What the Pixxi CRM Zapier integration actually does
It links your Pixxi CRM account, the real estate CRM aimed at sales, marketing and admin teams in the UAE, to Zapier. Zapier runs automations between apps: when something happens in Pixxi CRM, it can act in another tool, and when something happens in another tool, it can write a lead or a note back into Pixxi CRM.
Three typical results. A new lead that reaches your other tools without copy-paste: Lead Created hands every fresh lead to the next step. A follow-up when a record changes: Lead Updated starts the Zap when someone edits a lead, which is the hook for a reminder or a sync elsewhere. Outside enquiries filed where your agents work: Add Lead registers a lead coming from a form or a spreadsheet, and Add Activity Log writes a note on a buy or rent lead so its history stays in one place.
What Zapier does not do for this app: there is no search step, so a Zap cannot look up an existing Pixxi CRM lead on its own. To write a note, the Lead ID has to come from an earlier step, in practice a Pixxi CRM trigger. Nothing updates or deletes a lead either. If the job needs one of those, the five operations below will not cover it (and no clever wiring of fields between steps changes that).
Before choosing a tool, two neutral reads: Make vs Zapier and n8n vs Zapier.
Zapier vocabulary in one minute
Eight words come back on every line of this page. Here they are in plain English, once.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for it and does nothing until it comes.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
- Task
- The unit Zapier bills you for. One task is one action that completed successfully; your plan counts those, nothing else.
- Polling trigger
- A trigger Zapier checks on a timer, asking the app for new items at a fixed interval and keeping only the ones it has not seen.
- Instant trigger
- A trigger the app reports by itself: it calls Zapier when the event happens, so nothing waits for a scheduled check.
- Filter
- A step that lets the Zap carry on only when the incoming item meets the condition you set, and stops it otherwise.
- Connection
- Your account in an app, linked to Zapier once and then reused by every step of every Zap that uses that app.
What a Pixxi CRM Zap costs you
Pixxi CRM is not reserved for paid plans: it works from the free plan. What you spend is tasks, and a task only counts when an action succeeds.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps
- Paid plan required for Pixxi CRMNo
The trigger never costs a task, and an action that fails is not counted. A Zap running Lead Created then Add Activity Log spends one task per lead. The free plan gives 100 tasks a month, but only two-step Zaps: add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. The interval grid below concerns polling triggers only, and all three Pixxi CRM triggers are instant.
Connect Pixxi CRM to Zapier in three steps
- 01
Open Apps and start a connection
Log in to Zapier and go to the Apps page of your account. Click + Add connection to open the dialog where you search for the app you want to link. Pixxi CRM is listed there.
- 02
Pick Pixxi CRM
Type Pixxi CRM in the dialog, select it in the results, then click Add connection. You need an existing Pixxi CRM account at this point: the connection links an account, it does not open one.
- 03
Sign in and grant access
Sign in to Pixxi CRM in the tab that opens and grant Zapier access to the account. If your Zaps will touch leads you do not own, make sure your Pixxi CRM user has read or write access on them beforehand.
Your first Pixxi CRM Zap: a note on every qualifying lead
GoalEvery new Pixxi CRM lead that meets your condition gets an activity note written by the Zap, with nobody typing it.
- 01
Set the trigger
Start building: pick Pixxi CRM as the app that starts the Zap, Lead Created as the event, then select the connection you just added.
- 02
Test it on a real lead
Run the test. Zapier brings back the three most recent items of the connected account; choose a real lead, since every later step is mapped on it.
- 03
Add the filter
From the plus icon, add a Filter step and fill its three boxes: the field to look at, the rule, the value. Match a text rule to text and a number rule to numbers, or it never passes.
- 04
Add the note
Choose Pixxi CRM again with Add Activity Log. Map the value that identifies the lead from the test item into Lead ID, and write the note in Message.
- 05
Test and publish
Test each step and read what came back, then click Publish to switch the Zap on. It only reacts to leads created from then on.
Pixxi CRM triggers on Zapier
3 events start a Zap when something happens in Pixxi CRM, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
Lead Updated
Instant triggerIn Zapier“Triggers when a lead information was updated.”
Starts your Zap when someone edits the information on an existing lead in Pixxi CRM. It is the trigger for anything that has to follow a change rather than a creation, like keeping a copy of the lead elsewhere in step with the CRM.
Lead Created
Instant triggerIn Zapier“Triggers when a new lead is created and when a lead is updated on Pixxi CRM”
Fires on new leads in Pixxi CRM, which makes it the natural starting point for a hand-off: the lead exists, and the Zap carries it to the next tool. Its official description adds that it also fires when a lead is updated.
New Notification
Instant triggerIn Zapier“Triggers when a new notification is sent.”
Reacts to notifications sent by Pixxi CRM. Every new one becomes a Zap run, which is how alerts your team already gets inside the CRM can reach the tools it actually watches.
Pixxi CRM actions on Zapier
Pixxi CRM gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Activity Log
ActionIn Zapier“Adds an activity log note for buy and rent leads.”
Writes an activity log note on a buy or rent lead, so something that happened outside Pixxi CRM ends up in the lead's history.
Add Lead
ActionIn Zapier“Use the webhook to add leads to your Pixxi CRM environment”
Registers a new lead in your Pixxi CRM account from data another app collected, starting with the lead's name.
When your Pixxi CRM Zap breaks
Most failures here are not bugs. They come from how Zapier treats time, loops and volume.
Zapier attaches no help article of its own to Pixxi CRM, so the cases below are three general limits that apply to it, plus one quirk of its own trigger. For a broken Zap in general, there is Zapier troubleshooting.
Existing leads are never picked up
A Zap only reacts to what happens after you switch it on. Leads already in Pixxi CRM stay as they are; moving that backlog is a separate job.The Zap keeps setting itself off
A Zap that writes where its own trigger watches restarts itself again and again and eats tasks fast. A Pixxi CRM trigger feeding a Pixxi CRM action is the setup to test first. The same lead runs twice
Lead Created also fires when a lead is updated, according to its description, so one lead can start the Zap at creation and again after an edit.A bulk import gets held back
After a mass import or a migration, a trigger that suddenly sends a huge batch can be paused by Zapier's flood protection instead of running every item.
