Overview

What the PieMatrix Pie Zapier integration is good for

Pie, from PieMatrix, is a visual tool for running projects that follow the same process time after time. Linking it to Zapier lets what happens in Pie reach the tools around it, so nobody has to open Pie just to find out a task was added or a post changed.

Three useful outcomes. A new task in Pie posts a message in the team channel, through New Task, so the person concerned sees it where they already work. A change to a task updates a tracking sheet or alerts a manager, through Updated Task. And each new post in a project is forwarded by email to people who never log in to Pie, through New Post, with Updated Post covering edits.

All four triggers are polling triggers. Zapier checks Pie at a fixed interval set by your plan: every 15 minutes on Free, every 2 on Professional, every minute on Team and Enterprise. Good enough for a team channel, too slow for anything that must happen the second a task is created.

What Zapier does not do with Pie: there is no action, so no Zap can create a task, write a post or move anything inside Pie. There is no search either, so a Zap cannot look up a project or a task by name. Pie talks, the other apps listen.

For a broader view of the tool itself, the Zapier review is the place to start.

Vocabulary

Zapier vocabulary, briefly

Eight words come back on every line below. Here is what they mean.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Pie offers four on Zapier: new or updated tasks, and new or updated posts.
Action
What the Zap does once started. Pie has none, so every action in a Pie Zap happens in another app.
Task
The unit Zapier bills: one action completed successfully. Not to be confused with a task in Pie, which is a work item.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it has not seen.
Instant trigger
A trigger the app reports itself, the moment the event happens, with no wait. None of the Pie triggers work this way.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Cost

What Pie on Zapier costs

PieMatrix Pie is not a premium app: it works on the free plan. Zapier bills in tasks, and only for actions that succeed.

  • Premium appNo, free plan works
  • Free plan100 tasks a month, two-step Zaps
  • Checks on Pie0 tasks
  • Trigger typeAll 4 are polling

The Pie trigger itself never costs a task, and neither do the checks Zapier runs on Pie, however often they happen. What you pay for is each action completed afterwards in another app; a failed one is not counted. A few apps and actions take more than one task, so watch the count after the first runs. The free plan gives 100 tasks a month, two-step Zaps and a check every 15 minutes. A filter or a second action makes the Zap multi-step, which needs a paid plan.

Connect

Connect your Pie account in three steps

  1. 01

    Go to Apps

Open the Apps page of your Zapier account and click + Add connection. You need a Pie account, plus read access to any project you do not own but want the Zap to watch.

  2. 02

    Find PieMatrix Pie

Search for PieMatrix Pie in the dialog, select it and click Add connection. A new tab opens on the Pie side, where you sign in with the account your team uses for its projects.

  3. 03

    Sign in and allow access

Log in to Pie in that tab and grant Zapier access to the account. The connection is then saved once and offered again in every Pie trigger you set up afterwards.

First Zap

Your first Zap: alert the channel when a task changes

GoalWhen a task is updated in Pie, a message goes to the team channel, but only for the tasks you care about.

  1. 01

Build: pick Pie and the event

Create a Zap, choose PieMatrix Pie as the app and Updated Task as the event that starts it, then select your Pie connection.

  2. 02

    Test on a real task

Run the trigger test. Zapier brings back the three most recent items from your account; pick one that looks like a real update, so the next steps work on true values.

  3. 03

    Add a filter

Add a Filter step and set the field to check, the rule and the value. The filter makes the Zap multi-step, so it needs a paid plan, and it keeps the channel quiet.

  4. 04

    Add the message

Add your chat app and its message action, pick the channel and map the task details into the text. Run the step once and read what came back.

  5. 05

    Publish

When the test message looks right, click Publish to switch the Zap on. From then on, Zapier checks Pie at your plan's interval.

Triggers

The 4 Pie triggers

4 events start a Zap when something happens in PieMatrix Pie. Zapier checks for them at the interval your plan allows.

1

New Post

Polling trigger

In Zapier“Triggers when a new post is created.”

Picks up each post created in Pie and hands its content to the next steps, so a discussion that starts in a project can reach people who never open the tool.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a client or a manager who wants project posts in their inbox rather than in yet another login.
Watch out
it reacts to new posts only; an edited post goes through Updated Post, and posts written before the Zap was published are never sent.
2

New Task

Polling trigger

In Zapier“Triggers when a new task is created.”

