Asset Panda alternatives: where to go and how to move your inventory
Six destinations with published prices, one per reason for leaving, and an eight-step migration plan.
Short answer: EZO if you want the closest match with public pricing, Snipe-IT if you run IT hardware and have someone to manage a server, Sortly for a small team, AssetTiger for the lowest bill with unlimited users, Reftab for a flat monthly price, UpKeep if your assets mostly need maintenance. Asset Panda itself publishes no price at all: everything goes through a custom quote after a 7-day trial. We compared all six destinations, their pricing and their import paths, in 2026.
The ranking is editorial: a sponsored spot is always flagged on its card, and no affiliate link changes a score.
Why teams leave Asset Panda, and what they miss
Asset Panda still scores well on review sites, somewhere between 4.2 and 4.6 out of 5, and people like its barcode handling: one user who moved on said that's what they missed. The departures come from elsewhere: price, setup and day-to-day speed. Six reasons keep coming up in reviews and forums.
No public pricing
The pricing page has no numbers. You get a custom quote based on what you need, after a 7-day trial. Figures floating around third-party sites contradict each other. You can't compare before talking to sales, and renewal is hard to predict.
Costs that scale with your inventory
Cost is the number one reason people leave. In a sysadmin forum, a school district team with about 1,200 staff laptops and 10,000 student devices said they were exploring other options due to the cost of Asset Panda. Small-team reviews call it expensive for their size too.
A heavy setup
Before you import, you create the groups and fields for each collection, then download the import template. Reviews mention a complex setup and a dated interface. The newer Asset Panda Pro interface, with its Ursa AI assistant, promises automatic column mapping on import. It runs alongside Asset Panda Classic.
Day-to-day slowness
The same complaints repeat: lag when several people work at once, a mobile app that's slow to sync, search that needs the exact item name, and a short session timeout. Each one is small. Across a full audit day, they add up to hours.
Only two label formats
Users say they're limited to just two label formats. If you tag small accessories and large machines, you end up improvising. The check-out module also gets called too complex for a simple equipment loan.
Thin integrations and relationships
Integrations with JAMF (Apple device management) and Zendesk get rated weak, and the endpoint agent disappoints. Parent-child relationships (a workstation and its monitors, a truck and its gear) stay limited. For IT inventories, that's where a specialist tool pulls ahead.
You're leaving because… go to…
The right alternative depends on what you track and who will run the tool. Usually one row fits. Each card jumps to the full write-up below.

Asset Panda alternatives, tool by tool
For each tool: why switch to it, who it's for, its catch, how to migrate from Asset Panda, and what it costs. Prices are the ones vendors publish in 2026, in US dollars.
The tools
EZO (EZOfficeInventory): the closest match, with prices on the page
Closest matchWhy switch to EZO. EZO covers the most common ground with Asset Panda: barcode and QR tracking, check-in and check-out, reservations, maintenance, reports. The big difference shows up before any demo: EZO publishes its prices. Essential starts at $81.41 a month, Advanced at $117.11 and Premium at $142.10, based on 500 items (the page doesn't say whether these monthly prices assume annual billing). You can build a budget without waiting on a sales call.
Who it's for. Operations and facilities teams that track mixed equipment (laptops, tools, AV gear, furniture) and need a lot of people in the system. Users are listed as unlimited, with conditions.
Who it's not for. A small team tracking under 100 items. At $80+ a month, Sortly (free up to 100 items) or AssetTiger ($20 a month) will do the job for less.
The catch. Pricing scales with item count. Past 500 items the bill climbs, and Enterprise goes back to a custom quote. Essential has no maintenance, Advanced keeps basic service records, and the CMMS (computerized maintenance management system) is a paid add-on on Premium, included on Enterprise, so check which plan you actually need.
How to migrate. Export each Asset Panda collection to CSV, then set up locations and categories in EZO before importing assets. Use the 14-day trial (no credit card) to import 20 real assets and run one full check-out and check-in cycle.
Price. $81.41 to $142.10 a month for 500 items depending on the plan. Enterprise is quote-based.
- Trial
- 14 days, no card
- Paid
- from $81.41/mo (500 items)
- Users
- listed unlimited, with conditions
- Catch
- CMMS is a Premium add-on
Snipe-IT: free IT asset tracking, if someone runs the server
Free self-hostedWhy switch to Snipe-IT. Snipe-IT is open-source IT asset management. Self-hosted, it's free, with unlimited users and assets, so the biggest line on your Asset Panda invoice goes away. It comes up often, notably in a thread of school IT admins. One school district team, managing roughly 1,200 staff laptops and 10,000 student devices, said they were leaving Asset Panda over cost and moving to self-hosted Snipe-IT driven through its API (the interface other programs use to read and write data).
