What's the best financial dashboard software for a small business on QuickBooks or Xero in 2026?

The best dashboard isn't the prettiest one. It's the one that reads your books without anyone pasting an export.

You want to open one screen on Monday and see last month's margin, cash in the bank, receivables and how you're tracking against budget. The chart is rarely the hard part. The pipe between your accounting software and the dashboard is: a native connector, a scheduled export, a paid third-party connector, or a spreadsheet someone rebuilds by hand. That pipe decides whether the same tool costs $0 or a few thousand dollars a year, and whether your numbers are right.

The short answer: for one company on QuickBooks Online or Xero, Joiin is the cheapest published price that reads your books directly, from $23 a month billed annually. If you also need budgets, forecasts and cost centers, Calxa covers it from $174 a month with unlimited users. If your accountant already runs Fathom, get added to their account. And if someone on your team likes building things, Power BI mixes finance with sales and operations for $14 per viewer.

This page complements our full ranking of financial reporting software: here we start from your accounting software, not from the tool.

The 5 tools and how they connect

The column that matters most here is how the tool gets your transactions. A native connector refreshes on its own. An export needs someone every month. A third-party connector adds a subscription and a point of failure.

How we scored

How we compared and scored

Most pages ranking for this question list business intelligence tools and never say how they get your numbers. For a small business, that's the whole question. A beautiful tool that needs a monthly CSV ends up abandoned by the third month. So we flipped it: for each common small business ledger (QuickBooks Online, Xero, and a few others like Sage and Zoho Books), which dashboard tool plugs in, by what route, and what the total bill looks like once that route is paid for.

We read official pricing pages, connector lists, trial and contract terms, and user reviews, especially the critical ones. Each tool keeps the score it already has in our other rankings, with its original criteria: one value per tool, on every page. Reach Reporting (from $149 a month, unlimited users, 30-day trial without a card) and Jirav (from $50 a month) publish prices, but we couldn't confirm their ledger connectors from official pages, so they're not ranked. Syft, now owned by Xero, LiveFlow and Looker Studio Pro don't show a readable price, so they're mentioned only.

1
Best value for one to twenty companies

Joiin

4.3/5

Joiin does one job well: it pulls your ledgers into tidy, shareable reports, and consolidates them when you have more than one company. It connects natively to QuickBooks, Xero, Sage, Zoho Books, Fortnox and Pennylane, which makes it one of the few reporting tools with a published price that reads most small business ledgers directly.

Pricing is per company, and users are unlimited. One company costs $28 a month, or $23 billed annually. Two cost $36, five $70, ten $111, twenty $167 and a hundred $336. Past that, each company adds $2.80. Three tiers, Core, Pro and Max, split the features. The 14-day trial doesn't ask for a card.

The limit is depth. Joiin reports and consolidates, but it isn't a forecasting tool: the Core tier has no forecast at all. If you want cash scenarios for the next 13 weeks, you'll need the higher tiers or a second tool, and Calxa becomes the better buy.

Tip: before connecting several companies, line up their charts of accounts, at least for income and expense lines. Otherwise the consolidated report adds up lines that don't mean the same thing in each entity, and you'll spend the first month fixing mappings instead of reading numbers.

Standout features
  • Native QuickBooks, Xero and Sage connectors
  • Published price per company
  • Unlimited users
+Pros
  • ✓Cheapest direct connection we found
  • ✓Consolidation from two companies
  • ✓Trial without a card
−Cons
  • ✗No forecasting in the Core tier
  • ✗Reports are clean but not very customizable
  • ✗Overkill if built-in reports already work for you
Verdict

The best value if you want reports that read your books directly, from one company to twenty. See our consolidation software ranking.

2
Best for budgets and forecasts

Calxa

4.0/5

Calxa sits one step above a pure reporting tool. On top of KPI dashboards and custom reports, every plan includes budgets by cost center, cash flow forecasting and consolidations. For a business that sets an annual budget and wants to see each month how each department tracks against it, that's the job.

It reads Xero, QuickBooks Online and MYOB directly, the three ledgers it was built around. Its accounting connection score is modest because it stops there: if your books live anywhere else, you're stuck with imports.

The price is published, which is rare at this depth. Premier1 costs $174 a month for one organization. Premier5 covers five for $225, and each extra organization costs $18. Users are unlimited on every plan, so your partner, your accountant and each department head can open the reports without another seat. Enterprise sits at $1,200 a month plus a $2,000 setup fee.

