Overview

What the Placester Zapier integration actually does

It connects Placester, the platform real estate agents and brokers use to run their own property website and follow the leads it brings in, to Zapier. Zapier runs automations between apps. With Placester the flow goes one way: a visitor does something on your site, and Zapier carries it to another tool.

Three typical results. No contact request left sitting in a dashboard: New Contact Form Submission and New Pop-Up Submission send each enquiry to your inbox, your CRM or your team chat. Buyer signals turned into follow-ups: New Property Added to Favorites and New Saved Search tell you which homes and which criteria a lead cares about, which is exactly what an agent wants before calling back. One running list of every lead: All Website Leads feeds a spreadsheet or a CRM with new and updated leads from your site.

What Zapier does not do for this app: there is no action and no search. A Zap cannot create a lead, publish a listing or look anything up in Placester; it only reads what happens there. And every trigger here works by polling, so nothing arrives the second a visitor clicks (on the free plan, think in quarter hours, not seconds).

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line below. Here they are, once, in plain English.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. All eight Placester operations are triggers: they report what visitors do on your site.
Action
What the Zap does after it starts: the step that writes, sends or moves something, always in another app than Placester here.
Task
The unit Zapier bills you for: one action completed successfully. Your plan counts those, and nothing else.
Polling trigger
A trigger Zapier checks on a timer: it asks the app for new items at a fixed interval and keeps only what it has not seen yet.
Instant trigger
A trigger the app reports by itself, calling Zapier when the event happens. Placester has none, which shapes everything below.
Filter
A step that lets the Zap carry on only when the incoming item meets the condition you set, and stops it otherwise.
Cost

What a Placester Zap costs you

Placester is not reserved for paid plans: it works from the free plan. Its eight operations are triggers, and a trigger never costs a task.

  • Placester trigger0 tasks
  • Each successful action in another app1 task
  • Free plan100 tasks a month, two-step Zaps
  • Paid plan required for PlacesterNo

Checking Placester for new items is free too, however often Zapier looks. Tasks come from the actions that follow in your other apps: one per action that succeeds, none for one that fails. The free plan gives 100 tasks a month and two-step Zaps only; a filter or a second action makes the Zap multi-step, which needs a paid plan. The plan also sets how often each Placester trigger is checked, as the grid shows.

Connect

Connect Placester to Zapier in three steps

  1. 01

Open Apps and start a connection

Log in to Zapier and go to the Apps page of your account. Click + Add connection: a dialog opens where you search for the app you want to link, Placester included.

  2. 02

    Pick Placester

Type Placester in the dialog, select it in the results, then click Add connection. You need an existing Placester account at this point: the connection links one, it never opens a new one.

  3. 03

    Sign in and grant access

Sign in to Placester in the tab that opens and grant Zapier access to the account. If the site you want to watch is managed by someone else, check first that your Placester user can read it.

First Zap

Your first Placester Zap: every contact request in your inbox

GoalEach contact request sent from your Placester site that meets your condition lands in your inbox as an email, ready for a callback.

  1. 01

    Set the trigger

Start building: pick Placester as the app that starts the Zap, New Contact Form Submission as the event, then your connection and the Placester site to watch.

  2. 02

    Test on a real request

Run the test. Zapier brings back the three most recent items of the connected account; pick a real contact request, since the next steps are mapped on it.

  3. 03

    Add the filter

From the plus icon, add a Filter step: the field to look at, the rule, the value. Pick a text rule for text and a number rule for numbers. This step needs a paid plan.

  4. 04

    Add the email

Choose your email app and its send action, then map the lead's details from the test item into the message. That action is the one that spends a task.

  5. 05

    Test and publish

Test each step and read what came back, then click Publish to switch the Zap on. Only requests sent after that are picked up.

Triggers

Placester triggers on Zapier

8 events start a Zap when something happens in Placester. Zapier checks for them at the interval your plan allows.

1

All Website Leads

Polling trigger

In Zapier“Triggers when your site has new or updated leads.”

Catches new leads on your site and leads whose details have changed, in one feed. It is the broadest of the eight, the one to pick when you want every lead in one place rather than one kind of activity.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a solo agent wants one spreadsheet listing every person who has ever left details on the site, kept up to date without exports.
Watch out
updated leads come through too, so the same person can show up again after a change on their record.
2

New Account Sign-Up

Polling trigger

In Zapier“Triggers when a lead signs up on your site.”

Starts a Zap when a visitor creates an account on your Placester site. A sign-up is a stronger signal than a page view: the person chose to come back, so this is the moment to welcome them or hand them to an agent.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a brokerage sends each new account holder a personal welcome from the agent covering their area, written once and reused.
Watch out
the trigger asks which Placester site to watch; sign-ups on your other sites will not reach this Zap.
3

New Contact Form Submission

Polling trigger

In Zapier“Triggers when a lead makes a contact request on your site.”

