What's the best accounts receivable software for a small business in 2026?

A small business doesn't have a collections department. It has a bookkeeper, an office manager and a few salespeople who chase invoices when they remember. Pick the tool with that in mind.

Your invoices go out on time. Getting paid is another story. Reminders get sent when someone has a spare hour, usually at month end, usually late. One client gets a firm email from accounting the same day their account rep promises flexibility. And nobody can say exactly how much cash is stuck in receivables. That's not a software problem at first. It becomes one when the volume outgrows what one person can track in a spreadsheet.

The short answer. Chaser is our top pick: 100 texts and 100 automated calls a month included from $259, built for QuickBooks and Xero users. Upflow has the best customer payment portal, but you'll only see the price in a demo. Paidnice is the cheapest way in, at $69 a month with a public price list and month-to-month billing. Billabex puts an AI agent on your follow-ups and charges per active customer, not per invoice. Recovr takes you all the way to a formal demand letter.

Before you buy anything, check one thing. If you have a few dozen open invoices, the reminders already built into QuickBooks Online or Xero probably cover you. This page helps you figure out which side of that line you're on. If you run receivables for a mid-market company, our full ranking of accounts receivable software also covers credit-management suites.

How we scored

How we compared and scored

This page is for the owner, controller or office manager of a small business that has no dedicated credit team. Two to six people touch collections: whoever does the books, whoever handles orders, sometimes the salespeople. The real question isn't "which tool is the most powerful?" It's "are my QuickBooks or Xero reminders enough, and if not, what will a dedicated tool cost me every month?"

We checked the core criterion for every ranked tool on its official site: automated follow-up by customer profile, its real price, and how it connects to the accounting software you already use. A tool whose features we couldn't read on the vendor's own pages doesn't get ranked. The four tools that also appear in our main AR software ranking keep exactly the same score. Recovr isn't in that ranking, so we scored it here on the same grid and weights.

We also read user reviews, starting with the negative ones. There aren't many: public ratings rest on a few dozen reviews per tool at best. What keeps coming up is that sending emails is never the problem. Matching batch payments and tuning the rules per customer is. And the sticker price is never the price you pay.

Most top-ranking pages on this topic are written by invoicing vendors who list their own built-in reminders first. We compared dedicated tools with public prices next to those built-in options, so you can see where the line sits.

Best overall

Chaser

4.3/5

Chaser is a UK company, and it's the most complete tool here on channels. The Compact plan already includes 100 text messages and 100 automated phone calls a month. Elsewhere, texts are billed per message or don't exist at all. For a customer who ignores email, a text on the due date often does the job.

Compact costs $259 a month with four users, or 10% less billed annually. Chaser can also add late fees to overdue invoices automatically. If your payment terms allow late fees, having the software apply them takes the awkward personal decision out of it.

The catch is a revenue cap. Compact stops at $5M in annual revenue. Above that, Core costs $779 a month, three times more. A growing business needs to know this before signing. Reviewers say Chaser works best with Xero and is less smooth with other accounting tools. They also say results depend on getting the reminder rules right at setup.

Tip: look at next year's projected revenue, not this year's. If you'll cross $5M within twelve months, get Core priced during the demo.

Standout features
  • 100 texts and 100 automated calls a month from Compact
  • Automatic late fees on overdue invoices
  • 4 users included
+Pros
  • ✓Full multichannel follow-up
  • ✓Public pricing in dollars
  • ✓Free trial button on the site
−Cons
  • ✗Compact capped at $5M revenue
  • ✗Jumps to $779/mo above it
  • ✗Less smooth outside Xero and QuickBooks
Verdict

The best all-rounder for a small business, as long as you stay under $5M in revenue and your books are cleanly connected. If budget is tight and email is enough, Paidnice costs a quarter of the price.

2
Best customer portal

Upflow

4.2/5

Upflow's strength is the customer portal. Your customer sees every open invoice, downloads documents and pays by card or ACH. Each payment stops the reminders on its own. If your late payers are mostly people who forget or face friction, this is often the fastest fix.

Seats are unlimited and so are emails. Texts, calls and letters are billed by usage, but Upflow doesn't publish those rates. The entry plan, Starter, covers up to $10M in billed revenue and 40,000 invoices a year. A free Discover plan exists, but it only gives you dashboards, with no follow-up at all.

The catch: you won't know your budget before the demo. And online payment has its own cost: a $390 monthly platform fee, plus 3.5% and $0.30 per card payment, or 0.8% capped at $5 per ACH payment. On a $3,000 invoice paid by card, that's more than $100 in fees. One logistics user also questioned how well it matches bank transfers that pay up to 30 invoices at once.

