Overview

What the Personify Zapier integration does

With Personify, an AI version of you handles the questions people send, drawing on what you taught it, and spots who is worth calling back. The Zapier integration links that clone to the rest of your tools: leads and conversation transcripts go out, documents come in. Personify is not a premium app, so the free plan is enough, and Zapier lists it as a beta.

Three results worth building. Leads that land in your pipeline: New Lead sends every lead your clone captures to a CRM, a sheet or a sales channel. Transcripts you can actually read later: Conversation Ended hands over the full transcript once a chat is over, ready to file, summarize or share. A clone that learns from the right folder: Add Document pushes a file or a text into the clone's knowledge, and a document with the same title replaces the older copy, so the clone stays in step with your source.

What the integration does not do: there is no search step, so no Zap can look up a lead or a past conversation. There is one action only, so a Zap cannot create a lead, send a message as the clone or delete a document. Both triggers ask which clone to watch, one clone per Zap.

Both triggers are instant, so the plan interval never slows them down. For a broader view, see our Zapier review, or the comparisons Make vs Zapier and n8n vs Zapier.

Vocabulary

Zapier terms, one line each

The seven words you will meet while you wire Personify into a Zap.

Zap
An automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap. With Personify, it is a new lead or the end of a conversation with your clone.
Action
What the Zap does once it runs: the step that writes, sends or files something for you in an app.
Task
What Zapier bills: one action that completes successfully. Your plan gives you a set number of them each month.
Polling vs instant
Polling: Zapier checks the app on a timer. Instant: the app tells Zapier itself. Both Personify triggers are instant.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Connection
Your Personify account linked to Zapier once, then reused by every Personify step in every Zap you build.
Cost

What a Personify Zap costs

Zapier bills in tasks, and only a finished action is a task. Waiting for a lead or a finished chat costs nothing.

  • Personify trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo

The two Personify triggers never use a task. Each action that succeeds uses one, whether it is Add Document or a step in another app, and a failed action is not billed. A few apps and actions take more than one task, so check the counter after your first runs. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. A lead sent to one CRM fits. Add a filter, or a second action, and the Zap becomes multi-step, which needs a paid plan. Both triggers are instant, so the interval grid below never applies to them.

Connect

Connect Personify to Zapier in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need a Personify account, plus access to anything you do not own that the Zap will touch.

  2. 02

    Choose Personify

Search Personify by name in the dialog, pick it from the results, then click Add connection. Zapier opens a new tab on the Personify side for you to sign in.

  3. 03

    Sign in and grant access

Sign in to Personify in that tab and allow Zapier to use the account. The connection is saved once, and every Personify step you add later offers it from a list.

First Zap

Your first Personify Zap

GoalTurn each finished conversation about pricing into a document your clone learns from, so its next answers improve.

  1. 01

    Build: pick the trigger

Start a new Zap, choose Personify as the app and Conversation Ended as the event, select your connection, then pick the clone to watch.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real transcript.

  3. 03

    Add the filter

Add a Filter step and set the field, the rule and the value. A text rule fits a transcript. The Zap is now multi-step, so it needs a paid plan.

  4. 04

    Add Add Document

Add the Personify action Add Document, choose the same clone, and map the transcript in. A fixed title per topic makes each new copy replace the last.

  5. 05

    Test, then publish

Test the action once and read what came back, then click Publish to switch the Zap on for every conversation that ends from now on.

Triggers

Personify triggers

2 events start a Zap when something happens in Personify, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Conversation Ended

Instant trigger

In Zapier“Triggers when a conversation finishes, about 30 minutes after the last message, with the full transcript.”

Runs once a conversation with your clone is over, and passes the full transcript to the next steps. Personify decides when a chat counts as finished, after a quiet spell following the last message, and only then does the Zap start.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a coach wants every client chat filed in a notes app or summarized for the rest of the team.
Watch out
the Clone field is required, and the Zap only watches that one clone; a second clone needs its own Zap.
2

New Lead

Instant trigger

In Zapier“Triggers when a lead is created.”

Fires for every lead your clone creates, which makes it the shortest path from a chat to a follow-up. Whatever the clone collected about that person moves on to the step you add next.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a consultant wants each new lead in the CRM and a ping in the sales channel before the prospect cools down.
Watch out
leads created before the Zap was switched on are never sent, and you pick a single clone in the required Clone field.
Actions

Personify action

Personify gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Document

Action

In Zapier“Adds a file or text to a clone's knowledge. A document with the same title replaces the older copy, so it keeps a clone in sync with a folder.”

