What is the best bank reconciliation software in 2026?

The one that reconciles where you already work: inside your accounting software, inside your bank, or inside a close tool once volumes get serious. And on the right plan, because auto-matching isn't always included.

Bank reconciliation means checking your bank statement against the cash account in your books, line by line, until both balances agree. Matching invoices to the payments that settle them is the other half of the job, and most tools do both in one pass. Nobody fines you for skipping it. But it's the fastest way to catch a duplicate charge, a missing deposit or a payment you never recorded, before your accountant or your auditor does.

The short answer: for most small businesses, QuickBooks Online is the safest pick, with AI-powered reconciliation listed on its Plus plan. Xero is the better value if you watch the plan: auto-reconcile is included from Growing, and an add-on on Early. If your business banks in Europe, Qonto matches invoices and receipts to transactions inside the bank. Agicap adds reconciliation to cash forecasting, BlackLine is the reference for enterprise close, and Kyriba is a treasury platform for large groups.

The real question isn't the feature list. It's what your plan actually automates, and how many accounts it covers.

How we scored

How we compared and scored

Most of the pages ranking for this query are written by vendors, and every one of them puts its own product first. The rest list ten or fifteen tools without ever saying which plan includes automatic matching, or what a quote-only close platform really commits you to. That's exactly where buyers get surprised.

We read each vendor's official pricing page, the content of every plan, their help material on reconciliation, and user reviews, especially the negative ones. Each tool carries the same score here as in our other Labs rankings, so you can compare across pages.

A few names stay out of the ranking. Numeric automates the month-end close (checklists, reconciliations, variance analysis) for finance teams that already outgrew spreadsheets; we couldn't read an official price. AutoRek, ReconArt, FloQast and HighRadius show up in other lists, mostly aimed at large finance teams with quote-only pricing.

Best for most small businesses

QuickBooks Online

4.2/5

QuickBooks Online is the default accounting software for a huge share of US small businesses. Your transactions come in from the bank, you match them to invoices, bills and expenses, then you run the reconcile screen against your statement until the difference hits zero.

Pricing climbs fast with users. Simple Start is $38 a month for one user, Essentials $85 for three, Plus $140 for five, and Advanced $340 for up to 25. The pricing page lists "AI-powered book reconciliation" on Plus. It doesn't spell out bank rules plan by plan, so ask before you buy if rules are what you're after. Ignore the three-month promo when you budget: you'll pay list price after that.

The limit is the per-plan user cap. A team of four on Essentials has to move up to Plus, which nearly doubles the bill. And because QuickBooks does everything, reconciliation is one screen among dozens, not a dedicated workflow.

Tip: reconcile monthly against the actual statement, not just the bank feed. The feed can miss or duplicate a transaction; the statement balance is the one that counts.

Standout features
  • AI-powered book reconciliation listed on Plus
  • Widely used by US small businesses
  • Reconciliation on every plan
+Pros
  • ✓One tool for books, invoicing and reconciliation
  • ✓Huge accountant and app ecosystem
  • ✓Clear public pricing
−Cons
  • ✗User caps push you up a plan
  • ✗Bank rules not detailed on the pricing page
  • ✗Promo pricing hides the real cost
Verdict

The safe default for a US small business. Pick the plan by headcount, and check which one includes the automation you need.

Best value

Xero

4.1/5

Xero built its reputation on bank reconciliation: transactions arrive from the feed, Xero suggests a match, and you click OK. No per-user fees means your bookkeeper, your accountant and your ops lead can all log in without changing the price.

The catch is in the Early plan. At $27 a month, reconciliation is included, but auto-reconcile, the feature that clears matching transactions on its own, is a $5 monthly add-on. Early also caps you at 20 invoices and 5 bills. Growing, at $59, and Established, at $97, include auto-reconcile. For most businesses past their first year, Growing is the real entry price.

Where it falls short: partial payments and invoices paid in a single batch still need a human eye, like everywhere else.

Tip: if you run more than 20 invoices a month, skip Early and the add-on. Growing costs $32 more but removes both limits at once.

Standout features
  • Auto-reconcile from Growing
  • No per-user fees
  • Fast, suggestion-based matching
+Pros
  • ✓Unlimited users on every plan
  • ✓Strong bank-feed matching
  • ✓Large app marketplace
−Cons
  • ✗Auto-reconcile is a paid add-on on Early
  • ✗Early capped at 20 invoices and 5 bills
  • ✗Partial payments still need a human eye
Verdict

The best value if you're growing and want the whole team in the books. Budget for Growing from day one.

Best for reconciling in the bank

Qonto

4.5/5

Qonto is a European business bank, not accounting software. It earns its spot because a lot of reconciliation can happen inside the bank itself. Invoices you create in Qonto and Stripe receipts are matched to the right transactions automatically. For the rest, AI and custom rules suggest the document, and VAT is read straight off the invoice.