The limit is the learning curve: budgets by cost center and scenarios take real setup work before the first report is useful. Tip: start your budget from last year's actuals, imported line by line, rather than from a blank sheet. You'll spot the categories nobody ever budgeted for.

Standout features
  • Budgets, forecasts and reports on every plan
  • Unlimited users
  • Published price up to Enterprise
+Pros
  • ✓Budget vs. actual by cost center
  • ✓Cash forecast tied to the books
  • ✓Five companies for $225
−Cons
  • ✗Only Xero, QuickBooks Online and MYOB natively
  • ✗First budget takes real setup work
  • ✗Pricier than Joiin for reporting alone
Verdict

The pick if your dashboard is really a budget you want to track. For reports only, Joiin costs less. See our financial forecasting software ranking.

3
Best for accounting firms

Fathom

3.8/5

Fathom is the management reporting tool many accounting firms standardize on. It produces clean monthly packs with KPIs, targets and written commentary, and it benchmarks companies against each other. User reviews rate it highly (4.6 out of 5 on one large review site, 4.8 on another), and the most common complaint is that report customization takes some figuring out.

It connects natively to Xero, QuickBooks, MYOB and FreeAgent, plus Excel and Google Sheets for everything else. For a small business on QuickBooks or Xero, the connection isn't the issue. The price model is.

Pro costs $450 a month for 25 companies, then $17 per extra company. Portfolio, at $67 a month for 100 companies, only monitors. Above 50 companies, Enterprise goes on quote. There's no single-company plan, so a business buying alone pays for 24 empty slots. The trial lasts 14 days and billing is monthly, with no lock-in.

Tip: ask your accountant whether the firm already runs Fathom. Once a firm fills its first 25 companies, adding yours costs it $17 a month, far less than any tool you'd buy on your own, and you get reports prepared by someone who knows your books.

Standout features
  • Polished monthly management packs
  • Benchmarks companies against each other
  • Monthly billing, no lock-in
+Pros
  • ✓Clear, commented reports
  • ✓Native QuickBooks and Xero connectors
  • ✓Full-featured 14-day trial
−Cons
  • ✗No single-company plan
  • ✗Report customization has a learning curve
  • ✗Expensive if bought by one business
Verdict

A tool for firms, not for one business buying alone. Get it through your accountant. See our accounting firm software ranking.

Most flexible

Power BI

3.8/5

Power BI is Microsoft's dashboard tool, and it knows nothing about accounting out of the box. You feed it data, model it, build the visuals, and it handles the rest with a flexibility nothing else on this page matches. Margin by customer, cash by account, revenue by rep next to the order backlog: all possible, once someone builds it.

The connection is the hard part. QuickBooks and Xero don't plug into Power BI in one click for a small business: you either drop a monthly export (general ledger or trial balance) into a folder Power BI refreshes, or pay for a third-party connector. Both work. One costs time, the other a subscription.

Per viewer, it's cheap. The free account builds reports but can't share them. To share, every creator and every viewer needs Pro at $14 per user per month, or Premium Per User at $24. Five people reading the dashboard comes to $840 a year, before any connector or consultant. If your company has Microsoft 365 E5, Pro is already included.

Its limit is discipline. Without a consistent chart of accounts and closed periods, a Power BI report looks precise and is wrong. It complements your accounting reports. It doesn't replace them.

Standout features
  • Unmatched flexibility
  • Pro at $14 per user
  • Free account to build
+Pros
  • ✓Mixes finance with any other data
  • ✓Low cost per viewer
  • ✓Huge pool of consultants and templates
−Cons
  • ✗No direct QuickBooks or Xero link for most small businesses
  • ✗Nothing finance-ready out of the box
  • ✗Needs someone to maintain it
Verdict

The best tool if someone can build and maintain it. If not, pick a tool that reads your books directly. See our BI and data visualization ranking.

Best for finance and marketing on one screen

Databox

3.7/5

Databox wasn't built for finance. It's a multi-source dashboard tool, popular with marketing and sales teams, that happens to ship ready-made templates for QuickBooks and Xero: profit and loss, cash flow and balance sheet. Its strength is putting those numbers next to your website traffic, ad spend or pipeline, so the owner sees cost per lead and margin on the same page.

Our full Databox review gives it 3.7 out of 5: 4.1 for ease of use and 4.2 for integrations, but 2.8 for value for money. The free plan is enough to try a template. Analyst costs $71 a month billed annually for 1 user and 5 data sources, and Team Core, the first plan built for sharing with a team, $199 billed annually ($249 month to month).