Feeds a file or a block of text into your clone's knowledge. When a document with the same title already exists, the new one replaces it, which keeps the clone aligned with a folder that changes.

When to use it
each updated offer sheet in your shared drive should reach the clone without a manual upload.
Watch out
a title that changes every run piles up copies instead of replacing the old one.
When it breaks

When a Personify Zap breaks

Zapier ties no help article to Personify, so these cases come from how every Zap behaves and from the clone each step requires.

Most surprises here come from timing or from the clone setting, not from an outage. Check these four first, then our Zapier troubleshooting page.

  • The transcript seems late

Conversation Ended waits until a chat is considered finished, about 30 minutes after its last message. The Zap is not slow; the conversation simply was not over yet.
  • Old leads never show up

A Zap only reacts to what happens after you publish it. Leads and conversations from before stay in Personify; copying that history is a separate job.
  • Duplicate documents in the clone

Add Document only replaces a copy with the same title. Map a title that changes each time, such as a date, and the clone collects duplicates.
  • A big batch gets held back

If a trigger suddenly sends a huge pile of items at once, Zapier's flood protection can hold them back rather than run every one.

FAQ

Personify Zapier integration: questions people ask

01Is the Personify Zapier integration free?
Yes, within the free plan's limits. Personify is not a premium app, so it works on the free plan, which gives 100 tasks a month and Zaps of two steps: one trigger and one action. A new lead sent to one CRM, or a transcript filed in one app, fits that frame. Add a filter, or a second action such as a team ping on top of the CRM record, and the Zap becomes multi-step, which needs a paid plan. Plan the shape of the Zap first.
02How many tasks does a Personify Zap use?
One per action that succeeds, and none for the triggers. New Lead and Conversation Ended are free, however many leads or chats come in. A Zap that sends each lead to a CRM costs one task per lead. Add Document costs one task each time it completes, even when it only replaces an older copy. A failed action is not billed. Some apps and actions take more than one task, so check your usage after a few runs. The free plan stops at 100 tasks a month.
03Does Personify work in real time with Zapier?
Yes, both triggers are instant: Personify tells Zapier itself, so the Zap starts right away, on the free plan too. The interval grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) only concerns polling triggers, and Personify has none. One nuance for Conversation Ended: Personify only treats a chat as finished about 30 minutes after its last message, so the transcript arrives then. New Lead has no such wait. The editor shows a lightning bolt on instant Zaps.
04What does it take to connect Personify to Zapier?
A Personify account with at least one clone. You connect once from the Apps page of Zapier: add a connection, pick Personify, sign in in the tab that opens and grant access. After that, every Personify step asks which clone to use, and that field is required, so a clone must exist first. If the Zap writes into tools or files you do not own, such as a shared CRM, you also need read or write rights there. Nothing else is needed on the Zapier side.
05Why does Add Document create duplicates instead of updating?
Because replacement depends on the title. Add Document replaces an older copy only when the new document carries exactly the same title; any other title adds a new document next to the old one. If you map something that changes on each run, like a timestamp or a file name with a version number, the clone ends up with several copies. Keep a fixed title per topic, and the clone stays in sync with your folder instead of piling up versions.
06What if the Personify action you need does not exist?
Then the integration cannot do it today. Personify offers two triggers and one action on Zapier, with no search: no step creates a lead, sends a message as your clone, removes a document or looks up a past conversation. The workaround is to keep Personify at the edges of the flow, starting Zaps with its triggers and feeding knowledge with Add Document, while other apps do the rest. If that still falls short, a different automation tool or a custom build is the honest answer.
07Zapier, Make or n8n for Personify?
Decide on criteria, not on a ranking. On Zapier, Personify brings two instant triggers, one action, no premium surcharge, and a free plan capped at two-step Zaps and 100 tasks a month. Three questions help. Is sending leads and transcripts to one tool each enough? The free plan holds. Do you need filters or several actions per run? Count on a paid plan. Does the other tool list New Lead, Conversation Ended and Add Document for Personify? Check there, as this page only covers the Zapier side.
