app for new items at a fixed interval that depends on your plan.
Search step
A step that looks up something that already exists, a shipment for instance, so later steps can use what it found.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.
Cost

What it really costs in tasks

ParcelParcel is not a premium app: it works on Zapier's free plan. The bill is counted in tasks.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • Premium appNo, works on the free plan
  • Search or filterMakes the Zap multi-step, paid plan

The New Shipment trigger never costs a task, and neither does Zapier checking for new data. Each action that completes, a draft created or a label fetched, counts as one task, and a failed one does not count. The free plan stops at two steps: one trigger, one action. Once you add a search, a filter or a second action, the Zap is multi-step and needs a paid plan. New Shipment is instant, so the interval grid does not apply to it.

Connect

Connect ParcelParcel to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. You need a ParcelParcel account, with access to the shipments the Zap will read or create.

  2. 02

    Pick ParcelParcel

Search for ParcelParcel in the dialog, select it, then click Add connection. A new tab opens on the ParcelParcel side to finish linking the accounts.

  3. 03

    Sign in and grant access

Sign in to ParcelParcel in that tab and allow Zapier to access the account. The connection then appears in your list and every ParcelParcel step reuses it.

First Zap

Your first Zap: each new shipment sends its label to the warehouse

GoalEach shipment created in ParcelParcel fetches its labels as a PDF and emails them to the warehouse team.

  1. 01

    Pick the trigger

Start a Zap, choose ParcelParcel and New Shipment as the event, then your connection. It is instant, so the Zap starts right away on every plan.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent shipments of the account, so you map the next steps on a real one instead of an empty sample.

  3. 03

    Fetch the labels

Add ParcelParcel and Get Shipping Labels, then put the shipment from the trigger into the required Shipment ID field. The step returns the labels as a PDF file.

  4. 04

    Send them on

Add Gmail and Send Email, address it to the warehouse and attach the PDF from the previous step. With three steps, this is a multi-step Zap, which only runs on a paid plan.

  5. 05

    Test, then publish

Run each step once and open the PDF that arrived. When it is the right label, click Publish. Shipments created before that moment are not sent.

Triggers

The ParcelParcel trigger

1 event starts a Zap when something happens in ParcelParcel, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Shipment ✔️

Instant trigger

In Zapier“Triggers when you create a new shipment in MyParcelParcel.”

Starts a Zap each time a shipment is created in ParcelParcel. It is the single entry point of the integration: every automation that has to begin inside ParcelParcel begins here, whatever comes next in the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
getting the labels to the warehouse, logging each shipment in a spreadsheet, or telling the customer their parcel is on its way.
Watch out
it fires on creation only. A shipment that later changes status does not start the Zap again, so tracking needs the Track Shipment search instead.
Actions

The 3 ParcelParcel actions

ParcelParcel gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Compare Shipping Options

Action

In Zapier“Compares shipping options from your MyParcelParcel account”

Asks ParcelParcel for the shipping options open to a parcel before anything is booked, so a later step can show or log them. It needs the shipment type, the number of pieces, two ISO-2 country codes and an insurance choice.

When to use it
showing a customer the shipping options for the parcel they described in a form.
Watch out
the pieces count must be a plain whole number, never "2 pcs".
2

Create a (Draft) Shipment

Action

In Zapier“Creates a (draft) shipment in MyParcelParcel”

Builds a shipment in your account from the data of another app, saved as a draft by default; an option books it with the carrier straight away. Expect a long form: sizes, weight, contacts, customs.

When to use it
turning a paid order into a ready draft that someone only checks and submits.
Watch out
drafts only work for parcel shipments, and the weight takes one decimal at most, with no "kg".
3

Get Shipping Labels

Action

In Zapier“Retrieves the shipping documents (labels) for a shipment as a PDF file.”

Retrieves the labels of an existing shipment as one PDF file, ready to attach to an email or drop in a shared folder. The only required field is the Shipment ID.

When to use it
right after New Shipment, so the warehouse gets the label without logging in.
Watch out
the ID must come from an earlier step; typing one by hand makes the Zap fetch the same label every time.
Searches

The 2 ParcelParcel searches

2 search steps look for data that already exists in ParcelParcel, so a later step can use it.

The searches sit at the bottom of the action event list, under the SEARCH heading. Each one finds a shipment that already exists and passes it to the steps that follow. Three settings decide what happens when the result is not what you expected.

1

Find Shipments

Search

In Zapier“Finds and filters shipments linked to your ParcelParcel account.”

Looks through the shipments of your ParcelParcel account and filters them, so the Zap works on ones that already exist instead of creating new ones.

When to use it
before fetching labels for an order, to pick up the shipment that was created for it.
Watch out
several shipments can match, so check the multiple results setting before relying on the first one.
2

Track Shipment

Search

In Zapier“Retrieves tracking status and checkpoints for a shipment by tracking number.”

