What is the best client portal software for agencies in 2026?
Eight portals ranked for taking client requests, getting deliverables approved and showing your work under your own brand.
An agency does not buy a client portal the way a freelancer does. It has two meters: the people on its team and the clients who log in, and the mix of the two sets the price. To start small with a polished portal, Assembly is our top pick. If clients send you requests all month, ManyRequests queues them with unlimited clients. In the US, Canada, the UK or Australia, HoneyBook gets you paid through the portal. For marketing reporting under your brand, AgencyAnalytics. And with 200 clients, SuiteDash stays at the same flat price.

The 8 client portals for agencies compared
The "What is metered" column does the first sort: it decides whether your bill follows your team, your clients, or neither. Prices come from the official pricing pages, in US dollars.

How we compared and ranked
We started from a real agency, not a freelancer: a team of 2 to 30 people with 10 to 200 recurring clients, who need to take requests, get deliverables approved, share files and invoices, and sometimes show results. For each tool we read the official pricing plan by plan, noting what is metered (team seats, clients, contacts), what unlocks your brand (logo, custom domain, removing the vendor badge) and what is sold as an add-on. Then we priced two sample agencies: 3 people with 30 clients, and 10 people with 200 clients.
We also read threads from agency owners and freelancers, and user reviews. The first reason portals fail is not the software: it is clients who never log in. So we looked at what each tool does to make their first visit easy. A tool without public pricing is listed outside the ranking, and a tool whose pricing we could not read is not ranked: we never publish a price we did not see on the vendor's own page.