Every plan lets you connect external banks, so a second account elsewhere doesn't leave a hole. Accountant access and integrations start on Smart at €19 a month, with certified receipts. For companies, Business at €109 a month syncs transactions to accounting software and adds EBICS, the secure bank protocol European companies use for statements.

The limit is obvious: Qonto doesn't keep your books. It hands your accountant a clean feed, but the ledger lives elsewhere.

Tip: send your customer invoices from Qonto if you can. They reconcile against incoming payments on their own, so you write fewer rules.

Standout features
  • Qonto and Stripe invoices matched automatically
  • External banks on every plan
  • EBICS on Business
+Pros
  • ✓Reconciliation done upstream, in the bank
  • ✓Custom rules and VAT read from invoices
  • ✓Public pricing, Basic to Enterprise
−Cons
  • ✗Not an accounting ledger
  • ✗Accounting sync only on Business for SMBs
  • ✗Prices in euros
Verdict

A strong starting point if Qonto is already your bank. Pair it with Xero, QuickBooks or your accountant's tool.

Best with cash forecasting

Agicap

3.9/5

Agicap is a cash management platform for mid-size companies. It connects to more than 300 banks and over 150 apps, keeps a bank journal and handles reconciliation. If forecasting is your real problem, reconciliation comes along without another tool.

There's no price grid: everything goes through a quote, with a 12-month minimum. Reviews come back to that often. Some users call it expensive, others describe a renewal they didn't see coming. The vendor replies to most negative reviews, which is a good sign.

On the reconciliation side, two complaints repeat: bank connections that keep dropping with some banks, and partial payments that aren't handled well. If customers often pay in installments, test that case in the demo.

Tip: put the end of your commitment in your calendar the day you sign, and get the cancellation terms in writing.

Standout features
  • 300+ banks connected
  • 150+ apps integrated
  • Forecasting and reconciliation together
+Pros
  • ✓Reconciliation included in the cash tool
  • ✓Wide bank and app coverage
  • ✓Vendor answers negative reviews
−Cons
  • ✗No public pricing
  • ✗12-month minimum commitment
  • ✗Partial payments and bank feeds to watch
Verdict

Worth a look if you're buying cash forecasting first. For reconciliation alone, Xero or QuickBooks costs less and commits you less.

Best for enterprise close

BlackLine

3.8/5

BlackLine is the name that comes up first in every enterprise list. It's not a bank feed in an accounting app: it's a platform for the whole month-end close, where account reconciliations, transaction matching and the close checklist live together with approvals and an audit trail.

BlackLine doesn't publish prices. Everything goes through sales, and modules are billed separately, so the quote depends on what you pick. Estimates floating around the web come from third parties and aren't reliable enough to budget on.

For a small business, it's overkill. Its value shows when you have many entities, many bank accounts and auditors asking who approved what. Below that, QuickBooks or Xero plus a monthly review does the job.

Tip: list the modules you actually need before the first call. Matching, reconciliations and close management are often quoted separately.

Standout features
  • Full close platform
  • Audit trail and approvals
  • Built for many entities
+Pros
  • ✓Reference tool for enterprise close
  • ✓Reconciliations and matching in one place
  • ✓Fits audit-heavy teams
−Cons
  • ✗No public pricing
  • ✗Modules billed separately
  • ✗Far too big for a small business
Verdict

The pick when the close itself is the problem, not just the bank feed. Expect a sales cycle and a module-by-module quote.

Best for global treasury

Kyriba

3.5/5

Kyriba is a treasury management system for treasurers and CFOs of large and mid-market companies. Its main selling point is connectivity: more than 10,000 banks. Reconciliation is part of a much wider job, from cash positioning to payments.

Pricing is quote only. Kyriba also connects to Trustpair through its fraud-detection module. Trustpair isn't a reconciliation tool: it checks that a supplier's bank account really belongs to that supplier before you pay, which stops a classic fraud.

For a small or mid-size business, Kyriba is far beyond what you need. It's built for treasury teams in large groups, not for a quick setup.

Tip: if supplier fraud worries you more than reconciliation, look at the Trustpair add-on before buying a full treasury system.

Standout features
  • 10,000+ banks connected
  • Treasury, payments and reconciliation
  • Trustpair fraud check available
+Pros
  • ✓Unmatched bank connectivity
  • ✓Built for complex groups
  • ✓Strong integration ecosystem
−Cons
  • ✗No public pricing
  • ✗Built for treasury teams, not owners
  • ✗Oversized for SMBs
Verdict

Only for large groups with a treasury team. Everyone else will reconcile faster and cheaper in their accounting software.

How to choose

Where your reconciliation should live, and what it really costs

Before comparing features, answer one question: where do you want to reconcile? In your accounting software, in your bank, in a cash tool, or in a dedicated close platform. The answer cuts the list in half.

Accounting software first

For most small businesses, reconciliation belongs in the books: QuickBooks Online or Xero. The ledger, the bank feed and invoice matching live in one place, and your accountant already knows the tool. Pay attention to the plan: Xero's auto-reconcile is an add-on on Early, included from Growing.

