Overview

What the Aesthetix CRM Zapier integration actually does

Aesthetix CRM is a sales and marketing CRM built for medical aesthetics practices. Hooking it to Zapier means one thing: when something happens in the CRM (a form comes in, an invoice gets paid, a deal moves), Zapier can react, and it can also write contacts, tags, notes and opportunities back into the CRM without anyone retyping them.

Three results people usually build first. A tagged lead ends up in the right nurture sequence. Tag Added fires, then Add Contact to Workflow enrolls the same person, so the front desk stops copying names between screens. A won deal leaves a trace on the patient file. Opportunity Status Update spots the change to won, and Create Note writes a short line on the contact so the next practitioner sees it. Leads from another tool stop arriving as duplicates. Create or Update Contact checks the email or phone first and updates the existing record instead of making a second one.

Now the part the app page skips. None of the six triggers is instant: Zapier checks them on a timer, so on the free plan a paid invoice can sit unnoticed for up to 15 minutes. There is no action that deletes a contact or an opportunity, and no search for invoices or forms. Anything that happened before your Zap was switched on stays where it is.

If you are still choosing a platform, the Make vs Zapier and n8n vs Zapier comparisons lay out the trade-offs criterion by criterion.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English.

Zap
The automation you build: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in Aesthetix CRM that starts the Zap, such as a paid invoice. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes a tag, a note, a contact or an opportunity for you.
Task
What Zapier bills you for: one action that completes successfully. Your plan's allowance is a count of those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only the unseen ones.
Instant trigger
A trigger the app reports itself, the moment the event happens. Aesthetix CRM has none, which matters for timing.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and quietly stops it otherwise.
Search step
A step that looks up something already in the app, like an existing contact, so later steps can reuse what it found.
Cost

What it really costs you

Aesthetix CRM is not a premium app, so it runs on the free plan.

  • Trigger checksFree, never billed
  • Free plan100 tasks a month, two-step Zaps only
  • Premium appNo

The trigger never costs a task, and neither does Zapier checking for new items, however often it looks. Each action that succeeds counts as one task; a failed one is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a filter, a search or a second action and the Zap becomes a multi-step Zap, which needs a paid plan to run.

Connect

Connect Aesthetix CRM to Zapier in three steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Aesthetix CRM account linked once, then reused by every Zap step that touches the app.

  2. 02

    Pick Aesthetix CRM

Type the app name in the dialog, select Aesthetix CRM, then click Add connection. A new browser tab opens on the app's own sign-in screen, ready for your login.

  3. 03

    Sign in and allow access

Log in with an Aesthetix CRM account and grant Zapier access. If the Zap will touch records you do not own, that account also needs read or write rights on them.

First Zap

Your first Zap: a note on the file when a deal closes

GoalWhen an opportunity changes status, write a note on that contact so the next practitioner sees how the deal ended before the visit.

  1. 01

    Create the Zap

Start a new Zap and pick Aesthetix CRM as the app that starts it. Choose Opportunity Status Update as the event, then select the connection you set up.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from your account, so pick a real opportunity to work from in the next steps.

  3. 03

    Add the tag action

Add Aesthetix CRM again with Create Note. Map Contact ID to the contact the trigger brought back, then write the note text in Note Body.

  4. 04

    Test, then publish

Run the action test once and check that the note now shows on the contact in the CRM. If it looks right, click Publish to switch the Zap on.

Triggers

Aesthetix CRM triggers: what starts a Zap

6 events start a Zap when something happens in Aesthetix CRM. Zapier checks for them at the interval your plan allows.

1

Form Submission

Polling trigger

In Zapier“Triggers when a form is submitted.”

Each time someone fills in one of your Aesthetix CRM forms, this trigger hands the submission to the next step of your Zap. It turns a web enquiry into something your other tools can act on, without anyone exporting a list.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a consultation request should reach the team chat or a shared sheet without someone refreshing the CRM inbox.
Watch out
because this is a polling trigger, a visitor who submits and then calls straight away may reach the desk before the Zap has run.
2

Invoice Paid

Polling trigger

In Zapier“Triggers when an invoice is paid.”

Payment confirmed is the signal here. When an invoice switches to paid inside Aesthetix CRM, the next check picks it up and your Zap starts. It is the cleanest hook for anything that should only happen once money has actually come in.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
logging settled invoices in your bookkeeping tool so the accountant never chases a payment that already cleared.
Watch out
invoices paid before the Zap went live are never picked up, so reconcile older ones by hand.
3

New Contact

Polling trigger

In Zapier“Triggers when a new contact is created.”

