What is the best nursing home software in 2026?

In a nursing home, the software is judged at 3 a.m. on a hallway tablet, not in the sales demo.

You run a skilled nursing facility, an assisted living community or a CCRC. Care plans live in one place, billing in another, and the aide on nights still writes notes on paper because the tablet is slow at the far end of the hall. You want one platform, and every vendor answers with a demo request instead of a price.

The short answer: PointClickCare if you run US skilled nursing and want the integrated EHR most of the market is built around, with over 400 integrations. MatrixCare if you want a strong alternative with revenue cycle management and its own senior living suite. WellSky Long-Term Care if you run several care levels, from skilled nursing to a CCRC. Imago Senior if you operate in Europe and want a 100% web-based resident record built outside the US model.

Looking for staff rotas rather than the resident record? Our ranking of healthcare staff scheduling software covers that side. This page is about the clinical and administrative record of the resident.

4 nursing home platforms compared

The order follows what a nursing home needs first: a resident record the floor staff can keep current, then billing that follows the chart, then how well the platform talks to pharmacies, labs and hospitals. None of the four vendors publishes a price, so the price column says what you can ask for: a demo or a call. We never copy a number from a third-party pricing site.

Our method

How we compared and scored

The top results for this search are buyer directories: long lists, star ratings and lead forms, with no clear verdict and price ranges that no vendor confirms. We wanted a short page an administrator or a director of nursing can act on: which platform fits which facility, what each vendor really says, and what to ask before you sign.

We read each vendor's official product pages and kept only what they state. When a page says nothing about a point, we say so instead of guessing. We also used field research on how caregivers live with this software day to day, which shaped the buying guide more than any feature list.

The weights follow the work. The resident record carries the most because the floor staff use it every shift. Billing and integrations come next because they decide whether the chart turns into payment and whether orders reach the pharmacy without retyping. Pricing transparency gets a weight because every vendor here is quote only, and the score reflects how much the official page tells you before the first call.

Not ranked, and why. Yardi, iCareManager and other names that buyer directories list could not be checked on an official product page for this round, so they stay out until we can. French tools built for the French market, such as NETSoins or TITANLINK, are ranked on our French page, where their rules apply.

1
Best overall for skilled nursing facilities

PointClickCare

4.2/5

PointClickCare is the name most US nursing home buyers start with, and its official page explains why. It sells an industry-leading, integrated EHR together with a full suite of care, revenue cycle and operations solutions. In plain terms: the chart your nurses write and the claim your billing office sends live in the same system, so a change in care can show up in billing without someone retyping it.

The second argument is reach. PointClickCare claims over 400 integrations through one partner marketplace. For a facility, that list is what decides whether your pharmacy, lab, therapy provider or hospital partners connect to the chart or keep sending faxes. Before the demo, write down the five partners you exchange the most with and ask the vendor to show each one in the marketplace.

It also covers senior living with a separate offer: a modern EHR built for a deeper understanding of each resident and wellness coordination across communities. If you run both skilled nursing and assisted living, ask whether the two share one resident record or run as two products.

Add-ons sit on top of the core record. The vendor lists Chart Advisor, Billing Advisor and PDPM Coach. They target the work that loses money in skilled nursing: incomplete charts and reimbursement mistakes. Ask which are in the base quote and which are billed on top.

Its limit: there is no public price. The page offers a personalized demo, nothing more. And its depth is built around the US model of skilled nursing and reimbursement, which makes it a weaker fit for a facility outside the US.

Standout features
  • Clinical, revenue cycle and operations in one EHR
  • Over 400 integrations in one marketplace
  • Separate EHR for senior living
+Pros
  • ✓Chart and billing on the same platform
  • ✓Largest integration list on this page
  • ✓Add-ons aimed at charting and reimbursement gaps
−Cons
  • ✗No public pricing
  • ✗Add-ons can stack on the quote
  • ✗Built around the US skilled nursing model
Verdict

The reference pick for US skilled nursing. Get every add-on priced as its own line before you compare it with anything else.

Best for operators with skilled nursing and senior living

MatrixCare

4.1/5

MatrixCare is the alternative most shortlists put next to PointClickCare. Its skilled nursing offer promises tools that help staff work more efficiently, enhance clinical care and ensure optimal reimbursement. That last part matters: in skilled nursing, a chart that misses a detail can mean a claim paid at the wrong level.

The vendor lists four modules worth asking about in a demo: Advanced Insights, Ambient Intelligence, Revenue cycle management and Skilled Nursing Interoperability. Ambient Intelligence is the one to watch closely. Ask exactly what it does on the floor, who uses it, and whether it is in the base contract or sold on top.

Senior living gets its own pitch: one comprehensive solution to manage your entire business. For an operator that runs a nursing facility and an assisted living community on the same campus, that is the real reason to look at MatrixCare. Ask the same question as with any vendor here: when a resident moves from assisted living to skilled nursing, does the record follow them, or does someone open a second chart?

