Which employee onboarding software should you pick in 2026?

Most small businesses don't need a separate onboarding tool. The question is whether your HR platform already does the job, and how many people you hire a month.

The offer letter goes out as a PDF. Tax forms come back half filled in. IT finds out about the new hire on Monday morning, and their manager forgot to plan the first week. Employee onboarding software fixes that sequence: offer letter, e-signatures, new hire paperwork, task lists for IT and the manager, and training that the new hire actually finishes.

The short answer: if you hire a few people a month, use an HR platform that includes onboarding. BambooHR is the cleanest pick for a 25 to 200 person company. Rippling wins when onboarding must also ship a laptop and set up payroll in one flow. Connecteam is the pick for deskless crews, and free up to 10 users. If your real problem is teaching people the job, not the paperwork, Trainual is built for that.

Every price on this page comes from the vendor's own pricing page. When a vendor doesn't publish a price, we say so and don't fill the gap with a number from a review site.

How we compared

How we compared and scored

Search for this question and almost every top result is written by a vendor that ranks itself first. The longest one runs to dozens of FAQs, but none shows a price column, and most quote prices lifted from other blogs. Nobody answers the question a small business actually has: does my HR platform already do this?

We read each vendor's pricing page and product pages, then user feedback, starting with the complaints: base fees that hurt under 25 people, modular pricing that's hard to total, setup that takes longer than promised. A tool only made the list if the vendor itself describes what it does for a new hire, and in which plan.

Gusto is out because its pricing page could not be read, and we don't publish a price from a third-party site. Project tools like Asana or Notion work as a homemade checklist, not as HR software. For the rest of HR (time off, reviews, payroll), see our HRIS software ranking: the scores there are the same.

1
Best HR platform with onboarding

BambooHR

4.2/5

BambooHR puts hiring and onboarding in its Core plan, next to employee records. The offer letter goes out from a template, the new hire lands in the system already filled in, and the HR person stops copying the same data into three places. For a company that hires a few people a month, that is most of what onboarding software needs to do.

The pricing has two shapes. Up to 25 employees you pay a flat fee: $250 a month for Core. Above 25, it switches to $10 per employee per month. At 30 employees that is $300 a month, at 100 it is $1,000. Payroll and benefits administration are add-ons.

One thing to check before you sign. The comparison table on the pricing page lists a new hire packet, an onboarding checklist and e-signatures, but it doesn't make clear which plan carries each one. Ask sales to confirm in writing that all three are in the plan you're quoted.

The feedback is consistent: people like how simple it is to roll out. The common complaint is the flat fee, which hurts a 10-person company paying for 25.

Tip: if you're just under 25 people and growing fast, ask for the per-employee rate from day one. You'll cross the threshold within a year anyway.

Standout features
  • Hiring and onboarding in Core
  • Clear published pricing
  • Simple to roll out
+Pros
  • ✓Offer letter to employee record in one flow
  • ✓Prices you can budget
  • ✓Well rated for ease of use
−Cons
  • ✗$250 floor under 25 employees
  • ✗Checklist and e-signature plan to confirm
  • ✗Payroll is an add-on
Verdict

The safest pick for an office team of 25 to 200. If onboarding must also order laptops and open app accounts, Rippling goes further.

2
Best for onboarding plus IT and payroll

Rippling

4.1/5

Rippling's pitch is that onboarding is not only an HR task. Rippling ties onboarding to payroll and IT: the new hire's data flows into payroll and device setup, and workflows send the welcome email. Payroll and benefits sit in the same system, so the new hire's data flows into the first paycheck.

Pricing starts at $8 per employee per month, plus a monthly base fee the page doesn't put a number on. At 30 employees, that is $240 a month before the base fee and before any add-on. The real total depends on which products you stack, and that's where small teams get lost.

The feedback mirrors that. People praise how much it automates once it runs. The recurring complaint is a modular price that's hard to total and a setup that takes real time.

Tip: ask for a quote with only the products you'll use in year one, and get the base fee written in. Add device management later, when you know you need it.

Standout features
  • Onboarding, payroll and IT in one system
  • Payroll and benefits in the same system
  • Workflows triggered by employee data
+Pros
  • ✓The most automated onboarding here
  • ✓No re-typing between HR, payroll and IT
  • ✓Scales with a growing team
−Cons
  • ✗Base fee not published
  • ✗Modular price hard to total
  • ✗Setup takes time
Verdict

The pick when onboarding means HR, payroll and IT at once. For a 30-person office that just needs clean paperwork, BambooHR is simpler and easier to budget.