Who it's for. IT teams that hand out laptops, phones and accessories and need to know who has what at any moment. Schools and public agencies get a lot out of it.
Who it's not for. A team with nobody to install, patch and back up a server. Or a department that mostly tracks furniture or field tools: Snipe-IT thinks in IT hardware.
The catch. It doesn't discover anything on your network. Every asset gets imported or typed in. Admins also mention the time it takes to keep an instance healthy. The license is free; that time isn't.
How to migrate. The CSV importer has three strict rules. Create custom fields in Snipe-IT before importing. Match column names exactly, because an unrecognized column is skipped without warning. Format dates as YYYY-MM-DD. For labels, admins print on Zebra printers through label software, and some sync endpoints with a PowerShell add-on that talks to the API. As one put it, Snipe is free unless you want them to host.
Price. Free self-hosted. Hosted: $39.99 a month or $399.99 a year, Small Business at $99.99 a month ($999.99 a year), Dedicated at $249.99 a month ($2,499.99 a year).
- Free
- self-hosted, open source
- Hosted
- from $39.99/mo
- Best for
- assigned IT hardware
- Catch
- you maintain the server
Sortly: simple mobile inventory for a small team
Small teamsWhy switch to Sortly. Sortly is built around simplicity: snap a photo, stick on a QR label, drop the item into a folder that stands for a location. Asset Panda reviews complain about a heavy setup and a slow mobile app. Sortly is the opposite trade-off, with a free plan to start and prices on the page.
Who it's for. Small teams tracking a few hundred things: event gear, contractor tools, an agency's equipment room, a nonprofit's supplies.
Who it's not for. A fleet of several thousand assets, or a large team. Included seats stay low.
The catch. Every plan caps items and users. Advanced holds 500 items and 2 users, Ultra 2,000 and 5, Premium 5,000 and 8. An extra user on Advanced is $25 a month. And watch the annual discount: the 50% off applies to the first year only, then it drops to 20%.
How to migrate. Export the Asset Panda collection to CSV, rebuild your locations as folders, then import. Start on the free plan with a handful of items to see if the folder logic fits how you work.
Price. Free for 100 items and 1 user. Advanced $49 a month, Ultra $149, Premium $299. Billed annually, year one comes to $288, $888 or $1,788. Enterprise (10,000+ items) is quote-based.
- Free
- 100 items, 1 user
- Paid
- Advanced $49/mo
- Best for
- small teams, mobile first
- Catch
- user caps
AssetTiger: the lowest price with unlimited users
CheapestWhy switch to AssetTiger. It's the cheapest option at equal volume. Basic costs $20 a month for 500 assets, and every paid plan includes unlimited users. In the same sysadmin thread as the school district above, another school said it picked AssetTiger on price.
Who it's for. Schools, nonprofits and small businesses with lots of people in the tool and a tight budget.
Who it's not for. Teams that expect phone or chat support, or that need to track consumables. It handles fixed assets only.
The catch. Support is email only. The permanent free tier is gone, and long-time users say so loudly in reviews. The 30-day trial caps you at 250 assets, so pick a sample that reflects your real data.
How to migrate. Start from one CSV export per Asset Panda collection. Import sites and locations first, then assets. Keep the full export outside the tool, since check-out history doesn't always carry over.
Price. Basic $20 a month (500 assets), Core $40 (2,500), Advanced $75 (10,000), Pro $140 (50,000), Enterprise $275 (250,000). Annual: $220, $440, $825, $1,540 and $3,025.
- Trial
- 30 days, 250 assets
- Paid
- from $20/mo (500 assets)
- Users
- unlimited
- Catch
- email support only
Reftab: IT hardware tracking at a flat price
Flat priceWhy switch to Reftab. Reftab tracks IT hardware for one flat price: $125 a month, unlimited users, no quote. It adds software license tracking at $9 per user per year, which Asset Panda doesn't do out of the box.
Who it's for. Small IT teams that want a hosted tool, no server to babysit, and a predictable bill.
Who it's not for. A team that mostly tracks non-IT equipment, or one that needs scheduled maintenance.
The catch. The free plan stops at 50 assets. That's enough to evaluate the tool, not to run a real inventory. After that, it's straight to $125 a month.
How to migrate. CSV export per collection, then import once your categories and locations exist. The 14-day trial on the full plan lets you load a real batch.
Price. Free up to 50 assets; $125 a month for hardware asset management; $9 per user per year for software.
