What is the best email signature management software in 2026?

The one that stamps the same up-to-date signature on every mailbox, from every device, without asking anyone to paste HTML.

Here's the short answer. Running Microsoft 365 or Google Workspace with people who email from their phones? Exclaimer: server-side signatures from $0.90 per user per month. All-in on Microsoft 365 and past 100 seats? CodeTwo, one plan whose price drops with volume and a one-month minimum commitment. Under 20 people? Signitic manages your whole team for free. And if you only need a signature for yourself, HubSpot's free generator does the job in five minutes.

A generator builds one signature you copy by hand. Signature management software pulls each person's name, title and phone from your directory, applies the right template to every mailbox and lets you swap a banner for the whole company in one click. That second category is what we ranked.

How we scored

How we compared and scored

Most pages ranking for this query are written by signature vendors, and most put themselves first. They rarely say what happens on a phone, how the new Outlook breaks some add-ins, or what fifty seats really cost once minimums kick in. Those are the three things IT admins complain about after buying.

We compared official pricing pages, vendor documentation on deployment modes and directory sync, Microsoft's and Google's own docs, and a lot of admin feedback from forums and review sites, especially the angry kind. Rank follows the most common reader setup, a team of 10 to 200 on Microsoft 365 or Google Workspace, not only the score: Signitic scores highest, but its euro-only billing and lighter reporting put it behind the two server-side leaders for a US team.

Newoldstamp, MySignature and Boost My Mail are not ranked: none shows a readable price on its official pricing page. HubSpot's generator is free and has no team features, so it sits outside the scored ranking.

1
Best overall, server-side

Exclaimer

4.3/5

Exclaimer has been the default answer to "how do I control everyone's signature" for years, and it earns the top spot here because it covers both big mail platforms with real server-side stamping on every plan. You choose per deployment: add the signature in the cloud as mail passes through, inside Outlook or Gmail while people type, or both. Server-side is what makes a reply sent from an iPhone or a CRM look identical to one sent from a desktop. Azure AD (Entra ID) or Google Directory syncs, so titles and phone numbers fill themselves in.

Two details matter day to day. An option updates Sent Items through Graph or EWS, so senders can see the signature in their own folder. And when a client-side signature is already in the message, the server-side one is skipped, so nobody gets a double signature. For threads, a "don't add if the conversation contains" rule keeps replies from stacking full signatures.

Admins describe it as something that "simply works". The recurring complaints are slow email support and the end of the trial: miss the payment and outgoing mail can bounce. Put a reminder two days before day 14.

Standout features
  • Server-side, client-side or both on every plan
  • Entra ID and Google Directory sync
  • Sent Items update option
  • Reply-signature rules
+Pros
  • ✓Most complete server-side mode in this ranking
  • ✓Covers Microsoft 365 and Google Workspace
  • ✓Starter is cheap at $0.90
−Cons
  • ✗10-user minimum
  • ✗Email support can be slow
  • ✗Trial ends hard if you forget to pay
Verdict

The safest pick when people email from phones or you run a mixed Google and Microsoft shop. Starter covers most SMBs; move to Pro when marketing wants campaigns and finer rules.

Best for Microsoft 365

CodeTwo

4.2/5

CodeTwo Email Signatures 365 keeps pricing refreshingly simple: one plan, every feature, a price per user that falls with volume. Yearly billing runs $1.22 per user per month from 10 to 25 licenses, $1.11 at 100, $0.95 at 200 and $0.73 at 500. Pay monthly and it's roughly 10% more ($1.36 at the first tier). The minimum commitment is one month, which almost nobody else in this category offers.

You can run it in the cloud (server-side), in Outlook (client-side) or both. Admins who have run both leaders tend to say the cloud modes of CodeTwo and Exclaimer "work the same way"; some find the client-side Outlook plugins weaker than the server path. Reviewers also like that CodeTwo replaces signatures server-side, which sidesteps the new Outlook's limits.

The catch is a big one: CodeTwo is Microsoft 365 only. No Google Workspace at all. The 14-day trial covers up to 1,000 mailboxes, enough to check rendering across classic Outlook, Outlook on the web and mobile before you pay.