Tip: push ACH rather than cards on large invoices. Capped at $5, it costs a fraction of the card fee.

Standout features
  • Customer portal with card and ACH payment
  • Unlimited seats and emails
  • Reminders stop automatically on payment
+Pros
  • ✓Best customer portal in this ranking
  • ✓Free Discover plan to see your overdue balance
  • ✓Users rate support highly
−Cons
  • ✗No published price
  • ✗Online payments cost $390/mo on top
  • ✗Texts and letters billed by usage at unpublished rates
Verdict

The right pick when late payment comes from customers who forget or drag their feet, not customers who refuse. Get a full quote, payment fees included, before you compare it with Chaser or Paidnice.

3
Cheapest dedicated tool

Paidnice

4.0/5

Paidnice is the most transparent tool in this ranking. Every plan is on the pricing page, billed month to month with no contract. Essentials costs $69 a month for 150 invoices and two team members. The Pro plans scale by invoice volume, from $99 for 300 invoices to $489 for 2,000, and they include unlimited members.

It connects to Xero, QuickBooks Online and Stripe. Texts cost $0.10 each. If you run more than one company, each extra entity adds $29 a month. That's useful for owners with two or three small businesses under one roof.

The catch: Paidnice is priced by invoice count, so a business with many small invoices climbs the tiers fast. Its pricing page is also inconsistent about what Essentials includes, so confirm the exact feature list before you commit. Customer portal and risk tracking are lighter than Upflow's.

Tip: count your invoices over your three busiest months, not an average month. Pick the tier that covers the peak, since the plan follows your volume.

Standout features
  • Fully public price list, from $69/mo
  • Unlimited members on every Pro plan
  • Month-to-month, no contract
+Pros
  • ✓Cheapest entry among dedicated tools
  • ✓Xero, QuickBooks Online and Stripe
  • ✓Extra entities at $29/mo
−Cons
  • ✗Priced by invoice count
  • ✗Only 2 members on Essentials
  • ✗Feature list for Essentials unclear on the pricing page
Verdict

The best value when email reminders and a clear bill matter more than texts and phone calls. Move up to Chaser once you need more channels or more than 300 invoices a month.

Lots of small invoices

Billabex

3.9/5

Billabex works differently. An AI agent writes the follow-ups, adjusts tone and channel to each customer, and hands off to a person when needed. It works in eight languages, English and Spanish included.

Its pricing model suits businesses that bill the same customers again and again. Billabex counts only active customers, meaning those who received at least one email from the agent in the period. Invoice count, amounts, users and connectors don't enter the price. Tiers run from 40 to 250 active customers, but amounts aren't published. It takes no commission on money recovered.

The catch: anything that isn't email runs on prepaid credits. A text costs 1 credit, a tracked letter 6, a registered letter 12. Credits expire after 12 months and aren't refunded. The tool also stays on friendly B2B follow-up: no formal collections. Public reviews are glowing but few, and one user found navigation and search could be better.

Tip: buy credits as you go rather than in a big batch. A pack still unused after a year is lost.

Standout features
  • AI agent that adapts tone and channel per customer
  • Priced per active customer, not per invoice or user
  • No commission on recovered money
+Pros
  • ✓Cost stays flat as invoice count grows
  • ✓Same features on every tier
  • ✓Works in English and Spanish
−Cons
  • ✗No public price list
  • ✗Text and letter credits expire after 12 months
  • ✗No formal collections stage
Verdict

A good pick for service or distribution businesses that invoice the same customers often: the price doesn't climb with invoice count. For accounts that end up in collections, you'll need another tool or an agency.

Up to the demand letter

Recovr

3.9/5

Recovr is a Belgian vendor that covers the longest path. From the Essential plan, it sends reminders from your own domain by email, text, letter and registered mail, in your customer's language and currency. It adds late fees automatically. It gives customers a portal to pay online. And when friendly follow-up fails, it prepares a formal demand and connects you with a legal partner.

An AI agent acts like a credit manager: it suggests the day's actions instead of firing everything off by itself. The Business plan adds an inbox that sorts customer replies, advanced rules, DSO tracking and automated payment plans. AI phone calls are an option.

The catch is budget visibility. No price is published: it's calculated in a demo from your invoice volume. Onboarding is a one-time fee on top of the subscription. Recovr targets businesses with more than 100 invoices a month. Users also criticize its invoicing side, which can't duplicate invoices or create recurring ones. Keep your invoicing software alongside it.

