What is the best AI meeting note taker in 2026?
A good AI note taker hands you accurate notes and action items without spooking the people on the call.
You spend half your week on calls, and the other half rewriting what was said in them. An AI meeting note taker records the call, transcribes it word for word, then turns it into a summary, the decisions made and who owes what by when.
The short answer. Fathom is the best pick for most people: its free plan has unlimited recordings and transcriptions, and paid plans start at $16 per user per month billed yearly. tl;dv is the pick if your team or clients are in Europe, because you choose where its AI runs. Granola is the one to get if a bot in the call is a dealbreaker: it never joins the meeting. Otter is the cheapest paid plan at $8.33 a month billed yearly, with real caveats. MeetGeek and Read.ai round out the list.
What most "best of" lists skip: you may already be paying for a note taker. Gemini takes notes in Google Meet from Workspace Business Standard up, Zoom includes AI Companion in its paid plans, and Teams writes recaps with a Teams Premium or Microsoft 365 Copilot license. We compared the six ranked tools against those built-in options before telling you to buy another subscription.
The ranking is editorial: a sponsored spot is always labeled on its card, and no affiliate link changes a score.

The 6 AI meeting note takers compared
This ranking is for managers, consultants, founders and sales reps who sit in several hours of calls a week and want notes they can send without rewriting. Every ranked tool publishes its prices on its own pricing page and works with Zoom, Google Meet and Microsoft Teams. Tools whose prices we couldn't read on the vendor's site are covered further down, outside the ranking.

How we compared and scored
This page is for anyone who wants to stop typing notes during video calls. It doesn't cover revenue intelligence platforms that grade every rep and objection: for that, see our ranking of conversation intelligence software. If you want a notebook rather than a recorder, see the best note-taking apps.
The core criterion is the quality of the notes and the languages supported. It weighs 30% of the score. A wrong summary is worse than no summary, free or not. Privacy and data location weigh 20%: where recordings are stored, whether the vendor trains its AI on your calls, whether you can pick the EU. Most top results gloss over this, and it's what stalls a purchase at a company with a security review.
Price and the free plan weigh 20%: we brought every grid down to a price per user per month, billed yearly and monthly, and read the real limits of each free plan. Capture and integrations weigh 15%: bot or botless, Zoom, Meet and Teams, sync to your CRM. User feedback weighs 15%.
We read reviews starting with the negative ones. On Otter's Trustpilot page, 26% of reviews are one star, mostly about subscriptions users didn't realize they had and slow human support. Fireflies draws similar complaints, including a bot that shows up in meetings nobody invited it to. Those patterns shaped the user feedback scores more than any star average.
- Notes quality and languagesAccuracy of summaries, supported languages, mixed-language calls, decisions and action items.30%

