What's the best FP&A software for a small business in 2026?

Good FP&A software doesn't write your budget. It gives you back the days you spend stitching spreadsheets before every board meeting.

Your budget lives in a spreadsheet every department head sends back with their own tabs, actuals arrive from accounting a month late, and the night before the board meeting you paste it all together by hand. FP&A software (financial planning and analysis) fixes that: it pulls numbers from your accounting system, keeps budget and forecasts next to actuals, and shows variances without formulas to repair.

We ranked tools on one question: does it build your budget and track variances from your accounting data? The short answer. Lucanet is the most complete once you have several entities, quote-based. Calxa is the best department budget at a public price, $174 a month with unlimited users, on Xero or QuickBooks Online. Jedox and Board serve larger finance teams. Brixx is the cheapest forecast at $20 a month, and LivePlan suits an owner preparing a plan for a lender.

Power BI and Zebra BI come up in every search, but they report on numbers rather than build a budget, so they're covered separately below.

Our method

How we compared and scored

This page is for the owner, CFO or controller of a small or mid-size business that budgets in spreadsheets. Our core criterion: the tool must build a budget and track variances from your accounting data. Tools that only report (Power BI, Zebra BI) or only manage cash (Float, Agicap) aren't ranked; they get a card further down.

We read each vendor's pricing page plan by plan and its integration list: department budgets, forecasts, consolidation, users, accounting connections. Then we went through user reviews, negative ones first. One pattern stands out: tools rarely fail on their charts. They fail on the accounting connection and the quality of the data feeding them.

Weights follow what makes a rollout work. Budgeting and forecasting: 30%. Variance tracking and reporting: 25%. Real cost: 20%, and a quote-only tool scores lower because you can't know the cost before a sales call. Accounting connection: 15%, scored on how many accounting systems connect natively; a tool limited to Xero and QuickBooks Online scores lower than one with a broad connector catalog. Ease of setup: 10%.

Fathom is not ranked: its Pro plan is sold for 25 companies at once, which fits accounting firms and groups rather than a single business. It has its own card below, with Cube, Datarails and Jirav.

Best all-in-one planning and consolidation

Lucanet

4.1/5

Lucanet is the most complete tool on this list: financial planning and budgeting, forecasting and scenarios, statutory and management consolidation, management reporting and dashboards. The vendor cites more than 6,500 customers worldwide.

It publishes no prices, but its pricing page spells out what each plan contains, which few FP&A vendors do. Basic covers consolidation, planning and analysis, data collection and reporting, with business-hours support. Advanced adds ready-made standard interfaces to accounting systems, functional assistance, tax modules and emissions calculation. Professional adds enterprise interfaces, IFRS 16 lease management and a dedicated customer success contact. Lucanet says smaller companies often pick Basic.

The tip that matters: Basic includes only one standard interface; more come with Advanced. Pick Basic to save money and you'll load your actuals yourself every month. Ask for Basic and Advanced quotes side by side, and price the hours that manual load will cost you.

The catch: no list price, a 12-month minimum term, and a tool built for finance teams. If you run one entity and review three variances a month, it's more than you need.

Standout features
  • Budgets, forecasts, consolidation and reports in one tool
  • Plan contents published
  • Upgrade between plans at any time
+Pros
  • ✓Department budgets and group consolidation
  • ✓More standard interfaces from Advanced
  • ✓Scales from mid-size companies to groups
−Cons
  • ✗No public pricing
  • ✗12-month minimum license
  • ✗Only one standard interface on Basic
Verdict

The strongest pick once you have several entities or a real department-by-department budget cycle. Get the Advanced quote, not just Basic, if you have several data sources to connect.

Best department budgets at a public price

Calxa

4.0/5

Calxa is the public-price tool that looks most like a controller's spreadsheet, minus the broken formulas. From Premier1 you get budgets by cost center, cash flow forecasting, consolidations, KPI dashboards and reports, for $174 a month per organization with unlimited users. Every department head can enter their own budget without you buying another seat.

Organizations are what you pay for: Premier5 covers five for $225 a month, then $18 per extra organization. The trial runs 30 days with no credit card, and there's a 30-day refund window.