The limit for a finance dashboard is depth. Databox shows the numbers your ledger already computes. It doesn't do consolidation, budget versus actual by cost center, or a cash forecast tied to your books. A finance-first tool like Joiin or Calxa goes further for the same budget.

Tip: count your data sources before you pick a plan. Five sources go fast once you add the ledger, the bank, the CRM, analytics and an ad account, and the user limit on Analyst means only one person can edit.

Standout features
  • QuickBooks and Xero templates
  • Finance next to marketing metrics
  • Free plan to try
+Pros
  • ✓Fast setup from templates
  • ✓Many non-finance integrations
  • ✓Good for one shared Monday screen
−Cons
  • ✗Value for money scored 2.8 in our review
  • ✗No consolidation or budget engine
  • ✗Source and user limits on Analyst
Verdict

The pick if your dashboard mixes finance with marketing and sales. For finance alone, Joiin or Calxa go deeper. Read our Databox review.

Which dashboard for your books?

Start from what your bookkeeper or accountant already uses. Here's the quickest route, ledger by ledger, to a dashboard that refreshes on its own.

01

Your books are in QuickBooks Online

Most common

Every finance-first tool on this page reads it natively: Joiin, Calxa, Fathom, and Databox through its templates. Start with Joiin if you want reports, Calxa if you want budgets. Power BI needs an export or a paid connector, so keep it for when you'll mix in non-finance data.

Connection
Native almost everywhere
02

Your books are in Xero

Widest choice

Xero has the richest app ecosystem for reporting, and every tool here connects to it. One thing to know: Xero now owns Syft, a reporting tool that doesn't show a readable price, so check it with Xero directly if you want to stay in the family. Otherwise, the choice comes down to price model: per company with Joiin, per plan with Calxa.

Connection
Native everywhere
03

You're still on QuickBooks Desktop

Most work

Desktop files live on a local machine, which makes live connections harder. Before buying a dashboard, ask whether a move to QuickBooks Online is on the cards: it opens every option on this page. If not, a monthly trial balance export to a folder Power BI reads is the most reliable route.

Connection
Export, or migrate first
04

Your books are in Sage

Check your edition

Sage has several products with different connectors. Joiin lists Sage among its integrations: confirm during the trial that it's your edition. Fathom reads some Sage editions; for the others, it goes through an Excel import. For older on-premise Sage databases, Power BI goes through an ODBC driver and a refresh gateway, usually with a paid driver.

Connection
Joiin, or ODBC and gateway
05

Your books are in Zoho Books

Stay in the suite

Joiin connects to Zoho Books directly. Zoho also sells its own analytics tool inside the same suite, which our general reporting ranking covers. If your whole company already runs on Zoho, staying in the suite avoids one more login.

Connection
Joiin, or Zoho's own tool
06

Your accountant sends you a spreadsheet

The fallback

If your books are kept outside and you only get a monthly spreadsheet, Fathom and Power BI both read Excel and Google Sheets. Ask your accountant for the same layout every month, saved under the same file name. That one habit turns a manual rebuild into a refresh.

Connection
Excel or Google Sheets import
Real cost

What drives the bill on a financial dashboard

The sticker price is only part of it. These are the lines to cost out before you sign, the ones most comparison pages skip.

The connector that isn't included

Power BI needs an export or a paid third-party connector to read QuickBooks or Xero. Add its subscription to the license, plus the time of whoever checks the refresh. A $23 a month tool with a native connector can end up cheaper than a $14 license.

Per viewer vs. per company

Power BI charges per viewer: five people reading means five licenses, or $840 a year. Joiin, Calxa and Fathom charge per company or per plan, with unlimited users. Count who needs to see the numbers and how many entities you track before comparing.

Forecasting on the plan above

Not every plan forecasts. Joiin's Core tier has no forecast. Calxa includes forecasting on every plan. If your dashboard needs to look ahead, price the plan that actually contains it.

Firm pricing for a single business

Fathom starts at 25 companies for $450 a month. Bought by one business, that's paying for 24 empty slots. Going through your accountant can turn the same tool into a $17 a month add-on.

Data source limits

Databox Analyst covers 5 sources and 1 user for $71 a month billed annually. Add the ledger, the bank, the CRM, analytics and an ad account, and you're already at the limit. Check what the next tier costs before you build.

