Overview

What the Pitchlane Zapier integration does for your outreach

Pitchlane makes personalised videos for cold outreach: you record once, and each prospect gets a version made for them. Connecting it to Zapier means every step in a video's life (made, rendered, played, watched to the end) can start work in your other tools, without anyone copying a status by hand.

Three results come back again and again. First, a sales alert: Video First Finished tells you a lead sat through the whole pitch, which is a much stronger signal than an opened email, and the Zap can pass it to whoever owns the account. Second, a clean video log: Video Created and Video Rendered let you keep a record of what went out, next to the CRM your team already reads. Third, videos made from new leads: Create a Video, fed by a form or a CRM in a trigger from another app, builds one personalised video per new contact inside the campaign you choose.

Now the part the app page skips. Zapier gives you a single action on Pitchlane. There is nothing to edit a video, delete one, move it between campaigns or send it: those jobs stay in Pitchlane itself, or in the tool that carries your outreach. The only search, Find a Video, looks inside one campaign at a time. And because every trigger is instant, the speed of your plan never slows these Zaps down; the plan only limits how many steps you can chain and how many tasks you can spend.

If you are still choosing a tool, the comparison n8n vs Zapier is a neutral place to start.

Vocabulary

Zapier words, in plain English

Eight terms you will meet in the editor. Each one is explained once here, then used as is on the rest of the page.

Zap
The automation you build: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap, such as a video finished in Pitchlane. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills. One action completed successfully is one task, and your plan is a count of those.
Instant vs polling trigger
An instant trigger is reported by the app itself the moment it happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it there otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found.
Connection
Your Pitchlane account linked to Zapier once, then reused by every step of every Zap that touches Pitchlane.
Cost

What Pitchlane costs you in Zapier tasks

The trigger never costs anything. Only an action that goes through is billed, and an action that fails is not counted.

  • Trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, 2-step Zaps
  • Premium appNo, free plan works

Pitchlane is not a premium app, so it works on the free plan: 100 tasks a month and Zaps of two steps, one trigger and one action. Add a second action, a filter or a search and the Zap becomes multi-step, which needs a paid plan. With a three-action Zap, every video event costs three tasks instead of one. Watch the every-time triggers too: Video Started, Video Viewed and Video Finished run on each occurrence, so a single prospect can trigger several billed runs.

Connect

Connect your Pitchlane account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps, then click + Add connection. You need a Pitchlane account first, with access to the campaigns the Zap will work in if someone else owns them.

  2. 02

    Pick Pitchlane

Type Pitchlane in the search box of the dialog, select it, then click Add connection. Zapier opens a new tab where Pitchlane asks you to sign in to your account.

  3. 03

    Sign in and grant access

Log in with the Pitchlane account whose videos you want to follow, then allow Zapier to reach it. The connection is saved once and every later Zap reuses it.

First Zap

Your first Pitchlane Zap: a lead finished the video, log it and tell the rep

GoalEach time a lead watches a Pitchlane video to the end for the first time, add a row to a tracking sheet and email the salesperson in charge.

  1. 01

    Build: start with the trigger

Create a Zap, choose Pitchlane as the app that starts it and Video First Finished as the event, then pick your Pitchlane connection.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from your account, so you map the next steps on a real lead rather than on blank fields.

  3. 03

    Add the sheet action

Add Google Sheets as the first action and map what the trigger returned into the columns of your sheet. Test it and check the row that lands.

  4. 04

    Add the email action

Add Gmail as a second action and write the note to the rep. Two actions make this a multi-step Zap, so it needs a paid plan; on the free plan, keep only one of them.

  5. 05

    Publish

Publish the Zap to switch it on. From then on, each first full viewing costs two tasks, one per action that goes through.

Triggers

Pitchlane triggers in Zapier

8 events start a Zap when something happens in Pitchlane, and 8 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Video Created

Instant trigger

In Zapier“Triggers when a new Pitchlane video is created.”