Assembly
If you read an older roundup that recommends Copilot, you are reading about Assembly: the product was renamed, and many comparisons still carry the old name and the old prices. In our view it is the most polished portal in this comparison. The model is easy to grasp: one branded space per client, growing with your client list.
The pricing has two meters: people on your team and active contacts on the client side. Free covers 1 user and 5 active contacts. Starter costs $29 a month billed yearly or $49 month to month, still 1 user, 50 active contacts and no custom domain. To use your own domain and remove the Assembly badge you need Professional (3 users, 500 contacts); Advanced moves to 5 users and unlimited contacts. Professional is $99 a month billed yearly, Advanced $499, and Enterprise starts at $2,000 a month.
Two complaints come back from agencies: the jump from Starter to Professional ($29 to $99 a month billed yearly) once you pass 50 contacts or one user, and the vendor badge that stays visible on Starter. Remember that a contact is not a client: a client company with three people logging in counts as three.
- Most polished portal we compared
- Free plan to pilot with a real client
- Badge removed and custom domain from Professional
- ✓Clean space for clients who are not tech-savvy
- ✓Fully public pricing
- ✓Free start with no time limit
- ✗Starter is 1 user and 50 contacts
- ✗Custom domain and badge removal only from Professional
- ✗Jump from $29 to $99 between Starter and Professional
Our top pick for a 1 to 5 person agency that wants clients impressed from the first login. Start on Free with one pilot client, then count your contacts: past 50 or one user, your real price is Professional, $99 a month billed yearly.
ManyRequests
ManyRequests is built for the agency that sells retainers or fixed-price services. Your client opens the portal, fills in a request form, and the request lands in a queue your team works through. Updates, comments and the final file all live inside the request. It is the model of the unlimited design or development subscription billed every month.
What matters for an agency: clients are unlimited on every plan, so only your internal seats count. Core is $39 a month month to month with 2 seats and $10 per extra seat. Pro is $99 a month with 5 seats and $14 per extra seat. Scale gives unlimited seats and is billed yearly. The pricing page pushes an annual discount framed as a limited-time offer, so treat the monthly price as your baseline and the discount as a bonus if it is still there when you sign. A white-labeled portal and a custom domain with your colors and CSS are included from Core; only the 'Powered by' mention is removed on Scale alone.
Reviews are still few and mostly positive. The complaints are about storage and features kept for higher plans. There is no Gantt chart, so it is not a tool for long, milestone-heavy projects.
- Request forms and a work queue
- Unlimited clients on every plan
- 14-day trial with no card
- ✓Fits a subscription service model
- ✓Price follows your team, not your client count
- ✓Monthly billing available
- ✗Annual discount framed as temporary
- ✗No Gantt view for long projects
- ✗Storage and advanced features on higher plans
The right pick if your agency runs on recurring requests: a team of 3 with 30 clients fits Core plus one seat, $49 a month. If you mostly deliver large projects with milestones, look at Plutio or SuiteDash instead.
HoneyBook
HoneyBook is the business-side choice in this ranking: the client portal is included from Starter, the cheapest plan, and clients pay you through the platform by card or bank transfer. For a small agency whose main pain is chasing payments, that covers a lot, at an entry price lower than most tools here.
Starter costs $29 a month, Essentials $49 (up to 2 team members) and Premium $109 (unlimited team members), all billed yearly. Starter lists no team members, so an agency of three lands on Premium. Card fees start at 2.7% + 10¢ and bank transfers (ACH) cost 1.5%, which adds up on large invoices: push ACH for retainers. HoneyBook is only available to businesses in the US, Canada, the UK and Australia, which is why it does not appear in our French and Spanish rankings.
It is not a request queue and not a reporting portal. Agencies that run a steady flow of small tasks will find ManyRequests a better fit, and marketing agencies will still need a reporting tool next to it.
- Client portal from Starter
- Card and ACH payments
- Low entry price billed yearly
- ✓Strong on getting paid
- ✓Portal on the cheapest plan
- ✓One tool for the business side
- ✗Only for US, Canada, UK and Australia
- ✗Payment fees on every invoice
- ✗No request queue for productized work
A good pick for a small agency in one of its four countries that wants clients to pay where they log in. If you are thinking of leaving it, read our HoneyBook switching guide.
Plutio
Plutio is an all-in-one built for small teams, with the client portal included. For a two or three person agency juggling four tools today, it is often the shortest path to a single place where clients approve, sign and pay.
Watch the client meter. Core, at $19 a month, allows only 9 active clients: an agency with about thirty recurring clients goes straight to Pro, $49 a month or $490 a year, which unlocks unlimited active clients. Max costs $199 a month. White label is not included on Core or Pro: it adds $9 a month and comes with Max. An agency that wants its brand everywhere therefore pays $58 a month on Pro.
The trial lasts 7 days without a card and is limited to 3 active clients, so line up your pilot client before you start or you will spend half the trial on setup. Because it does a lot, it takes time to learn.
- One tool for a small agency
- Unlimited active clients from Pro
- Yearly plan costs ten months
- ✓Broad for the price
- ✓One subscription instead of four
- ✓Yearly billing saves two months
- ✗Core capped at 9 active clients
- ✗White label is an add-on on Core and Pro
- ✗Short 7-day trial
The best features-for-price ratio for a 2 to 5 person agency that wants everything in one place. Budget Pro plus white label, $58 a month, not Core once you pass 9 active clients.
AgencyAnalytics
AgencyAnalytics is not a project portal, it is a reporting portal. Your client logs into a dashboard under your brand that pulls together their SEO, ads and social numbers. The vendor highlights built-in messaging and task management, but there is no request queue and no invoicing. For a marketing agency it is still often the screen clients open most, because it answers their real question: is this working?
Pricing is per client: $20 per client per month, billed annually. That is the annual price, 20% cheaper: month to month with no commitment, plan on $25 per client. Logo, colors and a custom domain are included. Above 25 clients the rate drops on a sliding scale through the sales team. At 30 clients the list price reaches $600 a month before any negotiation, which makes it the most expensive tool here as your roster grows. Our full review also notes a per-client price increase that hit existing customers.