Standout features
  • One all-features plan
  • One-month minimum commitment
  • Volume pricing down to $0.73
  • Trial on up to 1,000 mailboxes
+Pros
  • ✓Transparent, volume-based pricing
  • ✓Solid cloud mode on Microsoft 365
  • ✓Monthly billing without a long contract
−Cons
  • ✗No Google Workspace support
  • ✗10-license minimum
  • ✗At 10 users, pricier than Exclaimer Starter
Verdict

The natural choice for a Microsoft-only company past 100 seats. If even one team runs on Gmail, go with Exclaimer instead.

Best free plan

Signitic

4.4/5

Signitic is a French vendor with the most generous free tier we found for teams: up to 19 users with one template, one banner campaign and a small Signitic badge. Standard costs €1 per user per month, paid once for the year with a 20-license minimum, and unlocks unlimited templates and campaigns, banner A/B tests and badge removal. Billing is in euros, so expect a small FX line on a US card.

Mailtastic became Signitic, and Sigilium officially joined Signitic: the Sigilium brand becomes Signitic, with a unified portal, the same logins, the same add-in and integrations, and unchanged contracts and invoices. If a comparison still lists Sigilium as a separate product, it's out of date.

Users praise a quick rollout. Complaints center on connecting some mailboxes, which can take a few tries, and on reporting that feels thin; the free plan keeps stats for seven days only. For a US team, Exclaimer and CodeTwo offer more mature server-side options, which is why Signitic ranks third despite the top score.

Standout features
  • Free for up to 19 users
  • €1 per user per month on Standard
  • Microsoft 365 and Google Workspace on every plan
  • Sigilium and Mailtastic now part of it
+Pros
  • ✓Lowest price for a team
  • ✓Banner A/B testing on Standard
  • ✓EU-based vendor
−Cons
  • ✗Yearly upfront payment only
  • ✗Billed in euros
  • ✗Setup can be fiddly
  • ✗Light reporting
Verdict

Start here if you're under 20 people and budget is zero. Upgrade when the badge or the single template gets in the way.

Best for compliance

Letsignit

4.1/5

Letsignit is a French vendor aimed squarely at larger accounts. The Email signatures & vCards plan is $2 per user per month on a yearly subscription; Platform, at a discounted $3.20 (list price $4), adds digital business cards and presentation templates; Enterprise is on quote.

Its strongest card is compliance. Letsignit renewed its ISO 27001 and ISO 27018 certifications and hosts European customers' data in France or Europe. If your security team asks where names, titles and mobile numbers synced from Entra ID end up, Letsignit has the cleanest answer in this ranking.

It supports Microsoft 365, Google Workspace, Outlook, Gmail and Apple Mail, with automatic rollout through an add-in and connectors. Server-side deployment for Exchange and SMTP or on-premises relay are Enterprise-only, so check that before you buy if your sales team lives on mobile.

Standout features
  • ISO 27001 and ISO 27018
  • EU data hosted in France or Europe
  • Digital business cards included
  • Microsoft 365, Google Workspace and Apple Mail
+Pros
  • ✓Strongest compliance story
  • ✓Business cards in the same tool
  • ✓Broad client support
−Cons
  • ✗Pricier than Exclaimer and CodeTwo
  • ✗Server-side only on Enterprise
  • ✗Yearly billing only
Verdict

The right call when security reviews come before price. For a typical SMB, Exclaimer does more for less.

Best for marketing

WiseStamp

3.6/5

WiseStamp is the easiest tool here to pick up, and the most marketing-minded. Pro+ is $9 a month billed yearly for one admin and three templates, then $2 per member up to 10. Basic, $19 a month plus $1 per employee, adds Google Workspace and Microsoft 365 sync and automatic install. Grow, $49 plus $1 per employee, brings campaigns, rules and analytics.

Know this before you buy: server-side signatures only come with Platform, at $189 a month plus $1 per employee, which also adds SSO. Below that, the signature is added in the mail client, so mobile is not guaranteed.

