Which WhatsApp chatbot should your school or training provider use in 2026?
The one that answers applicants at night, reminds learners before class and files every message in the right category. On WhatsApp, a reminder and a sales follow-up don't cost the same.
A WhatsApp chatbot for a school answers prospects and learners for you: fees, start dates, prerequisites, documents to send. It also sends class reminders and joining instructions, and follows up with applicants who dropped out of the process. It does this through Meta's official API (the interface that connects WhatsApp to software), and Meta bills every message you send.
The short answer: Trengo for an admissions team sharing one inbox; Wati for reminders to whole cohorts from $59 a month; Landbot to turn enrollment into a guided conversation. respond.io if applicants come through Instagram and Messenger, Brevo if your email already runs there, with Superchat and Gallabox rounding out the list.
What to pick: small school or tutoring center → Wati or Landbot; admissions team of three or more → Trengo; recruiting international students on social → respond.io. Rank follows each tool's overall score, the same across our site, not your profile: Landbot is 7th but still the best for enrollment flows.
WhatsApp is a second channel in the US but the main one for many international students. Meta bills by the recipient's country: to a US or Canadian number, a reminder costs $0.0034 and a marketing message $0.025. And when a student writes first, your replies are free up to 1,000 a month.
The ranking is editorial: a sponsored placement is always labeled on its card, and no affiliate link changes a score.

How we compared and scored
For this search, the top results are mostly written by chatbot vendors, and several are auto-generated pages promoting the vendor itself. They list use cases (admissions, reminders, FAQs) but none puts a number on what Meta charges for a reminder versus a follow-up, none shows each tool's markup or contract length. That's what this page adds.
We read each vendor's pricing page and documentation, Meta's pricing documentation, then public reviews on review sites and accounts from teachers and school administrators. The core requirement: the tool must send and receive WhatsApp messages through the official API, with a chatbot or AI agent, and show a readable price. ManyChat, scored 4.2 in our review, isn't ranked because we couldn't read its official price list; neither is Treble, whose paid plans have no public price.
All five criteria carry equal weight. That's the grid behind every review on our site, so a tool keeps the same score everywhere. Wati, Landbot and Brevo have their own review pages, and their scores carry over unchanged.

Trengo
Trengo is a shared inbox. WhatsApp, email, website chat and social messages land in one list, and every conversation gets an owner. For a school, that's the admissions desk: "Are there seats left for the fall cohort?" comes in, goes to the right person, or to the AI agent if it knows the answer.
Trengo names a school among its own references: Hogeschool Rotterdam, a Dutch university of applied sciences. Boost includes ten users from day one, enough for an admissions team plus a few instructors. The AI agent is billed per conversation, €0.25 on annual billing, so 300 enrollment questions in a busy month cost €75.
The catch is the entry price. Pricing is in euros, starting at €299 a month on an annual plan. It pays off with a real team and real volume, not for a three-person tutoring center.
- Shared multichannel inbox
- First 1,000 messages free per number each month
- AI agent billed per conversation
- ✓Ten users on the first plan
- ✓A school among the vendor's references
- ✓Support scored 4.2 out of 5 in our review
- ✗€299/month minimum, billed annually
- ✗500 conversations a month on Boost with monthly billing, easy to burn through at intake
- ✗Too much tool for a small provider
The pick for a school with a real admissions team fielding questions on several channels. Overkill for a one- or two-person operation.
Brevo
Brevo is a French email and SMS marketing platform, popular with training providers for newsletters and course announcements. Its WhatsApp channel isn't a standalone chatbot. It slots a WhatsApp message into an automation you already run: a lead downloads your syllabus, gets the welcome email, then one WhatsApp nudge three days later if they haven't booked a call.
Price is the filter. WhatsApp only comes with Pro at €499 a month, or Enterprise. At that level Brevo only makes sense if you already use the rest of the platform, so contacts, lists and workflows all live in one place.
As a chatbot it stays basic. For a multi-step enrollment flow with buttons and branching, Landbot or Wati go further.
- French vendor, EU-based
- Email, SMS and WhatsApp in one contact base
- Value score of 4.5 out of 5 in our review
- ✓One contact record across channels
- ✓Workflows that chain email, then WhatsApp
- ✓Clear fit for existing Brevo users
- ✗WhatsApp starts at €499/month
- ✗Simple chatbot next to dedicated tools
- ✗No reason to pick it if your email lives elsewhere
The right call if Brevo already sends your email: one tool, one learner database. Starting from scratch, it's the priciest entry point here.
respond.io
respond.io pulls every messaging channel into one inbox and keeps a single history per contact. For a school recruiting international students, that matters: the applicant who asked a question on Instagram in March and writes on WhatsApp in June lands in the same thread, and whoever answers sees all of it.
Pricing is clear and in dollars. Starter is $79 a month on annual billing for five users; Growth is $159 for ten, with AI included at no extra cost within fair use. The vendor states plainly that WhatsApp fees are not included in any subscription, so you pay Meta separately and know exactly what each message costs.
