Overview

What the Patientdesk AI Zapier integration does

The Patientdesk AI Zapier integration connects Patientdesk AI, an operating system for dental clinics built around AI, to your other tools through Zapier, a service that automates work between apps without code. A confirmed online booking goes out to the rest of the clinic, and an outbound call to a patient can be started from elsewhere.

Three results make it worth setting up. Every confirmed booking lands where the clinic already looks: New Online Booking starts the automation, and a sheet, a calendar or the team chat receives it. A patient who needs a call gets one without a receptionist dialing, because Start Outbound Call creates the call job in Patientdesk AI from a list, a form or a CRM. And the two can work together, so a booking also kicks off the call job you planned for it.

The limits are just as plain. One trigger and one action is all there is: no search, so an automation cannot look up a patient in Patientdesk AI, and nothing to change or cancel a booking. Each call job targets one patient, so a list of names means one run per name. Nothing that happened before the automation was switched on comes back, so plan any catch-up separately.

Vocabulary

Zapier words you will meet on this page

Seven terms in plain words. The rest of the page uses them without explaining them again.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event takes place.
Trigger
The event that starts a Zap, here a confirmed online booking in Patientdesk AI. Once the Zap is on, Zapier waits for it.
Action
The step that does the work once the Zap has started, such as creating an outbound call job for one patient in Patientdesk AI.
Task
What Zapier bills: one action completed successfully. The figure on your plan is a count of those, nothing else.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself. New Online Booking is instant.
Filter
A step that lets the Zap carry on only when the incoming item meets your condition, and stops it right there otherwise.
Connection
Your Patientdesk AI account linked to Zapier once, then reused by every step of every Zap that touches Patientdesk AI.
Cost

What a Patientdesk AI Zap really costs

The trigger never costs a task. Patientdesk AI is not a premium app (one Zapier keeps for paid plans and trials), so both operations work from the free plan.

  • Trigger0 tasks
  • Each call job created1 task
  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • Premium appNo

Each action that succeeds counts as one task, so each call job that goes through is one task; one that fails counts nothing. The free plan gives 100 tasks a month, but only two-step Zaps: one trigger, one action. A booking that starts a call fits in that. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below is for polling triggers only, so it never slows New Online Booking.

Connect

Connect Patientdesk AI to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Patientdesk AI account first, plus access to anything in the clinic's account you do not own and want a Zap to touch.

  2. 02

    Pick Patientdesk AI

Type Patientdesk AI in the search box of the dialog, select it in the results, then click Add connection. Zapier sends you on to Patientdesk AI so you can sign in.

  3. 03

    Sign in and grant access

In the tab that opens, sign in with the clinic account the Zap should act for, then grant Zapier access. The connection is saved, and both the trigger and the action reuse it.

First Zap

Your first Zap: log each booking and start the call job

GoalWhen an online booking is confirmed, log it in a sheet and start an outbound call job for that patient.

  1. 01

    Build: choose the trigger

In the editor, pick Patientdesk AI as the app that starts the Zap, New Online Booking as the event, then select the connection you added earlier.

  2. 02

    Test the trigger

Run the trigger test. Zapier brings back the three most recent confirmed bookings of the account, so the next steps are mapped on a real one rather than an empty form.

  3. 03

    Log the booking

Add your spreadsheet app as the first action and map the booking details from the test item into a new row. On the free plan, the Zap stops here: one trigger, one action.

  4. 04

    Start the call job

Add Start Outbound Call and map Patient Phone Number from the booking. Two actions make the Zap multi-step, so this version needs a paid plan and uses two tasks per booking.

  5. 05

    Test, then publish

Test each action once, with a phone number you control, and read what came back. Then click Publish. Only bookings confirmed after that will start the Zap.

Triggers

The Patientdesk AI trigger

1 event starts a Zap when something happens in Patientdesk AI, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Online Booking

Instant trigger

In Zapier“Triggers when a Patientdesk online booking is confirmed.”

