Overview

What the Parklio Zapier integration lets you hand off

The Parklio Zapier integration connects your Parklio account to Zapier so that something happening in another app (a booking, a form, a calendar entry) can act on your connected parking devices. Parklio is a smart parking platform that manages who gets in and how the space is used, through devices linked to your account.

Three results come out of it. Access handed out without a phone call: a booking arrives in another tool, and Create Shared Key sends a Parklio access key to the guest's email, with a start time and, if you want, no expiry. A device that moves on cue: Open Product and Close Product switch a parking device to open or closed when an event elsewhere says so. And a clean inventory: List Owned Products returns every product linked to your account in one step, which is where you read the product IDs the other three actions ask for.

And what Zapier does not do here. Parklio has no trigger, so a Parklio event (a device changing state, for example) can never start a Zap. There is no search either, and no step to revoke a key once it is shared. Everything starts in another app, and Parklio only ever comes second.

If you are still picking a tool, our Make vs Zapier and n8n vs Zapier pages are there.

Vocabulary

Zapier vocabulary in one minute

Seven words from the editor, explained once here and reused as is below.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. For Parklio, it always comes from another app, since Parklio offers none.
Action
What the Zap does once started: the step that writes, sends or moves something for you, like opening a Parklio device.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan is a count of those.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the new ones.
Instant trigger
A trigger the app reports itself the moment the event happens, so nothing waits for the next check from Zapier.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Cost

What a Parklio Zap costs

Parklio is not a premium app, so it works on Zapier's free plan. The trigger in the other app costs nothing, and neither do Zapier's checks.

  • Trigger and checksFree
  • Each successful Parklio action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

Each Parklio action that succeeds counts as one task, and a failed one is not counted. A Zap that shares one key per booking uses one task per booking. The free plan gives 100 tasks a month and checks every 15 minutes, but it builds two-step Zaps only: one trigger, one action. Chaining List Owned Products before Open Product, or adding a filter, makes the Zap multi-step, which needs a paid plan on Zapier.

Connect

Connect Parklio to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. A connection is your Parklio account linked to Zapier once, then reused by every Parklio step in every Zap.

  2. 02

    Pick Parklio

Search for Parklio in the dialog, select it, then click Add connection. A new tab opens where Parklio asks you to sign in with your own account, the one your devices are linked to.

  3. 03

    Sign in and grant access

Sign in to Parklio and allow Zapier to reach the account. You need a Parklio account, plus access to any device you do not own yourself but want a Zap to open, close or share.

First Zap

Your first Parklio Zap

GoalEach confirmed booking gets its own Parklio access key, sent to the guest's email, with a filter so that cancelled requests are left out.

  1. 01

Pick the trigger in the other app

Create a Zap and choose the app where bookings land, with its new-entry event. Parklio cannot start the Zap, so the first step always belongs to another tool.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of that account, so you build the rest of the Zap on a real booking rather than on an empty one.

  3. 03

    Add the filter

Add a Filter from the plus icon, then set the field, the rule and the value that mean the booking is confirmed. This makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add Create Shared Key

Add Parklio with Create Shared Key. Enter the Product Id, map the guest's email into Receiver Email, set the start time and choose whether the key expires.

  5. 05

    Test, then publish

Test the step, check that the key reached the right person, then click Publish. Only bookings that arrive after that moment will start the Zap.

Actions

Parklio actions, grouped by what they do

Parklio gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Close Product

Action

In Zapier“This action changes the state of a product to 'closed'. By providing the product ID.”

The reverse move: puts a Parklio device back to closed, so the space is protected again once the reason for opening it is over.

When to use it
a booking ends in your reservation tool and the spot should be locked for the next guest.
Watch out
it takes the same Product Id as Open Product, so keep the two Zaps pointing at the same device.
2

Create Shared Key

Action

In Zapier“Shares device access keys with a specified user, whether existing or new.”

Shares a device access key with one email address. If that person has no Parklio account yet, they are invited to create one and find the key in the Parklio connect app once registered.

When to use it
a visitor books a spot and should get access without anyone at the front desk.
Watch out
the start time must follow ISO 8601, like 2025-05-21T12:19:35.249Z, and Is Unlimited takes 1 for no expiry or 0 for a key that ends.
3

List Owned Products

Action

In Zapier“Get a full list of all the products linked to your account in just one step.”