Fathom
Fathom does what the others won't: its free plan has no minute cap. Recordings and transcriptions are unlimited, and AI summaries land as soon as the call ends. If you run ten client calls a week, it's the only free plan that holds up month after month.
You can let a bot join your calls or use botless capture, which is still in beta. Premium costs $16 per user per month billed yearly, $20 monthly. Team plans need at least 2 users: Team at $15 ($19 monthly), Business at $25 ($34 monthly). Business adds field sync with HubSpot and Salesforce, so deal notes land on the right record without copy and paste.
Its limit: the pricing page says nothing about supported languages or where recordings are hosted. If your security team asks where the data sleeps, you won't get an answer as crisp as tl;dv's. And the botless mode being in beta means the bot is still the default.
Tip: the free plan is enough for solo use. Only move to Team if you want a shared call library, and remember the 2-seat minimum: a two-person Team plan billed yearly costs $30 a month in total.
- Unlimited recordings on the free plan
- Bot or botless capture
- HubSpot and Salesforce field sync on Business
- ✓The most generous free plan in this ranking
- ✓Summaries right after the call
- ✓Team seats cheaper than Premium
- ✗No hosting or language details on the pricing page
- ✗Botless capture still in beta
- ✗2-seat minimum on team plans
The best place to start at $0, and a fair price when you grow. If your company needs EU hosting in writing, go with tl;dv instead.
tl;dv
tl;dv is built in Aachen, Germany. Its rarest feature: you choose whether the AI that processes your calls runs in the EU or the US. The company says it is GDPR compliant and spreads hosting across Google Cloud, AWS and Hetzner. If you sell to European clients, that one setting answers the question their legal team will ask.
You can start for free. Pro costs €18 per seat per month billed yearly (€216 a year) or €29 monthly. Business costs €29 billed yearly (€348 a year) or €39 monthly. The pricing page we read lists euros, so your card will be charged with a currency conversion if you pay in dollars.
tl;dv says it detects the language as it changes during the call. That matters for mixed-language meetings: Gemini in Meet handles only one language per meeting. A French-language comparison rates its French as decent rather than great, so if you work in several languages, spot-check the summaries.
Its limit: the exact limits of the free plan aren't clearly shown on the pricing page we read. Check them in your account before you build a routine on it. The bot is visible in every call.
Tip: pick EU hosting when you create your workspace, before your first recording. It's simpler than moving a call history later.
- EU or US hosting for the AI, your choice
- Language detection during the call
- Free plan to start
- ✓European vendor, GDPR answer ready
- ✓Pro at €18 billed yearly
- ✓Good for mixed-language calls
- ✗Free plan limits hard to find
- ✗Bot visible in the call
- ✗Billed in euros only, no USD price
The best balance of free plan, privacy and multilingual calls. If you never deal with Europe and want the biggest free plan, Fathom wins.
Granola
Granola never joins your meeting. It captures audio from your computer or phone, transcribes it, then deletes the audio. Nobody sees a bot in the participant list. That fixes the most common complaint in forum threads about note takers: clients asking to remove the bot before they speak freely.
It blends the notes you type during the call with the transcript to write the summary. It runs on desktop, iOS, Android and even Apple Watch, so it works for in-person meetings too. On security, Granola shows a SOC 2 Type II report (an independent audit of its security controls) and trains its AI on anonymized data, a setting you can turn off in one click. It's off by default on Enterprise.
Basic is free but keeps only 30 days of history, with Slack as its only integration. Business costs $14 per user per month and Enterprise $35, with single sign-on (SSO), SCIM user provisioning and HIPAA. The pricing page doesn't say whether those prices are yearly or monthly.
Its limit: botless doesn't mean consent-free. You still have to tell people you're recording, and in all-party consent states such as California, everyone on the call must agree. Training on anonymized data is on by default outside Enterprise.
Tip: on day one, open the privacy settings and turn off training on your data. If you stay on Basic, export the notes you need before the 30-day window closes.
- No bot in the meeting
- Audio deleted after transcription
- Desktop, iOS, Android, Apple Watch
- ✓Invisible to clients
- ✓Works for in-person meetings
- ✓SOC 2 Type II
- ✗30-day history on the free plan
- ✗AI training on by default outside Enterprise
- ✗Billing period unclear on the pricing page
The pick when discretion matters most. If you need a free plan that keeps everything, Fathom is the better deal.
Otter
Otter is the name most people know, and its Pro plan is the cheapest paid plan here: $8.33 per user per month billed yearly for 1,200 minutes a month and up to 90 minutes per conversation. Monthly, it's $16.99, more than double. Business costs $19.99 billed yearly, with unlimited meetings and up to 4 hours per conversation.
The free Basic plan gives 300 minutes a month, but caps each conversation at 30 minutes. Most team meetings run longer, so the free plan is really a trial. OtterPilot joins every calendar meeting that has a video link by default, on Zoom, Meet and Teams. Otter supports six languages: English, Spanish, French, German, Japanese and Chinese.