Starts a Zap each time a new video appears in your Pitchlane account, long before any prospect sees it. This is the earliest point in a video's life that Zapier can catch.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep an inventory of every video produced, in the sheet or CRM your sales team already reads, so nobody has to ask what has been made.
Watch out
created is not the same as ready to watch, so any step that shares the video belongs on Video Rendered instead.
2

Video Finished

Instant trigger

In Zapier“Triggers when a lead finishes watching their video in its' entirety”

Runs whenever a lead watches a video all the way to the end, and runs again on every later full viewing. Each complete watch is a separate run of the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
add points to an engagement score in your CRM, where a prospect who sits through the pitch twice is worth a closer look.
Watch out
a lead who rewatches three times starts three runs, and each successful action after the trigger is billed every time.
3

Video First Finished

Instant trigger

In Zapier“Triggers when a lead first finishes their video in its' entirety”

Reacts only the first time a lead gets through the whole video. Any later full viewing by that lead stays silent, so you get one clean signal per prospect.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
hand a warm lead to a salesperson for a follow-up call, without flooding them with repeat alerts.
Watch out
someone who stops halfway never reaches this trigger, so pair it with Video First Started if partial interest also matters to you.
4

Video First Started

Instant trigger

In Zapier“Triggers the first time a video is started.”

Catches the first play of a video and ignores every play after it. One run per video, which keeps the count of opened pitches honest.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
move a prospect to an engaged stage in your pipeline as soon as they press play, without waiting to see whether they finish.
Watch out
started tells you nothing about how long they stayed, so real attention is better measured with the Finished triggers.
5

Video First Viewed

Instant trigger

In Zapier“Triggers when a video is viewed for the first time only.”

Answers a single question: has this video been seen yet? The Zap runs on the first view only, then never again for that video.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
send one alert to the account owner when a cold prospect finally opens the video, which is the moment a follow-up email lands best.
Watch out
nothing fires on the second view, so this trigger cannot tell you a prospect came back for more.
6

Video Rendered

Instant trigger

In Zapier“Triggers when a Pitchlane video has been rendered.”

Fires once Pitchlane has finished rendering a video, which is the point where the personalised version actually exists and can be sent.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
pass the finished video to the tool that runs your outreach sequence, so prospects never receive a link to a video still in production.
Watch out
a Zap that answers a render by calling Create a Video can set itself off again and again, and every loop costs a task.
7

Video Started

Instant trigger

In Zapier“Triggers each time a video is started.”

Treats every play as news. Each time someone starts the video, Zapier gets a fresh event and the Zap runs again, first play or tenth.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
log every return visit of a key account in a sheet, when you want to see how often a decision maker comes back to the pitch.
Watch out
the number of runs follows the number of plays, so a shared or popular video can eat through your monthly tasks fast.
8

Video Viewed

Instant trigger

In Zapier“Triggers each time a video is viewed. In most cases, you'll want to use Video First Viewed instead.”

Counts each view of a video as a new start for the Zap. Pitchlane's own description of this trigger says most setups are better served by Video First Viewed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a full viewing history for a short list of high-value prospects, where every visit is worth a line in your CRM.
Watch out
on the free plan, a video viewed many times can use up the 100 monthly tasks well before the month ends.
Actions

Pitchlane action in Zapier

Pitchlane gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create a Video

Action

In Zapier“Create a video in Pitchlane to be rendered”

Asks Pitchlane to make a new personalised video and add it to a campaign you choose. The Campaign field is required, so that campaign must already exist in the connected account.

When to use it
produce one video per new lead arriving from your form or CRM, without opening Pitchlane.
Watch out
the video still has to be rendered after creation, so let Video Rendered handle any step that shares it.
Searches

Pitchlane search in Zapier

1 search step looks for data that already exists in Pitchlane, so a later step can use it.

Searches sit at the bottom of the action-event list, under the SEARCH heading. Three settings decide what happens when the result is not the one expected.

1

Find a Video

SearchFind or create

In Zapier“Find a Video in a campaign”

Looks up an existing video inside a campaign, so a later step can reuse it instead of making a duplicate. Campaign is required here too. The editor also lists Find or Create Video: it is this same search with the creation box ticked, not a second operation.