How to buy: the official page starts with a call with one of their experts to see the platform in action. There is no price, no plan list and no trial. Come to that call with your bed count, your sites, your care levels and the modules you want, and ask for a written quote that splits license, implementation and support.

Its limit: like PointClickCare, MatrixCare is built around US care and reimbursement. And because each module is named separately, the quote can grow fast if you say yes to everything in the first demo.

Standout features
  • Skilled nursing tools aimed at reimbursement
  • Revenue cycle management module
  • All-in-one senior living suite
+Pros
  • ✓Strong fit for mixed care levels
  • ✓Interoperability module named for skilled nursing
  • ✓Clear module list to build a quote from
−Cons
  • ✗No public pricing
  • ✗Each module adds to the quote
  • ✗US reimbursement model
Verdict

The best second quote to put against PointClickCare, and the first one to call if your business runs both skilled nursing and senior living.

Best for CCRCs and several care levels

WellSky Long-Term Care

3.9/5

WellSky sells its long-term care product around one idea, the Intelligent Medical Record platform, which it says optimizes resident care and streamlines operations for long-term care facilities. Its page lists three settings: skilled nursing, assisted living and continuing care retirement communities.

That spread is the reason it is on this page. A CCRC has residents at several levels of care on the same campus, and the hardest moment in software terms is the move from one level to the next. A platform pitched across all three settings should handle that move well. Make the vendor prove it in the demo: admit a resident in assisted living, then move them to skilled nursing, and watch what happens to the care plan, the history and the billing.

What the page does not tell you is just as useful. We did not find on it a list of integrations or a detailed billing module as clear as what PointClickCare and MatrixCare publish. That does not mean they are missing. It means you need to ask, in writing, which pharmacies, labs and hospital systems connect, and how billing and reimbursement are handled.

How to buy: the page offers a demo request and no price.

Its limit: the public product detail is thinner than the two leaders, so you will do more homework during the sales process. For a single skilled nursing facility, PointClickCare or MatrixCare usually give you more to compare.

Standout features
  • Intelligent Medical Record platform
  • Skilled nursing, assisted living and CCRC
  • One vendor across care levels
+Pros
  • ✓Pitched for campuses with several care levels
  • ✓One medical record platform
  • ✓Demo available on request
−Cons
  • ✗No public pricing
  • ✗Fewer integration details on the official page
  • ✗Billing scope to confirm in writing
Verdict

Worth a demo for a CCRC. Bring a written list of integrations and billing questions, because the official page leaves them open.

Best for nursing homes in Europe

Imago Senior

3.6/5

Imago Senior is the electronic resident record of Evolucare, a French vendor, and the only tool on this page built outside the US model. Its English page describes it as a 100% web-based software solution that offers all the business functions needed to support residents, usable on a computer, a tablet or a smartphone.

The scope runs from the front desk to the care team. Admissions and billing are covered from pre-admission to closing the record, which takes work off the administrative office. The medical record and nursing care sit in the same tool, and the vendor adds a mobility tool for the care teams on the floor.

One feature stands apart from the US platforms: the personalized life project. Imago Senior lets staff set up and evaluate each resident's personalized life project, which is how many European nursing homes think about care beyond the medical chart: preferences, habits, activities. If your inspections or your families expect that kind of record, it is built in rather than added on.

Housekeeping, incident tracking, indicators and reporting complete the modules.

Its limit: the English page does not state a price, a customer count or its hosting certifications. Ask for all three in writing, and ask which countries the billing module supports, since billing rules for nursing homes differ from one country to the next. For a US facility, the three platforms above fit the US reimbursement model better.

Standout features
  • 100% web-based
  • Computer, tablet and smartphone
  • Personalized life project per resident
+Pros
  • ✓Admissions to billing in one record
  • ✓Built for European nursing homes
  • ✓Mobility tool for care teams
−Cons
  • ✗No public pricing
  • ✗No hosting certifications stated on its English page
  • ✗Billing countries to confirm
Verdict

The pick for a European nursing home that wants the life project in the record. Outside Europe, start with the three US platforms.

Buying guide

What the directories never tell you

Buyer directories rank nursing home software by stars and features. What decides whether a rollout works happens on the floor: devices, Wi-Fi, interruptions and quotes nobody can compare. A survey of nursing home caregivers in France, run by the national workplace safety institute, puts numbers on it.

Staff like it, but it interrupts them

The good news first: 90% of caregivers in that survey said the care software made their work easier, and 91% said it helps them care for residents. 94% said it protects them in disputes with families, because what was done is on record. The catch: 48% of staff who chart in real time called the software a source of interruptions, and 40% said it cuts the time left for other tasks. In the demo, count the taps it takes to record a routine round. That number is your daily cost.

Tablets do not replace computers

Only 9% of staff in the survey reported no bugs on the tablet version. Satisfaction reached 75% on computers against 64% on tablets. And while 71% felt there were enough tablets, only 35% felt there were enough computers. Two lessons: budget for desks as well as tablets, and test the tablet app at the far end of your longest hallway, on your own Wi-Fi, before you sign. Staff in the survey said a good internet connection is essential to avoid bugs and slowdowns.