Onboarding is fast, its best score. Value for money is its weakest, because of that per-client meter.
- Branded client dashboards
- Logo, colors and domain included
- 14-day trial with no card
- ✓The portal marketing clients actually open
- ✓Quick to set up
- ✓Full white label from the entry price
- ✗Per-client price climbs fast
- ✗No request queue or invoicing
- ✗Past price increase applied to existing customers
The right pick for a marketing agency that needs to show results, next to a project portal. Negotiate from 25 clients and run the math: 30 clients is up to $600 a month at list price. Read our full AgencyAnalytics review before you sign.
Kitchen
Kitchen is a simple client portal that clients understand without training. Agencies that use it describe it as simple but very complete, which is rare in a category where many tools do too much.
Free covers up to 2 internal users, without white label or a custom domain: it is for trying, not for showing clients a portal under your name. Agency White Label is $29 per internal user per month, with white label, custom domain and a 14-day trial. The price follows your team: $87 a month for three people, $290 for ten.
The real twist is the lifetime licenses: $299 once for 5 users, $599 once for unlimited users. For a team of three that keeps the tool more than four months, the 5-user license beats the subscription. The trade-off: it aims for simplicity rather than the reach of an all-in-one like Plutio or SuiteDash, and published reviews are still few.
- Lifetime license from $299
- Simple for clients
- Free for up to 2 internal users
- ✓Easy for your clients
- ✓Lifetime license pays back in months
- ✓Custom domain on the agency plan
- ✗Per-internal-user subscription
- ✗Free plan without white label
- ✗Less broad than an all-in-one
The right pick for a 2 to 5 person agency that wants a clean portal and a fixed cost. Take the $299 lifetime license if you will stay at five people or fewer; beyond that, compare it with the $599 unlimited license.
SuiteDash
SuiteDash is the only tool here whose price moves with neither your team nor your clients: clients and staff are unlimited on every plan. START is $19 a month, THRIVE $49, PINNACLE $99. What changes between plans is features and storage: 100 GB, 500 GB, then 2 TB, plus 250 GB for $5 a month. A prepaid license also exists, from $2,240 to $6,840 depending on the plan, paid once.
It is a very broad all-in-one. For an agency with 10 people and 200 clients, it is the lowest bill in this comparison, between $19 and $99 a month. The trade-off is well known: the learning curve is steep, it takes time to get everything working, and some users report slow loading. Feedback on white labeling, on the other hand, is very good.
Our advice: use the 14-day PINNACLE trial to build one full client journey end to end, then pick the plan you really need.
- Unlimited clients and staff on every plan
- Fixed price from $19 a month
- Prepaid license available
- ✓Lowest cost for 200 clients
- ✓Very broad feature set
- ✓White labeling praised by agencies
- ✗Long setup
- ✗Slow loading reported
- ✗Less polished client side
The best budget pick for an agency growing in clients and staff. Block two or three days of setup before you invite clients: that is the price of a bill that stops moving.
Agency Handy
Agency Handy targets agencies that sell packaged services, from 10 to 30 people. Its pricing works in team tiers, which keeps it readable for a growing agency.
Freelancer is $29 a month for 1 user, unlimited clients, no custom domain. Team Starter is $99 a month for 10 users, with your own domain. Business Pro is $199 a month for 30 users. The page also shows yearly prices, but without clearly saying which plan they belong to, so we do not quote them: ask.
With three people you already pay for Team Starter, $99 a month, since Freelancer has a single user. At ten people the same plan still works, which makes it a strong option next to ManyRequests ($169 a month for ten on Pro). The vendor is less known and reviews are scarce: run the 7-day trial with a real client.
- Built for packaged services
- 10 users from Team Starter
- Custom domain from Team Starter
- ✓Tier pricing, not per seat
- ✓Unlimited clients
- ✓Good math for a team of 10
- ✗Freelancer is a single user
- ✗Yearly prices unclear
- ✗Few published reviews
The right pick for a productized agency of 5 to 10 people that wants a fixed tier price: $99 a month for ten. For a team of three, ManyRequests Core costs less.
What a client portal really costs your agency
A sticker price means nothing until you know what is metered. We redid the math from the official pricing, per month and before tax, for two sample agencies.
Two sample agencies
A 3-person agency with 30 clients
Most commonSuiteDash START stays at $19 a month, since everything is unlimited. ManyRequests Core is $49 month to month: $39 for 2 seats plus $10 for the third. Plutio Pro comes to $58 with white label (Core stops at 9 active clients). Kitchen is $87 (3 × $29), or $299 once for the lifetime license. Agency Handy needs Team Starter, $99, because Freelancer has one user. At Assembly, three users means Professional, $99 a month billed yearly (3 users, 500 contacts). AgencyAnalytics reaches $600 a month for 30 clients at list price, negotiable above 25.
Our advice: do not compare entry prices, compare your agency's line. The gap runs from $19 to $600 for what looks like the same need.
- Cheapest
- SuiteDash, $19/mo
- Request queue
- ManyRequests, $49/mo
A 10-person agency with 200 clients
GrowingSuiteDash stays between $19 and $99 a month depending on features. Agency Handy Team Starter covers 10 users for $99. ManyRequests Pro is $169 month to month: $99 for 5 seats plus 5 × $14. Kitchen is $290 a month on subscription, or $599 once for the unlimited lifetime license. Plutio Pro includes 30 contributors and unlimited active clients: ten people fit for $58 a month with white label. At AgencyAnalytics, 200 clients is a conversation with sales.
Our advice: at this size the client meter becomes the real risk. Drop tools that cap clients, or get the next tier priced in writing.
- Cheapest
- SuiteDash, $19 to $99/mo
- ManyRequests Pro
- $169/mo
Pay monthly or yearly
CommitmentAgencyAnalytics offers a no-commitment monthly plan at $25 per client, 25% above annual. Plutio yearly costs ten months out of twelve ($190 instead of $228 on Core). Assembly Starter drops from $49 monthly to $29 billed yearly. HoneyBook's listed prices are yearly. ManyRequests shows a large annual discount framed as time-limited.
Our advice: pay monthly for the first three months, long enough to see clients actually log in, then switch to yearly.

