What the PingSailor SMS Zapier integration actually does
The integration plugs PingSailor SMS, a service for sending text messages to phones around the world, into Zapier, which chains apps together without code. A text arriving on your PingSailor number can start work in another app, and any other app can make PingSailor send a text.
Three results, each tied to one of the two operations. First, an inbox that reaches the right people: New Inbound SMS starts a Zap (the automation you build in Zapier) whenever a message comes in, so the next step can file it in a sheet, a help desk or a team chat. Second, texts sent by other tools: Send SMS lets a form, a booking app or a CRM text a customer without anyone typing on a phone. Third, a relay: put both together and an incoming message can be passed on to the phone of whoever is on duty.
Now the limits. There is no search step, so a Zap cannot look up past conversations or a contact stored in PingSailor before it texts. No trigger fires on outgoing messages or on delivery, so Zapier never learns whether a text actually landed. And there is a single action: no scheduling, no lists, no contact management from Zapier. Anything beyond sending one text to one number has to live elsewhere.

Zapier vocabulary in one minute
Eight words come back on every Zapier screen. Here they are in plain terms, with texting as the example.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap. With PingSailor SMS, it is a text arriving; once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, such as sending a text.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and the count on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app itself when the event happens. This one is instant.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
- Connection
- Your PingSailor account, linked to Zapier one time, then reused by every step of every Zap that sends or receives texts.
What a PingSailor SMS Zap costs in tasks
PingSailor SMS is not a premium app on Zapier, so it runs on the free plan. Zapier counts tasks, and only actions count.
- New Inbound SMS trigger0 tasks
- Each Send SMS that succeeds1 task
- Free plan100 tasks a month, two-step Zaps only
- Paid plan required for this appNo
An incoming text that starts the Zap costs nothing. Each Send SMS that succeeds costs one task; one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but every Zap is capped at two steps, one trigger and one action. New Inbound SMS followed by Send SMS fits exactly. Add a filter, or a second action such as logging the text in a sheet, and the Zap turns multi-step, which needs a paid plan. The polling grid below does not apply here: the trigger is instant.
Connect your PingSailor SMS account
- 01
Open Apps and add a connection
In your Zapier account, open the Apps page and click + Add connection. In the dialog, type PingSailor SMS in the search box and pick it from the results.
- 02
Sign in to PingSailor
Click Add connection. PingSailor opens in a new tab: sign in with the account that owns the number you text from. No PingSailor account, no connection.
- 03
Grant access
Approve the access Zapier asks for. If the Zap has to work with anything on the account that you do not own yourself, make sure your user has read or write rights on it first. Every PingSailor step then reuses this connection.
Your first PingSailor SMS Zap, step by step
GoalWhen a text that meets your condition reaches your PingSailor number, forward it by SMS to the phone of the person on duty.
- 01
Pick the trigger
Build a new Zap, choose PingSailor SMS as the app that starts it and New Inbound SMS as the event, then select your PingSailor connection.
- 02
Test with a real text
Run the test. Zapier brings back the three most recent items from your account, so you map the rest of the Zap from a real message. Text your number first if it has received nothing yet.
- 03
Add the filter
Add a Filter step and set the field to look at, the rule and the value, so only the texts that matter get forwarded. The Zap is now multi-step, so a paid plan applies.
- 04
Add Send SMS
Add the PingSailor action Send SMS. Type the on-duty phone number in international format, then build the Message from what the trigger brought back.
- 05
Test, then publish
Test the action and check that the text reaches the phone. If it does, click Publish to switch the Zap on. Every incoming text that passes the filter is then forwarded.
The PingSailor SMS trigger
1 event starts a Zap when something happens in PingSailor SMS, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Inbound SMS
Instant triggerIn Zapier“Triggers when a new inbound message is received.”
Each text that lands on your PingSailor number becomes the start of a Zap, and whatever came in with it is handed to the steps that follow. It is the only way PingSailor SMS can set a Zap off, so any automation built on replies or incoming requests starts here.
The PingSailor SMS action
PingSailor SMS gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Send SMS
ActionIn Zapier“Send SMS to phone numbers”
Sends a text from your PingSailor account to the phone number you give it, with the wording you build from earlier steps.
When a PingSailor SMS Zap breaks
Zapier attaches no help article to PingSailor SMS, and no rate limit specific to the app is documented. What breaks is what can break on any Zap, with a texting twist.
Four cases to know before you publish. Some of them cost tasks before anyone notices, which is why they deserve a read now. For a step-by-step way to debug a Zap, see Zapier troubleshooting.
Texts from before the Zap
A Zap only reacts to what happens after it is switched on. Messages your number received earlier are never picked up; moving that history is a separate job.The text loop
If Send SMS writes to the very number New Inbound SMS watches, every text sent comes back as a new one, the Zap sets itself off again and again, and tasks go fast.A sudden flood held back
When a campaign triggers a wave of replies at once, a huge batch can be held back by the flood protection Zapier applies before the Zap processes it.A filter that never passes
Filter rules are typed: a text rule only works on text, a number rule only on numbers. Pick the wrong type and the filter stops every message.