Returns every product linked to your Parklio account in a single step. It is the step that gives you the product IDs the three other actions need.

When to use it
once while you set things up, to read the data ID of each device before wiring Open, Close or Create Shared Key.
Watch out
it is an action, so each run that succeeds counts as a task like any other.
4

Open Product

Action

In Zapier“This action changes the state of a product to 'open'. By providing the product ID.”

Switches one Parklio device to open, from an event that happened somewhere else, so access to the space is granted.

When to use it
a delivery is marked as arriving in your logistics tool and the bay should be free for it.
Watch out
the Product Id is required and comes from what List Owned Products returns, not from the device label.
When it breaks

When a Parklio Zap breaks

Zapier links no help article to Parklio, so the cases below come from Zapier's general rules and from the fields Parklio requires.

Since every Parklio Zap starts in another app, half the surprises come from that first step, and the other half from a missing or malformed field. If a Zap is already misbehaving, start from our Zapier troubleshooting page.

  • Older bookings never get a key

A Zap only reacts to what happens after you switch it on. Bookings that already existed in the other app will not start it, and sharing those keys is a separate job.
  • The device does not move

The Product Id is wrong or missing. It must be the data ID returned by List Owned Products, and a device you cannot access will not respond either.
  • Create Shared Key rejects the start time

The start time has to follow ISO 8601. A date typed the way people write it in a form will fail until it is reformatted in that pattern.
  • A big batch is held back

When the trigger in the other app suddenly returns a huge batch, after an import for example, Zapier's flood protection can hold it back.

FAQ

Parklio Zapier integration: frequent questions

01Is the Parklio Zapier integration free?
Yes, as long as the Zap fits the free plan. Parklio is not a premium app, so it runs on Zapier's free plan, which gives 100 tasks a month and checks every 15 minutes. The limit is the shape: the free plan builds two-step Zaps only, one trigger in another app and one Parklio action. A filter, a second action or a search makes the Zap multi-step, and that needs a paid plan. Prices are not listed here because Zapier changes them too often.
02How many tasks does a Parklio Zap use?
One task per Parklio action that succeeds. The trigger in the other app costs nothing, and Zapier's checks are free however often they run. A Zap that shares one key per booking uses one task per booking. A Zap that opens a device, then closes it later in a second Zap, uses one task in each. List Owned Products is an action too, so each successful run of it counts. An action that fails is not counted against your plan.
03Can a Parklio Zap react in real time?
It depends entirely on the other app, because Parklio has no trigger of its own. If that app offers an instant trigger, the Zap starts without waiting for any interval, whatever your plan. If its trigger is polling, Zapier checks on a timer: every 15 minutes on the free plan, every 2 minutes on Professional, every minute on Team and Enterprise. Pick the starting app with that in mind when timing matters, as it does for opening a parking device.
04What does it take to connect Parklio to Zapier?
A Parklio account and access to the devices you want to drive. From the Apps page in Zapier, add a connection, search for Parklio, sign in in the tab that opens and grant access. If a Zap is going to open, close or share a device you do not own yourself, your login needs access to it. Then run List Owned Products once to collect the product IDs that the other three actions require before they can work.
05Where do Parklio product IDs come from?
From List Owned Products. Open Product, Close Product and Create Shared Key all require a Product Id, and that ID is the data ID value in what List Owned Products returns. The simplest way is to add that action to a test Zap, run the test, and note the data ID of each device. Then type or map that value into the Product Id field of the action you actually need, one device per step.
06What if the Parklio operation you need is not there?
Then Zapier cannot do it with Parklio today. The app offers four actions: open a device, close a device, share an access key and list your products. There is no trigger, so nothing happening in Parklio can start a Zap, no search, and no step to revoke a shared key. Anything outside those four actions stays a manual job in Parklio. Check your use case against them before you plan the build.
07Zapier, Make or n8n for Parklio?
Decide on criteria, not on a ranking. On Zapier, Parklio offers four actions and no trigger, and it runs on the free plan as long as the Zap has two steps. So ask: will Parklio only ever follow another app, or do you need Parklio events to start things? Is the starting app instant, or is its check interval acceptable for a parking device? Do four actions cover your case? Then ask the same of the other tools you are weighing.
