What is the best WhatsApp CRM in 2026?

One number, your whole team, every deal tracked. In the US, the subscription is the real cost, not the messages.

For a small team that sells mostly through chat, the best WhatsApp CRM in 2026 is Kommo: WhatsApp through the API is offered on every plan, from $25 per user per month, and the deal board is built around the conversation. If your team already runs on HubSpot or Pipedrive, keep it: HubSpot adds WhatsApp from Service Hub or Marketing Hub Professional, Pipedrive from Growth, still in beta.

We compared eight tools on what matters once customers start texting you: how the tool connects (official API or a risky workaround), the contact record and deal tracking, how many reps can share one number, the commitment you sign up for, and the total monthly cost with Meta's per-message fees. Looking for a bot that answers on its own? Our WhatsApp chatbot ranking covers that. This page is about selling and following up.

8 WhatsApp CRMs compared on what counts

Rank follows the overall score. The "Connection" column tells you how each tool talks to WhatsApp. It comes first because an unofficial connection can get your number cut off. Entry prices are for the first plan that includes WhatsApp, which isn't always the cheapest plan on the page.

Our method

How we compared and scored

A WhatsApp CRM sends you two bills: the vendor's subscription, and Meta's charge for each delivered message. We read every vendor's official pricing and WhatsApp help pages, Meta's pricing pages, then user reviews on review sites and forums. The goal was to find what breaks, or costs more, after you sign.

Connection is a gate. A tool that doesn't go through the official WhatsApp API (directly or through a Meta-approved provider) stays out of the ranking, whatever else it does. For HubSpot, Pipedrive, Zoho CRM and Wati, the score and sub-scores are the ones from our full reviews. For the others, we scored them on the same five criteria, weighted as below. On a tie, the score to two decimals decides: Kommo (4.24) ahead of Pipedrive (4.17) and HubSpot (4.10), Wati (3.72) ahead of Zoko (3.66).

1
Best for selling through chat

Kommo

4.2/5

Kommo, formerly amoCRM, turns every conversation into a deal on a column board. A lead messages you on WhatsApp, a card appears, and your rep moves it through the stages without leaving the chat. WhatsApp through the API is offered on all three plans: 1 number on Base (plus 1 per user), 3 on Advanced, unlimited on Pro.

Salesbots are unlimited on every plan, so you can send a welcome message, ask a qualifying question and chase a lead who goes quiet. Advanced AI agents come with Advanced (3) and Pro (50), with 750 to 2,250 AI credits per user that don't roll over.

Skip it if you want to pay monthly. Kommo bills at least six months in advance, and every user must be on the same plan. Three reps on Base means $450 on day one.

The catch is support. Reviewers report slow, generic answers, tickets closed without a fix and painful refunds. One user describes WhatsApp sync down for several days. The ones who stay say the same thing: the WhatsApp integration is why.

Standout features
  • WhatsApp via API on all three plans, check the grid
  • Unlimited Salesbots from Base
  • Up to 10,000 leads per user on Pro
+Pros
  • ✓Deal board follows the conversation
  • ✓Low entry price for a real sales CRM
  • ✓14-day trial without a card
−Cons
  • ✗Six months paid upfront, minimum
  • ✗Slow support in many reviews
  • ✗AI credits expire monthly
Verdict

The best pick if WhatsApp is your main sales channel. Use the 14-day trial to connect your number and run a real sales cycle before you prepay six months.

2
Best if you already use Pipedrive

Pipedrive

4.2/5

Pipedrive is the easiest CRM on this list to pick up: a deal board, activities, reminders. Its native WhatsApp integration links a conversation to a person and a deal, and you reply from inside Pipedrive.

It's available from Growth, but still in beta: you enable it through the beta program, and it isn't open to every account yet. The limits are real. Templates are text only (no image, footer or buttons), and Meta can take up to 48 hours to approve them. History starts at connection, so older chats don't come over. You can't have more than 3 scheduled messages pending.

Skip it if WhatsApp drives most of your revenue with broadcasts and bots. The integration is still basic.

The catch: one conversation links to one person and one deal. A customer with two open projects forces a choice.

Standout features
  • Conversation linked to deal and person
  • No Pipedrive fee on messages
  • Easiest CRM to learn
+Pros
  • ✓Sales reps productive on day one
  • ✓WhatsApp from Growth, no premium tier
  • ✓Thread kept in the deal history
−Cons
  • ✗Still in beta, not open to all
  • ✗Text-only templates
  • ✗History only from connection
Verdict

Already on Pipedrive? Turn on the beta before shopping around: for replying and tracking, it's enough. If WhatsApp becomes your main channel, add a dedicated inbox or look at Kommo.