When to use it
check whether a prospect already has a video before Create a Video makes another one.
Watch out
a search makes the Zap multi-step, so it needs a paid plan.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that needed its result are skipped. Switched on, the Zap carries on with nothing in hand.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for what it needs to create the missing video.
  3. If multiple search results are found?
Three ways out when several videos match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a Pitchlane Zap breaks

Zapier links no help article to Pitchlane, so the traps below are the general Zapier limits, applied to a video app.

With these Zaps, volume is a bigger trap than errors. Instant triggers mean every play or view reaches Zapier, and every one of them can spend tasks. When a Zap stops for a reason you cannot pin down, the Zapier troubleshooting page is the next stop.

  • Old videos are never picked up

A Zap only reacts to what happens after you switch it on. Videos created or watched before that stay where they are; moving that backlog is a separate job.
  • A Zap that triggers itself

If a Zap writes back into what its own trigger watches, for example a render that calls Create a Video, it starts itself again and burns tasks fast.
  • Bulk imports can be held back

When a trigger suddenly sends a huge batch, after a mass import of leads or a campaign migration, Zapier's flood protection can hold those runs back.
  • Every-view triggers multiply tasks

Video Started, Video Viewed and Video Finished run on each occurrence. Every successful action after them is billed again each time.

FAQ

Pitchlane and Zapier: frequent questions

01Is the Pitchlane Zapier integration free?
Yes, it works on Zapier's free plan, because Pitchlane is not a premium app. The free plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. That is enough for something like Video First Finished followed by one row in a sheet. The moment you add a second action, a filter or a search such as Find a Video, the Zap becomes multi-step and moves to a paid plan.
02How many Zapier tasks does a Pitchlane Zap use?
One task per action that completes, and nothing for the trigger. A Zap that logs every first full viewing in a sheet spends one task per lead. Add an email to the rep and it spends two. An action that fails is not counted. The real risk is the every-time triggers: Video Started or Video Viewed run on each play, so a popular video multiplies the tasks quickly. Pick first-time triggers when one signal per lead is enough.
03Does Pitchlane trigger Zaps in real time?
Yes. All 8 Pitchlane triggers are instant: Pitchlane reports the event to Zapier itself, and the Zap starts without waiting for a scheduled check. That holds on every plan, including the free one, so the polling interval of your plan never applies to these Zaps. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to confirm it. The only thing your plan changes here is the number of steps.
04What does it take to connect Pitchlane to Zapier?
A Pitchlane account, and read or write access to any campaign you do not own but want the Zap to use. The connection itself happens from the Apps page in Zapier: add a connection, pick Pitchlane, sign in in the tab that opens and grant access. Before building with Create a Video or Find a Video, make sure the account holds at least one campaign, since both ask for one.
05Video Viewed or Video First Viewed: which one to pick?
In most cases, Video First Viewed. Pitchlane's own description of Video Viewed points that way. First Viewed runs once per video, which gives one clean alert when a prospect opens the pitch. Video Viewed runs on every view, which suits a detailed history for a few key accounts but costs a task per action on every visit. Pick the every-view version only if repeat visits change what your team does next.
06What if a Pitchlane operation is missing from Zapier?
Then Zapier cannot do it for this app today. The integration offers 8 triggers, one action (Create a Video) and one search (Find a Video), and nothing else: no edit, no delete, no sending. A missing step has to happen in Pitchlane itself or in the tool that carries your outreach. Before planning a workaround, check the full list on this page against the job, one step at a time.
07Zapier, Make or n8n for Pitchlane?
Decide by criteria, not by brand. On Zapier, Pitchlane gives you 8 instant triggers, one action and one search, and it runs on the free plan as long as the Zap stays at two steps. So the questions are: does the other tool offer the Pitchlane events and actions your process needs, how many steps will the scenario take, and who on the team will maintain it. Compare those three answers before choosing.