Reviews are split down the middle. Happy customers mention responsive support and good Gmail and Outlook integration. Unhappy ones describe auto-renewals without warning, refused refunds and a yearly plan forced on someone who needed one signature. Others report the logo vanishing from already-sent emails after the trial ended, because the image was hosted by WiseStamp. Write down the renewal date the day you buy.

Standout features
  • Pro+ at $9/month for a small team
  • Campaigns, rules and analytics on Grow
  • Easiest setup
  • Server-side on Platform
+Pros
  • ✓Very simple interface
  • ✓Marketing features from Grow
  • ✓Good Gmail integration
−Cons
  • ✗Server-side only at $189/month
  • ✗Auto-renewal complaints
  • ✗Logo hosted by the vendor
Verdict

Good for a marketing team under ten that wants to play with banners. To manage a fleet of mailboxes, Exclaimer or Signitic do more for less.

Price, deployment, data

What email signatures really cost, and how to choose

Three questions matter more than template counts: what you pay for your headcount, where the signature gets added, and where your directory data goes. Here are the numbers over one year, before tax, at annual list prices.

10 users

Signitic free (up to 19); Exclaimer Starter $108; CodeTwo $146.40; Letsignit $240; WiseStamp Basic $348. Watch the minimums: Exclaimer and CodeTwo bill at least 10 users even if you have 6.

50 users

Exclaimer Starter $540 (Pro $1,050); Signitic €600; CodeTwo about $670 to $730 depending on tier; WiseStamp Basic $828; Letsignit $1,200. The spread is small: decide on deployment mode and platform, not on a few hundred dollars.

200 users

Exclaimer Starter $2,160 (Pro $4,200); CodeTwo $2,280; Signitic €2,400; WiseStamp Platform, its only server-side plan, $4,668; Letsignit $4,800. CodeTwo's volume pricing starts to pay off here.

Server-side vs client-side

Client-side, an add-in inserts the signature in Outlook or Gmail as you type: you see it, but it depends on the Outlook version and your mobile policies. Server-side, it's added in transit: it works from any device, but you don't see it while writing. Running both gives you the best of each.

Directory data

These tools read every employee's name, title and phone from your directory. Letsignit hosts EU data in France or Europe with ISO 27001 and 27018. Ask any vendor for its subprocessor list before signing.

Billing traps

10-user minimums at Exclaimer and CodeTwo, yearly-only billing at Letsignit, Signitic and WiseStamp, and auto-renewals. CodeTwo is the only one here with a one-month commitment.
  • Count every mailbox that sends external mail, shared mailboxes and service accounts included.
  • Check whether you're Microsoft 365-only, Google-only or mixed: CodeTwo rules out Google.
  • Estimate how much mail leaves from phones: past one in five, go server-side.
  • During the trial, check rendering in classic Outlook, new Outlook, Outlook on the web, Gmail and a phone.
  • Host the logo on your own site or in the tool, never as an attachment.
  • Put the trial end and renewal dates in your calendar on day one.
What admins find out too late

Five signature problems and how to dodge them

Most support tickets at signature vendors come down to the same handful of causes. Knowing them before rollout saves you a week of back-and-forth.

01

Gmail rejects your signature: the 10,000-character cap

Gmail

A Gmail signature can't exceed 10,000 characters, and HTML and images count. Go over and Gmail throws "Signature exceeds maximum length". Pasting a logo straight into the editor turns it into a wall of code, which is the usual culprit. Host the logo and insert it by URL instead.

On the admin side, Google Workspace allows one footer per organizational unit, without personalized fields: no names or titles.

Limit
10,000 characters, images included
02

The signature vanishes on mobile

Mobile

The Gmail app keeps its own plain-text mobile signature, with no images. In Outlook, a signature that shows on web and desktop can go missing on phones when device management such as Intune blocks the add-in. If your sales team lives on mobile, only server-side stamping guarantees the same result.