The accounting connection is the deciding factor. Calxa syncs directly with Xero, QuickBooks Online and MYOB. ERPs such as NetSuite, Sage Intacct and Business Central need Enterprise at $1,200 a month plus $2,000 setup. On anything else, Calxa Unplugged lets you import actuals by hand each month. Our connection score reflects that narrow list: if you're on QuickBooks Online or Xero, Calxa is a better fit than its score suggests.

Limits: no daily cash forecast, and limited custom formulas for very complex models.

Standout features
  • Unlimited users on every plan
  • Cost-center budgets and consolidation from Premier1
  • 30-day trial and 30-day refund
+Pros
  • ✓Published monthly pricing, no contract
  • ✓Three-statement forecast linked to your books
  • ✓Reports and KPI dashboards included
−Cons
  • ✗Direct sync limited to Xero, QuickBooks Online and MYOB
  • ✗ERP connections only on Enterprise
  • ✗No daily cash forecast
Verdict

The best value for department budgets if your books live in QuickBooks Online or Xero. Load last year's actuals during the 30-day trial before you pay.

3
Best for collaborative budgeting

Jedox

3.9/5

Jedox is a planning platform: budgets, forecasts, scenarios and reports, with planning models included. It shows up on most FP&A shortlists for mid-size companies.

Its pricing page gives no numbers but explains the model. In the cloud you pay a monthly fee per named user, billed annually. Business includes full users and basic models; you add Planner and Viewer users, premium models, connectors to your ERP, CRM or BI tool, and a sandbox. Professional adds a staging system, extra security, premium onboarding and an AI-assisted planning and forecasting model.

The way to pay less: department heads who only enter their own budget don't need a full user. Ask what Planner and Viewer seats cost, and keep full users for the people who build models.

The catch: no list price, and accounting and ERP connectors are paid add-ons on Business. This isn't a tool you set up alone in an afternoon.

Standout features
  • Planning models included
  • Planner and Viewer seats cheaper than full users
  • ERP, CRM and BI connectors available
+Pros
  • ✓Collaborative budgeting by department
  • ✓Plans that scale to very large models
  • ✓AI-assisted forecasting on Professional
−Cons
  • ✗No public pricing
  • ✗Accounting connectors are add-ons
  • ✗Implementation with the vendor or a partner
Verdict

A solid choice when lots of people contribute to the budget. The negotiation is all about the mix of user types.

4
Best enterprise-grade all-in-one

Board

3.8/5

Board brings planning, budgeting, forecasting, reporting and analytics into a single platform, and it's a regular on enterprise FP&A shortlists.

There's no list price. The quote depends on the modules you choose, whether you deploy in the cloud or on your own servers, and the connectors you need. Implementation and connectors are priced separately.

The tip: ask for a line-by-line quote covering modules, deployment, each connector, implementation days and support tier. It's the only way to compare Board fairly with Jedox or Lucanet.

The catch: it's a project, not a subscription you switch on. For a 30-person company with one entity, it's too much.

Standout features
  • Budgets, forecasts, reports and analytics in one place
  • Cloud or on-premises deployment
  • Modular pricing
+Pros
  • ✓Covers the full budget cycle
  • ✓Fits multi-level organizations
  • ✓Hosting choice
−Cons
  • ✗No public pricing
  • ✗Implementation and connectors billed separately
  • ✗Too heavy for a small business
Verdict

Worth a demo if you're mid-market and consolidating several tools at once. A small business should start with Calxa or Brixx.

Cheapest three-statement forecast

Brixx

3.7/5

Brixx builds a linked three-statement forecast (P&L, balance sheet, cash flow) from building blocks you switch on and off to try a scenario: a hire, a product launch, a loan. Actual vs forecast shows each variance in dollars and percent.

It's the cheapest tool on this list: Foundations at $20 a month billed annually for one plan over one year, Professional at $40 for three plans over three years, Enterprise at $60 for five plans over ten years. Unlimited users and every feature on every plan; only the number of plans and the horizon change.

The only accounting integration listed is Xero, with daily or on-demand sync. QuickBooks isn't mentioned on the pricing page, so on QuickBooks you'll enter or import actuals yourself.

Our tip: start on Foundations for your first budget and move to Professional only when you want to compare scenarios side by side. No statutory consolidation and no cost-center budgets: it's not a group controller's tool.

