Overview

What the Plug&Pay Zapier integration does

Plug&Pay runs your checkout pages, upsells and online subscriptions in one place. Through Zapier, it tells your other tools when money moves or a customer relationship changes: an order paid, an invoice issued, a form sent, an affiliate accepted, a subscription cancelled or ended. It only sends events; nothing writes back into Plug&Pay.

Three outcomes cover most setups. Accounting that keeps up: Invoice Created sends each new invoice to your bookkeeping tool or a shared sheet, without exports by hand or invoices missing when the books are closed. Onboarding that starts on payment: Order Paid adds the buyer to your course platform, your newsletter or your CRM the moment the order is settled. Churn you can act on: Subscription Cancelled alerts your team or starts a win-back email, and Subscription Ended removes access where it should stop.

Now what Zapier does not do with Plug&Pay. There is no action: a Zap cannot create an order, issue a refund, change a subscription or add a product. There is no search either, so a Zap cannot look up a customer's past orders. Every Plug&Pay Zap starts in Plug&Pay and does its work elsewhere.

Vocabulary

Zapier vocabulary in a minute

Seven terms carry the rest of the page. Once explained here, they are used as they are.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Plug&Pay offers six, from a paid order to a subscription that has ended.
Action
What the Zap does once started: the step that writes, sends or moves something. With Plug&Pay, actions live in other apps.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan counts those each month.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits for a timed check. All six Plug&Pay triggers are.
Filter
A step that lets the Zap continue only when what arrived meets a condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action makes it one, and it then needs a paid plan.
Cost

What a Plug&Pay Zap costs

Plug&Pay is not a premium app, so it works on the free plan. As it has no action, every task is spent in the apps that follow.

  • Free plan100 tasks a month, unlimited Zaps
  • Zap length on freeOne trigger and one action
  • Premium appNo
  • Trigger typeAll 6 instant

An order, an invoice or a cancellation arriving from Plug&Pay never costs a task. Each action that follows and completes is one task; a failed one is not counted. Log a paid order in a sheet and also email the buyer, and each order costs two. The free plan stops at two steps, so a filter that keeps only one product, or a second action, means a paid plan. All six triggers are instant, so the interval grid below does not slow them down.

Connect

Connect your Plug&Pay account

  1. 01

    Open Apps

In your Zapier account, go to Apps and click + Add connection. A connection is your Plug&Pay account linked once, then reused by every Zap that starts from Plug&Pay.

  2. 02

    Choose Plug&Pay

Type Plug&Pay in the dialog's search, pick it from the results, and click Add connection. A new tab opens on the Plug&Pay side for you to sign in to your account.

  3. 03

    Sign in and grant access

Log in to Plug&Pay in that tab and allow Zapier into the account. You need a Plug&Pay account, plus access to any shop or form you do not own yourself and want the Zap to watch.

First Zap

Your first Zap: catch every cancellation before the customer is gone

GoalEach time a Plug&Pay subscription is cancelled, send the customer a win-back email and log the cancellation for the team.

  1. 01

    Build: set the trigger

Create a Zap, pick Plug&Pay and the event Subscription Cancelled, then your Plug&Pay connection. It is instant, so the Zap runs without waiting for a check.

  2. 02

    Test on a real cancellation

Run the test: Zapier brings back the three most recent cancellations of the account, so you can map the next steps on a real customer.

  3. 03

    Add the win-back email

Add a Gmail step addressed to the customer, with a short message and a way to reply. Keep the tone personal: this email lands right after they left.

  4. 04

    Log the cancellation

Add a Google Sheets step to keep a churn log. Two actions make this a multi-step Zap, so it needs a paid plan; on free, keep the email only.

  5. 05

    Test and publish

Test each step, read what came back, then click Publish. Cancellations made before this point are not picked up by the Zap.

Triggers

The 6 Plug&Pay triggers

6 events start a Zap when something happens in Plug&Pay, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Affiliate Accepted

Instant trigger

In Zapier“Triggers when an affiliate is accepted.”

Starts the Zap when you accept someone into your affiliate program in Plug&Pay. It marks the point where a partner can start promoting, which is when they need their welcome kit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
sending each new affiliate a welcome email with your brand assets, or adding them to a partner list.
Watch out
affiliates accepted before the Zap was published are not picked up.
2

Form Submitted

Instant trigger

In Zapier“Triggers when a form is submitted.”

Fires when someone sends one of your Plug&Pay forms. You choose which form to follow, so one Zap watches one form.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a coach who wants every intake form answer in the CRM before the first call.
Watch out
the Form setting is required, so the form must exist in Plug&Pay before you build the Zap, and each extra form needs its own Zap.
3

Invoice Created

Instant trigger

In Zapier“Triggers when an invoice is created.”

Runs when Plug&Pay issues an invoice. It is the trigger for anything that follows the paperwork rather than the payment itself.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
filing each invoice in your bookkeeping tool so the accountant never chases missing ones.
Watch out
the recurring invoice setting is required. Choose True for every renewal invoice, False for the first one only.
4

Order Paid

Instant trigger

In Zapier“Triggers when an order is paid.”

