Overview

What the Paperform Zapier integration does for you

Paperform builds online forms that can also take payments and sell products. The Zapier integration works both ways: a submission in Paperform can start an automation, and Zapier can change things inside Paperform, from coupons and products to whole forms. Both triggers are instant, so even the free plan reacts without waiting.

Three outcomes cover most setups. Stock that follows your sales: a submission on your restock form starts New Form Submission, and Update Form Product Available Quantity writes the count it carries onto the form that sells the item. Coupons handed out on demand: a purchase or a signup elsewhere runs Create Form Coupon, so a new code exists in Paperform without anyone opening it. Abandoned forms you can follow up: New Partial Form Submission passes a half-filled form to your CRM or inbox so someone can call back.

Both triggers are instant triggers. Paperform tells Zapier itself when a submission arrives, so the plan's check interval does not apply, and the editor shows a lightning bolt on the Zap.

Now the limits. There is no trigger for a new coupon, product or space, so a Zap cannot start from those changes. Nothing here creates a form either: you can update a form or its fields, not build one. And the deletions are final from the Zap's side, so test them on a copy first. If you are still comparing tools, the n8n vs Zapier and Make vs Zapier pages sit right here.

Vocabulary

Zapier vocabulary, the short version

Eight words come back all through this page. Here they are in plain terms.

Zap
The automation you build on Zapier. One trigger at the top, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that sets the Zap off. Once the Zap is on, Zapier waits for it. Paperform offers two: a full and a partial submission.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, such as creating a coupon in Paperform.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and the count on your plan counts only those.
Instant trigger
A trigger the app reports itself, the moment the event happens, so nothing waits for a scheduled check. Both Paperform triggers work this way.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it there otherwise.
Search step
A step that looks up something that already exists in an app, such as a Paperform product, so the steps that follow can use it.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search turns a Zap into one, and it then needs a paid plan.
Cost

What a Paperform Zap really costs

Paperform is not a premium app, so it works on the free plan. What you pay for is actions, not the trigger.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Paperform triggersInstant, cost no task
  • Search, filter or second actionMulti-step Zap, paid plan

A submission arriving costs nothing: the trigger never uses a task. Each action that succeeds counts one task; one that fails is not counted. Three actions in a Zap means three times the usage of a one-action Zap. The free plan only builds two-step Zaps, one trigger and one action. A search step, such as finding the product before updating its stock, makes the Zap multi-step, and so does a filter: both need a paid plan. Since both triggers are instant, the interval grid below matters to you only for other apps.

Connect

Connect Paperform to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Paperform account linked to Zapier once, then reused by every step that uses Paperform.

  2. 02

    Pick Paperform

Type Paperform into the search box of the dialog, select it and click Add connection. You need a Paperform account already, with the forms you plan to automate in it.

  3. 03

    Sign in and grant access

Sign in to Paperform in the tab that opens and grant Zapier access. If some forms belong to a colleague, the account you connect needs access to them too, or the Zap cannot touch them.

First Zap

Your first Paperform Zap: set a product's stock from a restock form

GoalEach restock form submission sets the available quantity of that product on your order form.

  1. 01

    Build the trigger

Create a new Zap, pick Paperform as the app that starts it and New Form Submission as the event. Choose the connection, then your restock form as the Form to watch: it is required.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent submissions of that form, so you map the next steps on a real restock entry rather than on empty boxes.

  3. 03

    Find the product

Add Find Form Product. Pick the order form that sells the item and map the product name from the submission. This search step makes the Zap multi-step.

  4. 04

    Update the quantity

Add Update Form Product Available Quantity, map the product the search found and the stock count typed in the submission. Test the step and check the number in Paperform.

  5. 05

    Publish

Publish the Zap to switch it on. From then on, each restock submission runs the search, then the update. Check the task count after the first real restock.

Triggers

The 2 Paperform triggers

2 events start a Zap when something happens in Paperform, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Partial Form Submission

Instant trigger

In Zapier“Triggers when a new partial submission is received for a form.”

Starts the Zap when someone begins a form and leaves before the end, as long as Paperform records it as a partial submission. You get what they had typed so far, enough to follow up with a person who almost converted.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send the half-filled order form to your sales inbox so someone can call the prospect back.
Watch out
the Form is required, so one Zap watches one form; a second form needs a second Zap.
2

New Form Submission

Instant trigger

In Zapier“Triggers when a new submission is received for a form.”

Fires on each completed submission of the form you choose, and hands every answer to the following steps. It is the trigger behind most Paperform Zaps: orders, bookings, applications, survey replies.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push each paid order into your bookkeeping sheet, or each application into your hiring tracker.
Watch out
submissions sent before you published the Zap are never picked up, so move older entries separately.
Actions

The 14 Paperform actions

Paperform gives you 14 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Form Coupon

Action

In Zapier“Creates a new coupon on a form.”