When an online booking is confirmed in Patientdesk AI, this trigger starts the Zap with that booking. Note the word confirmed: it is the settled appointment that travels, which makes it safe to copy into a calendar or a reporting sheet without second-guessing it. It is also the only way Patientdesk AI starts anything in Zapier, so every Zap on this page begins here.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add each new appointment to the dentist's calendar, or tally bookings in a sheet the practice manager reads.
Watch out
bookings confirmed before the Zap was published never come through, so the sheet starts empty on day one.
Actions

The Patientdesk AI action

Patientdesk AI gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Start Outbound Call

Action

In Zapier“Creates a Patientdesk outbound trigger job for one patient.”

Creates an outbound call job in Patientdesk AI for a single patient. The detail it requires is Patient Phone Number, best given in E.164 format.

When to use it
start a recall call when a patient's name lands in your CRM's overdue list, or a follow-up call after a web form asks to be contacted.
Watch out
one run, one patient. A batch of names means one Zap run and one task per patient, which drains the free plan's monthly count quickly.
When it breaks

When a Patientdesk AI Zap breaks

Zapier links no help article and no limit of its own to Patientdesk AI. What breaks here is what breaks on any Zap, seen from a clinic's front desk.

  • No backlog

A Zap only reacts to what happens after it is switched on. Bookings confirmed last week, or patients already on an old list, never reach it.
  • A bulk import sets off a flood

Pasting a long list of patients into the tool that feeds Start Outbound Call can send Zapier a huge batch at once, which its flood protection may hold back.
  • Tasks drain on call lists

Each call job that goes through is one task. On the free plan's 100 monthly tasks, a recall list can use the whole allowance in one go.

FAQ

Patientdesk AI and Zapier: frequent questions

01Is the Patientdesk AI Zapier integration free?
Yes, it works on Zapier's free plan, because Patientdesk AI is not a premium app. The free plan gives 100 tasks a month and as many Zaps as you like, but each Zap is capped at two steps: one trigger and one action. A confirmed booking that starts a call job fits exactly. Logging the booking in a sheet as well, or adding a filter, turns it into a multi-step Zap, and multi-step Zaps need a paid plan.
02How many tasks does a Patientdesk AI Zap use?
One task for each action that succeeds. The trigger is free, so a confirmed booking costs nothing on its own. Each Start Outbound Call that goes through is one task, and one that fails is not counted. Since every call job concerns one patient, a list of patients costs one task per name. Add a second action, such as a row in a sheet, and each run costs two. Keep an eye on that count on the free plan.
03Does the Patientdesk AI trigger work in real time?
Yes. New Online Booking is an instant trigger: Patientdesk AI itself tells Zapier when a booking is confirmed, and the Zap starts straight away. The interval grid of Zapier plans, 15 minutes on the free plan, applies only to polling triggers that Zapier checks on a timer. This one does not work that way, so a free account gets the same speed as a paid one. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What does it take to connect Patientdesk AI to Zapier?
A Patientdesk AI account, plus access to anything in the clinic's account you do not own and want a Zap to touch. In Zapier, open Apps, click + Add connection, pick Patientdesk AI, click Add connection, sign in in the tab that opens and grant access. The trigger and the action then share that connection. Before using the action, check that the source of your phone numbers can supply them in E.164 format.
05What format does Start Outbound Call expect for the phone number?
Patient Phone Number is required, and E.164 is the format to use when available: a plus sign, the country code, then the number with no spaces. If your CRM or form stores local numbers, the Zap maps them as they are, so tidy the format at the source before going live. Run the action test with a number you control to see the call job created before you aim it at patients.
06What if the Patientdesk AI operation you need does not exist?
Then Zapier cannot do it with Patientdesk AI today. The app offers one trigger and one action, and no search: nothing changes or cancels a booking, nothing looks up a patient. The workable route is to let New Online Booking start the Zap and do the rest in another app, or to keep that step in Patientdesk AI itself. If the missing step blocks a whole process, the Hack'celeration team can look at it with you.
07Zapier, Make or n8n for Patientdesk AI?
Decide on criteria, not on a ranking. On Zapier, Patientdesk AI gives you one instant trigger, so speed does not depend on your plan, and one action that starts a call job, with no search. If your need is to react to bookings and launch calls from other tools, that covers it. If you need more operations on Patientdesk AI, check whether the other tool offers them for this app before choosing. The free plan's two-step limit is the other criterion to weigh.