Goes off when an order is paid in Plug&Pay. It is the signal to deliver: access to a course, a welcome sequence, a seat in a program.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
giving a buyer access to your learning platform the moment the payment clears.
Watch out
it shares the recurring invoice setting. On False, renewals of a subscription do not run the Zap; on True, each one does and costs its tasks.
5

Subscription Cancelled

Instant trigger

In Zapier“Triggers when a subscription is cancelled.”

Triggers when a subscription is cancelled in Plug&Pay. It is your earliest warning that a customer is leaving.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a win-back email or a call from the account manager while there is still a chance to keep the customer.
Watch out
it is a separate event from Subscription Ended; do not use it to cut access if that should happen at the end.
6

Subscription Ended

Instant trigger

In Zapier“Triggers when a subscription ended.”

Fires when a subscription has ended in Plug&Pay. Where the cancellation trigger is about intent, this one is about the relationship actually stopping.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
removing a member from a private community or a course when their subscription is over.
Watch out
a Zap never handles subscriptions that ended before it was published; clean those up by hand.
When it breaks

When a Plug&Pay Zap breaks

Zapier ties no help article to Plug&Pay and the source lists no limit of its own. The cases below are the general failures, applied to a checkout and subscription app.

With six instant triggers and no action, trouble comes from settings and from the apps that follow. When a run fails, start with Zapier troubleshooting.

  • Past orders never come through

A Zap only reacts to what happens after it is switched on. Orders, invoices and cancellations from before stay in Plug&Pay; moving them is a separate job.
  • Renewals missing, or too many

Order Paid and Invoice Created depend on the recurring invoice setting. On False, renewals are skipped; on True, each renewal runs the Zap and spends tasks.
  • A big sales day is held back

If a trigger suddenly returns a huge batch, after a launch or an import, Zapier's flood protection can hold it back instead of running every item.
  • No loop through Plug&Pay

A Zap that writes where its trigger watches sets itself off again. Plug&Pay has no action, so this risk only exists in the apps you chain after it.

FAQ

Plug&Pay Zapier integration: common questions

01Is the Plug&Pay Zapier integration free?
Yes. Plug&Pay is not a premium app, so it works on Zapier's free plan, with 100 tasks a month and unlimited Zaps. The free plan builds two-step Zaps only: one Plug&Pay trigger and one action in another app. Logging each paid order in a sheet fits. Keeping only one product with a filter, or adding a second action such as an email, makes the Zap multi-step and needs a paid plan.
02How many tasks does a Plug&Pay Zap use?
One per successful action after the trigger, and none for the trigger itself. A paid order or a new invoice coming in from Plug&Pay is free. If the Zap logs each order in a sheet, each order costs one task; add a welcome email and it costs two. A failed action is not counted. With Order Paid on True for recurring invoices, every renewal also runs the Zap, so subscriptions can use the free plan's 100 tasks faster than one-off sales.
03Does Plug&Pay trigger Zaps in real time?
Yes. All six triggers are instant: Plug&Pay tells Zapier when the event happens, and the Zap starts right away. The plan intervals (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) do not apply to them, so a free account delivers course access or invoices as fast as a paid one. In the editor, a Zap built on an instant trigger shows a lightning bolt next to it.
04What do you need to connect Plug&Pay to Zapier?
A Plug&Pay account and a Zapier account. From Apps in Zapier, click + Add connection, search for Plug&Pay, click Add connection, then sign in to Plug&Pay in the tab that opens and allow access. If the Zap should watch a shop or form someone else manages, the account you connect needs access to it. For Form Submitted, create the form first, since the trigger asks you to pick one. That is all the setup there is.
05Why does Order Paid skip subscription renewals?
Because of the recurring invoice setting, which both Order Paid and Invoice Created require. Set to False, the trigger only fires on the first invoice of an order, so renewals do not run the Zap. Set to True, it fires on every recurring invoice. Choose False for one-time onboarding, like granting access once; choose True for anything that must happen on each payment, like bookkeeping. Remember that True also means more tasks.
06What if the Plug&Pay operation you need does not exist?
Then Zapier does not offer it for Plug&Pay today. The list holds six triggers and nothing else: no action to create an order, refund a payment or change a subscription, and no search for past customers. Those steps stay manual in Plug&Pay, or go through another automation tool. A different trigger that already carries the data is often the quickest way around the gap. Invoice Created instead of Order Paid, for instance, to follow billing.
07Zapier, Make or n8n for Plug&Pay?
Three criteria help, and none of them is a verdict. Coverage: on Zapier, Plug&Pay only sends events, six of them, so check that your scenario needs nothing written back. Speed: every trigger is instant on every plan. Length: a filter per product or two actions after a payment already means a paid Zapier plan. If one action per event is enough, Zapier on free is the quickest start; compare the other tools on these same criteria.