When you need a close platform

Dedicated tools like BlackLine or Numeric make sense when one person can no longer reconcile every account by hand: many entities, many bank accounts, auditors asking for a trail. They are quote only and take weeks to set up. Below that size, a monthly review in your accounting software is enough.

The real price

Xero starts at $27, but $59 is the real entry for auto-reconcile without limits. QuickBooks runs from $38 to $340 depending on users. Qonto, for European businesses, starts at €9. Agicap, BlackLine and Kyriba go through a quote, and Agicap commits you for 12 months.
  • Count your bank accounts, cards and savings accounts: the number often picks the plan.
  • Check on the pricing page that automatic matching is in your plan, not an add-on.
  • Ask how the tool handles partial payments and one payment covering several invoices.
  • Ask your accountant which tool they already use, so you don't pay twice.
  • For quote-only tools, get the commitment length and cancellation terms in writing.
  • Keep a monthly manual review of what's left: no tool hits 100% automatic.
Field tips

Six reconciliation traps, and how to avoid them

Automatic matching always breaks in the same places: a transfer between your own accounts, an invoice paid in two parts, a bank feed that drops. Here's what keeps coming up in user feedback.

01

Reconcile only one side of internal transfers

Trap

When you move money from checking to savings and both accounts are connected, each feed shows the transfer. Match both lines and you record it twice. Run transfers through a clearing account, or let only one side create the entry.

When it happens
Two connected accounts in one tool
02

Handle partial payments and deposits separately

Trap

A customer paying an invoice in two parts, or one payment covering three invoices, defeats most matching engines. Keep a list of those cases and match them by hand, or test one in the demo before you buy.

Test it
In the demo, on a real case
03

Watch for bank feeds that need re-authorizing

Upkeep

Bank connections built on open banking have to be re-authorized regularly, and they can drop without warning. When your unreconciled count suddenly stops growing, check the connection first. A gap of a few days is easy to fix; a gap of three months is not.

Check
Every week
04

Do the math on Xero Early

Budget

Early plus the auto-reconcile add-on costs $32 a month, and you still hit the 20-invoice and 5-bill cap. Growing costs $59 with auto-reconcile included and no caps. Past a handful of invoices a month, Growing is the better deal.

Early + add-on
$32/mo
05

Ask your accountant before you buy

Choice

Many accountants already work in Xero or QuickBooks and reconcile on their side. Ask which tool they use and whether they can give you access. You may not need a separate subscription at all, and you avoid two people matching the same transactions.

When
Before signing anything
06

Reconcile to the statement, not just the feed

Method

Matching every feed line isn't the same as reconciling. Once a month, compare the ending balance in your books with the one on the actual bank statement. If they differ, a transaction is missing or duplicated in the feed.

FAQ · 8 questions

Bank reconciliation software · FAQ

  • Is bank reconciliation software worth it for a small business?
Yes, once you have more than a few dozen transactions a month or more than one account. The software pulls in your bank feed and suggests matches, so the monthly job drops from hours to minutes. Your accounting software probably already includes it: check that before buying a separate tool.
  • Can you do bank reconciliation in Excel?
Yes, with one account and few transactions. Export the statement, compare it with your ledger and tick off each line. Past a few dozen lines a month, or with several accounts, the time spent and the risk of missing something cost more than a Xero plan at $27 a month.
  • QuickBooks or Xero for bank reconciliation?
Both reconcile well. Xero is cheaper and has no per-user fees, but auto-reconcile is an add-on on Early and included from Growing at $59. QuickBooks lists AI-powered book reconciliation on Plus at $140, and it's the default for a lot of US small businesses. If your accountant uses one of them, pick that one.
  • When do you need a tool like BlackLine?
When reconciliation becomes a close problem: many entities, many bank accounts, auditors asking who approved what. BlackLine is quote only and billed by module. If one person can still reconcile your accounts in a few days each month, your accounting software is enough.
  • How often should you reconcile your bank accounts?
At least monthly, when the statement arrives. With a connected feed, the most efficient rhythm is weekly: accept the suggested matches in a few minutes. The longer you wait, the more receipts go missing and the harder the gaps are to trace.
  • Why does my reconciliation show the same transaction twice?
Usually because a transfer between two of your own connected accounts was matched on both sides. Run internal transfers through a clearing account, or let only one side create the entry. A feed that reconnected after a drop can also re-import a few days of transactions: check the dates.
  • Is bank reconciliation required by law?
No law forces you to produce a reconciliation report, but your books have to match reality, and auditors, lenders and tax authorities will expect them to. Monthly reconciliation is the simplest way to get there. It's also how you catch a duplicate charge or a missing deposit while it's still easy to fix.
  • How do you catch up on several months of reconciliation?
Start with the oldest month and work forward. Connect the bank first to pull in history, then clear large amounts and recurring transactions, which match fast. Leave small expenses with no receipt for last. If you're more than a year behind, bring in your accountant.
