The YouTube Zapier integration links your YouTube account to Zapier, a tool that chains apps together without code. It keeps an eye on a channel, a playlist, the comments of a video or a search, and when something new shows up it can file a video into a playlist, upload one, swap a thumbnail or pull an analytics report.

Three results come back again and again. A playlist that curates itself: New Video by Search or New Video in Channel spots the video, Add Video to Playlist files it. An upload line: Upload Video posts a file to your channel, then Update Video Thumbnail gives it the right image in the next step. A performance snapshot on demand: Get Report pulls the analytics of the channels you own or manage, for the dates you choose.

What Zapier does not do here matters just as much. None of the 5 triggers is instant: they are all polling ones, so nothing fires the second a video goes up, and the delay depends on your plan. None of the 4 actions answers, pins or hides a comment: New Comment on Video tells you one arrived, and whatever comes next happens in another app. For a call the list does not cover, API Request (Beta) is the way out, limited to YouTube's own domains.

The trigger never costs a task, however often Zapier checks for new videos. Each action that succeeds counts as one task, so a Zap with three actions eats three times more than a Zap with one. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter or a search and the Zap becomes multi-step, which needs a paid plan.

    Open Apps and start a connection

    In your Zapier account, go to the Apps page and click + Add connection. You only do this once: every YouTube step you build later picks this connection from the list of accounts.

    Find YouTube and confirm

    In the dialog, type YouTube, pick it from the results, then click Add connection. A new tab opens where you sign in to the YouTube account that owns or manages the channel you plan to automate.

    Build: set the trigger

    Start building the Zap, pick YouTube as the app and New Video by Search as the event, then type the search string: your product category, a competitor's brand, a niche term.

    Test the trigger

    Run the test. Zapier brings back the three most recent videos matching the search from your connected account, so you map the next steps on a real video, not on an empty form.

    Add a filter

    Click the plus icon, add a Filter and fill its three boxes: the field to look at, the rule, the value. Use a text rule on text. This step makes the Zap multi-step, so it needs a paid plan.

    Add the action

    Add YouTube again and choose Add Video to Playlist. Pick the team playlist, then map Video ID to the video the trigger brought back. Both fields are required, and the step will not save without them.

This one watches a specific playlist and reacts when a video is added to it. A playlist then works like an inbox: drop a video in, and the Zap takes over from there.

The advanced exit: it sends a raw HTTP request to YouTube using the authentication of your connection. You set the HTTP Method, the URL and Stop on error, all three required.

When to use it
a developer needs a YouTube call none of the three other actions offers.
Watch out
only domains tied to YouTube are accepted, and Stop on error set to Yes also enables automatic authentication refresh.

Builds a report from the analytics of the channels you own or manage. You pick a report type and the metrics, then a start and an end date written as YYYY-MM-DD.

When to use it
feeding a recap of views for a campaign period.
Watch out
analytics data can lag 24 to 48 hours, so a report on yesterday may come back short.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns a search into a find-or-create. YouTube exposes no find-or-create variant, so neither of its two searches offers this box.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or hand all of them on at once.
When it breaks

When a YouTube Zap breaks

Some of these cases come from YouTube itself, others from the way Zapier works.

Six cases to check first when a YouTube Zap does not do what you expect. If a Zap still misbehaves after you checked them, the Zapier troubleshooting page walks through the method step by step.

  • The thumbnail never changes

    Update Video Thumbnail needs an account with a verified phone number. Without it, YouTube rejects the step, whatever you map into it.
  • Watch later stays silent

    New Video in Playlist does not work on the Watch later playlist. Use a regular playlist you created as the one the Zap watches.
  • The report comes back short

    Analytics data behind Get Report can lag 24 to 48 hours, so the last days of the period you ask for may come back incomplete.
  • Old videos are ignored

    A Zap only reacts to what happens after you publish it. Videos already online are never picked up; moving that backlog is a separate job.
  • The Zap keeps firing on itself

    Watch a playlist with New Video in Playlist and add videos to that same playlist, and the Zap sets itself off again and again, burning tasks fast.
  • A big batch gets held back

    After a bulk upload or a channel migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection.

01Is the YouTube Zapier integration free?
Yes, YouTube is not a premium app, so you can use it on Zapier's free plan. That plan gives you 100 tasks a month and unlimited Zaps, with Zapier checking for new items every 15 minutes. The catch is the size of each Zap: on the free plan, a Zap holds two steps, one trigger and one action. As soon as you add a filter, a second action or a search such as Get Report, the Zap becomes multi-step and needs a paid plan. For a simple video to playlist routine, the free plan is enough.
02How many tasks does a YouTube Zap use?
Only the actions that succeed are counted, one task each. The trigger costs nothing, and neither does Zapier looking for new videos, however often it checks. A Zap that files a video into a playlist costs one task per video. A Zap that uploads a video and then updates its thumbnail costs two per run. An action that fails is not counted against your plan. Keep in mind that a few apps and actions take more than one task when they complete.

No. All 5 YouTube triggers are polling ones: Zapier asks YouTube for new items at a set interval and keeps only what it has not seen. The interval depends on your plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. The type comes from YouTube's own API and cannot be changed from the editor. On paid plans, you can adjust how often a polling trigger checks, and run a check by hand from the editor when you are testing and do not want to wait.
04What does connecting YouTube to Zapier require?
A YouTube account, and read or write access to any channel or playlist you do not own and want the Zap to touch. The connection itself takes three moves: open the Apps page of your Zapier account and click + Add connection, search YouTube in the dialog and confirm with Add connection, then sign in to YouTube in the tab that opens and grant Zapier access. Done once, the connection is reused by every YouTube step. Verify the phone number on the account too if you plan to change thumbnails.
05Why does Update Video Thumbnail fail?
Most likely because the YouTube account has no verified phone number. YouTube only lets an account change a video's thumbnail once its phone number is verified. The connection can be perfectly valid and the mapping correct, the step will still be refused. Verify the number on the account, then test the step again from the editor. Since a failed action is not counted as a task, the earlier attempts did not eat into your monthly allowance.
06What if the YouTube operation you need is not in the list?
Use API Request (Beta), the advanced action at the end of the list. It sends a raw HTTP request to YouTube with the authentication of your existing connection, so you do not handle any key yourself. You choose the HTTP Method and the URL, and set Stop on error: Yes stops the step when YouTube returns an error and enables automatic authentication refresh, No lets the Zap go on regardless. Only domains tied to YouTube are accepted. It is a tool for someone comfortable reading API documentation.