- Free
- up to 50 assets
- Paid
- $125/mo, unlimited users
- Trial
- 14 days
- Catch
- no middle tier
UpKeep: when your assets mostly need maintenance
MaintenanceWhy switch to UpKeep. If you used Asset Panda to schedule upkeep on machines, vehicles or buildings, a CMMS does that job better: work orders, preventive maintenance, service requests. UpKeep shows its entry prices, and view-only, requester and third-party users are free.
Who it's for. Maintenance crews, manufacturing, property management: teams where someone works on the assets, not just counts them.
Who it's not for. Tracking laptops lent to employees. You'd be paying for a CMMS to do check-outs.
The catch. Pricing is per technician, so it grows with the crew. Implementation runs $500 to $5,000, and the Professional and Enterprise tiers are quote-based.
How to migrate. Import locations first, then equipment from your Asset Panda export, then rebuild your maintenance schedules. Work history rarely transfers, so keep the export for audits.
Price. Essential $24 per user per month, Premium $55, Professional and Enterprise on quote.
- Paid
- from $24/user/mo
- Free seats
- view-only and requesters
- Implementation
- $500 to $5,000
- Catch
- priced per technician
The 6 alternatives side by side
Our default pick: EZO if you want Asset Panda's scope with clear pricing, Snipe-IT if your inventory is IT hardware and someone can run it. For a sense of scale at 500 assets: AssetTiger is $20 a month, Sortly $49 (2 users), EZO $81.41 and Reftab $125. At a mid-size fleet of 2,000 assets and 10 users: AssetTiger Core $40 a month, hosted Snipe-IT from $39.99, Reftab $125, Sortly Premium $299 (Ultra stops at 5 users), and EZO to be re-quoted past 500 items. One row per tool: free tier or trial on the left, first paid price and its limit on the right.
| Free tier or trial | First paid plan and limit | |
|---|---|---|
| Asset PandaWhere you're starting | 7-day trial, full account | Custom quote only |
| EZOClosest match | 14-day trial, no card | Essential $81.41/mo for 500 items; CMMS add-on on Premium, included on Enterprise |
| Snipe-ITIT hardware | Free self-hosted | Hosted from $39.99/mo; otherwise you run the server |
| SortlySmall teams | 100 items, 1 user | Advanced $49/mo (500 items, 2 users) |
| AssetTigerCheapest | 30-day trial, 250 assets | Basic $20/mo (500 assets); email support |
| ReftabFlat price | Up to 50 assets | $125/mo, unlimited users |
| UpKeepMaintenance | Free view-only and requester seats | Essential $24/user/mo; paid implementation |
Entry prices, before tax where the vendor says so, subject to change. Always check against your real asset and user count.
Switching from Asset Panda in eight steps
Order matters. Each step protects something: your data, your audit trail, your labels, your contract timing.
The steps
Map everything in your Asset Panda account
FirstList every collection (computers, vehicles, furniture…), its fields, its groups, the actions you rely on (check-out, check-in, maintenance), your scheduled reports and your integrations. Write down your label format too.
That sheet becomes your checklist. Anything that isn't on it won't get rebuilt on the other side.
- Time
- half a day
- If rushed
- a forgotten collection
Export each collection to CSV or Excel
CriticalAsset Panda exports a single record or a whole collection to PDF, Excel or CSV. Use CSV for the import and keep an Excel copy for your records. Images can be embedded or exported as links. An Excel cell only holds 30 images, so past that, export links and download the photos separately.
Export your reports as well. They can be scheduled, so set up one last full run before the cutover.
- Formats
- PDF, Excel, CSV
- Gotcha
- 30 images per Excel cell
Decide what actually needs to move
Workflows and automations don't transfer: you rebuild them. Check-out history and attachments rarely make it across either. Move what your audits and warranties require, and archive the rest in the export.
This is also the moment to drop long-retired assets that would inflate a per-item bill.
- Payoff
- fewer billable items
Build the structure in the new tool first
Create locations, categories, models and custom fields before the import. Snipe-IT requires it: a field that doesn't exist at import time is lost. Rename CSV columns to the exact names the importer expects and switch dates to YYYY-MM-DD.
- If rushed
- columns silently skipped
Import locations, then a pilot batch of 20 assets
In stagesLocations first, assets second: an asset can't point to a location that doesn't exist yet. Run a pilot of about 20 real assets and check every field before loading the full collection.
Do this pilot in both finalists during their trials. It's the fastest way to pick one.
- Pilot
- about 20 assets
Make sure your existing labels scan
Before reprintingRelabeling a whole inventory means walking up to every single item again. Check that the new tool reads your current barcodes or QR codes and that the asset number encoded in the label is the one you imported. If it is, keep your labels.