3
Best if you already use HubSpot

HubSpot

4.2/5

In HubSpot, WhatsApp lands in the conversations inbox next to email and live chat. Every message is logged on the contact, and your team can reply, assign the thread or create a deal from the same screen. You can connect up to 25 numbers per WhatsApp Business account.

The plan is the trap. WhatsApp only exists in Marketing Hub or Service Hub Professional and up, not in Sales Hub alone, not in Free or Starter. Professional is capped at 1,000 template messages a month, shared across every connected account. Starting more than 50 conversations a day requires a verified Meta Business Manager.

Skip it if you're starting from scratch and just want to track WhatsApp sales. Three Service Hub Pro seats plus onboarding come to $4,740 in year one before any message. A tool like Wati can feed HubSpot without the Professional upgrade.

The catch: according to the community, WhatsApp automation is tied to Service Hub Professional. Check in the trial that the follow-up flow you need is covered by your hub.

Standout features
  • WhatsApp threads on the contact record
  • Up to 25 numbers per WhatsApp Business account
  • One platform for marketing, sales and service
+Pros
  • ✓Full customer history across channels
  • ✓Strong support in our review
  • ✓Meta's free entry points aren't billed by HubSpot
−Cons
  • ✗Nothing below Professional
  • ✗1,000 template messages a month cap
  • ✗Mandatory onboarding fee
Verdict

The right call if HubSpot is already your CRM and Professional fits the budget. Otherwise, plug a WhatsApp inbox like Wati into your current HubSpot instead of upgrading for one channel.

Best for multichannel volume

respond.io

4.1/5

respond.io is an official WhatsApp Business Solution Provider. It's a deep shared inbox first: auto-assignment, team queues, automation workflows and a contact record that merges every channel. The CRM side stays light (lifecycle stages, tags, fields), but it connects to HubSpot or Salesforce when you need real deal tracking.

Starter includes 5 users for $79 a month on annual billing, one of the best per-person prices here. Meta fees are billed separately through a credit balance you top up in the platform.

Skip it if your contact list grows faster than your revenue. Pricing is tied to monthly active contacts, with overage at $12 (Growth) or $15 (Advanced) per 100. That's the top complaint in user reviews.

The catch: the depth takes time to learn, and reviewers mention some sync delays and template limits.

Standout features
  • Official WhatsApp Business Solution Provider
  • 5 users included on Starter
  • Every channel on one contact
+Pros
  • ✓Very highly rated by users
  • ✓Advanced routing and automation
  • ✓7-day trial without a card
−Cons
  • ✗Price climbs with active contacts
  • ✗Light deal tracking without a CRM
  • ✗No broadcasts in the trial
Verdict

The best fit for teams that receive more messages than they send, across several channels. Watch your active contact count from month two.

Cheapest full CRM

Zoho CRM

3.9/5

Zoho CRM includes WhatsApp in the trial and in every paid edition, from Standard at $14 per user. Messages land on the lead or contact record, and you buy message credits directly in Zoho with auto top-up.

For three reps, Standard comes to $42 a month, the cheapest full CRM on this list. You need a verified Meta Business Manager, a WhatsApp Business account and a dedicated number: Zoho doesn't support migrating a number already in use elsewhere.

Skip it if your reps need to message first. Zoho's help page says the rep can't start the conversation; the customer has to. For outbound selling, that's a blocker.

The catch: Zoho is the least intuitive CRM here, and its WhatsApp help page still talks about per-conversation billing even though Meta has billed per message since 2025.

Standout features
  • WhatsApp from Standard at $14
  • Credits bought inside Zoho
  • Up to 5 files per message
+Pros
  • ✓Best price for a full CRM
  • ✓Automation and quotes included
  • ✓Trial includes WhatsApp
−Cons
  • ✗Reps can't message first
  • ✗Dedicated number, no migration
  • ✗Steeper learning curve
Verdict

A great CRM for the money, built for replying more than prospecting on WhatsApp. Check in the trial that your sales flow works without the first message coming from you.

Easiest for broadcast campaigns

Wati

3.7/5

Wati is an official Meta Business Partner. The dashboard is simple, templates get approved quickly, and the HubSpot connection is well liked: it's the cheapest way to get WhatsApp into HubSpot without Professional, from the $119 Pro plan.

As a CRM, Wati is a shared inbox with contacts, tags and assignment, no deal board. Shopify costs $4.99 a month extra, AI credits $30 a month. Messages are billed at Wati's rate card, with no markup shown.

Skip it if more than three people need access on Growth: it allows no extra users, so you'll jump to Pro.

The catch: support and refunds. Reviews are split: slow replies, no refunds on subscriptions or unused credits, cancellation by ticket. A few accounts report numbers restricted by Meta.