Fix
Server-side signature
03

New Outlook and roaming signatures

Outlook

Recent Outlook for Windows builds store signatures in the mailbox rather than on the PC. Microsoft itself warns that some third-party add-ins stop working when roaming signatures are on, and documents a registry value to turn the feature off. Ask any client-side vendor how it handles this before you commit.

Affects
Recent Outlook for Windows, M365
05

Two signatures in one email

Rollout

When a tool adds a server-side signature and the employee still has an old one in Outlook, recipients get both. Exclaimer detects an existing client signature and skips its own. Elsewhere you have to clear old signatures; for Outlook on the web, admins do it per mailbox with the PowerShell cmdlet Set-MailboxMessageConfiguration. Set up a short reply signature too, or threads will stack full blocks.

HubSpot: the free generator for a single signature

Free

HubSpot's email signature generator is free and comes with clean templates. Fill in your details, then paste the result into Gmail (Settings, signature editor) or Outlook (Message, Signature; on the web: Mail, Compose and reply). There's no team management: every person rebuilds their own and nothing updates centrally. Fine for a freelancer or a team of three. Our HubSpot review covers the CRM, not this generator.

Newoldstamp: small teams without IT

Newoldstamp offers central management for Google Workspace and Microsoft 365, billed yearly per signature, starting at five. Its pricing page is confusing and doesn't mention server-side deployment. The 7-day trial doesn't let you use signatures before you buy. We'll rank it once the pricing reads clearly.

MySignature: priced by unique signature

MySignature bills by the number of unique signatures: a 25 plan covers 25. Professional is paid quarterly or yearly, with up to 25% off on yearly. Its pricing page showed no readable amount when we compared, so ask for a quote first.

No tool: what Microsoft 365 and Google do on their own

Free

Microsoft 365 transport rules can append a disclaimer. They're built for text: HTML and logos render poorly, the text repeats on every reply in a thread, and you need one rule per department signature. Google Workspace allows one footer per organizational unit with no names or titles. Fine for a shared legal line, not for real per-person signatures.

Limit

FAQ · 9 questions

Email signature software · FAQ

  • What's the best email signature software for Google Workspace?
Exclaimer if you want server-side signatures; Signitic if you're under 20 people and want it free. CodeTwo is out: it only supports Microsoft 365. Native Google Workspace footers can't personalize names or titles, so they don't replace a real tool.
  • What's the best email signature software for Microsoft 365?
CodeTwo for Microsoft-only companies, especially past 100 seats where the price drops to $1.11 and then $0.95 per user. Exclaimer is the alternative if you also have Google mailboxes or want the Sent Items update option.
  • Server-side or client-side signatures: which should I pick?
Server-side if a real share of your mail leaves from phones or apps; client-side if people want to see the signature while typing. Exclaimer and CodeTwo let you run both. At WiseStamp, server-side only comes with Platform at $189 a month.
  • How much does email signature software cost for 50 employees?
Roughly $540 to $1,200 a year before tax. Exclaimer Starter is $540, CodeTwo about $670 to $730, WiseStamp Basic $828, Exclaimer Pro $1,050 and Letsignit $1,200. Signitic comes to €600, billed in euros.
  • Is there a free email signature manager for teams?
Yes: Signitic is free up to 19 users, with one template, one banner campaign and its badge under your signature. For a single person, HubSpot's free generator is simpler. Many other free generators add their own promo under your signature.
  • Why doesn't my signature show on mobile?
The Gmail app uses its own plain-text signature, and Outlook mobile may block add-ins under Intune policies. A server-side tool fixes both, because the signature is added after the message leaves the phone.
  • Why can't I see my signature in Sent Items?
Because a server-side tool adds it after you hit send. Recipients still get it. Exclaimer can update Sent Items so you see it too; otherwise send a test message to an outside address.
  • Does Sigilium still exist?
No. Sigilium joined Signitic and its brand is becoming Signitic. Customers keep their logins, add-in, data and contracts on a unified portal.
  • Is an email signature the same as an e-signature?
No. An email signature is the contact block at the bottom of your messages; an e-signature legally signs a contract or quote. Different tools entirely, ranked in our guide to the best e-signature tools.