Two limits. Extra active contacts are billed ($12 per 100 on Growth), which adds up during a big intake campaign. And public reviews of support and billing are mixed, so get your setup validated during onboarding.
- One history per applicant, every channel
- AI included from Growth
- Meta fees shown separately, no hidden markup
- ✓Five users on Starter
- ✓Public monthly and annual prices
- ✓Great when applicants switch channels
- ✗Extra active contacts billed on Growth and Advanced
- ✗Mixed reviews on support and billing
- ✗More than you need if everything happens on WhatsApp
The strongest tool for a school recruiting across social channels and tracking each applicant end to end. Oversized if WhatsApp is your only channel.
Superchat
Superchat, based in Berlin, brings WhatsApp, email and other messengers into one inbox, with AI agents from the Professional plan. For a language school, the agent handles the basics (class times, package prices, documents to bring) and hands off to a person when it's stuck.
Two things weigh on the decision. The minimum contract term is 12 months, stated on its pricing page, and several customers only found out when they tried to cancel. If you only want to cover one intake, that's a real obstacle. Also, every message you start (a reminder, a follow-up) is billed €0.05 to €0.11, so ask what that price includes before comparing it with Meta's rates.
The Free plan exists, but it caps you at 30 active contacts a month: enough to try, not enough for a 40-student cohort.
- Berlin-based vendor
- 1,000 customer-initiated conversations free each month
- AI agents from Professional
- ✓Guided onboarding, praised in reviews
- ✓A free plan to try it out
- ✓Clear euro pricing
- ✗12-month minimum contract
- ✗Business-initiated messages up to €0.11
- ✗Free plan limited to 30 active contacts
A solid European choice for a school that knows it will run WhatsApp all year. Skip it for a one-intake experiment.
Wati
Wati is one of the most widely used WhatsApp platforms, with education customers including the Indian online learning company Vedantu. Its strengths for a school are broadcasts (one reminder to a whole cohort) and fast approval of message templates by Meta. An operations lead at an education organization says as much in a review the vendor publishes: scheduling bulk sends became easy.
Read the fine print on price. Growth at $59 a month on annual billing gives you three users, and you can't add more. Monthly prices aren't shown. And Wati doesn't publish its markup on Meta's rates, so ask before you send 2,000 reminders.
Public reviews split down the middle: about half very happy, more than a third at one star over slow support and hard cancellations, with store credit offered instead of a refund.
- Broadcasts and quick template approval
- AI credits on every plan
- Customers in online education
- ✓Very widely used, lots of help online
- ✓Scheduled bulk sends
- ✓7-day trial
- ✗Only three users on Growth
- ✗Markup on Meta messages not disclosed
- ✗Polarized reviews on support and cancellation
A safe pick for sending reminders and joining instructions to whole cohorts. Ask about message markup and read the cancellation terms first.
Gallabox
Gallabox, an Indian vendor, publishes a library of chatbot templates for education: a course fee bot, a support FAQ bot, flows that qualify an applicant. Nobody else in this ranking gives you such a targeted starting point.
Price is the weak spot. Basic costs $112 a month on annual billing or $150 quarterly, and there's no month-to-month option, so the minimum commitment is three months. The entry plan caps you at five active chatbot flows. Gallabox mentions a discounted markup on Meta messages without giving a number: ask for it.
Our score rests on its pricing page and documentation. Public reviews are still too few to judge support, hence a cautious support score.
- Education chatbot templates
- Trial with no credit card
- Unlimited chatbot flows on Enterprise
- ✓Fast start with templates
- ✓Six users from Essential
- ✓Free trial
- ✗No monthly billing, quarterly minimum
- ✗Only five flows on Basic
- ✗Meta markup not quantified
Worth a look to launch fast with templates built for schools. Pricey and no monthly plan: compare with Wati before committing a quarter.
Landbot
Landbot, built in Barcelona, is first a conversation-flow builder, and that's where it beats the rest. A prospect who types "I want to enroll" follows a path with buttons, questions, a placement test for a language school, then a time slot. If you want to replace your enrollment form with a conversation, it's the most flexible tool here.
Cost comes in two layers, priced in euros. WhatsApp needs the Professional WA plan at €160 a month, or Professional with the €100-a-month WhatsApp add-on. On top, Landbot adds €0.05 to Meta's rate for every marketing, utility or authentication message. On 2,000 session reminders, that's €100 more a month: the most visible markup in this ranking, and at least Landbot publishes it.
Support is the weak point in our review (2.9 out of 5). Build your flow during the 14-day trial before paying.
- European vendor, Barcelona
- Most flexible flow builder
- Published markup: €0.05 per message
- ✓Rich enrollment flows and quizzes
- ✓14-day trial, no card
- ✓Same bot on your site and on WhatsApp
- ✗WhatsApp from €160/month
- ✗€0.05 added to every non-service message
- ✗Support scored 2.9 out of 5
The best tool for turning enrollment into a guided conversation. The per-message markup makes it expensive once you send lots of reminders.