Its limit is trust. A class action filed in the US in 2025 alleges that Otter recorded people on calls without the consent of all participants to train its AI. Those are allegations, not a ruling. On Trustpilot, 26% of reviews are one star, mostly about subscriptions users didn't know they had and slow human support. On the Zoom community forum, users report they can't disconnect it.
Tip: turn off auto-join in the first five minutes. If Otter keeps coming back, disconnect your Zoom account and your calendar in Otter, then uninstall the Otter app from the Zoom Marketplace. All three steps, or the bot returns.
- $8.33 a month on Pro billed yearly
- 1,200 minutes a month on Pro
- Joins Zoom, Meet and Teams
- ✓Cheapest paid plan in this ranking
- ✓Well-known, many integrations
- ✓Up to 4 hours per conversation on Business
- ✗30-minute cap per call on the free plan
- ✗US class action pending
- ✗Auto-join on by default
Good value if you lock in yearly billing and set it up carefully. If consent and privacy worry your clients, Granola or tl;dv are safer.
MeetGeek
MeetGeek supports more than 100 languages with automatic detection, and lets you store data in the EU or the US. For a team that talks to clients in English, Spanish and German in the same week, that's a practical mix at a low price.
Pro costs $9.99 per user per month for 20 hours of transcription, then $0.50 per extra hour. Business, at $17, makes transcription unlimited. The free plan gives 3 hours a month, enough to try it on a few real calls.
Our full MeetGeek review scores it 4.0 out of 5 and walks through its features. You'll also find its pricing in detail and, if it isn't the one, MeetGeek alternatives.
Its limit: 3 free hours go fast, one daily standup burns through them in under a week. And overage on Pro is billed by the hour, so a heavy month can cost more than planned.
Tip: past 34 hours a month, Business is cheaper than Pro with overage. Run the math on your busiest month, not your average.
- 100+ languages, auto-detected
- EU or US storage
- Pro at $9.99 a month
- ✓Low paid entry price
- ✓Data location choice
- ✓Unlimited transcription at $17
- ✗Only 3 free hours a month
- ✗Hourly overage on Pro
- ✗Fewer public reviews
A solid low-cost pick for multilingual teams. If you record a lot and want to pay nothing, Fathom stays unbeatable.
Read.ai
Read.ai works on Zoom, Teams and Meet on every plan, including the free one, and supports several languages, French included.
The free plan is short: 5 meeting reports a month, with meetings capped at 1 hour. Pro costs $15 per user per month billed yearly, $19.75 monthly. Enterprise is $22.50 billed yearly ($29.75 monthly), and Enterprise+ $29.75 ($39.75 monthly).
Its limit: at $15 billed yearly, it costs nearly twice Otter Pro and almost as much as Fathom Premium, whose free plan already covers what many people need. And 5 free reports a month won't last a working week.
Tip: use the free plan on your recurring weekly meeting only. Five reports cover a month of one weekly call, which is enough to judge the summaries before you pay.
- Zoom, Teams and Meet on every plan
- Clear yearly and monthly prices
- Several languages, including French
- ✓Free plan works on all three platforms
- ✓Four plans from free to Enterprise+
- ✓Useful for recurring team calls
- ✗Only 5 free reports a month
- ✗1-hour cap on free meetings
- ✗Pricier than Otter or Fathom
Worth it if your team is split across platforms and the free trial convinces you. For notes alone, Fathom or Otter cost less.
Bot or botless, US or EU: three questions to ask first
Answer these three before you compare prices. They cut the list in half in two minutes.
Will the people on your calls accept a bot?
On internal calls, nobody minds. On client calls it's different: users on forums report clients asking them to remove the bot before talking openly, and one user left Fireflies because clients kept asking whether they were being recorded. If most of your calls are external, look at Granola, Fathom's botless beta, or Krisp.
Do you need consent from everyone?
In the US, some states require every person on the call to agree to a recording, California among them. Many note takers only ask the host. Botless tools don't change the rule: you still need to tell people. Put a line in the invite and say it out loud at the start.
How many hours of calls a month?
Count a real month. Under 3 hours, MeetGeek's free plan works. With long calls, watch per-meeting caps: 30 minutes on Otter's free plan, 1 hour on Read.ai's. Past 20 hours, MeetGeek Pro hits its cap, and Fathom's free plan or an unlimited plan becomes the better deal.
- Does it work with Zoom, Meet, Teams and in-person meetings?
- Does the bot auto-join every meeting on your calendar?
- Where are recordings stored, and is the AI trained on them?
- Are summaries accurate in every language you use?
- What is the per-meeting cap on the free plan?
- What does the monthly plan cost, not just the yearly one?
Other options worth knowing
These come up in every search. The first four may already be included in what you pay for. The others aren't ranked because their pricing isn't readable on the vendor's site, they price in euros for a European buyer, or they solve a narrower problem.
Other options
Gemini in Google Meet: included from Business Standard
Already includedIf your company runs on Google Workspace, check your plan first. Gemini's "Take notes for me" and Meet recording are included in Business Standard and Business Plus, not in Business Starter. Its real limit: one language per meeting, so mixed-language calls don't work. Our Gemini review covers the rest of the tool.