Standout features
  • Official Meta Business Partner
  • HubSpot from Pro, Salesforce on Business
  • No setup fee
+Pros
  • ✓Simple UI, quick template approval
  • ✓HubSpot sync without HubSpot Professional
  • ✓Easy broadcasts
−Cons
  • ✗Weak value for money
  • ✗No refunds mid-subscription
  • ✗No deal board
Verdict

A good tool for broadcasts and replies, especially on top of HubSpot. Start monthly, not annual, until you're sure you'll stay.

Best for Shopify stores

Zoko

3.7/5

Zoko is a Meta Business Partner built for Shopify: the chat shows the customer and their orders, and you can recover a cart or confirm a delivery over WhatsApp. Starter allows unlimited agents, which is rare.

The pricing is easy to read. You pay Meta directly, and Zoko charges $0.015 per conversation on Starter, nothing up to 5,000 conversations on Plus. Instagram is $9.99 a month extra.

Skip it if you sell B2B services: Zoko tracks customers and orders, not deals.

The catch: the AI agent (Guru and Wismo) costs $24.99 a month plus $0.09 per resolution, which adds up fast in a busy store.

Standout features
  • Shopify orders inside the conversation
  • Unlimited agents on Starter
  • No commitment
+Pros
  • ✓Transparent pricing, Meta paid directly
  • ✓Fast Shopify setup
  • ✓Instagram add-on
−Cons
  • ✗No deal tracking
  • ✗AI agent billed per resolution
  • ✗Shopify first
Verdict

The top choice for a Shopify store. For a service business, Kommo is a better fit.

Best for small multichannel retail

SleekFlow

3.6/5

SleekFlow, based in Hong Kong, carries the Meta Business Partner badge. It brings WhatsApp and social channels into one inbox with contact lists, labels and assignment. Pro gives you 10 seats for $109 a month, a fair price for a mid-size team.

Read the small print, though. Hosting the WhatsApp number itself costs $15 a month, messages follow SleekFlow's own rate card, and pricing changes by country. Essential is still rolling out.

Skip it if you need a sales pipeline: SleekFlow is an inbox with contacts, not a deal-tracking CRM.

The catch: the active-contact model. At 500 contacts on Essential and Pro, a busy month pushes you into $20 per extra 100.

Standout features
  • Meta Business Partner badge
  • 10 seats on Pro
  • WhatsApp, Instagram and Messenger together
+Pros
  • ✓Fair per-seat price on Pro
  • ✓Clean shared inbox
  • ✓Multichannel from the first plan
−Cons
  • ✗$15/mo for the number
  • ✗Price tied to active contacts
  • ✗Pricing varies by country
Verdict

A decent inbox for a small retail team. Add the $15 number fee and your expected contacts before comparing it with respond.io.

What a WhatsApp CRM actually costs in the US

In the US, Meta charges $0.025 per delivered marketing message in 2026, and $0.0034 for utility or authentication messages. Messages from customers are never charged. That's far cheaper than Europe, so here the subscription is the bill that matters. Monthly costs below are for a team of 3 reps, before tax.

Meta's bill at your volume

500 marketing follow-ups a month: $12.50. 2,000 follow-ups: $50. When a customer messages you, you get a 24-hour window, and Meta gives you 1,000 free service messages per number per month (they don't roll over). A chat opened from a click-to-WhatsApp ad stays free for up to 7 days. The full rate card and categories are on our WhatsApp chatbot ranking.

3 reps, 500 follow-ups a month

Zoho Standard $42 plus $12.50 of Meta. Zoko Starter $49.99 plus its per-conversation fee. Wati Growth $59 plus messages. SleekFlow Essential $64 with the number fee. Kommo Base $75 (paid $450 upfront) plus $12.50. respond.io Starter $79 for up to 5 users. Pipedrive Growth $117. HubSpot Service Hub Pro $270, plus $1,500 onboarding once.

Where the money really goes

At 2,000 follow-ups, Meta still costs you $50, less than one HubSpot seat. In the US, picking the wrong plan costs more than sending the wrong number of messages. Compare tools on seats included, the commitment and onboarding fees, then on messages.

  • Does it connect through the official WhatsApp API, directly or via an approved provider?
  • How many users and numbers are included, and what does the next one cost?
  • Do you have to prepay 6 or 12 months?
  • Is pricing tied to active contacts?
  • Can your reps message first with an approved template?
  • Can you keep your current number and its history?
Traps

Six traps that cost you after you sign

They come from official pricing pages, help docs and user reviews. Vendor-written rankings leave them out.

