What the Plivo Zapier integration does for you

It connects your Plivo account, the service that sends and receives SMS and voice calls on your numbers, to Zapier. Once linked, a Zap can start when a text arrives or a call ends, and it can text, send an MMS or place a call that speaks or plays audio.

Three results people build. An automatic reply: a customer texts your Plivo number, New SMS catches it and Send SMS answers within the same run, provided the trigger test shows the sender's number to map as destination. A follow-up after a call: New Completed Call sees the call has ended and a text goes out with the next step, to a number you set or one the trigger test brings back. A voice alert: something happens in another tool and Make Call & Speak Text rings a phone and reads a short message aloud.

The one thing to know before picking a trigger: of the two, only New SMS is instant. It fires as soon as the text lands, even on the free plan, while New Completed Call waits for Zapier's next check, every 15 minutes on that plan. If speed matters, build around the SMS.

Triggers cost nothing, and neither do Zapier's checks for new calls. Each Plivo action that succeeds, an SMS, an MMS, a call, counts one task; a failed one is not counted. The free plan gives 100 tasks a month and two-step Zaps only. A filter, a Find Number search or a second action turns the Zap into a multi-step Zap, which needs a paid plan. A reply filtered on a keyword, or a text followed by a call, is already in that case.

    Open your connections

    In your Zapier account, go to the Apps page and click + Add connection. You need a Plivo account first, with access to the numbers the Zap will send from or listen to.

    Pick Plivo

    Search for Plivo in the dialog, select it in the list, then click Add connection. A brand new browser tab opens so you can authenticate on the Plivo side.

Your first Zap: answer keyword texts automatically

When to use it
a team with separate numbers for calls and texts wants the Zap to pick the right one rather than typing it in.

the Service field is required and only accepts voice or SMS.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. Plivo offers no such variant for Find Number on Zapier, so nothing gets created here.
  3. If multiple search results are found?
    Three ways out when several numbers match: keep the first one, the default, stop the Zap, or hand all of them to the next steps.
When it breaks

When the Plivo Zap breaks

Zapier attaches no help article to Plivo, and no rate limit specific to the app is on record. What breaks comes from the operations themselves and from rules every Zap follows.

Six cases to keep in mind. The first two are Plivo's own, the four others apply to any Zap and bite harder with messaging, where every run sends something to a real person.

  • Your old SMS setup goes quiet

    New SMS overrides the message URL already set on the Plivo number. If another tool was receiving those texts, it stops the moment the Zap goes live.
  • A number in the wrong format

    Destination numbers need the country code with a plus sign in front. A local format taken from a spreadsheet or a form does not match what the field asks for, so check it before you publish.
  • The auto-reply that talks to itself

    A Zap that writes where its own trigger watches sets itself off again and again. Never send to the number New SMS listens on, or the loop drains your tasks.
  • Old texts are never answered

    A Zap only reacts to what arrives after it is switched on. Texts and calls from before stay untouched, and handling that backlog is a separate job.
  • A burst of messages at once

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back instead of running it.
  • The same call seen twice

    It does not happen: on New Completed Call, a polling trigger, Zapier keeps track of what it has already seen, so one call starts the Zap once.

01Is the Plivo Zapier integration free?
On Zapier's side, yes: Plivo is not a premium app, so it works from the free plan. That plan gives 100 tasks a month, unlimited Zaps and a check every 15 minutes on polling triggers. The limit that bites is the shape of the Zap: two steps only, one trigger and one action. A keyword filter, a Find Number search or a second action makes it a multi-step Zap, which needs a paid plan. Keep the free plan for testing a single reply, then size the plan on the number of messages you expect to send.
02How many tasks does a Plivo Zap use?
One per successful action. New SMS and New Completed Call cost nothing, and neither do the checks Zapier runs to look for new calls. Each Send SMS, Send MMS or call that goes through counts one task; one that fails counts nothing. In a Zap that texts and then calls, both count separately. A filter that stops a run before the sending step costs nothing for that run, which keeps unwanted messages off your count.
03Is the Plivo Zapier integration real time?
It depends on the trigger. New SMS is instant: Plivo tells Zapier the moment a text arrives and the Zap starts right away, whatever your plan. New Completed Call is a polling trigger: Zapier checks at regular intervals, every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The type is set by the app and cannot be changed in Zapier. On a free plan, build your time-sensitive flows on New SMS.
04What do you need to connect Plivo to Zapier?
A Plivo account with at least one number on it. Connecting takes three moves: open the Apps page in Zapier, click + Add connection and pick Plivo, then sign in to Plivo in the tab that opens and grant access. The number matters because New SMS asks which number to listen on and every sending action asks for a From or Source number. Without one, those required fields stay empty. Pick the number before you start building.
05Why did another tool stop receiving SMS after setting up the Zap?
Because New SMS takes over the number. Turning on a Zap with this trigger overrides the message URL already associated with that Plivo number, which is where incoming texts used to be sent. Anything that relied on it stops receiving texts. Before you publish, check whether the number feeds another system. If it does, give the Zap a separate number, or plan the switch so nothing gets lost. Test it on a spare number first.