Copilot and Teams Premium: intelligent recap
Already includedTeams writes an intelligent recap of meetings with a Teams Premium or Microsoft 365 Copilot license, as long as transcription is turned on. If your company already pays for one of these, try it before adding a third-party tool. Leaving Microsoft altogether? See our guide to switching from Microsoft Teams.

Zoom AI Companion: no extra cost on paid plans
Already includedZoom includes AI Companion at no extra cost on its paid plans. It isn't on the free plan. Summaries are available in 36 languages, in preview. If your whole team is on paid Zoom, it's the simplest option, but it won't follow you to Meet or Teams.

Notion: AI meeting notes on Business
Already includedNotion includes AI meeting notes on Business, at $20 per member per month billed yearly, and on Enterprise. Free and Plus only get a limited trial. It makes sense if your team already lives in Notion. Our Notion review scores it 4.0 out of 5.

Noota: EU hosting, priced in euros
EuropeanNoota is a French vendor that hosts data in the EU and says it doesn't train its AI on your calls. Pro costs €19 per user per month billed yearly and adds botless recording from the desktop app. A strong pick if your company is in Europe, less relevant for a US-only team.

What makes an AI note taker backfire
These problems show up again and again in reviews and forums. None of them is on the pricing page.
Traps
Recording without telling people
LegalSome US states require every participant to consent to a recording, California among them. Otter faces a 2025 class action over recording people without all-party consent, still unresolved. A botless tool doesn't exempt you. Tell everyone in the invite and at the start of the call.
- Do
- Tell every participant
Letting the bot join every meeting
SettingsOtter joins every calendar meeting with a video link by default, and Bubbles' free plan joins every meeting it can reach. That's how a bot ends up in a performance review. Set auto-join to invite-only on day one.

- Invite-only
Thinking you can remove Otter in one click
SettingsOn the Zoom community forum, users report they can't disconnect Otter. What works: disconnect your Zoom account in Otter, disconnect your calendar too, then uninstall the Otter app from the Zoom Marketplace. Skip one step and it comes back.
- Steps
- Account, calendar, app
Turning off Teams AI but not transcription
SettingsIn Teams, turning on meeting AI also turns on transcription. If you want a call with no written record, turn both off. Check before any sensitive meeting.

Not cancelling cleanly

Your questions about AI meeting note takers
What is the best free AI note taker?
Fathom, because its free plan has no cap: unlimited recordings and transcriptions with AI summaries. Otter gives 300 minutes a month but stops each call at 30 minutes, Read.ai 5 reports a month, and MeetGeek 3 hours a month.
Is there an AI note taker without a bot?
Yes. Granola captures audio from your device and never joins the call, Krisp takes botless notes from $8 a month billed yearly, and Fathom has botless capture in beta. You still need to tell participants you're recording.
Is it legal to use an AI note taker?
Yes, if you get the right consent. Some US states, California among them, require every participant to agree to a recording, and a 2025 class action against Otter centers on exactly that. Tell people in the invite and at the start of the call.
Does Zoom have a built-in AI note taker?
Yes. Zoom includes AI Companion at no extra cost on its paid plans, with summaries in 36 languages in preview. It isn't on the free plan, and it only covers Zoom calls, not Meet or Teams.
Can Gemini or Copilot replace a note taker?
Often, if your team stays in one ecosystem. Gemini takes notes in Meet from Workspace Business Standard, one language per meeting. Copilot recaps Teams meetings with a Teams Premium or Microsoft 365 Copilot license. For calls across platforms or in mixed languages, a dedicated tool does better.
Do AI note takers work for in-person meetings?
Yes, with a mobile or desktop app. Granola runs on iOS, Android and Apple Watch, so you can record a meeting around a table. Put the phone in the middle and tell everyone in the room.
Fathom or Otter: which one should you pick?
Fathom if you want a free plan that lasts: unlimited recordings, no 30-minute cap. Otter if you want the cheapest paid plan, $8.33 a month billed yearly for 1,200 minutes, and you're comfortable managing its auto-join and the pending class action.
How do you stop a note taker bot from joining your meetings?
In the tool's settings, switch auto-join to invite-only. If Otter keeps showing up, disconnect your Zoom account, then your calendar, then uninstall the Otter app from the Zoom Marketplace.
