Plox Zapier integrationAutomate Plox with Zapier.
The Plox Zapier integration gives you 3 triggers, 2 actions and 2 searches. All three triggers are instant, so views and new leads reach Zapier right away. The actions create datarooms and documents, the searches find them by name, and it all runs on the free plan.
Beta app Zapier still marks this integration as beta.

What the Plox Zapier integration does
Plox is a data room and document sharing tool for founders and dealmakers. Through Zapier, it tells your other apps who opened what and who left an email to get in, and it lets those apps create datarooms or documents in Plox for you. The integration is still flagged beta by Zapier.
Three outcomes come up again and again. A lead list that builds itself: when a visitor leaves their email to open a protected room, New Lead sends it to your CRM or a sheet, ready for follow-up. A nudge at the right time: Document Viewed or Dataroom Viewed pings the founder when an investor opens the deck, which is the moment to call. Rooms set up without clicks: a deal moving to a new stage elsewhere runs Create Dataroom, and a file hosted elsewhere becomes a Plox document through Create Document.
Now what Zapier does not do here. Nothing edits, renames, shares or deletes a dataroom or a document: the actions only create. The two searches look things up by name only, so two rooms with the same name are told apart only by date. And no trigger reacts to a document being added or changed; Zapier only hears about views and leads.

Zapier words, explained once
Eight terms are enough to read the rest. They keep these meanings all the way down.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. In Plox, that is a view of a room or document, or a new lead.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan gives you a set number each month.
- Instant trigger
- A trigger the app reports itself, the moment the event happens, so nothing waits for a timed check. All three Plox triggers are.
- Filter
- A step that lets the Zap continue only when what arrived meets a condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter, a search or a second action makes it one, and it needs a paid plan.
What a Plox Zap costs
Plox is not a premium app, so it works on the free plan. Its three triggers are instant, which spares free accounts the usual wait.
- Free plan100 tasks a month, unlimited Zaps
- Zap length on freeOne trigger and one action
- Premium appNo
- Trigger typeAll 3 instant
A view or a lead arriving from Plox never costs a task. Each action that completes is one task, whether it is a Plox action or a step in another app, and an action that fails is not counted. Send each new lead to a sheet and to an email, and each lead costs two. The free plan stops at two steps: adding a search before an action, or a filter, makes the Zap multi-step and needs a paid plan. Because every Plox trigger is instant, the interval grid below does not apply to them.
Connect your Plox account
- 01
Start from Apps
In your Zapier account, open Apps and click + Add connection. A connection is your Plox account linked once, then reused by every step that reads from or writes to Plox.
- 02
Pick Plox
Search for Plox in the dialog, select it, and click Add connection. Zapier then opens a new tab on the Plox side so you can sign in with your usual Plox login.
- 03
Sign in and allow access
Log in to Plox in that tab and grant Zapier access. You need a Plox account, plus access to any dataroom you do not own yourself and want the Zap to watch or fill.
Your first Zap: alert the founder when a new lead unlocks a room
GoalEach visitor who leaves an email to open a protected Plox dataroom triggers an email to the deal owner, but only for the room you care about.
- 01
Build: pick the trigger
Create a Zap, choose Plox and the event New Lead, then your Plox connection. It is instant, so a free account gets leads with no wait.
- 02
Test on a real lead
Run the test: Zapier brings back the three most recent leads of the account. If none exist yet, open a protected room yourself with a test email.
- 03
Add a filter
Add a Filter step that lets through only leads from the dataroom of the deal you are working on. This makes the Zap multi-step, so it needs a paid plan.
- 04
Add the email
Add a Gmail step addressed to the deal owner and map the lead's email into the message, so the reply can go out quickly.
- 05
Test and publish
Test each step and read what came back, then click Publish. Leads that arrived before this point stay in Plox and are not sent.
The 3 Plox triggers
3 events start a Zap when something happens in Plox, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
Dataroom Viewed
Instant triggerIn Zapier“Triggers when someone views one of your datarooms.”
Starts the Zap when someone opens one of your datarooms. It is the broad signal: someone is reading the deal as a whole, not just one file.
Document Viewed
Instant triggerIn Zapier“Triggers when someone views one of your documents.”
Fires when someone opens one of your Plox documents. Compared with the room-level trigger, it is the finer signal: you know the pitch deck or the term sheet itself was read.
New Lead
Instant triggerIn Zapier“Triggers when a visitor submits their email to access a protected dataroom or document.”
Runs when a visitor types their email to get into a protected dataroom or document. It turns your gated rooms into a lead form, without any other form tool in between.
The 2 Plox actions
Plox gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Dataroom
ActionIn Zapier“Creates a new dataroom.”
Opens a new, empty dataroom in Plox under the name you give it. Only the name is required, so a deal stage in another tool is enough to set it off.
Create Document
ActionIn Zapier“Creates a new document from a hosted file URL.”
Adds a document to Plox from a file already hosted somewhere else, under the name you choose. You hand over the file's web address, and the action builds the Plox document from it.
The 2 Plox searches
2 search steps look for data that already exists in Plox, so a later step can use it.
A search step finds a room or a document that already exists in Plox, so the next steps can use it. In the editor, both sit at the bottom of the Action event list, under SEARCH. Each one matches by name and returns the most recent first.
Find Dataroom
SearchIn Zapier“Finds a dataroom by name (most recent first).”
Looks up a dataroom by its name and hands it to the next steps, newest first when several share that name.
Find Document
SearchIn Zapier“Finds a document by name (most recent first).”
Finds a Plox document by name, putting the most recent one first, so a later step can point to the right file.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there, and the steps relying on it are skipped. Switch it on and the Zap carries on empty-handed.
- Create X if it doesn't exist yet? This box turns a search into a find-or-create on apps that offer it. Plox offers no such variant on these two searches, so a missing room is never created for you.
- If multiple search results are found?Three ways out when several items match: keep the first, which is the default and here the most recent, stop the Zap, or hand all of them on at once.
When a Plox Zap breaks
Zapier ties no help article to Plox, which is still in beta there, and the source lists no limit specific to it. The cases below are the general ones, read for this app.
Most problems sit around the actions and searches rather than the instant triggers. When a run fails, start from Zapier troubleshooting.
Past views and leads never come through
A Zap only reacts to what happens after it is switched on. Leads collected before that stay in Plox, and moving them is a separate job.A private file link fails
Create Document needs a public http or https address for the file. A link that requires a login or a share permission cannot be fetched.A search that finds nothing stops the Zap
With the default setting, Find Dataroom or Find Document coming back empty halts the run, and every step that relied on it is skipped.A burst of views can be held back
If a trigger suddenly returns a huge batch at once, Zapier's flood protection can hold it back rather than run every item.