Tip: in the demo, ask for the onboarding price and the second-year price in writing. Those are the two numbers the pricing page leaves out.

Standout features
  • Email, text, letter and registered mail from Essential
  • Automatic late fees
  • Formal demand and legal partner built in
+Pros
  • ✓Customer portal with online payment
  • ✓Reminders from your domain, in the customer's language and currency
  • ✓AI agent suggests daily actions
−Cons
  • ✗No published price
  • ✗Onboarding billed on top
  • ✗Weak invoicing features, according to users
Verdict

The most complete option if you want to go from a gentle nudge to a formal demand without switching tools, especially with European customers. Under 100 invoices a month, it's more than you need.

Three levels

Built-in reminders, an AR tool or an agency: which level are you at?

A business with 50 open invoices and one with 800 don't need the same tool. Place yourself on one of these three levels before you shop. Each has its own pricing logic, and picking the wrong level costs more than picking the wrong tool.

Level 1: reminders in your accounting software

QuickBooks Online and Xero both send automatic payment reminders from the invoicing screens you already pay for. They email on a fixed schedule you set. That's enough while you have a few dozen open invoices and one person chasing. What's missing: different sequences per customer, texts, a payment portal and a shared view for several people.

Level 2: a dedicated AR tool

Chaser, Upflow, Paidnice, Billabex and Recovr. A dedicated tool makes sense once you have a few hundred open invoices, or as soon as several people chase the same customers. Expect $69 to $259 a month for the ones that publish prices. Their pricing logic differs: by revenue (Chaser, Upflow), by invoice count (Paidnice, Recovr) or by active customer (Billabex). Pick the one that doesn't grow with whatever is growing in your business.

Level 3: a collection agency

When a customer stops answering, software alone won't fix it. An agency or a lawyer takes the file, usually for a share of what they recover. That's not AR software, it's the next step. A well-run small business sends few accounts there, and only after a formal demand letter got no answer.

  • How many open invoices do you carry on average, and how many people chase them?
  • Does the price grow with invoices, users, revenue or customers, and which of those is growing for you?
  • Are texts, letters and online payments included, or billed by usage?
  • Do reminders stop on their own when payment hits your bank account?
  • Can the tool match one transfer that pays several invoices?
  • What happens when friendly follow-up fails: built-in demand letter, partner, or nothing?

Other options worth knowing

These come up in every small business search. They're not ranked because they sit at a different level or because we couldn't read an official price. Here's when each one is worth a look.

01

QuickBooks Online and Xero: the reminders you already have

Level 1

If your books live in QuickBooks Online or Xero, start there. Both send automatic payment reminders from their invoicing features, included in your plan. For a few dozen open invoices and one person chasing, that's often all you need for a year or two. When you outgrow them, Chaser and Paidnice both plug into both, so you keep your books where they are. Thinking of leaving QuickBooks altogether? See our guide on switching from QuickBooks.

Invoicing tools with follow-up built in

Level 1

Many invoicing tools for small businesses include automatic reminders, a payment link and a simple overdue report. If you're picking an invoicing tool anyway, choose one whose reminders are good enough to delay buying a dedicated AR tool. We compare them in our ranking of invoicing software for small business.

Traps

What makes AR software fail in a small business

These mistakes come up again and again in user reviews. None of them shows on a pricing page, and all of them cost more than the subscription.

01

Chasing a customer who already paid

Data

Nothing hurts a customer relationship faster. It happens when a customer pays several invoices with one transfer and the tool can't match them. They get a reminder for an invoice they've paid. In the demo, test a real batch payment from your bank statement, not the vendor's sample.

Check
One transfer, several invoices
02

Comparing sticker prices instead of budgets

Budget

The headline price never tells the whole story. Chaser triples above $5M in revenue. Upflow adds $390 a month for online payments. Paidnice climbs with invoice count. Billabex credits expire after 12 months. Recovr charges for onboarding. Work out a 12-month budget on your real volume, not a monthly sticker price.

Do
12-month budget at real volume
03

Sending everyone the same sequence

Method

A large account that always pays at 60 days and a small customer who simply forgets need different follow-up. One sequence annoys the first and lets the second slide. Reviewers agree: results depend mostly on setting up the rules well. Plan at least three customer profiles from day one.