Request portal, project portal or reporting portal: three different jobs
The roundups at the top of Google mix these three uses. They are not bought the same way, and many marketing agencies need two of them.
Three uses
Clients send you requests all month
SubscriptionThis is the design, development or content agency selling a monthly retainer. The client fills in a form, the request enters a queue, your team works it and delivers inside it. ManyRequests and Agency Handy are built for this.
Our advice: write your request forms before the trial. A good form saves three back-and-forths per request.
- Tools
- ManyRequests, Agency Handy
- Meter
- Internal seats
You deliver projects with stages
DeliverablesA website, a rebrand, a campaign: the client follows progress, approves deliverables, signs and pays. Assembly, Plutio, HoneyBook, Kitchen and SuiteDash are built for this kind of follow-up, each with its own meter. For video or design review, many agencies keep a dedicated proofing tool on the side.
Our advice: choose on the approval step, not the task board: that is the part your client lives.
- Tools
- Assembly, Plutio, Kitchen

- Depends on the tool
Your client wants to see results
MarketingAn SEO or paid media agency has to show numbers. AgencyAnalytics gathers each client's data in a dashboard under your brand, with messaging and tasks, but no request queue or invoices. Many marketing agencies pair a reporting portal with a project portal.
Our advice: put a link to the dashboard inside your project portal, so the client has a single front door.