Adds a new discount code to one of your forms, ready to be used at checkout. You give the form, the code and its target, and can decide whether it starts enabled.

When to use it
hand a personal code to each new newsletter subscriber.
2

Delete Form Coupon

Action

In Zapier“Delete a form coupon.”

Removes a coupon from a form, identified by the form and the coupon code.

When to use it
clean up single-use codes once your order sheet shows they were redeemed.
Watch out
if you may want the code back later, Update Form Coupon can switch it off instead.
3

Delete Form Partial Submission

Action

In Zapier“Delete a partial form submission.”

Removes a half-filled entry, using its partial submission ID. Pair it with New Partial Form Submission to tidy up once the lead has been handled.

When to use it
delete the partial entry after your team has logged the call in the CRM.
4

Delete Form Product

Action

In Zapier“Delete a form product.”

Takes a product off a form for good. You select the form, then the product to remove.

When to use it
drop an item from your order form when it is discontinued in your catalog.
Watch out
setting the available quantity to zero is the gentler option when the item may return.
5

Delete Form Submission

Action

In Zapier“Delete a form submission.”

Erases one completed submission, found by its submission ID. That ID usually comes from the trigger or an earlier step of the same Zap.

When to use it
remove test entries, or honour a deletion request logged in your support tool.
Watch out
copy what you need elsewhere first.
6

Create Form Product

Action

In Zapier“Create a form product.”

Puts a new product on a form that sells things. You point at the form and its product field, then set the SKU, the name and the price, and can mark it as discountable.

When to use it
add an item to your order form when it appears in your catalog sheet.
Watch out
the form needs a product field for this to work.
7

Create Space

Action

In Zapier“Creates a new space.”

Opens a new space in your Paperform account. A space name is all it asks for, which makes it one of the simplest actions to wire up.

When to use it
give each new client of your agency its own space the day the deal is signed in your CRM.
8

Update Form Coupon

Action

In Zapier“Updates a coupon on a form.”

Changes an existing coupon on a form, found by its code. You can switch it on or off and adjust its target.

When to use it
turn off a launch code once a campaign ends in your marketing calendar.
Watch out
the target is required on every update, so set it again even if it does not change.
9

Update Form

Action

In Zapier“Update a Form.”

Changes a form as a whole. The setting most people reach for is Disabled, which closes or reopens the form from a Zap.

When to use it
close a registration form when your event sheet says the room is full.
Watch out
a closed form stops new submissions, so the Zaps behind it go quiet too.
10

Update Form Fields

Action

In Zapier“Update a fields on a Form.”

Edits one question on a form: its title, and whether answering it is required. Pick the form, then the field to change.

When to use it
rename the date question of a recurring signup form each time a new session opens.
Watch out
the title is required here, even when you only mean to change the required setting.
11

Update Form Product

Action

In Zapier“Updates a product on a form.”

Edits a product already sitting on a form. Choose the form and the product, then change what you need, including whether discounts apply to it.

When to use it
exclude a product from promotions when it is flagged as clearance elsewhere.
12

Update Form Product Available Quantity

Action

In Zapier“Updates the available quantity of a product on a form.”

Sets how many units of a product are left to sell on a form. Point at the form and the product, then give the new available quantity.

When to use it
align the stock shown on your form with the count kept in your warehouse sheet.
Watch out
it writes a number, it does not subtract one, so compute the figure in an earlier step.
13

Update Form Product Sold

Action

In Zapier“Updates the sold amount of a product on a form.”

Changes the sold count of a product on a form. Useful when some sales happen outside Paperform and you want the form's figures to tell the whole story.

When to use it
add phone orders to the sold total of the matching product.
Watch out
like the quantity action, it sets a value rather than adding to it.
14

Update Space

Action

In Zapier“Updates a space.”

Renames an existing space. You pick the space and give it its new name, both required.

When to use it
rename a client's space when the account is renamed in your CRM, so both tools match. Handy when a renamed client should not leave an outdated label behind.
Searches

The 5 Paperform searches

5 search steps look for data that already exists in Paperform, so a later step can use it.

A search step finds something that already exists in Paperform and hands it to the next steps. In the editor, searches sit at the bottom of the action event list, under their own SEARCH heading. Each one makes the Zap multi-step. Three settings decide what happens when the search does not find exactly one match.

1

Find Form Field

Search

In Zapier“Finds a form field by title.”

Looks up a question on a form by its title, so a later step can work on that exact field. You give the form and the field title.

When to use it
locate the question you then rename with Update Form Fields.
2

Find Form

Search

In Zapier“Finds a form by title.”