Returns the tracking status and the checkpoints of a parcel from its carrier tracking number, the one required field. This is how a Zap learns where a parcel stands, since no trigger reports status changes.

When to use it
answering a customer ticket with the latest checkpoint.
Watch out
to try it without a real parcel, ParcelParcel gives 123456789 as a test number.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps after it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. ParcelParcel exposes no such variant, so you will not see it on these two searches.
  3. If multiple search results are found?
Three ways out when several shipments match: keep the first one, the default, stop the Zap, or hand all of them on at once.
When it breaks

When the Zap breaks

Zapier attaches no help article to ParcelParcel and no app-specific rate limit is documented. The failures come from the fields and from how every Zap behaves.

Six cases are worth checking before you publish, four from the ParcelParcel forms and two from Zapier itself. Each has a plain fix. For anything stranger, the Zapier troubleshooting page goes further.

  • A unit inside a number field

Counts, length, width and height take whole numbers, weight takes one decimal at most. A value such as "30 cm" or "2 pcs" from a form stops the draft.
  • A country written out in full

Every country field expects an ISO-2 code, such as NL or US. A form that sends "Netherlands" or "United States" needs a conversion step before ParcelParcel.
  • A currency symbol in the value

The value per item must look like 10.20 or 40, with no currency sign or text. A price copied from a store with its symbol attached is refused.
  • A draft for something that is not a parcel

Drafts are only possible for parcel shipments. Pick another shipment type in Create a (Draft) Shipment and the action has nothing it can create.
  • Past shipments are never picked up

A Zap only reacts to what happens after it is switched on. Shipments created before publishing never start New Shipment; sending their labels is a separate job.
  • A burst after a bulk import

When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold the Zap back rather than run it on every item.

FAQ

ParcelParcel Zapier integration: FAQ

01Is the ParcelParcel Zapier integration free?
Yes, on the Zapier side. ParcelParcel is not a premium app, so it works on the free plan, with 100 tasks per month and unlimited Zaps. The limit is the shape of the Zap: the free plan builds two steps, one trigger and one action. New Shipment followed by Get Shipping Labels fits. Add an email to send that label, a search, or a filter, and the Zap becomes multi-step, which requires a paid plan. Shipping costs on ParcelParcel itself are a separate matter.
02How many tasks does a ParcelParcel Zap use?
One task per action that completes. The New Shipment trigger costs nothing, and neither does Zapier checking for new data. A Zap that fetches a label and then emails it uses two tasks per shipment, one for each action. A failed action, such as a draft refused because of a badly formatted field, is not counted. Plan your volume accordingly: every action you add raises the count for each shipment, and a two-action Zap already runs on a paid plan.
03Is ParcelParcel real time on Zapier?
For the trigger, yes. New Shipment is instant: ParcelParcel reports each new shipment to Zapier itself, and the Zap starts straight away on every plan, so the polling grid of 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise does not apply. Status changes are another story. No trigger reports them, so a Zap only knows where a parcel stands when it runs the Track Shipment search. In the editor, a Zap built on New Shipment shows a lightning bolt.
04What does it take to connect ParcelParcel to Zapier?
A ParcelParcel account, with access to the shipments the Zap will read or create. In Zapier, open the Apps page, click + Add connection, search for ParcelParcel, click Add connection, then sign in to ParcelParcel in the tab that opens and grant Zapier access. The connection is created once and reused by every step. Before the first draft, gather what the form demands: contacts with email and phone for both sides, ISO-2 country codes and customs details.
05Why does Create a (Draft) Shipment keep failing?
Almost always because of a format, not a connection. Counts and dimensions want whole numbers with no unit, weight wants one decimal at most and no "kg", countries want ISO-2 codes, and the value per item wants a number with no currency sign. On top of that, drafts only work for parcel shipments. Run the action once with a real order during the test, read the error, fix the mapping, and only then publish. Reformatting steps before the action make the Zap multi-step.
06What if the ParcelParcel operation you need does not exist?
Then Zapier cannot do it with this app today. The integration covers one trigger, three actions and two searches: no action to cancel or edit a shipment, no trigger on delivery or status change. For status, Track Shipment is the way round: a Zap looks it up rather than waits for it. For anything else, check the app page before building, and look outside this integration for the step Zapier cannot do.
07Zapier, Make or n8n for ParcelParcel?
Choose on criteria, not on a ranking. On Zapier the facts are known: one instant trigger, three actions, two searches, and a free plan limited to 100 tasks and two-step Zaps, while the example flow on this page already needs three. Check whether the other platforms list ParcelParcel and cover the same draft fields. Then weigh your shipment volume, how much reformatting your order data needs, and who on the team will maintain the flow.