A fresh record in the contact list starts the Zap. Whether the person was typed in by reception or arrived through another route, Zapier sees a new contact and passes it on to whatever step follows.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
enrolling every new person in a welcome sequence or copying them to your email marketing list.
Watch out
if a Zap of yours creates contacts in Aesthetix CRM, pairing it with this trigger can start a loop that eats your task count.
4

Opportunity Stage Update

Polling trigger

In Zapier“Triggers when an opportunity's pipeline stage is updated.”

Your pipeline is the source for this one. When an opportunity moves from one stage to another, Zapier catches the move on its next check and runs the steps you placed after it, so a column change on the board can set work in motion elsewhere.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
alerting the practitioner when a prospect reaches the consultation-booked stage.
Watch out
it fires on every stage move, so add a filter if only one stage matters to you.
5

Opportunity Status Update

Polling trigger

In Zapier“Triggers when an opportunity status changes (won, lost, open, abandoned).”

Stages describe where a deal sits; status describes how it ended. This trigger reacts when an opportunity flips to won, lost, open or abandoned, which makes it the right starting point for anything tied to the outcome rather than the progress.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
sending lost and abandoned deals to a win-back list while won ones go elsewhere.
Watch out
all four statuses start the Zap, so a filter on the status is almost always needed.
6

Tag Added

Polling trigger

In Zapier“Triggers when a tag is added to a contact.”

Tags are how most practices sort people, and this trigger listens for them. When a tag lands on a contact, Zapier notices on its next pass and runs the Zap for that person, which turns a single click in the CRM into a chain of follow-ups.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a front desk coordinator tags a patient as a referral and the referring partner gets notified.
Watch out
never follow it with Add Contact Tag on the same contact, or the Zap keeps setting itself off.
Actions

Aesthetix CRM actions: what a Zap can write

Aesthetix CRM gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Contact Tag

Action

In Zapier“Adds a tag to a contact.”

Sticks one tag on a contact, the quickest way to mark where someone came from or what they asked about.

When to use it
labelling everyone who came in through a seasonal campaign so you can segment them later.
Watch out
paired with the Tag Added trigger on the same contact, it creates a loop.
2

Add Contact to Workflow

Action

In Zapier“Adds a contact to a workflow.”

Enrolls a contact in one of the automated workflows you already run inside Aesthetix CRM.

When to use it
starting an aftercare or reminder sequence the moment an outside event says the person is ready.
Watch out
Contact ID is required, so the person has to be in the CRM before the Zap reaches this step.
3

Create Note

Action

In Zapier“Creates a note on a contact.”

Writes a free-text note onto a contact's file, where the whole team can read it.

When to use it
keeping a visible trail of what happened outside the CRM, such as a payment logged elsewhere.
Watch out
Contact ID and Note Body are both required, so map the note text from a value the earlier step always carries.
4

Create or Update Contact

Action

In Zapier“Creates a new contact or updates an existing contact.”

Pushes a person into Aesthetix CRM, either as a new record or as an update to one that already exists.

When to use it
leads arriving from a booking tool or an ad form that you want in the CRM without duplicates.
Watch out
the Update Existing Contact setting is required; left off, a matching email or phone gives you a second record.
5

Create or Update Opportunity

Action

In Zapier“Creates or updates an opportunity.”

Opens a deal in your pipeline, or refreshes one already there, attached to a given contact.

When to use it
a quote request from your website should show up as a deal the sales coordinator can work.
Watch out
both Contact ID and Opportunity Name are required, so the contact has to exist first.
6

Remove Contact Tag

Action

In Zapier“Removes a tag from a contact.”

Takes a tag off a contact, the opposite move to adding one, and keeps your segments honest.

When to use it
clearing a pending-payment tag once the bill is settled elsewhere.
Watch out
Contact ID and Tag are both required; this step only changes tags, it never deletes the contact.
Searches

Aesthetix CRM searches: finding what already exists

2 search steps look for data that already exists in Aesthetix CRM, so a later step can use it.

Searches sit at the bottom of the Action event list under the SEARCH heading. Some action fields also offer + Add search step, which inserts the lookup just before and wires its result in for you. A search makes the Zap multi-step, so it needs a paid plan.

1

Find Contact

Search

In Zapier“Searches for contacts by name, email, or phone.”

Looks up an existing contact by name, email or phone and hands the record to the steps after it.

