Planable Zapier integrationAutomate Planable with Zapier.
Planable Zapier integration: 2 triggers and 4 actions. Both Planable triggers are instant, so new activity or a new media file starts your Zap right away, even on the free plan. Here is what each operation does, what it costs in tasks and where it breaks.

What the Planable Zapier integration actually does
The Planable Zapier integration connects your social media planning to the rest of your tools, without code. Planable is the shared space where a social team prepares its posts and gets them signed off; Zapier lets other apps feed drafts, media and labels into it, and lets Planable activity reach the tools your team already watches.
Three outcomes cover most uses. First, drafts that write themselves: a new blog article, a product launch or a row in a content calendar starts the Zap, and Create Post or Create Story drops a draft into the right workspace and page. Second, a media library that fills up on its own: files produced elsewhere reach Planable through Upload Media, and New Media Uploaded tells the team they are there. Third, an activity feed outside Planable: New Activity picks up the type of activity you choose and sends it to chat, email or a tracking sheet.
Both triggers are instant, which means the plan's checking interval never slows them down, not even on the free plan.
What Zapier does not do here: there is no search step for Planable, so a Zap cannot find an existing post to change it. No action edits, approves, schedules or deletes a post either. The integration creates things and reports activity; the approval and publishing work stays in Planable.
If Zapier itself is still under evaluation, see the Zapier review.
Zapier vocabulary in one minute
Six words come back on every line. Here they are in everyday English.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, such as a new media file in Planable.
- Action
- What the Zap does once it has started: the step that writes, sends or uploads something for you, like a post draft.
- Task
- The unit Zapier bills. One task is one action your Zap carried out successfully; the plan counts those and only those.
- Polling vs instant
- A polling trigger is checked by Zapier at a fixed interval. An instant trigger is reported by the app itself the moment it happens.
- Filter
- A step that lets the Zap go on only when what arrived meets a condition you set, and stops it there otherwise.
What a Planable Zap really costs
Planable is not reserved for paid Zapier plans: it works on the free plan.
- Free plan100 tasks a month
- Steps on the free plan2 (one trigger, one action)
- Trigger0 task
- Planable triggers2 instant, 0 polling
The trigger never costs a task, and neither does Zapier waiting for Planable to report an event. Each action that goes through is one task: a Zap that uploads a file and then creates a post costs two per run, and a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps, one trigger and one action. A filter or a second action makes the Zap multi-step, and that needs a paid plan. The interval grid on the right only applies to polling triggers; both Planable triggers are instant, so it does not apply to them.
Connect Planable to Zapier in three steps
- 01
Open the Apps page
In your Zapier account, open Apps and click + Add connection. A connection is your Planable account linked once to Zapier, then reused by every Planable step you build.
- 02
Pick Planable
Type Planable in the search box of the dialog, select it in the results, then click Add connection. A new tab opens on the Planable side so you can sign in there.
- 03
Sign in and grant access
Log in to Planable in that tab and allow Zapier to use the account. You need a Planable account, plus access to every workspace you do not own and want the Zap to write into.
Your first Planable Zap, step by step
GoalWhen a chosen type of activity happens in Planable, log it in a sheet and tell the team in Slack.
- 01
Build: pick the trigger
Create a Zap, choose Planable as the app that starts it and New Activity as the event, then select your Planable connection.
- 02
Set company and activity
Pick the Company to watch and the Activity Type that should start the Zap. Both fields are required, and the type you choose is the only one that counts.
- 03
Test the trigger
Run the test. Zapier brings back the three most recent matching activities of the account, so you map the next steps on a real one rather than a guess.
- 04
Add the two actions
Add Google Sheets to log the activity in a row, then Slack to post it in the team channel. Two actions make the Zap multi-step, so it needs a paid plan.
- 05
Test and publish
Test each action and read what came back, then click Publish to switch the Zap on. Each matching activity then costs two tasks.
Planable triggers
2 events start a Zap when something happens in Planable, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.
New Activity
Instant triggerIn Zapier“Triggers when a new activity occurs.”
Starts the Zap whenever a new activity of the type you picked takes place in the company you watch. You choose one activity type per Zap, which keeps the stream narrow and relevant instead of firing on everything.
New Media Uploaded
Instant triggerIn Zapier“Triggers when a new media file (image/video) is uploaded to the media library.”
Reacts each time an image or a video is added to the media library of the company you watch. Whoever uploads it, the Zap knows a new asset is ready to be used.
Planable actions
Planable gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Label
ActionIn Zapier“Creates a new label in a Planable workspace.”
Adds a new label to a workspace, with its name and a preset colour. Useful to keep labels in line with a list that lives somewhere else.
Create Post
ActionIn Zapier“Creates a new post in Planable.”
Drafts a new post on a page of the chosen workspace, with the text you map in. The post is created inside Planable, where your team picks it up.
Create Story
ActionIn Zapier“Creates a new story in Planable.”
Creates a new story for an Instagram page in the chosen workspace, the short-format counterpart of the post action.
Upload Media
ActionIn Zapier“Uploads media files (images/videos) to the Planable media library.”
Sends an image or a video into the media library of a workspace, from a file link produced by an earlier step.
50MB.When a Planable Zap breaks
Zapier links no help article to Planable, so the known failure points are the ones every Zap shares. Here are the four that matter most with this app.
Most breakdowns come from the Zap's design, not from Planable failing. Read these cases before publishing, and keep the Zapier troubleshooting page at hand.
The media loop
A Zap that runs Upload Media on the company that New Media Uploaded watches sets itself off again and again, and burns through your tasks. Keep the two apart. No backfill
A Zap only reacts to what happens after it is switched on. Activity and media that were already in Planable are never picked up; moving them is a separate job.A bulk upload gets held back
Drop a large batch of files at once and the trigger suddenly returns a lot of items. Zapier's flood protection can pause them instead of running them all.A workspace you do not own
The connected account needs read or write access on any company, workspace or page it does not own. Without it, the Zap has nothing to read or write there.