What Meta charges for each school message
Meta bills every message you send, based on its category and the recipient's country. Messages your students send you are never billed. Rates below are Meta's fees only, before the tool's subscription and any markup.
Rates by use case
A small US provider
International students
What each tool adds
- File every message template in the right category before submitting it to Meta.
- Never slip a discount into joining instructions: it would be billed as marketing.
- Ask the vendor: "Meta's rate plus how much?"
- Check the contract: 12 months at Superchat, a quarter minimum at Gallabox.
- Count extra seats: Wati Growth is capped at three users.
Six ways schools use a WhatsApp chatbot
What schools and training providers actually do with WhatsApp, from vendor documentation, reviews and administrators' accounts. Each use case has a Meta category, and so a price.
Use cases
Answer questions at night and on weekends
FreeFees, next start date, prerequisites, location: these questions never stop, and many arrive after hours. The applicant writes first, so your replies are service messages, free up to 1,000 a month. A WhatsApp button on every course page moves those questions to the free channel.
- Meta cost
- $0 up to 1,000/mo
Send class reminders and joining instructions
UtilityA reminder the day before, joining instructions with the address and time: the highest-return use. Teachers and administrators say the same thing: students barely read email but answer WhatsApp fast. To US numbers, 2,000 reminders cost $6.80 in Meta fees.
- One US reminder
- $0.0034
Follow up with an unfinished application
MarketingAn applicant who started and vanished can get a message. But Meta treats it as marketing ($0.025 to a US number), and you need prior consent. One WhatsApp follow-up, then let email take over.
- One US follow-up
- $0.025
Confirm every document received
TipAdministrators tell the same story: a parent or student swears they sent a document nobody can find. The chatbot won't fix that alone. Build a flow that replies to each upload with "received: your ID", and the argument goes away.
- Good fit
- Landbot, Wati
Start intake from an ad
FreeA Facebook or Instagram ad that opens WhatsApp starts a window where Meta doesn't bill your messages, and it can stay open for up to 7 days. That's the time to run a full flow: course choice, placement test, booking.
- Free window
- up to 7 days
Keep reminders free of promotions
CostAdd "10% off the January cohort" to a reminder and it becomes marketing, about seven times the utility rate to a US number. Meta can also reclassify a template filed in the wrong category. Send offers separately, only to people who opted in.
- US gap
- about × 7
Who you can message, and what you can send
WhatsApp's own business rules apply wherever you are: people choose to hear from you, and every promotion needs a way out. If you recruit in Europe, local rules add a layer, starting with minors.
Minors in France need a parent's consent
Follow-ups need prior opt-in
Every promotion needs an exit
- A separate, unticked WhatsApp opt-in on the application form.
- A parent's number for younger learners in France.
- An unsubscribe button in every campaign.
- A record of each opt-in (date, form).

WhatsApp chatbots for schools · FAQ
What is the best WhatsApp chatbot for schools?
Small school or tutoring center: Wati (from $59/month billed annually) for reminders and FAQs, or Landbot (€160/month with WhatsApp) for a guided enrollment flow. Larger admissions team: Trengo, from €299/month. Recruiting on social: respond.io. Rank follows each tool's overall score, not your profile. Is the free WhatsApp Business app enough?
For a tiny school answering by hand, at first. But the app has no real chatbot, no automated reminders tied to your schedule, and limits how many devices can connect. The moment you want automation, you need the official API, which every tool in this ranking uses. How much does a WhatsApp class reminder cost?
It's a utility message. To a US or Canadian number, Meta charges $0.0034; to a French number, €0.0248. Add the tool's subscription and any markup (€0.05 at Landbot). A reminder that includes a promotion is billed as marketing. Is WhatsApp worth it for a US school?
As a second channel, often yes, especially with international students and families who live on WhatsApp. For domestic learners, check first that they use it. Reminders to US numbers are cheap ($0.0034), so a test cohort costs very little. Is there a free WhatsApp chatbot for schools?
Not for real use. Superchat's Free plan is limited to one user and 30 active contacts a month; Landbot's free plan doesn't include production WhatsApp. The one useful freebie: Meta's 1,000 free service messages a month per number. Can the chatbot answer questions about tuition and financing?
Yes for common questions, with an AI agent trained on your pages (Trengo, Superchat, respond.io, Wati with its AI credits). Keep a handoff to a person for edge cases: a wrong answer about money costs you an enrollment. Can it connect to my CRM or learning platform?
Yes, though rarely directly with a learning platform. Brevo and respond.io keep the contact record; otherwise a connector like Make or n8n links the chatbot to your CRM, enrollment sheet or calendar. Check the connector during the trial. When should a school launch a WhatsApp chatbot?
Two to three months before your intake, enough time to get templates approved by Meta and test your flows. Start with class reminders, the simplest and cheapest, then add follow-ups.