01

Extensions that drive WhatsApp Web

Ban risk

Some CRMs hook into WhatsApp Web through a Chrome extension instead of the official API. In 2025, researchers found 131 extensions injecting code into WhatsApp Web to send bulk messages. The risk: a restricted or banned number, and your messages leaking. QR-code blasters that promise unlimited sends often end up blacklisted.

Extensions found
131
02

Losing your number and its history

Tip

For years, you had to remove your number from the WhatsApp Business app before connecting it to the API. Meta's coexistence option changes that: the same number stays in the app and also runs through the API, with 180 days of chat history imported (no groups, media for 14 days). Messages sent from the app stay free. In exchange, disappearing messages, view once and broadcast lists are turned off in the app, and linked devices are disconnected.

History imported
180 days
03

Prepaying 6 months or more

Kommo

Kommo bills at least six months upfront with no monthly option. Some European tools, such as Superchat, require a 12-month contract. Before you sign, get the end date and the cancellation process in writing.

Minimum
6 months upfront
04

WhatsApp locked to the expensive tier

HubSpot, Brevo

HubSpot only gives you WhatsApp on Professional, capped at 1,000 template messages a month. Brevo only on Pro, at $499 a month. Pipedrive opens it from Growth, but in beta. Always compare the price of the plan that includes WhatsApp, not the headline price.

Brevo with WhatsApp
$499/mo
05

Pricing per active contact

respond.io, SleekFlow

Some tools bill on contacts who messaged you that month. A campaign that wakes up 2,000 old customers can push you into the next tier. Overage runs $12 to $15 per 100 at respond.io and $20 per 100 at SleekFlow.

Overage
$12 to $20 per 100
06

Messaging people who never opted in

Ban risk

Meta restricts numbers that get too many reports. One user had an account blocked after about seven messages during a trial, for lack of consent. Never import a purchased list into your WhatsApp CRM. Start with existing customers, then ramp up.

Rule
Opt-in first

Other options, and why they're not ranked

These tools show up in a lot of rankings. They can work, just not as a first WhatsApp CRM for a US sales team.

01

Brevo: only if you're already on Pro

$499/mo

Brevo is a Meta-approved provider and a solid email tool with a CRM built in. But WhatsApp only comes with Pro at $499 a month. Starter ($9) and Standard ($18) don't include it. Worth it if you're already a Pro customer, too expensive to start with.

Crisp puts WhatsApp in its support inbox, with a free plan and paid workspaces above it. It's great for answering customers, less so for tracking deals.

folk and noCRM: extension, at your own risk

Extension

folk (4.2 in our review) connects WhatsApp through its folkX Chrome extension, which imports contacts from WhatsApp Web. noCRM also uses an extension. That isn't the official API, and folk itself notes that an extension isn't approved by WhatsApp. Handy to enrich a record, risky for volume.

FAQ · 8 questions

WhatsApp CRM FAQ

  • Can the WhatsApp Business app work as a CRM?

For one person, yes, with labels, a catalog and quick replies. It can't handle several reps on one number or track deals. Tip: with Meta's coexistence, you keep the app on your phone and plug a CRM into the same number.

  • Is there a free WhatsApp CRM?

Not for a team. HubSpot's free plan has no native WhatsApp, and Zoho's free plan doesn't list it. The closest thing to a real CRM on a budget is Zoho Standard at $14 per user, or Kommo's 14-day trial.

  • Can I connect WhatsApp to HubSpot without Professional?

Yes, through a third-party tool. Wati syncs with HubSpot from its $119 Pro plan. Conversations show up in HubSpot without the Professional upgrade, though the sync is less detailed than the native integration.

  • How many people can reply on the same WhatsApp number?

As many as your plan allows. Kommo and HubSpot bill per user. respond.io includes 5 on Starter. Wati Growth stops at 3 with no way to add more.

  • Can my WhatsApp number get banned?

Yes, if it runs through an unofficial extension or gets too many reports. With the official API, the risk comes mostly from messaging people who didn't ask. Start with current customers and ramp up gradually.

  • Can my reps message a lead first?

Yes, with a Meta-approved template, billed by category. One exception: Zoho CRM's help page says reps can't open the conversation. In Pipedrive, templates are text only and approval can take 48 hours.

  • How much does a WhatsApp message cost in the US in 2026?

$0.025 for a marketing message and $0.0034 for utility or authentication. Service replies are free up to 1,000 per number per month. Some tools add a markup on top, others let you pay Meta directly, like Zoko.

  • What's the difference between a WhatsApp CRM and a WhatsApp chatbot?

A CRM tracks the customer and the deal; a chatbot answers automatically. Many tools do both: Kommo has Salesbots, respond.io has workflows. Pick on the CRM side first if your reps close deals in chat.