Build time

A finance-first tool shows a P&L the day you connect. Power BI starts from a blank page: someone has to model the chart of accounts, periods and budget. If nobody in house can, budget for a consultant and ask for a quote per report page, not per hour.
  • Write down your ledger, its edition, and who maintains it
  • Confirm the connector on the tool's official integrations page
  • Count viewers and companies
  • Read the contract length and notice period
  • Check which plan includes forecasting
  • Connect your real books during the trial
Connection tips

Six tips for numbers you can trust every month

A wrong dashboard is worse than no dashboard. These tips come from the mistakes owners and accountants report most often, and they apply whichever tool you pick.

01

Stick to 5 to 12 KPIs

Before building

Revenue against budget, gross margin, operating profit, working capital, net cash and days sales outstanding cover the basics. Check cash weekly, margin and working capital monthly. Past a dozen numbers, nobody reads the screen anymore.

Recommended
5 to 12 KPIs
02

Reconcile the bank before reading margin

Every month

An unreconciled bank line is an expense or a sale that isn't in your books yet. Before you read last month's margin, check how many lines are waiting. If there are more than a handful, wait for the close. That's the most common reason numbers change from one week to the next.

Warning sign
Unreconciled bank lines
03

Show the date of the last close

On screen

Tools display unreviewed transactions as if they were final. Put the date of the last reconciliation or sync at the top of the dashboard. Your partner will see at a glance whether the margin is from yesterday or last month.

To display
Last close date
04

Make a fixed export your fallback

No connector

If no connector works, ask for the same trial balance or general ledger export every month, saved under the same file name in the same folder. Point Power BI or your spreadsheet at that file. Refreshing becomes a file swap, not a rebuild.

Frequency
One export per month
05

Build the budget from your chart of accounts

Once

Budget versus actual only works if the budget uses the same accounts as the books. Build it from last year's trial balance, account by account, inside the tool. With several companies, align their income and expense accounts before you consolidate.

Budget base
Last year's actuals
06

Connect your real books during the trial

Before you pay

Joiin and Fathom give 14 days, Reach Reporting 30. Don't spend them on a demo company. Connect your books, compare last month's closed margin to your accountant's figure, and share the screen with a partner. If a number differs, ask why before you pay.

FAQ · 7 questions

Small business financial dashboards · FAQ

  • Are the built-in QuickBooks or Xero reports enough for a dashboard?
For a single company with one owner reading the numbers, often yes. Both ship a profit and loss, a balance sheet and a cash summary, and they cost nothing extra. You outgrow them when you need budget against actual by month, more than one company in the same report, or a pack you send to a lender or a board. That's the point where a $23 to $174 a month tool starts paying for itself.
  • How do I connect QuickBooks Online to Power BI?
You go through an export or a third-party connector, not a one-click link. The cheapest path is a monthly export of the general ledger or trial balance to a fixed folder that Power BI refreshes. Paid connectors save that step but add a subscription. Start with one page, profit and loss against budget, before you model anything else.
  • Why don't my dashboard numbers match my books?
Almost always because the month isn't closed yet. An unposted bill, an unreconciled bank feed or a miscoded expense can move your margin by several points. Check the date of the last reconciliation before you blame the tool, and show that date at the top of the dashboard so nobody decides on stale numbers.
  • Can my accountant give me the dashboard instead?
Yes, and it's often the cheapest route. Fathom and Calxa are built for firms: your accountant already pays for the platform and adds your company for a small fee. Fathom Pro covers 25 companies for $450 a month, then $17 per extra company. Ask what your firm already runs before you buy your own subscription.
  • What should I check during a free trial?
Connect your real books, not a demo company. Joiin and Fathom give you 14 days, and Joiin doesn't ask for a card. Check three things: your chart of accounts maps cleanly, last month's closed margin matches your accountant's figure to the cent, and you can share the screen with your partner without paying for another seat.
  • What does a financial dashboard cost for a small business?
Between $0 and about $200 a month for one company. Power BI is free to build but $14 per viewer to share. Joiin starts at $28 a month, or $23 billed annually. Databox Analyst costs $71 a month billed annually, and Calxa Premier1 $174. Add any paid connector, and the time of whoever maintains it.
  • Can one dashboard cover several companies?
Yes, and that's where pricing models split. Joiin charges per company with unlimited users: $70 a month for five, $111 for ten. Calxa covers five organizations for $225. Fathom starts at 25 companies for $450. Count your entities first, then compare.