One user who left Asset Panda said the barcodes were what they missed most. Don't find that out after the move.
- Savings
- no relabeling
Rebuild check-outs, alerts and reports
Longest stepRecreate check-out and check-in actions, warranty expiry alerts, maintenance reminders and reports. Run one full check-out and check-in cycle with a real user before you switch.
- Check
- one full check-out cycle
Cut over before your renewal
TimingIf your Asset Panda contract is annual, as it often is, do your last full export before the renewal date, not after: once the account is closed, nothing comes out. Keep the old account read-only until you've confirmed nothing is missing.
- If rushed
- data you can't reach

What makes an Asset Panda exit go wrong
The same mistakes show up in every inventory migration. None of them are really technical. They're oversights, and each one costs more than the time it would have taken to avoid it.
Letting the renewal date sneak up
If your contract is annual, as it often is, and you wait until the last minute, you negotiate the renewal with no alternative ready. Start trials on your two finalists a couple of months ahead, and run your full export well before the date.
Picking an IT tool for a non-IT inventory
Snipe-IT and Reftab are built for computers and phones. If you track vehicles, tools or furniture, EZO or Sortly fit better. Look at what's really in your collections before you choose.
Underestimating what free costs
Self-hosted Snipe-IT has no license fee, but it needs a server, updates and backups. If nobody has that time, the hosted plan at $39.99 a month is cheaper than an overloaded admin.
Reprinting every label by reflex
Before you order new rolls, check that the new tool reads your current codes. Relabeling means walking up to every item again.
Comparing prices that count different things
EZO and AssetTiger bill by asset count, Sortly by items and users, UpKeep per technician, Reftab at a flat rate. Compare on your real numbers: assets after cleanup and people working in the tool.
Forgetting what runs around the tool
A scheduled report to finance, a helpdesk integration, an agent on endpoints: each needs a replacement on cutover day. To go further, see our rankings of IT asset management software, CMMS software, ITSM software and inventory management software.
- Collections, fields, groups, actions and reports mapped
- CSV and Excel export of every collection, photos saved separately
- Retired assets removed before import
- Locations, categories and custom fields created in the new tool
- Dates in YYYY-MM-DD and columns renamed
- Pilot batch of 20 assets imported and checked
- Existing labels scan in the new tool
- Full check-out and check-in cycle run with a real user
- Reports and integrations replaced
- Final export done before the renewal date
Asset Panda alternatives: frequently asked questions
Why doesn't Asset Panda show its pricing?
Asset Panda only sells on custom quotes, built from your asset count, users and needs. The free trial lasts 7 days on a fully featured account. Numbers you'll see on third-party sites contradict each other, so don't negotiate from them: ask for a written quote and the renewal increase terms.
What's the cheapest Asset Panda alternative?
Self-hosted Snipe-IT is free with unlimited assets, if you can run a server. Among hosted tools, AssetTiger starts at $20 a month for 500 assets with unlimited users. Sortly is free for 100 items and 1 user, Reftab for 50 assets.
Is a 7-day trial enough to evaluate Asset Panda?
Only if you prepare. Have a CSV of about 20 real assets ready on day one, import it, print a label and run one check-out and check-in. Most alternatives give you more room: 14 days at EZO, Reftab and itemit, 30 at AssetTiger.
Can I keep my existing barcode labels?
Usually, if the number encoded on the label becomes the asset tag in the new tool. Import it into the asset tag or serial field, then scan about ten labels during the trial. If they resolve, you don't reprint anything.
What actually transfers out of Asset Panda?
Records and whole collections export to PDF, Excel or CSV, with images embedded or as links (30 max per Excel cell). Workflows and automations don't transfer, and check-out history and attachments rarely import cleanly elsewhere. Keep the full export as your archive.
What's the best Asset Panda alternative for K-12 schools?
Self-hosted Snipe-IT comes up often with school IT teams, scripted through its API. AssetTiger appeals for unlimited users at a low price. Some districts also look at K-12 platforms such as IncidentIQ, which is quote-based. See our ITSM software ranking if you need ticketing too.
What's the difference between Asset Panda Pro and Classic?
They're two interfaces. Pro adds the Ursa AI assistant, which maps import columns and helps create fields and collections, and its mobile app works offline (except Ursa). Classic is the older interface. If setup is your only complaint, ask to move to Pro before you leave.
Is there an alternative that also discovers devices on my network?
Not among the tools above: they track what you import or scan. If network discovery matters, read our guide to Lansweeper alternatives, which covers scanning tools that pair well with Snipe-IT.