Minimum
3 customer profiles
04

Leaving sales out of the loop

Team

In a small business, the account rep knows the customer better than accounting does. If they find out about a firm reminder the day before a meeting, it won't go well. Give them at least a heads-up before each sensitive step. That's where included users matter: 4 on Chaser Compact, 2 on Paidnice Essentials, unlimited on Upflow and Paidnice Pro.

Decide
Who views, who writes
05

Having no plan after the last reminder

Collections

A sequence that just stops teaches customers they can wait. Decide in advance what follows the last reminder: a formal demand letter, small claims, or handing the account to an agency. Recovr builds that step in. With the other tools, you organize it yourself.

Write down
The step after the last reminder
06

Buying the tool before setting your terms

Method

Software automates your rules. It doesn't write them. If your payment terms and late fees aren't clearly stated on invoices and quotes, no reminder will carry weight. Write your terms and your reminder calendar first. Then pick the tool that runs them.

Time
Half a day
Tips

Get paid faster, whatever tool you use

A five-step method for a small business without a credit team. It works with QuickBooks reminders as well as with a dedicated tool.

01

Put your terms and late fees on every invoice

Terms

State the due date, the accepted payment methods and any late fee on every invoice and every quote. A reminder can only enforce what the customer agreed to. Chaser and Recovr can then apply late fees automatically, which turns an awkward conversation into a standing rule. You can still waive them for a good customer with a real issue, and the gesture will mean something.

Tools
Chaser, Recovr
02

Send the first message before the due date

Method

The first message goes out five to seven days before the due date, with the invoice attached and a payment link. It's a heads-up, not a reminder. It surfaces blocked invoices early: missing purchase order, wrong contact, a dispute nobody mentioned.

When
5 to 7 days before due
03

Connect your bank so reminders stop on payment

Data

Bank reconciliation is what silences a reminder the moment money arrives. Without it, someone ticks paid invoices by hand, and sooner or later a mistake goes out. Check that the tool reads your bank feed, directly or through QuickBooks or Xero, at least once a day.

Check
Daily sync
04

Set up three customer profiles on day one

Method

One for large accounts: polite reminders and a call from the account rep before anything firm. One for regulars: spaced-out emails, then a text. One for new or previously late customers: a shorter sequence and an earlier demand letter. Chaser, Recovr and Billabex can all assign a sequence per customer.

Profiles
Large account, regular, at risk
05

Steer large invoices toward ACH

Cost

If you collect online, card fees eat into large invoices. On Upflow, a card costs 3.5% plus $0.30, while ACH costs 0.8% capped at $5. Put the ACH option first on your invoices above a few hundred dollars, and keep cards for small amounts where convenience wins.

FAQ

Your questions about AR for small business

  • When does a small business need dedicated AR software?

Once you carry a few hundred open invoices, or as soon as several people chase the same customers. Below that, a few dozen invoices are easy to handle with QuickBooks or Xero reminders. The real signal isn't volume: it's the day a customer gets two conflicting messages from you.

  • How much does AR software cost a small business per month?

$69 to $259 a month for the dedicated tools that publish prices: $69 for Paidnice Essentials, $259 for Chaser Compact. Add usage fees on top: texts, letters, extra invoices, online payment fees. Upflow, Billabex and Recovr only quote in a demo.

  • Is there free accounts receivable software?

The reminders built into QuickBooks Online and Xero are the closest thing, since they come with a plan you already pay for. Upflow has a free Discover plan, but it only shows dashboards and sends no reminders. None of the dedicated tools in this ranking has a free plan that actually follows up.

  • How many people should have access to AR software?

Everyone who talks money with customers: whoever does the books, whoever handles orders, and the account reps at least in read-only mode. That often decides the tool. Upflow and Paidnice Pro include unlimited members; Chaser Compact includes 4 and Paidnice Essentials 2.

  • How do I stop reminders going to customers who already paid?

Connect the tool to your bank, directly or through your accounting software, so each payment stops the sequence. Test a single transfer that pays several invoices during the demo: that's where tools slip most. A payment portal, like Upflow's or Recovr's, also fixes the problem at the source.

  • Can AR software add late fees automatically?

Yes. Chaser and Recovr both add late fees to overdue invoices automatically. Your fees still need to be in your payment terms and on the invoice for the customer to owe them. Applying them through software makes them a standing rule instead of a personal call.

  • What should I do when a customer still won't pay?

Send a formal demand letter, then hand the account to a collection agency or a lawyer. Recovr prepares the demand letter and connects you with a legal partner. With other tools, decide in advance who takes over after the last reminder, so the sequence doesn't simply stop.
