Pivasoft Zapier integrationAutomate Pivasoft with Zapier.
The Pivasoft Zapier integration gives you 0 triggers, 1 action and 0 searches. That single action, Create Lead, is enough to push leads from your forms, ads or sheets into Pivasoft, as long as the source collects every field it requires.

What the Pivasoft Zapier integration does for your leads
Pivasoft is a lead management tool. On Zapier it offers one thing: an action that creates a lead in your Pivasoft account. It means any app that collects contact details, a web form, an ad campaign or a spreadsheet, can hand its new entries to Pivasoft without anyone typing them in again.
Three results come out of that one action. First, web form leads filed automatically: a new form entry becomes a Pivasoft lead through Create Lead, with the name, address and phone already in place. Second, ad leads that skip the export: a lead from a social ad campaign goes straight to Pivasoft instead of waiting in a downloaded file. Third, a sheet that feeds the CRM: a row added to a shared spreadsheet by a partner or a call centre becomes a lead in the right place.
Now the limits. Pivasoft has no trigger on Zapier, so nothing that happens in Pivasoft can start a Zap: no alert when a lead changes, no copy to another tool. There is no search either, so a Zap cannot check whether a lead already exists before creating it, and no action to update or delete one. The other catch is the form itself: Create Lead requires ten fields, including a birthday and a private phone number, and a source that does not collect them cannot fill the action.
Before choosing a tool for this, a neutral starting point is Zapier alternatives.
Zapier words, in plain English
Eight terms you will meet in the editor, explained once here and used as is on the rest of the page.
- Zap
- The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap. Pivasoft has none, so it always comes from another app, such as a new form entry.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you, here Create Lead.
- Task
- The unit Zapier bills. One action completed successfully is one task, and your plan is a count of those.
- Instant vs polling trigger
- An instant trigger is reported by its app the moment it happens. A polling trigger is checked by Zapier on a timer.
- Filter
- A step that lets the Zap carry on only when what arrived meets your condition, and stops it there otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter or a second action makes it one, and it then needs a paid plan.
- Connection
- Your Pivasoft account linked to Zapier once, then reused by every Zap that creates leads in it.
What Pivasoft costs you in Zapier tasks
The trigger from the other app costs nothing. Each lead that Create Lead files successfully is one task; a failed attempt is not counted.
- Trigger (other app)0 tasks
- Each lead created1 task
- Free plan100 tasks a month, 2-step Zaps
- Premium appNo, free plan works
Pivasoft is not a premium app, so it works on the free plan: 100 tasks a month, which means up to 100 leads, and Zaps of two steps. A form trigger followed by Create Lead fits exactly. Add a filter to block incomplete leads and the Zap becomes multi-step, which needs a paid plan. How fast a lead arrives depends on the trigger of the other app: an instant one fires straight away, a polling one is checked at the interval of your plan.
Connect your Pivasoft account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need a Pivasoft account first, with write access to the place where the leads should land if you do not own it.
- 02
Pick Pivasoft
Type Pivasoft in the search box of the dialog, select it, then click Add connection. Zapier opens a new tab where Pivasoft asks you to sign in to your account.
- 03
Sign in and grant access
Log in with the Pivasoft account that should receive the leads, then allow Zapier to reach it. The connection is saved once and every later lead Zap reuses it.
Your first Pivasoft Zap: from an ad lead to a Pivasoft lead
GoalEach time a new lead comes in from your Facebook lead ad, check that the required details are there and create the lead in Pivasoft.
- 01
Build: start from the other app
Create a Zap and choose the app that collects your leads, here Facebook Lead Ads with New Lead, since Pivasoft has no trigger of its own. Connect that account.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items of that account, so you map Create Lead on a real lead, and you see at once which details are missing.
- 03
Add a filter
From the plus icon, add Filter and set the field to look at, the rule and the value, so leads with an empty phone or birthday stop here. This makes the Zap multi-step, so it needs a paid plan.
- 04
Add Create Lead
Add Pivasoft with Create Lead, pick your connection and map each of the ten required fields. Type the birthday as DD.MM.YYYY, then test and check the lead in Pivasoft.
- 05
Publish
Publish the Zap to switch it on. Each lead that passes the filter and reaches Pivasoft costs one task; the ones stopped by the filter cost nothing.
Pivasoft action in Zapier
Pivasoft gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

Create Lead
ActionIn Zapier“Create a lead on lhp.pivacom.com”
Files a new lead in your Pivasoft account from what earlier steps carried. Ten fields are required, among them Kind, Checked, Professional status and a Birthday written as DD.MM.YYYY.
When a Pivasoft Zap breaks
Zapier links no help article to Pivasoft, so these traps are Zapier's general limits, applied to a lead Zap that depends on another app's trigger.
With a single action, almost every failure starts upstream: in the form, in the trigger app, or in a batch you did not expect. When a Zap stops and the reason is not obvious, the Zapier troubleshooting page is the next stop.
Missing required fields
Create Lead needs ten fields. A source that leaves one out, a phone, a street or a birthday, gives the action nothing to map and the lead does not get filed.Old leads are never picked up
A Zap only reacts to what happens after you switch it on. Leads collected before that stay in the source app; moving that backlog is a separate job.Bulk imports can be held back
When the trigger app suddenly sends a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.Duplicates on polling sources
Zapier remembers what a polling trigger has already seen, so the same row does not start the Zap twice. A lead entered twice at the source is another matter.