When to use it
your trigger comes from another tool and only carries an email, while the next action needs a Contact ID.
Watch out
how close the match must be is decided by Aesthetix CRM, not by Zapier, so test with real data.
2

Find User

Search

In Zapier“Searches for users (team members).”

Searches the team members of your account rather than your patients or leads.

When to use it
a later step must name the staff member responsible, and you want the record that matches their name.
Watch out
this looks only at users of the CRM, so a patient's name will never come back here.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
On apps that offer it, this box turns a search into find-or-create. Aesthetix CRM lists no find-or-create variant, so do not count on it here.
  3. If multiple search results are found?
When several records match, you keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When an Aesthetix CRM Zap breaks

Zapier links no help article to this app, so the cases below are the general limits that hit any Zap built on it.

Most failures here come from timing and loops, not from the connection itself. When one shows up, the Zapier troubleshooting guide walks through the usual fixes.

  • Nothing from before the Zap went live

A Zap only reacts to what happens after you switch it on. Contacts, forms and paid invoices that already existed are never picked up; moving that backlog is a separate job.
  • A tag Zap that keeps firing

If Tag Added starts the Zap and Add Contact Tag writes back to the same contact, the Zap sets itself off again and again and burns through your task count.
  • Bulk imports held back

After a large import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection may hold that batch back instead of running it.
  • The same record never runs twice

Zapier remembers what it has already seen on a polling trigger. Editing a contact that already passed through will not start the Zap a second time.

FAQ

Aesthetix CRM Zapier integration: questions people ask

01Is the Aesthetix CRM Zapier integration free?
Yes, as long as your Zaps stay simple. Aesthetix CRM is not a premium app, so it works on the free plan, which gives you 100 tasks a month and unlimited Zaps. The catch is the shape of those Zaps: the free plan only builds two steps, one trigger and one action. As soon as you add a filter, a search such as Find Contact, or a second action, the Zap becomes multi-step and needs a paid plan. Plan prices change often, so check the current grid on Zapier before you commit.
02How many tasks does an Aesthetix CRM Zap use?
One task per action that succeeds, and nothing else. The trigger itself is free, and so is every check Zapier makes for new forms, invoices or contacts, however often it looks. A Zap that creates a note on each paid invoice costs one task per invoice. If the same Zap also adds a tag, that is two tasks per invoice, because each action is counted on its own. An action that fails is not counted. With 100 tasks a month on the free plan, a busy practice can reach the ceiling quickly.
03Does Aesthetix CRM trigger Zaps in real time?
No. All six Aesthetix CRM triggers are polling triggers, which means Zapier checks the app on a timer instead of being told the moment something happens. On the free plan the check runs every 15 minutes. Professional brings it to every 2 minutes, and Team and Enterprise to every minute. On paid plans you can also run a check by hand from the editor. The type is set by the app itself, so there is no setting that turns these triggers into instant ones.
04What does it take to connect Aesthetix CRM to Zapier?
An Aesthetix CRM account and a Zapier account. In Zapier, open the Apps page, click + Add connection, pick Aesthetix CRM, then click Add connection and sign in on the tab that opens. Once you grant access, the connection is reused by every Zap that touches the app. If your Zaps will read or change records owned by colleagues, the account you connect needs read or write access on those records too, otherwise the steps that touch them will fail.
05Why does an Aesthetix CRM action fail on Contact ID?
Because five of the six actions require a Contact ID and the contact must already exist in the connected account. Add Contact Tag, Remove Contact Tag, Add Contact to Workflow, Create Note and Create or Update Opportunity all ask for it. If your trigger comes from another tool that only knows an email address, add a Find Contact search before the action to fetch the record first. That search makes the Zap multi-step, so plan for a paid Zapier plan in that case.
06What if the Aesthetix CRM operation you need is not listed?
Then Zapier cannot do it directly with this app today. The integration covers 6 triggers, 6 actions and 2 searches: there is no action to delete a contact, no trigger for appointments, and no search for invoices. A workaround is sometimes possible by combining existing steps, for example removing a tag instead of deleting a record. If nothing fits, another automation platform or a different approach to the process may be the more honest answer.
07Zapier, Make or n8n for Aesthetix CRM?
It depends on what you weigh most. Zapier is the fastest to set up and its Aesthetix CRM integration is ready with 14 operations, but its polling triggers run on your plan's interval and every successful action counts as a task. Make and n8n are separate platforms with their own billing and their own list of apps. Check first whether the operations you need exist on each platform for this app, then compare running costs at your volume.