Standout features
  • Linked three-statement forecast
  • Unlimited users, all features on every plan
  • Scenario blocks you toggle on and off
+Pros
  • ✓Lowest entry price on the list
  • ✓Variances in dollars and percent
  • ✓Daily or on-demand Xero sync
−Cons
  • ✗Xero is the only accounting integration listed
  • ✗No consolidation or cost-center budgets
  • ✗Plan count and horizon capped by tier
Verdict

The right first tool for a small business budget on Xero. Once you manage departments separately, move up to Calxa.

Best for business plans and lenders

LivePlan

3.6/5

LivePlan walks an owner through a full forecast (P&L, balance sheet, cash flow), what-if scenarios (up to 10 on Premium) and budget vs actual, with 20+ trend reports. It connects to QuickBooks Online and Xero.

Standard costs $15 a month billed annually ($20 monthly); Premium $30 ($40 monthly). There's no free trial, but a 35-day money-back guarantee.

Users report fixed horizons (3, 5 or 10 years), no quarterly view, and history limited to two years before the forecast start. It doesn't handle complex inventory or deferred revenue well.

Our tip: build the plan for your lender on Standard, then upgrade to Premium only if you want scenario comparisons and deeper budget vs actual tracking.

Standout features
  • Guided business plan and forecast
  • QuickBooks Online and Xero sync
  • 35-day money-back guarantee
+Pros
  • ✓Cheap and easy to start
  • ✓Lender-ready plans and reports
  • ✓Up to 10 what-if scenarios
−Cons
  • ✗Fixed forecast horizons, no quarterly view
  • ✗Two years of history only
  • ✗Weak on inventory and deferred revenue
Verdict

Great for an owner preparing a loan or investor pitch. A growing team that budgets by department will outgrow it.

Real cost

What FP&A software really costs over a year

Pricing models don't line up: Calxa charges per organization, Jedox per named user, Brixx and LivePlan per plan tier, Lucanet and Board by quote. Here's the annual cost of the first useful plan at official prices, before tax.

Under $1,000 a year

LivePlan Standard: $180 billed annually. Brixx Foundations: $240; Professional: $480. LivePlan Premium: $360.

$1,000 to $3,000 a year

Calxa Premier1: $2,088 for one organization and as many users as you like. Calxa Premier5: $2,700 for five organizations.

When it goes to a quote

Calxa Enterprise: $14,400 a year plus $2,000 setup to connect an ERP. Lucanet: 12-month minimum license. Jedox: per named user, billed annually. Board, Cube, Datarails: quote, implementation usually extra.

  • Is pricing per user, per entity or per plan tier?
  • Does your accounting system sync natively, or will you import every month?
  • Are accounting connectors included or an add-on?
  • Is there a setup fee?
  • Monthly or 12-month commitment?
  • Is consolidation in the plan you're quoted?

Other FP&A tools you'll hear about

These tools show up in every search. We don't rank them: either they don't build a budget (reporting, cash), or they're sold to firms and enterprises rather than a single small business.

01

Fathom: for accounting firms and groups

25 companies

Fathom produces management reports, budgets, three-statement forecasts and multi-currency consolidations with eliminations. Pro costs $450 a month for 25 companies, then $17 per extra company; there's no single-company price. For a CPA firm advising 25 clients that's $18 per client. For one business, it's the wrong pricing model.

02

Power BI: dashboards, not budgets

Reporting

Power BI builds dashboards on any data source, including an export from your accounting system. Pro is $14 per user per month, Premium Per User $24. The free account builds reports but can't share them. It doesn't budget or forecast: it's the display layer you add on top.

03

Zebra BI: readable variances in Power BI and Excel

Reporting

Zebra BI adds standardized variance charts (actual vs budget vs forecast) to Power BI, Excel and PowerPoint. Starter is $816 a year for up to 10 users ($600 the first year on Power BI, $612 on Office), Business $3,792 for up to 50 ($2,844 the first year on Office). It shows variances; it doesn't build the budget.

04

Float: cash flow, not P&L budgets

Cash flow

Float forecasts cash flow from QuickBooks Online or Xero: Growth is $215 a month billed annually with unlimited users, 8 scenarios and a 13-week cash view; Scale adds multi-entity consolidation for $315. Its pricing page doesn't mention budget vs actual, so it complements an FP&A tool rather than replacing one.