3
Best for deskless teams

Connecteam

3.8/5

Connecteam is a mobile app for teams that don't sit at a computer. Onboarding lives in the HR and Skills hub: the new hire opens the app, reads documents, completes training and ticks off tasks from their phone. The "how does someone without a work email log in" problem simply goes away.

It's also the only tool here with a real free plan: up to 10 users with every hub. After that, HR and Skills Basic costs $29 a month on yearly billing for the first 30 users, then $0.50 per person. At 100 employees that is $64 a month, by far the cheapest on this page.

The limits are clear. Connecteam doesn't run payroll, and onboarding is not in the Operations hub, so check which hub you're buying. The onboarding is lighter than an HR platform's: no offer letter flow tied to payroll.

Tip: start the free plan with one crew of ten. In a month you'll know whether your new hires actually open the app.

Standout features
  • Free up to 10 users
  • Built for mobile
  • Training and documents in the flow
+Pros
  • ✓Cheapest at 30 and 100 employees
  • ✓No work email needed
  • ✓Quick to set up
−Cons
  • ✗No payroll
  • ✗Onboarding only in the HR and Skills hub
  • ✗Lighter on paperwork than an HRIS
Verdict

The best pick for deskless new hires, and the only free one. For an office team, BambooHR fits paperwork and records better.

4
Best for training new hires on the job

Trainual

3.8/5

Trainual solves a different onboarding problem. It doesn't handle tax forms or payroll. It turns the know-how that lives in one person's head into structured lessons, assigns them by role, quizzes new hires and shows managers who finished what. AI drafts the procedures from rough notes and answers team questions from your own documentation.

That makes it a complement to an HR platform, not a replacement. Pair it with BambooHR or Rippling for the paperwork, and use Trainual for the first 30 days of actually learning the role.

The catch is price. Trainual no longer shows its plans publicly: every plan goes through a demo, and you only get a number at the end. Users rate support very highly and like how easy it is to build content. Our full Trainual review goes deeper.

Tip: before the demo, write down the three roles you hire most for. Ask the sales rep to build one of those training paths live with you. You'll see in twenty minutes whether your team will maintain it.

Standout features
  • Role-based training paths
  • AI-drafted procedures
  • Completion tracking for managers
+Pros
  • ✓Fixes the learn-the-job part of onboarding
  • ✓Very well rated support
  • ✓Easy to build content
−Cons
  • ✗No published price
  • ✗No paperwork or payroll
  • ✗Another tool next to your HRIS
Verdict

The right add-on when your new hires struggle to learn the job, not to fill in forms. If paperwork is the pain, start with an HR platform.

Onboarding included in every plan

Factorial

3.7/5

Factorial, a Barcelona-based vendor, puts onboarding and offboarding in Factorial Core, the base that ships with every plan. There's no module to add to welcome a new hire: tasks, onboarding documents and the employee directory are there from day one.

Pricing starts at $8 per user per month, so $240 a month for 30 people, but the actual plan is put together after a demo. Count every module you add on top, because that's where the bill grows.

Feedback is split. The best review describes a hire that used to take an hour and now takes twenty minutes. The worst describe onboarding setup as heavy and manual.

Tip: get the list of included modules and their prices written into the contract for the full term.

Standout features
  • Onboarding in Core, every plan
  • Onboarding documents included
  • HR, time and expenses in one place
+Pros
  • ✓Nothing to add to onboard a hire
  • ✓Faster hiring once set up
  • ✓Modern interface
−Cons
  • ✗Real price set after a demo
  • ✗Setup can be manual
  • ✗Support criticized by some customers
Verdict

The most complete single tool if you negotiate and get it all in writing. For a price you can read up front, BambooHR is safer.

HRIS or dedicated tool

Does your HR platform do the job, or do you need a dedicated tool?

There are two kinds of onboarding software. HR platforms (BambooHR, Rippling, Factorial) include onboarding with the employee record, at a published price per head. Dedicated tools either go deeper on training (Trainual) or on mobile crews (Connecteam). Three questions settle it.

How many hires a month?

Under five hires a month at one location, the onboarding in your HR platform is enough with a solid checklist. Above ten a month, or several sites with different managers, manual follow-up breaks down. That's when automation (Rippling) or structured training (Trainual) pays for itself in hours saved.