The real risk: clients who never log in
On agency and video editor forums the same story repeats: a portal set up with care, then nobody opens it. Clients keep emailing. Here is what works.
Four levers
Start with one pilot client
TrialRun the trial with a real client who likes working with you, not a dummy account: 14 days at ManyRequests, Kitchen, AgencyAnalytics and SuiteDash, 7 days at Plutio and Agency Handy, 30 days at HoneyBook. You see for real whether they find their files without calling you.
- Length
- 7 to 14 days
Send invoices and approvals only through the portal
HabitClients log in when they need to. If the invoice and the approve button live only in the portal, they will come. If you also email them, they never will.
- Effect
- The portal becomes the only way
Make the first login painless
AccessDuring the trial, watch how your client gets in the first time: invitation, password, link. Every extra step loses clients. Send a two-minute video with the invite.
- Check
- Invite and password flow
Put your brand everywhere
TrustA client logs in more readily at portal.youragency.com than at an unknown vendor's domain. Check which plan gives you the domain and which removes the badge: they are not always the same.
- Domain
- Depends on the plan
What pushes the bill up, and what to check
Bad surprises come from the same places: a meter you missed, half a white label, a discount that disappears. Here is what the official pricing pages say.
The client meter
Plutio Core stops at 9 active clients and Assembly Starter at 50 contacts. AgencyAnalytics counts every client. SuiteDash and ManyRequests do not count clients.
The team meter
Kitchen charges per internal user, ManyRequests per seat beyond the included seats, Agency Handy by tier. A new hire changes your bill.
Tiered white label
A logo swap is not white label. Assembly removes its badge on Professional, Plutio charges $9 a month for white label on Core and Pro, ManyRequests only drops 'Powered by' on Scale, Kitchen Free has neither white label nor a custom domain, Agency Handy Freelancer has no custom domain.
Time-limited discounts
An annual discount sold as temporary says nothing about the renewal price. Get the second-year price written into your quote.
Old names
Copilot is now Assembly. A roundup that still says Copilot often has outdated prices.
Payment fees
When clients pay through the portal, fees apply on every invoice: from 2.7% + 10¢ by card at HoneyBook, 1.5% by ACH. Steer retainers to bank transfer.
- What is metered: team, clients or contacts
- Plan that gives your domain and removes the badge
- Monthly versus yearly price
- Temporary discount or lasting price
- Data processing agreement signed
- Export of files and messages if you leave
Other tools: quote-only, agency management or special cases
These tools come up in searches. They are not ranked because they are quote-only, do not put a client portal forward, or carry a question mark on their future.
Other tools
Clientjoy: CRM plus portal, under a new owner
CautionClientjoy sells a single plan at $19 per user per month, or $199 per user per year, with a branded client portal, free portal access for your clients, white labeling included and a 14-day trial. It was acquired by Synup, and since then some users complain that support has become much harder to reach. We keep it out of the ranking as a precaution until things are clearer.

EuropeanHubflo is a Paris-based vendor with a strong client onboarding portal. Plans start at $67 a month on annual billing (quarterly and monthly billing cost more) for 1 user and 50 clients. It mainly serves French-speaking agencies, which is why it is ranked on our French page rather than here.
- Price

Notion: the homemade portal
DIYMany agencies share unlisted Notion pages with clients. It works for a handful of clients, and most do not notice the difference. But there is no request queue, no invoicing and no per-client permissions, and everything is maintained by hand. Read our Notion review before going that way.

Client portal software for agencies: FAQ
Flat fee or per seat: what is cheaper for 100 clients?
A flat fee, almost always. SuiteDash keeps clients and staff unlimited from $19 a month. Per-seat tools like ManyRequests or Kitchen stay reasonable because they do not count clients. Per-client pricing is the one to watch: at $20 per client, AgencyAnalytics would list at $2,000 a month for 100 clients before volume pricing.
Which portal handles productized requests?
ManyRequests and Agency Handy. Both turn client requests into a queue your team works through, with unlimited clients. ManyRequests is cheaper for a small team, Agency Handy for a team of ten on Team Starter at $99 a month.
Is Copilot now Assembly?
Yes, Copilot was renamed Assembly. Roundups that still mention Copilot often show old plan names and prices, so always check Assembly's own pricing page.
Is HoneyBook good for agencies?
For a small agency that wants clients to pay through the portal, yes: Starter is $29 a month billed yearly, but a team of three needs Premium, $109 a month, since Essentials stops at 2 team members. It has no request queue or reporting, and it is only available in the US, Canada, the UK and Australia.
Is there a free client portal for agencies?
Yes, with limits. Assembly Free covers 1 user and 5 active contacts, Kitchen Free 2 internal users without white label or a custom domain. Both are good for piloting with one client, not for running the whole agency.
Is a logo swap enough to call it white label?
No. Real white label means your domain, your logo and no vendor badge. Assembly removes its badge only on Professional, Plutio charges $9 a month extra on Core and Pro, and Kitchen Free has none of it.
Do I need a data processing agreement with my portal vendor?
If you serve clients in the EU or UK, yes: your portal vendor processes your clients' data on your behalf. Ask for its data processing agreement and its list of subprocessors before you invite your first client.