Fires on each contact request a lead sends through your site. Of all eight triggers, this is the one closest to a phone call: someone asked to be contacted, and the delay before a reply matters.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
requests get missed because nobody watches the Placester dashboard, and the team would rather see them in a shared inbox or chat channel.
Watch out
on the free plan a request can wait up to the interval before the Zap sees it, so tell callers the truth about reply times.
4

New Login

Polling trigger

In Zapier“Triggers when a lead logs into a user's site”

Reports each time a lead logs into your site. On its own a login says little, but it tells you a lead is back and browsing, which is useful context for an agent deciding whom to call first.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an agent keeps a list of returning leads and adds a line each time one of them signs back in, to spot renewed interest.
Watch out
every login is one more run, and each run that triggers an action spends a task, so filter before notifying anyone.
5

New Pop-Up Submission

Polling trigger

In Zapier“Triggers when a new pop-up submission is created.”

Starts your Zap when a visitor fills in one of your site's pop-ups. A pop-up lead has not asked to be called, so it often fits a newsletter or a slower follow-up better than an immediate call.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a team adds pop-up sign-ups to its email marketing list so they receive new listings, while contact forms go straight to an agent.
Watch out
like most triggers here, it watches a single Placester site that you must pick in the trigger settings.
6

New Property Added to Favorites

Polling trigger

In Zapier“Triggers when a lead favorites an individual property on a user's site”

Fires when a lead saves a specific property as a favorite on your site. This is the most concrete buying signal of the list: a named person, a named home.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
the listing agent of that home gets a message saying who favorited it, so the callback can open on the property itself rather than a generic hello.
Watch out
what the trigger brings about the property depends on Placester, so read the test item before writing the message.
7

New Published Blog Post

Polling trigger

In Zapier“Triggers when a new blog post is published.”

Reacts to a new post going live on your Placester blog. Unlike the other seven, it follows your own content rather than your leads, which makes it the trigger for spreading an article once it is out.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
each new market update on the blog is shared to the brokerage's social accounts without anyone copying the link.
Watch out
besides the site, it asks whether to use additional filters; answer No to keep things simple, Yes to see the options.
When it breaks

When your Placester Zap breaks

Most surprises with Placester come from timing, not from errors. Every trigger polls, and that shapes what you see.

Zapier attaches no help article of its own to Placester, so the cases below are the general limits that apply to it, seen from an agent's website. For a broken Zap in general, there is Zapier troubleshooting.

  • Old leads never come through

A Zap only reacts to what happens after you switch it on. Leads already in Placester stay out of it; moving that backlog is a separate job.
  • Items arrive late on the free plan

All eight triggers are polled. On the free plan Zapier checks every 15 minutes, so an enquiry can wait that long before the Zap starts.
  • Nothing shows up from one of your sites

Most triggers watch one Placester site picked in their settings. Activity on any other site never reaches that Zap.
  • A big import gets held back

After a mass import or a migration, a trigger that suddenly returns a huge batch can be paused by Zapier's flood protection rather than run item by item.

FAQ

Placester and Zapier: common questions

01Is the Placester Zapier integration free?
Yes, as long as the Zap stays at two steps. Placester is not reserved for paid plans, so it works on Zapier's free plan, which gives 100 tasks a month and an unlimited number of Zaps. The limit is the shape of the Zap: one trigger and one action. A filter, a second action or a search makes it a multi-step Zap, and that needs a paid plan. The free plan also checks each Placester trigger every 15 minutes, which is the other price of not paying.
02How many tasks does a Placester Zap use?
Placester itself uses none: its eight operations are triggers, a trigger never costs a task, and checking for new items is free however often Zapier looks. You pay for the action that follows in another app, one task each time it succeeds and nothing when it fails. A Zap that emails you each contact request spends one task per request. A busy trigger such as New Login is the one to weigh against the 100 tasks a month of the free plan.
03Are Placester triggers on Zapier real time?
No. All eight Placester triggers work by polling: Zapier asks Placester for new items at a fixed interval and keeps only what it has not seen. The interval depends on the plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. On paid plans you can change how often a trigger checks and run a check by hand from the editor. The app page on Zapier shows the free-plan interval on every polling trigger, so the claim is easy to check.
04What does connecting Placester to Zapier require?
A Placester account with at least one site, and a Zapier account. From the Apps page in Zapier, click + Add connection, search for Placester, sign in and grant access. If someone else manages the site, your Placester user needs read access on it. Most triggers then ask which Placester site to watch, and that field is required. New Published Blog Post adds one more required question, whether to use additional filters, which you can answer No to start simply.
05Why does a Placester Zap miss leads from one of your sites?
Because most triggers are tied to a single site. Seven of the eight, everything except All Website Leads, ask which Placester site to watch, and they only report activity on that one. A brokerage with several sites needs one Zap per site, each with its own trigger set on that site. Check the site chosen in the trigger settings first, then run the test again and read which site the returned items come from.
06What if the Placester operation you need is not on Zapier?
Then Zapier cannot do it for this app today. The list holds eight triggers and nothing else: no action, so no lead, listing or post created from Zapier, and no search to find an existing record. If the job is to react to what visitors do on your site, the triggers cover a lot of ground. If it is to write into Placester, that part stays manual or goes through another route, and the app page on Zapier shows the current list.
07Zapier, Make or n8n for Placester?
Decide on criteria rather than reputation. On Zapier, the eight Placester triggers are polled, so speed depends on your plan, and the app works on the free plan for two-step Zaps. The questions that settle it: is a delay of up to 15 minutes acceptable for your contact requests, or do you need a paid plan for faster checks? Do you need a filter or several actions per lead? Do you need to write back into Placester? Weigh those needs against what each tool offers for Placester.