Finds a form from its title, which saves you from picking it by hand when the title arrives from another app.

When to use it
close the form named in a row of your events sheet, by chaining this search with Update Form.
Watch out
how close the title must be is decided by Paperform, so copy it exactly.
3

Find Product Form Field

Search

In Zapier“Finds a product form field by title.”

Finds the product field of a form by its title. Unlike the other form searches, it takes the form ID rather than a picked form.

When to use it
get the field that Create Form Product requires before adding an item.
4

Find Form Product

SearchFind or create

In Zapier“Finds a form product by name.”

Finds a product on a form by its name. The editor also shows Find or Create Product: it is this same search with creation ticked, adding the product when none matches.

When to use it
fetch the product before updating its stock.
Watch out
the find-or-create line is not a separate operation.
5

Find Space

SearchFind or create

In Zapier“Finds a space by name.”

Finds a space from its name. Find or Create Space in the editor is the same search with creation ticked, so the space is opened when it is missing.

When to use it
make sure a client's space exists before you rename it with Update Space.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that relied on it are skipped. Switched on, the Zap carries on with nothing found.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for what it needs to create the missing item.
  3. If multiple search results are found?
Three ways out when several items match: keep the first, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a Paperform Zap breaks

Zapier links one help article to Paperform, How to get started with Paperform on Zapier. The traps below come from Zapier's general rules.

None of these shows a red error on day one. You notice a stock figure that did not move, a coupon that was never created, or a task count rising faster than expected. If one of them bites, the Zapier troubleshooting page is the next stop.

  • No catch-up on old submissions

The Zap only reacts to submissions sent after you publish it. Earlier entries are never picked up, and moving that history is a separate job.
  • A search that finds nothing stops the Zap

With the default setting, if Find Form Product finds no match, the update after it is skipped. Switch the setting on, or use the find-or-create variant.
  • A Zap that feeds itself

A Zap that writes into the very place its own trigger watches sets itself off again and again, and burns through your task count fast.
  • Big batches can be held back

After a bulk import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection may then hold those items back.

FAQ

Paperform Zapier integration: frequent questions

01Is the Paperform Zapier integration free?
Yes. Paperform is not a premium app, so it runs on the free Zapier plan, with 100 tasks a month and unlimited Zaps. The catch is size: each free Zap stops at two steps, one trigger and one action. A submission that creates a coupon fits. A Zap that searches for a product before updating it has three steps, so it needs a paid plan. Check the size of your Zap before you build it.
02How many tasks does a Paperform Zap use?
The trigger never uses one: a submission arriving is free. A task is counted for each action that succeeds, so a Zap that creates one coupon per submission uses one task per submission. A Zap with three actions uses three. An action that fails is not counted. On the free plan, that makes 100 successful actions a month. Keep that figure in mind if your form gets a lot of traffic.
03Is Paperform on Zapier real time?
Yes, for both triggers. New Form Submission and New Partial Form Submission are instant triggers: Paperform tells Zapier itself when a submission arrives, so the Zap starts right away whatever your plan. The 15-minute check of the free plan does not apply to them. In the editor, a Zap built on them shows a lightning bolt. The type comes from the app and cannot be changed. Paid plans change nothing here, since there is no interval to shorten.
04What does it take to connect Paperform to Zapier?
A Paperform account that holds the forms you want to automate. In Zapier, open the Apps page, click + Add connection, pick Paperform, sign in and grant Zapier access. Both triggers and most actions ask you to choose a Form, so if the forms belong to a colleague, the connected account needs access to them. The connection is then reused by every Paperform step. You go through these gestures once. Nothing else is needed.
05Why does Update Form Product Available Quantity not just subtract one?
Because it sets the available quantity to the number you give it; it does not count down by itself. To lower stock after each sale, an earlier step has to work out the new figure, or the Zap must start from a source that already holds the right count. Find Form Product helps fetch the product first, but it makes the Zap multi-step, which needs a paid plan. Test with a real order before you publish.
06What if the Paperform operation you need is not on Zapier?
Then it is not available in a Zap today. The integration covers two submission triggers, fourteen actions on coupons, products, forms, fields, spaces and submissions, and five searches. There is no trigger for a new coupon, product or space, and no action that creates a form from scratch. Searches only look things up, they never add an operation to that list. Anything beyond that list has to happen in Paperform itself.
07Zapier, Make or n8n for Paperform?
Decide on criteria rather than on a ranking. First, check that the platform covers the Paperform operations you need, such as instant submission triggers and stock updates. Second, compare billing: Zapier counts one task per successful action and nothing for the trigger, and any search makes the Zap paid. Third, weigh the delay you can accept: on Zapier, both Paperform triggers are instant, whatever the plan. Those three checks settle most choices.