The cost at 30 and 100 employees, per month

Thirty employees: Connecteam HR and Skills Basic $29 on yearly billing, Factorial from $240, Rippling from $240 plus its base fee, BambooHR Core $300. A hundred employees: Connecteam $64, Factorial from $800, Rippling from $800 plus the base fee, BambooHR Core $1,000. Trainual quotes after a demo. Add setup fees, which vendors rarely publish.

What the pricing page leaves out

BambooHR charges a flat fee under 25 people. Rippling's base fee has no published number. Connecteam only includes onboarding in one hub. Factorial builds the plan after a demo. Trainual doesn't publish prices at all.
  • Count your hires over the last 12 months, part-timers and seasonal staff included.
  • Check what your current HR or payroll tool already includes for onboarding.
  • Ask how a new hire logs in before they have a company email.
  • Confirm e-signatures and the onboarding checklist are in the quoted plan.
  • Ask where employee data is hosted and get the data processing terms.
  • Write down the contract length and cancellation notice before you sign.
A first 90 days that works

Six steps to onboarding that keeps your new hires

Software doesn't save a badly planned first week. These six steps work with any tool on this page, even with a shared checklist.

01

Fill the gap between offer and day one

Before

Between a signed offer and the start date there are often two weeks of notice, sometimes more. That's when a new hire takes a counter-offer. Send the welcome pack, introduce the team, share the first-week plan.

Risk window
Before day one
02

Collect only the paperwork you need

Before

Tax forms, direct deposit details, identity documents for employment eligibility: get them through the tool's secure portal, never as email attachments. Asking for less means fewer gaps on day one.

Channel
Secure portal
03

Have the laptop and accounts ready the day before

Day one

Laptop, badge, email and app accounts should be done the day before. A new hire who spends the first morning locked out remembers that more than the welcome lunch. Assign each task to a named person with a date.

Deadline
Day minus one
04

Write down how the job is done

First month

The three tasks a new hire does most in the first month deserve a written procedure. That's what Trainual is built for, but a shared doc works to start.

Procedures to start

05

Book check-ins at day 7, 30 and 90

After

Three short meetings, booked in the manager's calendar at hire. At one week you fix the practical gaps. At one month you check the job matches the posting. At ninety days you make a real call.

Check-ins

06

Track two numbers, not ten

After

The share of new hires still there at 90 days, and the share of paperwork complete before day one. If the first drops, the welcome is the problem. If the second drops, it's the tool or the process.

FAQ · 8 questions

Best employee onboarding software · FAQ

  • What is employee onboarding software?
It's the tool that runs a new hire's arrival: offer letter, paperwork, e-signatures, task lists for IT and the manager, training and check-ins. It replaces email threads and spreadsheets. It comes either built into an HR platform or as a dedicated tool that goes deeper on training or mobile access.
  • How much does onboarding software cost?
Inside an HR platform it's part of the per-employee price: from $8 per employee at Rippling (plus a base fee) and $10 at BambooHR above 25 people. Connecteam starts free and costs $29 a month for 30 users. Dedicated training tools like Trainual quote after a demo. Setup fees usually come on top.
  • Is there free employee onboarding software?
Yes, for small teams: Connecteam is free up to 10 users, onboarding included. Beyond that, a shared checklist in a project tool with one owner per task covers the basics. It just won't chase anyone for you.
  • Do I need a separate onboarding tool if I already have an HRIS?
Usually not. If your HR platform includes onboarding and you hire fewer than five people a month, a good checklist inside it is enough. A separate tool earns its cost when you hire at volume, across sites, or when new hires struggle to learn the job rather than fill in forms.
  • How long should employee onboarding last?
At least 90 days, not one day. The paperwork is done in the first week, but learning the job takes a month or more. Book check-ins at day 7, 30 and 90 when you make the offer, so they actually happen.
  • What's the difference between preboarding and onboarding?
Preboarding covers the time between the signed offer and the start date: paperwork, team intro, equipment. Onboarding starts on day one and runs through the first months. Preboarding is when new hires drop out, so that's where staying in touch matters most.
  • How long does it take to set up onboarding software?
Plan on about a month for a first clean flow: templates, a pilot on a few hires, then rollout. Turning on the module of an HR platform you already use is faster. A setup that connects recruiting, payroll and IT takes longer.
  • How do I know if my onboarding is working?
Track the share of new hires still with you at 90 days and the share of paperwork complete before day one. Add one short question at day 30: does the job match what you were told? Three no's in a row for the same role tell you more than any dashboard.