05

Cube: budgeting that stays in spreadsheets

Quote

Cube keeps Excel and Google Sheets as the interface and centralizes data behind them. Plans run from Bronze (one entity) to Gold (up to 50 entities, multi-currency consolidation), all by quote. Worth a call if your team won't give up spreadsheets.

Jirav: public prices for firms only

Firms

Jirav lists prices from $50 a month (Controller Essentials) and $150 (CFO Enterprise), but those are wholesale rates for accounting firms reselling to clients. A business buying directly gets no public price. Go through your accountant if they're a partner.

Pitfalls

What makes an FP&A rollout fail

Negative reviews tell much the same story. Here are the pitfalls that keep coming back, and how to avoid them.

01

Messy classes or departments in your books

The tool shows what your accounting gives it. If part of your expenses isn't tagged to a class or department, your department margins are wrong and nothing flags it. Make the class or department field mandatory on expense accounts first.

02

Assuming every tool syncs with your books

Calxa syncs with Xero, QuickBooks Online and MYOB; Brixx lists Xero only. On another system you'll import actuals monthly. Run that import during the trial with your real trial balance before you sign. With Lucanet, count your data sources: Basic includes only one standard interface.

03

Buying a reporting tool to fix budgeting

Power BI and Zebra BI show variances beautifully. But the budget itself stays in your spreadsheet, with its versions and formulas. If budget prep is the pain, a reporting tool alone won't fix it.

04

Signing a quote without the setup cost

At Lucanet, Jedox or Board, implementation and connectors are often billed separately. Get the amount in writing, the setup days included, the price of each connector and the term. Calxa publishes its own: $2,000 on Enterprise.

Rollout

Moving off spreadsheets in four steps

This order avoids backtracking, from trial to your first monthly variance review.

01

1. Clean up your classes or departments

List your cost centers (departments, locations, product lines) and check every expense account maps to one. Ten to fifteen is plenty for a small business; beyond that nobody fills them in.

02

2. Load two years of actuals

During the trial or demo, load two full fiscal years from your books. You check the sync (or the import time) and see numbers you already know. If totals don't match your tax return, stop and fix that first.

03

3. Let departments enter their budget

Give each manager access to their own cost center only. Calxa and Brixx include unlimited users; at Jedox, a Planner seat costs less than a full user. Set a deadline and one round of revisions.

04

4. Run a monthly variance review

One hour a month: budget vs actual, three variances explained, one updated forecast. That habit, not the software, is what FP&A really is.

FAQ

Your questions about FP&A software

  • What is FP&A software?

It's software for financial planning and analysis: budgets, rolling forecasts, scenarios and budget vs actual reporting, fed by your accounting data. Your accounting system records what happened; FP&A software uses those numbers to plan what comes next and explain the gaps.

  • Is there free FP&A software?

Not for real budgeting. Power BI has a free account for building reports, but you need Pro ($14 per user per month) to share them, and it doesn't budget. Zebra BI's Excel version is free for personal use. The cheapest real forecasting tool here is LivePlan at $15 a month billed annually.

  • When should a small business move off spreadsheets?

When budgeting takes weeks because every manager sends back their own version, when consolidating two entities means copy-paste, or when actuals arrive a month late. Most teams still keep a spreadsheet next to their FP&A tool, and that's fine.

  • How much does FP&A software cost for a small business?

From $180 to $2,700 a year for the tools here that publish prices, on their first useful plan. Lucanet, Jedox and Board are quote-based with annual terms and separate implementation. Calxa publishes its setup fee: $2,000 on Enterprise.

  • Which FP&A tools work with QuickBooks Online?

Calxa and LivePlan sync directly with QuickBooks Online, as does Float for cash flow. Brixx lists Xero only on its pricing page. Lucanet and Jedox connect through their standard or add-on interfaces, priced in the quote.

  • Is FP&A software the same as BI?

No. BI tools like Power BI display and slice data you already have. FP&A tools create new numbers (budgets, forecasts, scenarios) and compare them with actuals. Many teams pair the two: budget in Calxa or Lucanet, dashboards in Power BI.

  • Do I need consolidation?

Only if you run more than one legal entity. Calxa includes consolidation from Premier1, Lucanet covers statutory and management consolidation, and Brixx and LivePlan don't consolidate. For one entity, skip paying for it.