Every task added in Pie becomes a starting point for a Zap. The details of that task are then available to map into a message, a row or a calendar entry in another app.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
announcing new work in the team channel, or copying each new task into a shared planning sheet.
Watch out
a large batch of tasks created at once, say from a new project, can trip Zapier's flood protection and be held back.
3

Updated Post

Polling trigger

In Zapier“Triggers when an existing post is updated.”

Watches posts that already exist and starts the Zap when one of them changes. It is the companion of New Post for content that evolves after it is first written.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keeping a copy of project posts up to date in a document or a wiki that the wider team reads.
Watch out
edits made before the Zap was published are never picked up; only changes after that point start it.
4

Updated Task

Polling trigger

In Zapier“Triggers when an existing task is updated.”

Fires on existing tasks rather than new ones: when a task is edited in Pie, the Zap starts with its current details. Pair it with a filter to react only to the changes that matter.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
telling a manager that work moved on, or keeping a reporting sheet in line with what Pie shows.
Watch out
without a filter, every edit sends a message, and the channel gets noisy fast.
When it breaks

When a Pie Zap breaks

Zapier attaches no help article to PieMatrix Pie, and no limit specific to the app is on record. What goes wrong is what goes wrong on any Zap built on polling triggers.

  • Existing tasks are never sent

A Zap only reacts to what happens after it is switched on. Tasks and posts already in Pie are not picked up; moving that history is a separate job.
  • The filter never lets anything through

Filter rules are typed: a text rule only works on text, a number rule only on numbers. Pick the wrong type and the filter never passes, so nothing reaches the channel.
  • A big new project stalls the Zap

When Pie suddenly returns a huge batch, after an import or a new project full of tasks, Zapier's flood protection can hold those runs back.
  • The same item does not run twice

On polling triggers, Zapier remembers what it has already seen, so one new task or post does not start the Zap a second time.

FAQ

PieMatrix Pie Zapier integration: questions

01Is the PieMatrix Pie Zapier integration free?
On the Zapier side, yes. PieMatrix Pie is not a premium app, so it works on the free plan, which includes 100 tasks a month, two-step Zaps and a check every 15 minutes. That covers one Pie trigger and one action in another app, for example a message in a team channel. A filter or a second action makes the Zap multi-step and needs a paid plan. Your Pie subscription is separate, and this page gives no price for either tool.
02How many tasks does a Pie Zap use?
The Pie trigger uses none, and neither do the checks Zapier runs on your account. Tasks are counted on the actions that follow in other apps: one per action that completes. A Zap that posts each new Pie task in a channel uses one task per run; one that also adds a row to a sheet uses two. An action that fails is not counted. Keep in mind that a few apps and actions take more than one task, so check the counter after the first real runs.
03Is the Pie integration real time?
No. All four Pie triggers are polling triggers, so Zapier checks your account on a timer set by your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. A new task can therefore wait up to that interval before the Zap starts. On paid plans, the check frequency can be changed and a check can be run by hand from the editor. The type of a trigger cannot be changed: it is polling or it is not.
04What does connecting Pie to Zapier require?
A Pie account and a Zapier account. From the Apps page in Zapier, click + Add connection, search for PieMatrix Pie, click Add connection, sign in to Pie in the tab that opens and grant access. If the Zap must watch projects you do not own, the connected account needs at least read access to them. Before testing a trigger, make sure the account has at least one task or post, since the test brings back the three most recent items.
05Will the Zap send tasks that already exist in Pie?
No. A Zap only reacts to what happens after you publish it. Tasks and posts that were already in Pie are not picked up by New Task or New Post, and they only reach an Updated trigger if someone changes them later. If you need the existing tasks in another tool, treat it as a one-off migration, separate from the Zap. Also expect a short delay at the start, since the first check comes at your plan's interval.
06What if the Pie operation you need is not available?
Look at what exists first: 4 triggers, for new and updated tasks and new and updated posts, and nothing else. There is no action, so Zapier cannot create a task, write a post or change anything in Pie, and there is no search to look up a project. If you need to write into Pie, the work has to be done in Pie itself. If you need a reaction to another event in Pie, Zapier does not offer it for this app today.
07Zapier, Make or n8n for PieMatrix Pie?
Decide on criteria rather than on a ranking. On Zapier, Pie works on the free plan for a two-step Zap, its four triggers are all polling ones, so the delay depends on your plan, and any filter or second action needs a paid plan and costs one task per completed action. Compare that with how fast your team needs to hear about changes, how many runs you expect each month, and which of your other tools each platform already connects.