How to compare four quotes with no prices

Not one vendor here publishes a price. Send each the same one-page brief: bed count, number of sites, care levels, the modules you want, and your five main partners (pharmacy, lab, hospital, therapy, payroll). Ask for license, implementation, data migration and yearly support as four separate lines. A public buyer we looked at weighted its record software tender at 35% for functional and technical coverage and 15% for change management and support: a useful reminder that training is worth scoring, not only features.

Ask how the vendor handles defects

Care software can fail in ways that touch residents. In France, one vendor reported to the medical device regulator that a software patch created duplicate entries, including prescriptions, each time a user clicked save, sign or print. The vendor fixed it within weeks and pushed the fix to hosted clients automatically. Ask every vendor two things: who installs fixes on a hosted setup, and how they report safety issues to regulators and to you.

  • Write a one-page brief: beds, sites, care levels, modules, five main partners.
  • Have the vendor chart a real routine round live and count the taps.
  • Test the tablet app at the far end of your longest hallway, on your Wi-Fi.
  • Budget computers as well as tablets for longer charting.
  • Ask for license, implementation, migration and support as four lines.
  • Ask who installs fixes and how safety defects are reported.
  • Get the data export format of your current system in writing before you switch.
Rollout

Moving to a new resident record without losing a chart

Switching the resident record is the riskiest IT project a nursing home runs, because care cannot stop while you do it. These six steps keep it safe.

01

Get your data out first

Prep

Before you sign with a new vendor, ask the current one what export it gives you, in what format, and at what cost. Get the answer in writing. Many facilities find out too late that care plans and history come out as PDFs, not data a new system can load.

02

Write the one-page brief

Prep

Beds, sites, care levels, modules and partners on one page. Send the same page to every vendor so the quotes compare. Add the routine round you want to see charted in the demo.

03

Survey the Wi-Fi floor by floor

Setup

Walk every hallway with a tablet and note the dead spots. Fix them before go-live, not after, because a slow screen at the bedside is how staff drift back to paper notes.

04

Load a sample of real residents

Migration

Have the new vendor load ten real residents with long histories, then check care plans, orders and allergies line by line with a nurse. Errors found on ten residents cost an afternoon. Errors found on all of them cost weeks.

05

Train champions on every shift

Team

Pick one aide and one nurse per shift, nights included, and train them first. They answer the questions at 3 a.m. when nobody from the vendor is on the phone.

06

Keep read access to the old system

Cutover

After go-live, keep the old system open in read-only mode for audits, disputes with families and billing corrections. Negotiate that access in the exit terms of the old contract.

FAQ · 8 questions

Nursing home software · FAQ

  • What is the best software for a nursing home?
For a US skilled nursing facility, PointClickCare is the default shortlist pick: an integrated EHR with care, revenue cycle and operations tools, plus over 400 integrations. MatrixCare is the strongest alternative, and WellSky Long-Term Care is worth a demo for a CCRC. None of them publishes a price.
  • How much does nursing home EHR software cost?
No vendor on this page publishes a price. PointClickCare and WellSky offer a demo, MatrixCare a call with an expert. Send every vendor the same facts (beds, sites, care levels, modules) and ask for license, implementation, data migration and yearly support as four separate lines, so the quotes compare.
  • What is the difference between an EHR and an EMR in long-term care?
In daily use, vendors use both words for the digital resident record. What matters is scope: does the record cover care plans, orders and progress notes only, or also admissions, billing and reimbursement? PointClickCare and MatrixCare sell the clinical record and the financial side together.
  • Can the same software run skilled nursing and assisted living?
Yes, with some vendors. PointClickCare has a separate senior living EHR, MatrixCare sells a senior living suite next to its skilled nursing one, and WellSky lists skilled nursing, assisted living and CCRCs. Ask whether one resident moving between levels keeps one record or gets a second chart.
  • Do care staff actually like nursing home software?
Mostly, with caveats. In a survey of nursing home caregivers in France, 90% said the care software made their work easier and 94% said it protects them in disputes with families. But 48% of real-time users called it a source of interruptions, and only 9% reported no bugs on the tablet version.
  • Should caregivers chart on tablets or computers?
Both, and do not cut computers to buy tablets. In the same survey, satisfaction reached 75% on computers against 64% on tablets, and only 35% of staff felt there were enough computers. Tablets suit bedside notes; longer charting, like wound care records, goes better on a desk.
  • How do I switch nursing home software without losing records?
Ask your current vendor, before you sign with the new one, what export it gives you and in what format. Then have the new vendor load a sample of real residents and check them line by line. Plan a period where both systems run, and keep read access to the old one.
  • Is there nursing home software built for Europe?
Yes. Imago Senior, from the French vendor Evolucare, is a 100% web-based resident record built for European nursing homes, with admissions, billing, the care record and a personalized life project per resident. It does not publish a price, a customer count or its hosting certifications on its English page.
